What’s the difference between a presentation and a speech? Many people use the words interchangeably, but there are two main areas of difference according to the dictionary definitions. Whether one accepts the dictionary definition is another matter – my four year-old daughter sometimes refuses – but that makes further discussion pretty difficult.

According to the Oxford English Dictionary (OED), a speech is defined as:

a formal address or discourse delivered to an audience

According to the Scrabble fan’s choice – the Collins English Dictionary – a speech is:

a talk or address delivered to an audience

Note that in the Collins definition, the part about being formal is missing.

Presentation

Both the Oxford English and Collins dictionaries define presentation as including some sort of visual element. The OED definition is:

a speech or talk in which a new product, idea, or piece of work is shown and explained to an audience

Note that this includes the word ‘shown’. The Collins definition is even clearer in explicitly mentioning the use of illustrative material:

a verbal report presented with illustrative material, such as slides, graphs, etc

The Collins Dictionary also notes how the word presentation is used more generally to talk about how things are  shown – ‘ the manner of presenting, esp the organization of visual details to create an overall impression’.

Presentations and speeches

Does the distinction hold perfectly? No. Firstly, people use the terms interchangeably, so of course the real world is full of speeches that are called presentations and presentations that are called speeches. Which leads to a natural blurring of the boundaries. Second, some presentations are very formal indeed, and some set-piece speeches (e.g. The State of the Union Address ) can have visuals added to them but without the orator interacting with them.

The boundaries aren’t sharp. But, according to the definition, a speech is a talk or address, and a presentation is a talk  with the use of some sort of visual aid. 

Speech vs. presentation

Why does this matter? Because giving a speech – for a lot of people – seems harder than giving a presentation. Bad slides are actually worse than no slides . But the reason so many speakers want slides or props is because they find it too hard to deliver speeches, and because effective visual aids makes it easier for them to get their points across.

Effective visuals – that  support  a speaker – make delivering presentations easier than delivering speeches for most people. Not everyone feels they can hold an audience with simply the sound of their own voice.

Great speeches are, well… great. But they aren’t the same as presentations, and shouldn’t be held up as examples of what those giving presentations should emulate.

People often confuse presentation with public speaking. After all, both require you to speak in front of an audience. But, there are subtle and important differences between a presentation and public speaking. It is better to understand this difference so that we can prepare accordingly and get the best results!

So, in this article, I will be sharing with you a few key differences between a presentation and public speaking. So, let’s get started!

1. Communication Format

Traditionally, Public Speaking is giving a speech face to face to a live audience. It comprises various forms of spoken communication skills ranging from imparting a speech or debate to motivational speaking to storytelling to Ted talks to entertaining such as a standup comedian.

However, with technological advancements, such as video conferencing, the concept evolved. In modern times, public speaking can be defined as any form of speaking between the speaker and the audience.

On the other hand, a presentation comprises spoken and visual communication. It may be a slide show or an audiovisual presentation. The topic is presented not only verbally but also by displaying content in writing supported with charts, tables, images, or text. 

2. Skills Required

Public speaking is the act of presenting a topic verbally. It is often used as a medium to transfer information, but most importantly, to motivate and encourage the audience.

That said, the only input that goes into public speaking is the speaker, his or her verbal talent and style of communication, all elements displayed collectively as a package.

Whereas presentation requires the presenter to combine verbal and written content and to work with visual presentation programs such as Microsoft power point or Google slides.

3. Time for Preparation

Public speaking is more of an art than just a skill. While you are expected to do a good job when you have time at hand, but a good orator is the one who has the skills to resonate with the audience even when he or she is put on the spot!

At times public speaking may be spontaneous such as extempore. Extempore is a speech that is delivered without preparation. The speaker is given a topic on the spot and is given a minute or two to prepare on the same.

Compared with this presentation is a prepared act. Before the presentation, the presenter is ready with all the required information and facts intertwined in a pre-defined sequence. More often than not, a presentation is on a specific topic and the presenter is given ample amount of time for preparation.

4. Creativity Index

Public speaking is an art that is creative. It may be formal or informal in nature. The style of delivery of every individual is different from others. Every speaker possesses few unique qualities and has complete freedom to design his or her communication style.

Presentation is usually a formal offering. It is a form or act that has to be delivered according to certain pre-set instructions and guidelines. The presenter has limited scope and freedom to divert and add creativity to the presentation. For instance, the most common scope of limitation is the amount of time available to deliver a presentation.

5. Purpose of the Speaker

One of the forms of public speaking is debate. In a debate, every participant speaks either in favor or against the topic. The participant has to convince the audience to agree with his stance – whether right or wrong!

Most forms of public speaking work in a similar fashion. The purpose of the speaker is to convince the audience to agree with the stance of the speaker.

However, in a presentation, a topic is presented comprehensively. The topic is explained in detail highlighting various related points such as advantages, disadvantages, improvement areas, resolution plan, targets, or rewards. The primary aim of the presenter is to educate the audience on the topic, and perhaps drive a call to action.

Effective public speaking requires the speaker to deliver so efficiently that at the end the audience stands out thrilled, amazed, and persuaded.

An impressive delivery secures more marks than intelligent content. A number of elements such as spontaneity, presence of mind, voice modulations, facial expressions, eye contact, or body language go into the making of an effective speaker. For example, in a singing reality show a participant is judged not only on the basis of his voice quality but also on the way he presents himself while singing, popularly known as the X factor.

Unlike public speaking, a presentation focuses more on content rather than on communication style. The key responsibility of the presenter is to provide the audience with detailed information on the topic covering all its aspects.

An example that may be quoted is that of an author narrating a story through a kid’s YouTube video. In the video, the author narrates the story using various voice modulations to make it entertaining for the kids and to make them feel every emotion of the characters. This case portrays the modern form of public speaking where face-to-face interaction has been eliminated.

At the same time the author presents the story using text, pictures, animations or effects in the video to make the kids visualize the characters and understand the flow of the story. 

7. Size of the Audience 

In public speaking, a speaker can address an audience ranging from a group of few people to a large gathering with thousands or millions of people. An interview wherein two people are in conversation with each other or a motivational speaker addressing a huge crowd may both be considered examples of public speaking.

On the other hand, a presentation is made to a defined set of people organized together in a small or mid-sized group with a limited number of members. To cite an example, students presenting a case study to the classmates or an advertising agency presenting to its prospective client.

Most large forms of presentations won’t usually exceed an audience that can fill an auditorium often limited to a few hundreds. Whereas, for public speaking, the audience can be a large gathering of thousands of people in a ground!

The speaker is neither acquainted with the audience nor related to it in any way. For instance, when a spiritual speaker addresses a group of people he is not familiar with the members of the audience.

As against it, in case of presentation the audience comprises a set of people who are familiar with the speaker. Citing the example of a business presentation, say a supervisor presenting to his team the road map to be followed to meet the annual targets, the presenter and every individual in the audience are connected to each other in professional capacity.

9. Motive of the Audience

In public speaking, the people listening to the speaker do not have a common vested interest and every individual in the audience has his own personal motive to fulfill. To elaborate, using the prior example of a spiritual speaker, it is possible that one individual may have resorted to spirituality to overcome his condition of depression and another individual may be listening to the speaker to learn how to control his anger.    

Contrary to the above, in the case of a presentation, all the members participating in the presentation and the speaker have a common vested interest towards which they all intend to work collectively. Drawing from the prior example of a business presentation, the supervisor and all the team members have a common goal of achieving the annual targets.

Public Speaking and Presentations: Tips for Success

This resource includes tips and suggestions for improving your public speaking skills.

Even if you’ve never spoken in front of a large group before, chances are you will encounter public speaking sometime during your life. Whether you’re giving a presentation for your classmates or addressing local politicians at a city council meeting, public speaking allows you to convey your thoughts and feelings in clear ways. Having the right tools can prepare you for successful public speaking and equip you with high-quality communication skills.

Know Your Audience

Different audiences require different modes of public speaking. How you address a room full of preschoolers will vary from how you address a group of professors at an academic conference. Not only will your vocabulary change, but you might alter your pacing and tone as well.

Knowing your audience also helps you decide the content of your speech. For example, if you’re presenting research to a group of scientists, you might not need to define all your scientific language. However, if you present that same research to a group of individuals who are unfamiliar with your scientific field, you may need to define your terms or use simpler language.

Recognizing the extent to which your audience is familiar with your topic helps you center your presentation around the most important elements and avoid wasting time on information your audience either 1) already knows or 2) does not need to know for the purpose of your speech.

Knowing your audience also means tailoring your information to them. Try to keep things straight and to the point; leave out extraneous anecdotes and irrelevant statistics.

Establish Your Ethos and Feel Confident in Your Subject

It’s important to let your audience know what authority you have over your subject matter. If it’s clear you are familiar with your subject and have expertise, your audience is more likely to trust what you say.

Feeling confident in your subject matter will help establish your ethos. Rather than simply memorizing the content on your PowerPoint slides or your note cards, consider yourself a “mini expert” on your topic. Read up on information related to your topic and anticipate questions from the audience. You might want to prepare a few additional examples to use if people ask follow-up questions. Being able to elaborate on your talking points will help you stay calm during a Q & A section of your presentation.

Stick to a Few Main Points

Organizing your information in a logical way not only helps you keep track of what you’re saying, but it helps your audience follow along as well. Try to emphasize a few main points in your presentation and return to them before you conclude. Summarizing your information at the end of your presentation allows your audience to walk away with a clear sense of the most important facts.

For example, if you gave a presentation on the pros and cons of wind energy in Indiana, you would first want to define wind energy to make sure you and your audience are on the same page. You might also want to give a brief history of wind energy to give context before you go into the pros and cons. From there, you could list a few pros and a few cons. Finally, you could speculate on the future of wind energy and whether Indiana could provide adequate land and infrastructure to sustain wind turbines. To conclude, restate a few of the main points (most likely the pros and cons) and end with the most important takeaway you want the audience to remember about wind energy in Indiana.

Don't be Afraid to Show Your Personality

Delivering information without any sort of flourish or style can be boring. Allowing your personality to show through your speaking keeps you feeling relaxed and natural. Even if you’re speaking about something very scientific or serious, look for ways to let your personality come through your speech.

For example, when Jeopardy! host Alex Trebek announced in March of 2019 that he had stage 4 pancreatic cancer, he still let his trademark dignity and professionalism set the tone for his address. He began his announcement by saying “it’s in keeping with my long-time policy of being open and transparent with our Jeopardy! fan base.” Later, he joked that he would need to overcome his illness in order to fulfill his contract, whose terms required him to host the show for three more years. Though the nature of Trebek's announcement could easily have justified a grim, serious tone, the host instead opted to display the charm that has made him a household name for almost thirty-five years. In doing so, he reminded his audience precisely why he is so well-loved.

Use Humor (When Appropriate)

Using humor at appropriate moments can keep your audience engaged and entertained. While not all occasions are appropriate for humor, look for moments where you can lighten the mood and add some humor.

For example, just two months after the assassination attempt on Ronald Reagan, Reagan was in the middle of giving a speech when a balloon loudly popped while he was speaking. Reagan paused his speech to say “missed me,” then immediately continued speaking. This off-the-cuff humor worked because it was appropriate, spontaneous, and did not really distract from his message.

Similarly, at the end of his final White House Correspondents Dinner, Barack Obama concluded his speech by saying “Obama out” and dropping the mic. Once again, the humor did not distract from his message, but it did provide a light-hearted shift in his tone.  

Don't Let Visual Aids Distract From Your Presentation

Visual aids, such as PowerPoints or handouts, often go alongside presentations. When designing visual aids, be sure they do not distract from the content of your speech. Having too many pictures or animations can cause audience members to pay more attention to the visuals rather than what you’re saying.

However, if you present research that relies on tables or figures, having many images may help your audience better visualize the research you discuss. Be aware of the ways different types of presentations demand different types of visual aids.

Be Aware of Your Body Language

When it comes to giving a presentation, nonverbal communication is equally as important as what you’re saying. Having the appropriate posture, gestures, and movement complement the spoken element of your presentation. Below are a few simple strategies to make you appear more confident and professional.

Having confident posture can make or break a presentation. Stand up straight with your shoulders back and your arms at your sides. Slouching or crossing your arms over your chest makes you appear smaller and more insecure. However, be sure you’re not too rigid. Just because you’re standing up tall does not mean you cannot move around.

Eye contact

Making eye contact with your audience not only makes them feel connected to you but it also lets you gauge their response to you. Try to look around the room and connect with different audience members so you’re not staring at the same people the whole time. If you notice your audience starting to nod off, it might be a good time to change your tone or up your energy. 

Avoid distracting or compulsive gestures

While hand gestures can help point out information in a slide or on a poster, large or quick gestures can be distracting. When using gestures, try to make them feel like a normal part of your presentation.

It’s also easy to slip into nervous gestures while presenting. Things like twirling your hair or wringing your hands can be distracting to your audience. If you know you do something like this, try to think hard about not doing it while you’re presenting.

Travel (if possible)

If you are presenting on a stage, walking back and forth can help you stay relaxed and look natural. However, be sure you’re walking slowly and confidently and you’re using an appropriate posture (described above). Try to avoid pacing, which can make you appear nervous or compulsive.

Rehearse (if Possible)

The difference between knowing your subject and rehearsing comes down to how you ultimately present your information. The more you rehearse, the more likely you are to eliminate filler words such as like and um . If possible, try practicing with a friend and have them use count the filler words you use. You can also record yourself and play back the video. The more you rehearse, the more confident you will feel when it comes time to actually speak in front of an audience.

Finally, Relax!

Although public speaking takes time and preparation, perhaps one of the most important points is to relax while you’re speaking. Delivering your information in a stiff way prevents you from appearing natural and letting your personality come through. The more relaxed you feel, the more confident your information will come across.

So you’ve been asked to give a speech. Or was it “remarks”? And what’s the difference, anyway? Here at Spring Green Communications, we are experts at drafting speeches and remarks for our clients — oh, and presentations, too. Here’s what you need to know if you’re asked to deliver any of them. 

Speech : 

WHAT IT IS: A speech is the most formal of these three types of public speaking, and it tends to be the longest and most carefully scripted. Speeches are often given to an external audience on a planned occasion, and they frequently cover “big ideas” about which you or your company are considered experts. 

TO BE SUCCESSFUL:   

  • Consider your audience, the venue and the occasion before you get started. Your communications team should track down answers to logistical questions in advance. 
  • Will there be a podium and microphone (and what kind of mic)? Will there be water available? Will the speech be livestreamed or recorded?  
  • What are the main points you need to hit?  
  • What’s your time limit? For most people, a 10-minute speech will run about 1,500 words. 
  • Practice. Read it aloud in a normal cadence to make sure you’re comfortable and it sounds like you. 
  • Will there be time for questions? If so, consider “planting” a question with an audience member to get the session started. 
  • Have a printout of the speech in large font, because technology sometimes fails.

Remarks : 

WHAT IT IS: Remarks tend to be shorter than speeches and more informal. You may be introducing someone else, or giving or receiving an award. 

  • You can SOUND impromptu, but you should BE scripted and in your intended “voice.” Don’t let the informality fool you — you need to prepare in advance. 
  • Again, consider the venue. Will you need to climb up to a podium and back down again? Make sure the space is accessible if this will be a challenge. 
  • Two minutes of remarks is only about 250-300 words, so make them count. 
  • Consider putting your main points on a notecard in case you lose track of your thoughts — but don’t read straight from the cards! 

Presentation : 

WHAT IT IS: A presentation typically uses slides to make a specific point for both internal and external audiences. It can be long or short — but it gives you the opportunity to draw in (or lose) your audience visually. 

  • Don’t just slap your words onto a few PowerPoint slides and call it a day. We work with clients to design slides that are visually appealing but don’t allow the audience to read ahead. 
  • Both the words and the visuals must be scripted to fit your intended voice. 
  • What’s your point? Make sure you have a beginning, middle and end so your audience can follow your story. 
  • Will you be advancing the slide deck yourself, or will someone else be doing it on your cue? Your comms team can find this out for you. They should also work with the event organizers to download your presentation and run through it in advance at the venue. 
  • How big is the room? Will your slides be visible to everyone in the room? Will any video clips you want to drop in be both seen and heard?

Six Major Differences Between Public Speaking and Presentation Skills

Let us look at the six major differences between public speaking and presentation skills. 

  • Skills Required

Public speaking is the art of transferring knowledge from one person to another. It is mostly used to motivate and encourage the audience. According to some experts, public speaking requires only the skills of a speaker to present themselves verbally with different communication styles among the live audience and entertain them. 

On the other hand, presentation skill requires an individual to combine their verbal skills with writing abilities. It requires an individual to work on visuals such as Microsoft PowerPoint, Google Slides, or any other applications. 

  • Preparation Time

Public speaking  is an art rather than a skill. The audience would expect you to do a good job when you have enough time for preparation but a good speaker can resonate with the audience even if they are put on the spot! Public speaking might be spontaneous. In extempore, it is spontaneous. The speaker is given a topic and a few minutes to prepare for the topic. 

Now, presentation is always a prepared act. An individual has ample time to prepare for their presentation. He is ready with all the information and facts with slide shows. A presentation is given on a specific topic and the presenter has enough time to collect data and information and prepare the tables and charts. 

Since public speaking is an art, it is creative. It can be formal or informal depending on the occasion and the place. The delivery style is different for every individual. Every individual has their weaknesses and strengths. Every speaker has a unique style that cannot be learned. Moreover, the speaker has the freedom to formulate their communication style. 

The presentation is formal. It has to be delivered according to instructions and guidelines. The presenter cannot incorporate their communication and delivery style . They have to follow the format of a presentation. Moreover, they have a limited scope to add their creativity to the presentation. 

  • The Purpose of the Speaker

Debate is one of the forms of public speaking where every participant speaks either in favor or against the topic. Most forms of public speaking work in this manner where the purpose of the speaker is to convince the audience with the stance of the speaker. 

In a presentation, the topic is explained in detail highlighting every important point. The presenter has no particular stance. They provide every information related to the topic. The purpose of the presenter is to educate the audience about the topic in a detailed way. 

  • Size and Type of Audience

In public speaking, a speaker can address a crowd ranging from a few people to large gatherings. An interview where two people are talking and a standup comedian entertaining a large crowd are examples of public speaking. The types of audience are unknown people. The speaker has not met them nor does he know the audience. 

A presentation is presented in front of a defined set of people who are limited in numbers. Students presenting a presentation in a class and a manager talking about prospects’ business ideas with a client are examples of presentation skills. 

  • Format of the Communication

Public speaking is giving a speech in front of a large audience. It involves various types of communication skills ranging from giving a speech or a debate to motivating the audience through storytelling or Ted Talks. It also involves poetry recitation to stand-up comedies to entertain the live audience. However, technology has advanced these days. Today, public speaking is defined as any form of communication between a speaker and the audience.

A presentation involves visual and spoken communication in the form of a slide show or an audiovisual slide show. Here, the topic is not only communicated to the audience but is supported with tables, charts, diagrams, images, and others. What’s the Difference Between a Speech and a Presentation?

With the arrival and success of the TEDTalk , we are losing some public speaking distinctions.  For example, what’s the difference between a speech and a presentation? I’m not sure if anyone cares, but I have always felt that each is a separate tool designed for different jobs. So, if you are concerned about whether you should prepare a speech or a presentation, here is my take on how they differ and what the proper purpose of each should be.

We have records of speeches that date back to ancient Egypt.  We know what Pericles said in Athens , and we even know the date he said it.  We can read the screeds of Demosthenes, and the muscular barbs of Cicero .  The record of sermons and political speeches goes back centuries.   We relish what George Washington said when he bid farewell to the officers of the Continental Army, and we cherish the words of Abraham Lincoln who spoke at Gettysburg 150 years ago.

Speeches are part of the historical record.  Presentations are not.  They are working stiffs, anonymous lugs who labor in the shadows and are soon forgotten.

Speeches, on the other hand, are educated men of means, ladies of repute and virtue, serious and articulate, who hold forth on issues of the day, or on eternal questions, laden with importance.   Some are long remembered

Busy people at the very last minute throw presentations together like a deck of cards.  There’s no such thing as a PreezoWriter, but there sure are SpeechWriters .  They’ve been around for a long time, and some of them work for global leaders and have or will give them words that will resonate through the halls of the past and the malls of the future.

Presentations, on the other hand, aren’t really written at all.  In the real world, presenters create them on PowerPoint templates, assemble them from a library of previously used PowerPoint slides, or groups of people sequence slides and agree on what should go on them. Occasionally, someone uses the notes section of PowerPoint to write a spoken text, but if it’s used, it’s usually memorized, not read, and tends to be composed in shorthand.

Speeches, on the other hand, are nothing but written.  No pictures.  No bullet points on a screen.  Just a person on a stage, mostly at a lectern, reading from a printed text, or from a teleprompter.

Because presenters are expected to speak without reading from a text, they need to internalize what they will say, which they accomplish by rehearsing early and often.

However, because they don’t want to go blank and embarrass themselves, they display on a white screen trigger words or phrases to help them remember what to say.  These they call bullet points.

Thus, while the speechmaker strives to sound conversational to disguise the fact that she is reading from a written text (or perhaps she is only trying to minimize the damage to her delivery caused by her need to read), the presenter confesses her need for written support by displaying what is essentially an outline of her remarks.

She (the presenter) will have been told at some point that her bullet points (her outline) are helpful to her listeners as well as to herself, but I have not seen any solid evidence such displays are helpful, and my experience leads me to believe that written words displayed for listeners cause them to be distracted.  After all, who can read and listen at the same time?

Speech-makers-and-writers need to appeal to the visual mind : they need to paint pictures that listeners can view on the inside of their eyelids.  They do this by telling stories .

Presenters need to do the same thing, but because they are often dealing with hard-nosed business issues, are creating their own content, and are more interested in getting out the facts than telling stories, they tend to replace stories with digital images that attempt to illustrate their points.  As we know from our childhood, images that arise in the mind through the power of storytelling are vivid and sometimes indelible.  I’ve spent more than twenty years helping people develop business presentations, and at this moment (on the train from Boston to Newark, NJ) I cannot think of a single PowerPoint slide that has stuck to the gray matter between my ears.

Speechmakers and writers have to stand more or less in one place, close to their text.  They can take a few tentative steps away from the lectern, but soon enough they will beat a path back to their security blanket–the written word.

Presenters—the good ones, anyway—use their freedom from the written word to strut their way across the stage.  Especially if they’ve given the same presentation many times.  Then with boisterous courage they stride toward the audience, look them in the eye, then move back toward the screen (to point out a word), and then, perhaps, sit jauntily on a stool to engage with their listeners.

This is not easy for a speechmaker to do. I think of speeches as more compressed and disciplined. Their transitions depend on careful word choice, and specific phrases, whereas presentations are more informal, interactive, and deliberative–the audience very often is interrupting the presenter, asking questions, even debating amongst themselves.

Both speeches and presentations can argue about what happened in the past, or what should be done in the future.  But anything ceremonial in nature, meant to praise or delight, I would call a speech.

Both are tools created by our amazing ancestors in order to accomplish important tasks—tasks that were, and are, important to the survival and well-being of human groups.

Speeches can remind us what we are fighting for and get us fired up for the battle.

Presentations can help us explain how an accident happened and who was at fault.

Speeches can quite literally confer on us an identity, membership in a group, a tribe, or a nation—and give us thereby a sense of meaning.

Presentations can help us pack the cargo hold so it will balance the plane, convince us to floss on a regular basis, or explain to a business owner who we are and why she should hire us.

Two tools, one more suited for  lifting us up, the other more suited for inching us forward.  One elegant, one practical.  One dressy, the other more casual.  One like a thoroughbred, the other, a mule.  One like a limo, the other, a truck.

Some of us are good at one and not the other.  Some are good at both.  And some are good at neither.

The world would be a better place if more were good at both.

7.2: Four Types of Speeches

Speeches can be categorized into four broad areas depending on the amount of preparation that is undertaken and depending upon the nature of the occasion.  The four types of speeches are manuscript, memorized, extemporaneous, and impromptu.  Our aim is to acquaint you with these four different modes of delivery, to provide suggestions for when you are asked to make impromptu remarks, and then to focus most your time on the preparation, practice, and presentation of extemporaneous speeches.

Manuscript Speech

When you listen to the President deliver a State of the Union message, you listen to a well-crafted speech being read from a teleprompter. The speech has been polished by a staff of speechwriters and has been practiced many times. The President will know how to anticipate the reaction of the audience and will know when to pause for applause and when to expect laughter. This form of speaking is used when the exact words matter and when much time and energy is expended on getting everything just right. There are times when people who are not leaders of countries deliver manuscript speeches as well. They are used when people testify before Congress, when people read important statements in a public setting, or when people deliver reports at professional meetings. All call for exact words in the correct order.

While the President has access to a staff of speech writers and a teleprompter, most of us do not. If you were given this type of assignment, you would have to read your manuscript speech from printed notes. In that case, you would want to ensure that you had prepared your manuscript carefully, using large fonts so you could read it easily without burying your nose in the pages. Reading the speech does not allow you to skimp on the preparation. Practice the speech many times. This allows you to make changes, if needed, and to select the best words to communicate your exact meaning. Remember to speak clearly and naturally -strive for a conversational tone. It shouldn’t sound read -even if you are reading. Also, remember to speak slowly; there is a natural tendency to speed up when we speak in public. Delivering a speech is not a race; you do not receive bonus points for finishing early.

Unless you are specifically told by your instructor to prepare and deliver a manuscript speech, you should never write out the entire speech. Spend your time developing your outline, organizing your ideas, and determining where you can best insert your supports. Then practice using the outline while speaking.

Memorized Speech

When you were in elementary school, did you ever have to memorize a poem or a part of a speech? If you are like most students, the answer is “Yes. ” There is nothing wrong with memorization. But if you try to memorize a speech, you risk forgetting what you planned to say and coming across as completely unprepared. Memorizing your speech is even worse than reading it. All the objections that apply to the read speech also apply to the memorized speech. Spontaneity is gone. The speech can sound stilted. Often, delivery is too rapid. Concentration is on the words, not the ideas. Sometimes the speech sounds too formal, like a written essay. There is minimal feedback or other contact with the audience. And what happens if your mind goes completely blank or if an audience member interrupts? The entire presentation will likely fall apart. Memorizing a speech puts entirely too much pressure on the speaker.

That said, there are a couple of parts of the speech that you may want to have memorized -or practiced so well that you can deliver them almost as if memorized. These include:

Your introduction:  It sets the stage for the entire speech. The words should be well chosen and rehearsed. You may find that as you repeat this portion of the speech during your rehearsals you do come to memorize it word for word. If so, this is fine. After all, once you have determined the best way of saying something, why not use it? Just make sure the presentation does not sound memorized.

Your conclusion:  The summary and call to action are the final words that your audience will hear. As with the introduction, if you practice this repeatedly you will develop the best way to say what you want and you will probably have perfected this portion of the speech.

Impromptu Speech

There will come a time for all of us when we are asked to “say a few words ” without much preparation.  You haven’t prepared any notes, you haven’t practiced what you’ll say, and you’re being asked to “wing it. ” While this may seem incredibly scary, impromptu presentations are the most common type of public speaking. You’re in class and suddenly the professor wants to hear how group projects are going. You, as the leader of your group, are asked to stand and briefly discuss what the group is doing and how much you’ve completed so far. That’s an impromptu speech. You didn’t know when you headed to class that day that you’d be speaking in public, but you did it. No sweat! Or maybe you’re in a meeting at work and the boss announces that he wants you to brief everyone in the meeting on the new equipment being installed that afternoon. Again, no prior planning, no notes, you just do it. That’s impromptu speaking.

Extemporaneous Speech

The focus of most college courses in public speaking is the extemporaneous speech.  This is because this is the type of speech used most in business, education, preaching, and political affairs. Few of us will ever have a professional staff of speechwriters or ever deliver a speech with the aid of a teleprompter. But when you do have a speech or presentation to deliver, you’ll want to sound prepared, authoritative, and clear.

Simply stated, an extemporaneous speech is one where you will have time for preparation and practice but will not be expected to read from a manuscript or to have the speech memorized.  The question most students ask is, “How much time should be spent in preparation and practice? ” Perhaps Mark Twain said it best. When speaking about preparing for an impromptu speech, he noted, “It usually takes more than three weeks to prepare a good impromptu speech ” (King). While celebrated as a humorist, there is much truth in his words. To appear to be speaking off the cuff, and to do it well, you must prepare thoroughly and practice to perfection. When you speak extemporaneously, it means you’ve had ample time to prepare and research and that you have rehearsed your speech (many times) using an outline or notes to remind you of the progression of ideas you wish to present. You will follow all the normal steps outlined in the earlier chapters. Choose a topic, narrow appropriately, analyze your audience, choose your supports, and create an outline. You will know your speech so well and will amaze your audience!

6 Types of Speeches

General Purposes of Speaking

The two general purposes of speeches this section will discuss are speaking to inform and speaking to persuade. Public speaking students will write and deliver these two types of speeches in this class. It is important to understand the differences before we begin our first LIVE speech, the informative speech. While any topic can be informative or persuasive, the difference is in the speaker’s purpose.

Simply put, this is about helping audience members acquire information that they do not already possess. The most important characteristic of informative topics is that the goal is to share knowledge . The goal is not to encourage people to use that knowledge in any specific way. When a speaker starts encouraging people to use knowledge in a specific way, they are no longer informing but persuading. Let’s say you are assigned to inform an audience about a new vaccination program. In an informative speech, the purpose of the speech is to explain to your audience what the program is and how it works. If, however, you start encouraging your audience to participate or not in the vaccination program, you are no longer informing them about the program but rather persuading them to do something.

One of the most common mistakes new public speaking students make is to blur the line between informing and persuading. Often times it is difficult for us to just share information without trying to convince others to agree with us or change their behaviors. People are typically opinionated and we like our opinions and want others to agree with us. However, knowledge sharing is an important part of every society. You may be asked to share your knowledge in a class or deliver a presentation to inform colleagues in the workplace. Learning how to deliver informative speeches is a valuable skill.

Example Informative Speech

The following video is an example of an informative speech. Take note of the strategies Andrea Ambam uses to share knowledge about bias in the judicial system. She shares research to support her points. Her opinion is apparent, based on her approach; yet, she does not ask the audience to do anything with the information she shares (a call to action). Additionally, she does not offer a solution to the issue. She simply shares researched information (facts, stats, examples, anecdotes) with her audience.

To Persuade

When we speak to persuade, we attempt to get listeners to embrace a point of view or to adopt a behavior that they may not have done otherwise. While persuasive speaking includes informing the audience about a topic, a persuasive speech is distinguished by the fact that it includes a call to action for the audience to make some change in their behavior or thinking. Persuasion can address behaviors—observable actions on the part of listeners—and it can also address intangible thought processes in the form of attitudes, values, and beliefs.

Behavior change: When the speaker attempts to persuade an audience to change behavior. This may be asking your audience to donate money to a cause, to participate in a recycling program, or to adopt a cat. In these examples, the speaker is asking the audience to do something.

Attitude change:   An attitude is defined  as an individual’s general predisposition toward something as being good or bad, right or wrong, negative or positive. If you believe that dress codes on college campuses are a good idea, you want to give a speech persuading others to adopt a positive attitude toward campus dress codes.

Value change: A value refers to an individual’s perception of the usefulness, importance, or worth of something. We can value a college education, we can value technology, and we can value freedom. Values, as a general concept, are fairly ambiguous and tend to be very lofty ideas. Ultimately, what we value in life actually motivates us to engage in a range of behaviors. For example, if you value protecting the environment, you may recycle more of your trash than someone who does not hold this value. If you value family history and heritage, you may be more motivated to spend time with your older relatives and ask them about their early lives than someone who does not hold this value.

Belief change: Beliefs are propositions or positions that an individual holds as true or false without positive knowledge or proof. Core beliefs are beliefs that people have actively engaged in and created over the course of their lives (e.g., belief in a higher power, belief in extraterrestrial life forms). Dispositional beliefs the other hand, are beliefs that people have not actively engaged in; they are judgments based on related subjects, which people make when they encounter a proposition. Persuading audiences to change core beliefs is more difficult than persuading audiences to change dispositional beliefs. If you find a topic related to dispositional beliefs, using your speech to help listeners alter their processing of the belief is a realistic possibility. But as a novice public speaker, you are probably best advised to avoid core beliefs. Although core beliefs often appear to be more exciting and interesting than dispositional ones, you are very unlikely to alter anyone’s core beliefs in a five- to ten-minute classroom speech.

Example Persuasive Speech

The following video is an example of a persuasive speech. Ron Finley uses persuasive strategies to convince the audience that planting community gardens can have a positive impact on health and hunger in South Central LA.

What Are The Differences Between A Good and A Bad Speech? 

For that reason, it’s important that you know the difference between a good and a bad speech . Good and bad speeches differ from each other in their essence. The characteristics that make a speech considered good are the same lacking in what we consider a bad speech. Let’s look deep into it!

11 Qualities of A Good Speech

By definition, a speech is a form of discourse directed at a group of people, the audience. For that reason, a good speech honors that definition and has the audience at the center of it.

Directing a speech at the audience means studying the audience before thinking about the speech, being in touch with the main characteristics of the audience, as those largely influence the way they will take the speech.

A speech should have a defined and clearly stated topic and be conducted in clear and understandable language.  

Anyone in your audience should be able to understand it and, since the audience is mostly diverse, the least you can do to help them is use simple and clear terms. 

Avoid using “hmm” or any other ambiguous terms that might cause confusion or obstruct everyone’s understanding.

Your audience wants to know that they can rely on what you’re saying and on you. Lack of confidence ruins the process of trust-building. 

One doesn’t need to state that they are shy; if you stand in a curved posture, with your arms awkwardly placed or with your gaze at the floor, rather than on the people, the audience will catch onto your awkwardness, and that might cause discomfort among them.

And although shyness isn’t a crime,  if you genuinely want to give good speeches,  you need to become a confident speaker.

 How To Become A Confident Speaker: 

My best advice is: start by practicing a lot. Some of the most confident speakers go as far as taking diction lessons to build their confidence. If that’s what it takes for you to be at their level, do it. 

Something that also helps when practicing is recording yourself while you give a speech, so you can see firsthand what your weaknesses and strong points are. You can also have a friend watch you give a speech, so they can help point them out as well. 

Investigate more about confidence and find the methods that work for you to improve it.  

Don’t try to copy someone else’s style of speaking , instead find your own and develop it without giving too much thought to what others think of it. Even if it’s different, if you feel confident speaking in that style, you’re on the right track.

A good speech isn’t just some rambling of a topic made up of the speaker’s imagination.

Although there’s nothing wrong with the speaker exploring an idea or concept that he has thought about, a speech backed up by facts is much more credible and therefore accepted by the audience. 

For that reason, using studies, theories, and statistics to support a speech is in the speaker’s best interest if he wants to give a good one.

Besides giving a more professional look to your speech, infographics like flyers, for example, help guide the audience during the speech and guarantee that they retain the key points of your speech. 

A speech needs to have just the right speed to make sure that people understand what is being said, yet they don’t get bored of it all because of how long it took. 

A good speech is neither too fast nor too slow but paced instead.

Like I’ve mentioned before, a clear speech that bores the audience is still not a good enough speech. If the point of the speech is to have the audience’s interest, a good speech should also consider the engagement factor. 

A good speech has humor and has interaction between the audience and the speaker, usually something of an informal nature that makes them feel a closer bond to the speaker without disregarding the context, like a game or a live quiz, for example.

Good body language shows the speaker’s confidence and communicates that he knows what he is doing.

A speech with no regard for body language has a high risk of being awkward and making the audience feel uncomfortable. And that is a recipe for disaster, regardless of how well placed the grammar is. 

—Well Structured. 

A good speech follows a structure that keeps it as objective and straightforward as possible. That structure should have a three parts introduction paragraph (to give people an idea of what to expect from the speech or guide them on what to focus on), the development (where all the main information usually is at), and a “banger” conclusion (memorable enough to keep in their minds the main points of the speech).

Like I’ve been saying through the article, the audience is a crucial factor when making a speech. A good speech is not only designed for the audience but also accommodates their opinions, even if just at the end of it, whether through a  Q&A or even through a live survey.

11 Characteristics of A Bad Speech: 

The first mistake made in all bad speeches is not clarifying who it’s directed to. A speech without a clear receptor and with a vague target cannot be mindful of the audience’s preferences and therefore has a high potential of being considered bad by them. 

The use of complex language and terms, the use of a bad tone (either too low or too high or too awkward), or even the use of words that don’t convey any real meaning and that don’t add anything to the speech are all things that make a speech bad. 

—Lacking Confidence. 

If the speaker is too nervous during the speech and his body language doesn’t align with the speech because he has a bad posture or even bad manners, the speech automatically becomes bad, regardless of how well structured the actual text of the speech is.

Too much nervousness is a sign of unsureness, and people have a hard time trusting those who seem unsure of themselves or whatever they are doing.

—Unprepared.

Bad speeches usually take place when people are unprepared for them. Being unprepared ranges from anything like not having a structure, not having a written down version of the speech (or at least a written down list of the main topics) to not having the speech memorized, as that usually results in a waste of time and resources because the speech doesn’t follow through.

Not having proper knowledge of the subject is also a sign of being unprepared, and in this case, the best thing to do is to study the subject before giving the speech. 

—Based on Suppositions or Personal Opinions. 

Nobody wants to sit (sometimes) hours of their life through a speech that has no actual facts in it or supporting it. Like I’ve said before, although personal opinions with some proven knowledge are acceptable, a speech solely based on subjective opinion (and nothing else) is usually bad as it most likely doesn’t add to the listeners’ lives.

—With No Additional Info or Aid.

A speech that doesn’t prioritize the audience’s fundamental understanding of it by not providing any aid or supporting information on the speech in the form of flyers or infographics is bad. 

How will the audience follow the speech and follow what is being said if they have no guidance? They more likely will miss valuable information from the speech because staying focused through someone talking isn’t always easy. 

—Too Fast or Too Slow. 

I’ve said before that a speech that’s too fast to be understood or too slow, to the point of boring the listeners, is bad. 

—Boring Deliverance. 

A speech that isn’t interactive, is too serious and strict, and doesn’t include any moments where people can relax for a second and laugh or play most likely tires the audience and is therefore bad. 

—Overzealous Speech. 

People usually don’t know how to process and deal with polarizing displays of emotions. Most people feel awkward about it and would rather not deal with them. 

For that reason, a tendency of overzealousness can ruin a speech. 

—Too Focused on The Deliverance but Lacking Content.

Although the deliverance is essential, a speech that’s only focused on it, to the point of disregarding the importance of good and quality content and structure, is generally bad as nothing really can be retained from it. 

Good quality content isn’t only well-studied content but also content that is original (not copied from anybody) and that is within the proper context of the speech

—Exclusive. 

Although the point of the speech is having someone talk to a group of listeners, those listeners want to feel included in the speech, either by a clear demonstration of thought about the audience or through their actual participation in the speech. A speech that fails to do that is bad.

Another good way to learn is by example. For that reason I’ve gathered a few examples of what to do and what not to do when giving a speech. 

Examples of Famous Good Speeches:

 A couple of famous good speeches that you should read and learn from are: 

—Martin Luther King’s “I Have A Dream” speech. 

It’s known as one of the best speeches ever made, for how well it ticked all the boxes of a good speech’s list of requirements. 

—Sojourner Truth’s 1851 “Ain’t I A Woman?” speech. 

It’s a public appeal for equal rights for women and men that also exemplifies the qualities of a good speech and its power.

Examples of Famous Bad Speeches: 

Some of the worst speeches that are continuously used as examples of what not to do are: 

—Melania Trump’s 2016 Republican National Convention Speech. 

It caused controversy because it was too similar to Michelle Obama’s speech, to the point where it’s hard to believe the similarities are a coincidence and not plagiarism. 

— The speech of the American politician who screamed while rallying votes . 

Probably one of the most used examples. It’s a great depiction of the effects of no preparation in the sense of a disregard for the amount of passion put in a speech, overzealousness, and a great lack of social and self-awareness.

Unit 33: Informative and Persuasive Presentations

Introduction

Regardless of the type of presentation, you must prepare carefully.  Are you trying to sell life insurance to a group of new clients, or presenting a proposal to secure financing to expand your business operation?  Are you presenting the monthly update on the different sales divisions in your company, or providing customers with information on how to upgrade their latest computer purchase.  Your future career will require you to present both to inform or to persuade.  Knowing the difference between these two types of presentations and knowing how to construct each type of presentation will be beneficial to your future careers.

Presenting to Inform

At some point in your business career, you will be called upon to teach someone something. It may be a customer, coworker, or supervisor, and in each case, you are performing an informative speech. It is distinct from a sales speech, or persuasive speech, in that your goal is to communicate the information so that your listener understands. The informative speech is one performance you’ll give many times across your career, whether your audience is one person, a small group, or a large auditorium full of listeners. Once you master the art of the informative speech, you may mix and match it with other styles and techniques.

Informative presentations focus on helping the audience to understand a topic, issue, or technique more clearly. There are distinct functions inherent in a speech to inform, and you may choose to use one or more of these functions in your speech. Let’s take a look at the functions and see how they relate to the central objective of facilitating audience understanding.

Share: The basic definition of communication highlights the process of understanding and sharing meaning. An informative speech follows this definition when a speaker shares content and information with an audience. As part of a speech, you wouldn’t typically be asking the audience to respond or solve a problem. Instead, you’d be offering to share with the audience some of the information you have gathered related to a topic.

Increasing Understanding: How well does your audience grasp the information? This should be a guiding question to you on two levels. The first involves what they already know—or don’t know—about your topic, and what key terms or ideas might be necessary for someone completely unfamiliar with your topic to grasp the ideas you are presenting. The second involves your presentation and the illustration of ideas. The audience will respond to your attention statement and hopefully maintain interest, but how will you take your speech beyond superficial coverage of content and effectively communicate key relationships that increase understanding? These questions should serve as a challenge for your informative speech, and by looking at your speech from an audience-oriented perspective, you will increase your ability to increase the audience’s understanding.

Change Perceptions:  How you perceive something has everything to do with a range of factors that are unique to you. We all want to make sense of our world, share our experiences, and learn that many people face the same challenges we do. For instance, many people perceive the process of speaking in public as a significant challenge, and in this text, we have broken down the process into several manageable steps. In so doing, we have to some degree changed your perception of public speaking.

When you present your speech to inform, you may want to change the audience member’s perceptions of your topic. You may present an informative speech on air pollution and want to change common perceptions such as the idea that most of North America’s air pollution comes from private cars. You won’t be asking people to go out and vote, or change their choice of automobiles, but you will help your audience change their perceptions of your topic.

Gain Skills:   Just as you want to increase the audience’s understanding, you may want to help the audience members gain skills. If you are presenting a speech on how to make a meal from fresh ingredients, your audience may thank you for not only the knowledge of the key ingredients and their preparation but also the product available at the conclusion. If your audience members have never made their own meal, they may gain a new skill from your speech.

Exposition versus Interpretation:  When you share information informally, you often provide your own perspective and attitude for your own reasons. The speech to inform the audience on a topic, idea, or area of content is not intended to be a display of attitude and opinion.

The speech to inform is like the classroom setting in that the goal is to inform, not to persuade, entertain, display attitude, or create comedy. If you have analyzed your audience, you’ll be better prepared to develop appropriate ways to gain their attention and inform them on your topic. You want to communicate thoughts, ideas, and relationships and allow each listener specifically, and the audience generally, to draw their own conclusions. The speech to inform is all about sharing information to meet the audience’s needs, not your own.

Exposition:  Exposition means a public exhibition or display, often expressing a complex topic in a way that makes the relationships and content clear. The goal is to communicate the topic and content to your audience in ways that illustrate, explain, and reinforce the overall content to make your topic more accessible to the audience. The audience wants to learn about your topic and may have some knowledge of it as you do. It is your responsibility to consider ways to display the information effectively.

Interpretation and Bias:  Interpretation involves adapting the information to communicate a message, perspective, or agenda. Your insights and attitudes will guide your selection of material, what you focus on, and what you delete (choosing what not to present to the audience). Your interpretation will involve personal bias.

Bias is an unreasoned or not-well-thought-out judgment. Bias involves beliefs or ideas held on the basis of conviction rather than current evidence. Beliefs are often called “habits of the mind” because we come to rely on them to make decisions. Which is the better, cheapest, most expensive, or the middle-priced product? People often choose the middle-priced product and use the belief “if it costs more it must be better” (and the opposite: “if it is cheap it must not be very good”). The middle-priced item, regardless of the actual price, is often perceived as “good enough.” All these perceptions are based on beliefs, and they may not apply to the given decision or even be based on any evidence or rational thinking.

We take mental shortcuts all day long, but in our speech to inform, we have to be careful not to reinforce bias.

Point of View:  Clearly no one can be completely objective and remove themselves from their own perceptual process. People express themselves and naturally relate what is happening now to what has happened to them in the past. You are your own artist, but you also control your creations.

Objectivity involves expressions and perceptions of facts that are free from distortion by your prejudices, bias, feelings or interpretations. For example, is the post office box blue? An objective response would be yes or no, but a subjective response might sound like “Well, it’s not really blue as much as it is navy, even a bit of purple.” Subjectivity involves expressions or perceptions that are modified, altered, or impacted by your personal bias, experiences, and background. In an informative speech, your audience will expect you to present the information in a relatively objective form. The speech should meet the audience’s needs as they learn about the content, not your feelings, attitudes, or commentary on the content.

Types of Informative Presentations

Speaking to inform may fall into one of several categories. The presentation to inform may be an explanation, a report, a description, or a demonstration .  E ach type of informative speech is described below.

Explanation:  Have you ever listened to a lecture or speech where you just didn’t get it? It wasn’t that you weren’t interested, at least not at first. Perhaps the presenter used language you didn’t understand or gave a confusing example. Soon you probably lost interest and sat there, attending the speech in body but certainly not in mind. An effective speech to inform will take a complex topic or issue and explain it to the audience in ways that increase audience understanding.

No one likes to feel left out. As the speaker, it’s your responsibility to ensure that this doesn’t happen. Also, know that to teach someone something new—perhaps a skill that they did not possess or a perspective that allows them to see new connections—is a real gift, both to you and the audience members. You will feel rewarded because you made a difference and they will perceive the gain in their own understanding.

Report:  As a business communicator, you may be called upon to give an informative report where you communicate status, trends, or relationships that pertain to a specific topic. The informative report is a speech where you organize your information around key events, discoveries, or technical data and provide context and illustration for your audience. They may naturally wonder, “Why are sales up (or down)?” or “What is the product leader in your lineup?” and you need to anticipate their perspective and present the key information that relates to your topic.

Description:  Have you ever listened to a friend tell you about their recent trip somewhere and found the details fascinating, making you want to travel there or visit a similar place? Describing information requires an emphasis on language that is vivid, captures attention, and excites the imagination. Your audience will be drawn to your effective use of color, descriptive language, and visual aids. An informative speech that focuses on the description will be visual in many ways. Use your imagination to place yourself in their perspective: how would you like to have someone describe the topic to you?

Demonstration:  You want to teach the audience how to program the applications on a new smartphone. A demonstrative speech focuses on clearly showing a process and telling the audience important details about each step so that they can imitate, repeat, or do the action themselves. Consider the visual aids or supplies you will need.

By considering each step and focusing on how to simplify it, you can understand how the audience might grasp the new information and how you can best help them. Also, consider the desired outcome; for example, will your listeners be able to actually do the task themselves? Regardless of the sequence or pattern you will illustrate or demonstrate, consider how people from your anticipated audience will respond, and budget additional time for repetition and clarification.

Creating an Informative Presentation

An informational presentation is a common request in business and industry. It’s the verbal and visual equivalent of a written report. Informative presentations serve to present specific information for specific audiences for specific goals or functions. Table 33.1 below describes five main parts of a presentation to inform.

Sample Speech Guidelines:  Imagine that you have been assigned to give an informative presentation lasting five to seven minutes. Follow the guidelines in Table 33.2 below and apply them to your presentation.

Informative presentations illustrate, explain, describe, and instruct the audience on topics and processes.  Now let’s watch an example of an informative speech.

The Persuasive Presentation

No doubt there has been a time when you wanted to achieve a goal or convince someone about a need and you thought about how you were going to present your request. Consider how often people want something from you? When you watch television, advertisements reach out for your attention, whether you watch them or not. When you use the internet, pop-up advertisements often appear. Most people are surrounded, even inundated by persuasive messages. Mass and social media in the 21st century have had a significant effect on persuasive communication that you will certainly recognize.

Persuasion is an act or process of presenting arguments to move, motivate, or change the mind of your audience. Persuasion can be implicit or explicit and can have both positive and negative effects.  Motivation is different from persuasion in that it involves the force, stimulus, or influence to bring about change. Persuasion is the process, and motivation is the compelling stimulus that encourages your audience to change their beliefs or behaviour, to adopt your position, or to consider your arguments.  Let’s view the video below for an overview of the principles of a persuasive presentation.

Principles of Persuasion

What is the best way to succeed in persuading your listeners? There is no one “correct” answer, but many experts have studied persuasion and observed what works and what doesn’t. Social psychologist Robert Cialdini (2006) offers us six principles of persuasion that are powerful and effective:   Reciprocity , Scarcity , Authority , Commitment and consistency , Consensus , and Liking .  These six principles are covered in more detail in Unit 27 .

Developing a Persuasive Presentation

Persuasive presentations have the following features, they:

When you focus on stimulation as the goal of your speech, you want to reinforce existing beliefs, intensify them, and bring them to the forefront. By presenting facts, you will reinforce existing beliefs, intensify them, and bring the issue to the surface. You might consider the foundation of common ground and commonly held beliefs, and then introduce information that a mainstream audience may not be aware of that supports that common ground as a strategy to stimulate.

In a persuasive speech, the goal is to change the attitudes, beliefs, values, or judgments of your audience.  Audience members are likely to hold their own beliefs and are likely to have their own personal bias. Your goal is to get them to agree with your position, so you will need to plan a range of points and examples to get audience members to consider your topic. H ere is a five-step checklist to motivate your audience into some form of action:

1. Get their attention 2. Identify the need 3. Satisfy the need 4. Present a vision or solution 5. Take action

This simple organizational pattern can help you focus on the basic elements of a persuasive message that will motivate your audience to take action…

Include a Call to Action

When you call an audience to action with a speech, you are indicating that your purpose is not to stimulate interest, reinforce and accentuate beliefs, or convince them of a viewpoint. Instead, you want your listeners to do something, to change their behaviour in some way. The persuasive speech that focuses on action often generates curiosity, clarifies a problem, and as we have seen, proposes a range of solutions. The key difference here is there is a clear link to action associated with the solutions.

Solutions lead us to consider the goals of action. These goals address the question, “What do I want the audience to do as a result of being engaged by my speech?” The goals of action include adoption, discontinuance, deterrence, and continuance.

Adoption  means the speaker wants to persuade the audience to take on a new way of thinking, or adopt a new idea. Examples could include buying a new product, or deciding to donate blood. The key is that the audience member adopts, or takes on, a new view, action, or habit.

Discontinuance involves the speaker persuading the audience to stop doing something that they have been doing. Rather than take on a new habit or action, the speaker is asking the audience member to stop an existing behaviour or idea.

Deterrence  is a call to action that focuses on persuading the audience not to start something if they haven’t already started. The goal of action would be to deter, or encourage the audience members to refrain from starting or initiating the behavior.

Finally, with C ontinuance , the speaker aims to persuade the audience to continue doing what they have been doing, such as keep buying a product, or staying in school to get an education.

A speaker may choose to address more than one of these goals of action, depending on the audience analysis. If the audience is largely agreeable and supportive, you may find continuance to be one goal, while adoption is secondary.

Goals in call to action speeches serve to guide you in the development of solution steps. Solution steps involve suggestions or ways the audience can take action after your speech. Audience members appreciate a clear discussion of the problem in a persuasive speech, but they also appreciate solutions.

Increase Consideration

In a speech designed to increase consideration, you want to entice your audience to consider alternate viewpoints on the topic you have chosen. Audience members may hold views that are hostile in relation to yours, or perhaps they are neutral and simply curious about your topic.  You won’t be asking for action in this presentation, simply to consider an alternative perspective.

Develop Tolerance of Alternate Perspectives

Finally, you may want to help your audience develop tolerance for alternate perspectives and viewpoints.  Your goal is to help your audience develop tolerance, but not necessarily acceptance, of alternate perspectives. By starting from common ground, and introducing a related idea, you are persuading your audience to consider an alternate perspective.

A persuasive speech may stimulate thought, convince, call to action, increase consideration, or develop tolerance of alternate perspectives.  Watch the following video of a persuasive speech with annotation to see the concepts above in action.

Persuasive Strategies

When you make an argument in a persuasive speech, you will want to present your position logically by supporting each point with appropriate sources. You will want to give your audience every reason to perceive you as an ethical and trustworthy speaker. Your audience will expect you to treat them with respect, and to present your argument in a way that does not make them defensive. Contribute to your credibility by building sound arguments and using strategic arguments with skill and planning.

Stephen Toulmin’s (1958) rhetorical strategy focuses on three main elements, shown in Table 33.3 as a claim, data, and warrant.

This three-part rhetorical strategy is useful in that it makes the claim explicit, clearly illustrating the relationship between the claim and the data, and allows the listener to follow the speaker’s reasoning. You may have a good idea or point, but your audience will be curious and want to know how you arrived at that claim or viewpoint. The warrant often addresses the inherent and often unspoken question, “Why is this data so important to your topic?” and helps you illustrate relationships between information for your audience. This model can help you clearly articulate it for your audience.

Appealing to Emotions

Emotions are psychological and physical reactions, such as fear or anger, to stimuli that we experience as a feeling. Our feelings or emotions directly impact our own point of view and readiness to communicate, but also influence how, why, and when we say things. Emotions influence not only how you say what you say, but also how you hear and what you hear. At times, emotions can be challenging to control. Emotions will move your audience, and possibly even move you, to change or act in certain ways.

Be wary of overusing emotional appeals, or misusing emotional manipulation in presentations and communication. You may encounter emotional resistance from your audience.  Emotional resistance involves getting tired, often to the point of rejection, of hearing messages  that attempt to elicit an emotional response. Emotional appeals can wear out the audience’s capacity to receive the message.

The use of an emotional appeal may also impair your ability to write persuasively or effectively. Never use a personal story, or even a story of someone you do not know if the inclusion of that story causes you to lose control. While it’s important to discuss relevant and sometimes emotionally difficult topics, you need to assess your own relationship to the message. Your documents should not be an exercise in therapy and you will sacrifice ethos and credibility, even your effectiveness, if you become angry or distraught because you are really not ready to discuss an issue you’ve selected.

Now that you’ve considered emotions and their role in a speech in general and a speech to persuade specifically, it’s important to recognize the principles about emotions in communication that serve you well when speaking in public.   The video below reviews how to effectively integrate emotion, logic and credibility into your presentation.

DeVito (2003) offers five key principles to acknowledge the role emotions play in communication and offer guidelines for there expression.

Emotions Are Universal:  Emotions are a part of every conversation or interaction that you have. Whether or not you consciously experience them while communicating with yourself or others, they influence how you communicate. By recognizing that emotions are a component in all communication interactions, you can place emphasis on understanding both the content of the message and the emotions that influence how, why, and when the content is communicated.

Expression of emotions is important, but requires the three Ts:  tact, timing, and trust . If you find you are upset and at risk of being less than diplomatic, or the timing is not right, or you are unsure about the level of trust, then consider whether you can effectively communicate your emotions. By considering these three Ts, you can help yourself express your emotions more effectively.

Emotions Are Communicated Verbally and Nonverbally:  You communicate emotions not only through your choice of words but also through the manner in which you say those words. The words themselves communicate part of your message, but the nonverbal cues, including inflection, timing, space, and paralanguage can modify or contradict your spoken message. Be aware that emotions are expressed in both ways and pay attention to how verbal and nonverbal messages reinforce and complement each other.

Emotional Expression Can Be Good and Bad:  Expressing emotions can be a healthy activity for a relationship and build trust. It can also break down trust if expression is not combined with judgment. We’re all different, and we all experience emotions, but how we express our emotions to ourselves and others can have a significant impact on our relationships. Expressing frustrations may help the audience realize your point of view and see things as they have never seen them before. However, expressing frustrations combined with blaming can generate defensiveness and decrease effective listening. When you’re expressing yourself, consider the audience’s point of view, be specific about your concerns, and emphasize that your relationship with your listeners is important to you.

Emotions Are Often Contagious:  It is important to recognize that we influence each other with our emotions, positively and negatively. Your emotions as the speaker can be contagious, so use your enthusiasm to raise the level of interest in your topic. Conversely, you may be subject to “catching” emotions from your audience.

In summary, everyone experiences emotions, and as a persuasive speaker, you can choose how to express emotion and appeal to the audience’s emotions.

Presenting Ethically

What comes to mind when you think of speaking to persuade? Perhaps the idea of persuasion  may bring to mind propaganda and issues of manipulation , deception , intentional bias , bribery , and even coercion . Each element relates to persuasion, but in distinct ways. We can recognize that each of these elements in some ways has a negative connotation associated with it. Why do you think that deceiving your audience, bribing a judge, or coercing people to do something against their wishes is wrong? These tactics violate our sense of fairness, freedom, and ethics.

Figure 33.4 offers eleven points from the book Ethics in Human Communication (Johannesen, 1996).   These points should be kept in mind as you prepare and present your persuasive message.

In your speech to persuade, consider honesty and integrity as you assemble your arguments. Your audience will appreciate your thoughtful consideration of more than one view, your understanding of the complexity, and you will build your ethos, or credibility, as you present your document. Be careful not to stretch the facts, or assemble them only to prove yourself, and instead prove the argument on its own merits. Deception, coercion, intentional bias, manipulation and bribery should have no place in your speech to persuade.

Creating an Elevator Speech

An elevator speech does not have to be a formal event, though it can be. An elevator speech is not a full sales pitch and should not get bloated with too much information. The idea is not to rattle off as much information as possible in a short time, nor to present a memorized thirty-second advertising message, but rather to give a relaxed and genuine “nutshell” summary of one main idea. The emphasis is on brevity, but a good elevator speech will address several key questions:

What is the topic, product or service? 2. Who are you? 3. Who is the target market? (if applicable) 4. What is the revenue model? (if applicable) 5. What or who is the competition and what are your advantages?

The following are the five key parts of your message:

  • Attention Statement – Hook + information about you
  • Introduction – What you offer
  • Body – Benefits; what’s in it for the listener
  • Conclusion – Example that sums it up
  • Residual Message – Call for action

Difference between Informative and Persuasive Speeches

Most of us are familiar with speeches (also referred to as presentations). However, there’s some confusion between informative and persuasive speeches. Each type of speech is different from the other.

Do you know those long monologues people hold on various occasions or in a formal, business setting, called speeches? Well, you probably tuned out many times before and did not notice that there were two types of speeches: informative and persuasive. Dare we ask if you remember which type of speech you have heard more often? If you cannot tell, read the following article to find out which is which.

An informative speech is used to educate and train the audience. It implies having a certain volume of information that needs to be transmitted to the public. The presenter is not trying to convince the audience to think or feel in a specific way. Instead, the presenter is providing the audience with facts and information.

This type of speech can be practiced in companies when a new product or service is introduced and the personnel need to be trained to work with it or sell it, or when a merger or another such event will cause changes in the company and people need to understand how the company structure will change.

When giving an informative speech, the presenter must be mindful of who they are speaking to. They also need to understand the level of knowledge the audience needs (if they are not subject matter experts) and avoid giving too much information about the topic. It’s essential to avoid using jargon or professional language that is not understood by the audience. These would be too difficult for them to understand, making the presentation ineffective.

Giving an informative speech means having people leave with information they did not have coming in. Such a speech is as entertaining as the speaker makes it. Generally, this means including large volumes of information which are not easily digested, but it all depends on how the speaker presents it, how engaging he makes his content and how well he can couple the new information to pre-existing knowledge just to make it more relatable.

On the other hand, there’s a different reason for giving a persuasive speech.

A persuasive speech is intended to convince you to do or believe something when you are done listening. It can be a sales speech, a motivational speech or anything that includes calls to action, advice on how to do something and encouragement in this respect. Good speakers will give out a lot of useful information and keep the public entertained and engaged because the stakes are high at the end. They need those who have listened to the speech to get up and do something specific, and this is why the speech must be delivered very well.

For instance, a persuasive speech can be given to raise funds for charity. The presenter tries to persuade the audience to support the charity financially. In this case, the presenter may also include information about the charity, why it needs funding, and more. The overall goal is to get the audience to give money to support the charity. The presenter may use emotions such as sadness, excitement, and other emotions to move the audience to provide funding for the charity.

A persuasive speech is difficult to deliver as some people come in to the event reluctant to whatever the speaker has to say, and set on not changing their minds. It’s the talent of every speaker that makes the difference in this case.

What Do Informative and Persuasive Speeches Have in Common?

So what is the difference between an informative speech and a persuasive speech?

  • An informative speech is only aimed at presenting given information, to educate and train. The persuasive speech is aimed at convincing you to believe or do something very specific. There is an end to whatever you are listening to, and more effort is put into keeping you entertained just so that you will act on whatever the speech was about.
  • Although persuasive speeches are much more engaging and interesting, making the public more attentive and entertained, they still need to be delivered. This means that informative speeches, with their smaller stakes, are easier to deliver.

  • Direct : Mary said, “I am going to the US next month.” Indirect : Mary said that she was going to the US the following month.
  • Direct : The sports teacher said, “Run fast, boys.” Indirect : The sports teacher asked the boys to run fast.

In these two examples, you might have observed that when we use direct speech, we use quotations to outline the real words of the speaker. As against, in an indirect speech, there is no such thing, as the listener narrates the same in his/her own words.

How to remember the difference

Definition of direct speech.

When a person gives a written or spoken account of the speech, by repeating the exact words of the speaker, then this is known as Direct Speech. It uses inverted commas to highlight the original statement of the speaker, which is supported by a signal phrase or say dialogue guide.

  • Alex said, “I will be there in five minutes.”
  • The teacher said to Peter, “If you don’t complete your homework, I will make a call to your parents.”
  • Paul said to me, “What are you looking at?”
  • Joseph said, “You should give him a second chance.”

Sometimes, reporting verb appears in the mid of the sentence:

  • Is that so, she asked, You don’t want to come with us?

Adverbs can be used with the reporting verb, to delineate the manner in which something is spoken.

  • “I won’t come to your party,” Kate said angrily.
  • “I will always be there to help you”, he said sympathetically.

Definition of Indirect Speech

Indirect Speech or otherwise called as reported speech is one in which a person reports on what someone else said or wrote to him, not using the actual words. The indirect speech stresses on the content, i.e. what someone stated, instead of the words that are used for stating it.

The formation of the reported clause in an indirect speech is mainly based on whether the speaker is just reporting something, or ordering, commanding, requesting, etc.

  • Alex said that he would be here in five minutes.
  • The teacher scolded Peter that if he does not complete his homework, she would call his parents.
  • Paul asked me what am I looking at.
  • Joseph advised that I should give him a second chance.

Key Differences Between Direct and Indirect Speech

The difference between direct and indirect speech are discussed as under:

  • Direct Speech refers to the literal repetition of the words spoken by someone, using a quotative frame. On the other hand, indirect speech is one that reports something said or written by another person, without making the use of exact words.
  • Direct Speech is also called a quoted speech, as it uses the exact words of the speaker. As against, the indirect speech is termed as reported speech, as it narrates what is said by the speaker.
  • Direct Speech is from the speaker’s standpoint, whereas indirect speech is from the listener’s standpoint.
  • Direct speech is when we use the exact rendition of the words of the speaker. Conversely, in an indirect speech own words are used to report the speaker’s statement.
  • The inverted comma is used in direct speech, but not in indirect speech.

Rules for changing Direct Speech to Indirect Speech

There are certain rules which need to be followed while changing from direct to indirect speech or vice versa:

Rule 1 : Backshift changes

Exception : When the direct speech consists of a universal fact or truth, then the tense of the sentence remains the same.

  • Direct : The teacher said, “Human Rights day is celebrated on 10th December.” Indirect : The teacher said that Human Rights Day is celebrated on 10th December.

Rule 2 : For change in adverbs, pronouns, demonstratives and auxiliary verbs

Rule 3 : For Interrogative Sentences

Questions may be of two types: Objective questions whose answer can be given in yes or no which starts with an auxiliary verb.

On the other hand, Subjective questions whose answers can be given in detail. Here subjective question refers to the questions that begin with wh-word, i.e. when, how, who, what, which, where, why and so forth. Here, the reporting verb is changed from said to ask in the reporting speech.

  • Direct : She said, “Are you going to the party?” Indirect : She asked if I was going to the party.
  • Direct : Joe said to me, What is the time by your watch? Indirect : Joe asked me what was the time by my watch.

Rule 4 : When the direct speech contains orders, request, advise, suggestions command etc. then the reporting verb is changed to tell, request, command, instruct, order, advise, suggestion etc.

  • Direct : “Don’t make noise”, said the librarian. Indirect : The librarian told me to stop making noise.

Rule 5 : When something is said repeatedly by a person, or it is said by many people we use says/say instead of said in the direct speech. Says when it is said by only one person and say when it is said by many people. Further, in indirect speech, it is replaced by tell/tells accordingly.

  • Direct : My father says to me, “You are very naughty.” Indirect : My father tells me that I am very naughty.

The reporting verb remains in simple present tense also when the actual words are still true when it is reported.

Rule 6 : When there is an exclamatory sentence in the direct speech, first of all, the exclamatory sentence is changed into an assertive sentence. The inverted commas, interjections like oh, hurray, bravo etc. and the exclamatory mark is removed. The reporting verb, i.e. said is changed into exclaimed, and we use the conjunction that to add the clause.

  • Direct : “Oh wow! it’s beautiful” she said. Indirect : She exclaimed that it was very beautiful.

The basic tip to recognize the difference between direct and indirect speech is that in case of direct speech we use inverted commas which are not used in case of indirect speech. Further, we use the word ‘that’ in general, in indirect speech.

What the New Overtime Rule Means for Workers

One of the basic principles of the American workplace is that a hard day’s work deserves a fair day’s pay. Simply put, every worker’s time has value. A cornerstone of that promise is the  Fair Labor Standards Act ’s (FLSA) requirement that when most workers work more than 40 hours in a week, they get paid more. The  Department of Labor ’s new overtime regulation is restoring and extending this promise for millions more lower-paid salaried workers in the U.S.

Overtime protections have been a critical part of the FLSA since 1938 and were established to protect workers from exploitation and to benefit workers, their families and our communities. Strong overtime protections help build America’s middle class and ensure that workers are not overworked and underpaid.

Some workers are specifically exempt from the FLSA’s minimum wage and overtime protections, including bona fide executive, administrative or professional employees. This exemption, typically referred to as the “EAP” exemption, applies when: 

1. An employee is paid a salary,  

2. The salary is not less than a minimum salary threshold amount, and 

3. The employee primarily performs executive, administrative or professional duties.

While the department increased the minimum salary required for the EAP exemption from overtime pay every 5 to 9 years between 1938 and 1975, long periods between increases to the salary requirement after 1975 have caused an erosion of the real value of the salary threshold, lessening its effectiveness in helping to identify exempt EAP employees.

The department’s new overtime rule was developed based on almost 30 listening sessions across the country and the final rule was issued after reviewing over 33,000 written comments. We heard from a wide variety of members of the public who shared valuable insights to help us develop this Administration’s overtime rule, including from workers who told us: “I would love the opportunity to...be compensated for time worked beyond 40 hours, or alternately be given a raise,” and “I make around $40,000 a year and most week[s] work well over 40 hours (likely in the 45-50 range). This rule change would benefit me greatly and ensure that my time is paid for!” and “Please, I would love to be paid for the extra hours I work!”

The department’s final rule, which will go into effect on July 1, 2024, will increase the standard salary level that helps define and delimit which salaried workers are entitled to overtime pay protections under the FLSA. 

Starting July 1, most salaried workers who earn less than $844 per week will become eligible for overtime pay under the final rule. And on Jan. 1, 2025, most salaried workers who make less than $1,128 per week will become eligible for overtime pay. As these changes occur, job duties will continue to determine overtime exemption status for most salaried employees.

Who will become eligible for overtime pay under the final rule? Currently most salaried workers earning less than $684/week. Starting July 1, 2024, most salaried workers earning less than $844/week. Starting Jan. 1, 2025, most salaried workers earning less than $1,128/week. Starting July 1, 2027, the eligibility thresholds will be updated every three years, based on current wage data. The rule will also increase the total annual compensation requirement for highly compensated employees (who are not entitled to overtime pay under the FLSA if certain requirements are met) from $107,432 per year to $132,964 per year on July 1, 2024, and then set it equal to $151,164 per year on Jan. 1, 2025.

Starting July 1, 2027, these earnings thresholds will be updated every three years so they keep pace with changes in worker salaries, ensuring that employers can adapt more easily because they’ll know when salary updates will happen and how they’ll be calculated.

The final rule will restore and extend the right to overtime pay to many salaried workers, including workers who historically were entitled to overtime pay under the FLSA because of their lower pay or the type of work they performed.
