In this study, the researchers focused on the design and implementation of an online assignment submission and feedback system. The challenges faced by students in submitting assignment such as replication of the works of brilliant students, interfering with some students’ assignments especially those that are not in good terms with the course representatives, the cost associated with printing hard copies of assignment paper, among other setbacks necessitated the researchers to embark on the study with a view to proffering solutions. Thus, the researchers designed and implemented a user friendly assignment submission and feedback system to tackle these challenges. The system was implemented using PHP and MYSQL technologies.

1.1 INTRODUCTION

An online assignment handling is a system contained within the Module virtual learning environment. The functionality of the standard assignment handling module has been extended to cater for all the Department's needs in terms of receiving assignments from students, making them available to tutors to mark, returning grades, comments and marked work to students and keeping Registry and course administrators informed at all stages of the process. Extension requests are an integral part of the system.

Universities, Polytechnics and colleges of education are considered the mainprovider of knowledge in various fields. Various coursesof studies are taught in institutions, covering several fieldsincluding applied Sciences, Math, Computer, HumanResource, and Accounting. Most courses at universitiesconsist of theoretical as well as practical subject matter. Toevaluate the level of understanding and degree ofcomprehension among students, assignments are often given.

Assignments are submitted by students either individuallyor in groups. Assignment management involves collecting,marking, and redistributing to students. Tregobov (1998) breaksthe process down into four stages: submission, recording,marking, and return. Online assignment submission andmanagement (OASM) involves the use of the World-WideWeb, the Internet and computers to aid this process (Jones, 2003). Withtraditional assignment submission system, lots of problemsarise especially when the students have to submit the answersof the assignment to the lecturer. There may be problems dueto distance, time, or format of the assignment (written orprinted). Also every learning process requires administrativesupport. Much of this administrative support is to some degreetransparent but if the latter is not well organized it coulddisrupt the flow of learning between students and the staff.

As the educational world is moving faster and becomingmore competitive, almost every university started to use anonline submission system, or newer technologies to facilitatetheir task, to have more time, and to be in pace with this fastmoving IT world.

1.2 STATEMENT OF THE PROBLEM

Many reported failures in courses thought in the tertiary institutions can be attributed to the careless of the course representative or the teaching assistant who failed to submit an assignment paper to the lecturer for marking (Jones, 2003). Such careless could lead to a zero mark for the victim whose paper was declared missing or simply not found. The manual method of submitting assignments to the course lecturer or directly to the lecturer in most Nigerian Universities is simply not effective as these papers could get damaged or get missing due to the carelessness of the course representative or the lecturer.

Moreover, assignments that are large in terms of pages or volume could easily discourage a student from submitting due to financial constraints brought about by high cost of printing an assignment. All these problems highlighted are the main reasons the researcher is developing an electronic assignment submission system to curtail these challenges and make studying more enjoyable in our tertiary institutions.

1.3OBJECTIVES

The main objective of the paper is to design and implement an online assignment submission system. Specific objectives of the study are:

i) To develop a system for proper documentation of students’ record in the in the school system. 

ii) To create a database that will manage each student assignment submission and allow access by lecturers to access those files submitted by the student.

iii) To Create a quick search and advance search that the student / lecturer when sorting a file.

iv) To provide a system to assure equal opportunity and impartial review of student assignment submission

v) To provide a full school system by that will take care of registration and grading processes.

1.4 SCOPE OF THE STUDY

The study focuses on the areas of concentration of this project i.e. the assignment submission and grading processes. It also covers the faculty registration, lecturer registration, course registration, department registration, users registration, student registration, perform scores/grades registration, test scores assessment and article entry.

1.5 LIMITATIONS

This project covers some of the aspect of a computer software based assignment submission management system. However, the following are the constraints:

A constraint in project management is any restriction that defines a project’s limitations; the scope, for example, is the limit of what the project is expected to accomplish. 

The three most significant project constraints are: schedule, cost and scope.

• SCHEDULE: Sometimes stated more broadly as time, specifies the timeline according to which those components will be delivered, including the final deadline for completion.

• COST: Sometimes stated more broadly as resources, involves the financial limitation of resources input to the project and also the overall limit of the total amount that can be spent.

• SCOPE: A project’s scope involves specific goals, deliverables and tasks that defines the boundaries of the project.

1.6 DEFINITION OF TERMS

Assignment: a task or piece of work allocated to someone as part of a job or course of study

Student: A student or pupil is a learner, or someone who attends an educational institution.

Online: indicates a state of connectivity.

Web-Based: Any program that is accessed over a network connection using HTTP rather than existing within a device’s memory.

Lecturer: A lecture is an oral presentation intended to present information or teaches people about a particular subject, for example by a university or college teacher.

Submission: the action of presenting a proposal, application, or other document for consideration or judgment.

Management: Is an academic discipline, a social science whose objective is to study organization and organizational leadership.

System: Set of computer components that is, an assembling of hardware, software and peripherals functioning together.

Base on the new system that is developed, several points has been carefully observed for further research in other to further improve our school system activities.

In summary of this project the researcher has read through school management system, which is quite large to be encapsulated in just one project work, so this project is reduced to focus on the online assignment submission management system as a whole.

The online assignment submission management system has been sub-divided into modules in other to carefully handle the processes involved in this system. The online assignment submission management system is sub-divided into (4) four major modules which are:

  • Description of the system
  • Program Specification
  • Interface Design
  • Structure of the Database

This module is also broken down, so as to capture all the necessary segments that are required to make this project successful.

Recommendation

The software developed for the implementation of this research can be used by any School. The following recommendations are proposed:

  • System backup should be carry out day-to-day if place on a central server on the school building.
  • A cloud system backup is highly recommended to ensure safety of system in terms of theft or fire outbreak.
  • Every staff granted access to the system is require to sign an undertaken to protect the integrity of the system.
  • Users of the system should ensure to print out payment transactions for future references.
  • Administrator of the system should create passwords with long characters so as to make password hacking difficult.
  • User with certain privilege should ensure safekeeping of password since it provides access to the system.

In deciding what a school management system should look like for a school before abstracting to the research domain for any faculty or department. They should be validated in the fields. It’s important to look closely at systems that have successfully been deployed in challenging environment and any available evaluation data.

In creating an online assignment submission management system, out of school management system, it is essential that the assignment submission management system is designed with goal of allowing register student to login in with their valid ID access to access the assignment page and being able to upload his / her assignment in the system.

We are now in the fortunate situation of falling information technology costs, improving computer literacy combined with preliminary evidence of school management successes in resource poor areas. The critical challenge is to create well- designed, effective, low cost systems by sharing resources, learning from each other experiences and evaluating our work.

As the educational world is moving faster and becoming more competitive, almost every university started to use an online submission system, or newer technologies to facilitate their task, to have more time, and to be in pace with this fast moving IT world.

1.2 STATEMENT OF THE PROBLEM

Many reported failures in courses thought in the tertiary institutions can be attributed to the careless of the course representative or the teaching assistant who failed to submit an assignment paper to the lecturer for marking (Jones, 2003). Such careless could lead to a zero mark for the victim whose paper was declared missing or simply not found. The manual method of submitting assignments to the course lecturer or directly to the lecturer in most Nigerian Universities is simply not effective as these papers could get damaged or get missing due to the carelessness of the course representative or the lecturer. submission management system

Moreover, assignments that are large in terms of pages or volume could easily discourage a student from submitting due to financial constraints brought about by high cost of printing an assignment. All these problems highlighted are the main reasons the researcher is developing an electronic assignment submission system to curtail these challenges and make studying more enjoyable in our tertiary institutions. submission management system

1.3 OBJECTIVES OF STUDY

The main objective of the paper is to design and implement an online assignment submission system. Specific objectives of the study are: i) To develop a system for proper documentation of students’ record in the in the school system. ii) To Create a database that will manage each student assignment submission and allow access by leacturer to access those files submitted by the student. iii) To Create a quick search and advance search that the student / lecturer when sorting a file. iv) This proposed system is geared towards providing a system to assure equal opportunity and impartial review of student assignment submission v) The system to be developed will provide a full school system by that will take cares of faculty registration, lecturer registration, course registration, department registration, users registration, student registration, perform scores /grades registration, test scores assessment and article entry. submission management system

1.4 SIGNIFICANCE OF THE STUDY

The study will aid lecturers to have a well structured system for assignment submission and grading. This will eliminate paper work in their offices and improve on their efficiency in managing students assignments. Unlike attaching files in a mailing system like yahoo mail and gmail and sending to a lecturer, this system systematically arranges assignments with respect to courses, departments and students ID, creating a more user friendly environment for both the students and the lecturers. submission management system

This project work termed “Design and implementation of an online assignment submission management system” is aimed providing greater efficiency, accuracy and speed in all their processing operation, good public relations and improve services to users. The software was designed to eliminate the problems found in the existing system which includes: student submit their assignment anytime and it could result to missing script, it is hard to search for the lose assignments because there is no record of who may responsible for taking it, the lecturer does not know whether all of his or her student has submits their assignment because there are lots of assignments to be collected, wastage of time and stress due to manual operation in the system. The methodology used is Structured System Analysis and Design Methodology (SSADM) because each phase must be complete in its entirety before the next phase can begin. The choice of language adopted is Visual Basic programming language due to the flexibility they provide. The software was tested with windows 10. The result achieved is, 1) A better service that speed-up assignment submission processing, and ensures data security by restricting access to the program and to the database, enable stress-free system for staff to easily document assignment report, will help the student submit their assignment on time and safely, help the lecturer know whether his or her student has submitted their assignment on time as required and find out who does not submit their assignment. 2) A system where information and output report will be produced much faster, more accurately and more detailed to the management of Computer Science department, Federal Polytechnic Oko, Anambra State. In summary, the project work was aimed at developing a Software that will help the student submit their assignment on time and safely and also will help to document and store assignment report, and also allows users to print-out the hard-copy of the assignment report.

INTRODUCTION

1.1 Background to the Study

An online assignment handling is a system contained within the Module virtual learning environment. The functionality of the standard assignment handling module has been extended to cater for all the Department’s needs in terms of receiving assignments from students, making them available to tutors to mark, returning grades, comments and marked work to students and keeping Registry and course administrators informed at all stages of the process. Extension requests are an integral part of the system.

Universities, Polytechnics, and colleges of education are considered the main provider of knowledge in various fields. Various courses of studies are taught in institutions, covering several fields including applied Sciences, Math, Computer, Human Resource, and Accounting. Most courses at universities consist of theoretical as well as practical subject matter. To evaluate the level of understanding and degree of comprehension among students, assignments are often given.

Assignments are submitted by students either individually or in groups. Assignment management involves collecting, marking, and redistributing to students. Tregobov (2017) breaks the process down into four stages: submission, recording, marking, and return. Online assignment submission and management (OASM) involves the use of the World-Wide Web, the Internet and computers to aid this process (Jones, 2019). With traditional assignment submission system, lots of problems arise especially when the students have to submit the answers of the assignment to the lecturer. There may be problems due to distance, time, or format of the assignment (written or printed). Also, every learning process requires administrative support. This project is about designing and developing an online assignment submission process for Computer Science department, Federal Polytechnic Oko. This system allows student to submit their assignment to the submission point and the system will record the information about the submitted assignment: Registration number, Student name, Department, Session, Level, Course code, and Submission date & time. The collection of the assignment is passed to the lecturer for the marking process. After finished marking, the lecturer passed the marked assignment to the submission point. The operator at the submission point will key in the submission code into the system one more time.

This system is important to replace the manual system that is used at Computer Science department, Federal Polytechnic Oko now. By developing this system, it is expected to overcome the problems of manual system that being used. The development of this system is needed because it provides a systematic method in managing the submission of student assignments. The deliverables are including client interface, client program, server interface, server program. The aim of this system is to help the student and lecturer in assignment submission processes.

  • Statement of the Problems

These problems includes:

  • Due to the manual mode for submitting assignments, student submit their assignment anytime and it could result to missing script.
  • It is hard to search for the lose assignments because there is no record of who may responsible for taking it.
  • The lecturer does not know whether all of his or her student has submits their assignment because there are lots of assignments to be collected.
  • Student’s test scores may be entered wrongly when manually done.
  • Loss of students records due to misplacement.
  • Lack of Data integrity: Due to the manual mode of keeping record, Intruders enjoys ease access to the record, altering the sensitive information.

1.3 Aim and Objectives of the Study

The main aim of this project is to design and implement an online assignment submission management system for Computer Science department, Federal Polytechnic Oko.

The specific objectives to achieve the aim are as follows:

  • To develop an online assignment submission management system that will help the student submit their assignment on time and safely.
  • To help the lecturer know whether his or her student has submitted their assignment on time as required and find out who does not submit their assignment.
  • To save the time wasted with manual means of submitting assignments.
  • To ensure data security by restricting access to the program and to the database.
  • To provide a reliable solution to assignment submission that is error free.
  • To provide software that will keep accurate record of number of submitted assignment.
  • Significance of the Study

The significance and benefit of this research work is to put an end to the above stated problems. This new system will benefit immensely from the features the platform will offer, which includes; the new system will provide a reliable solution to assignment submission that is error free, it will help the lecturer know whether his or her student has submitted their assignment on time as required, it will help the student submit their assignment on time and safely and also make data recovery stress-free, and finally it will ginger further study and research on the topic by other students and academicians. Hence, the need for computerization of assignment submission management system cannot be over emphasized.

1.5 Scope of the Study

The scope of this study is limited to designing an online assignment submission management system for Computer Science department, Federal Polytechnic Oko, which will serve as a central repository for Computer science department. The system will collect the assignment. The operator will pass all of the assignment to the lecturers to be marked. After the lecturers finish marking them, they passed the assignment back to the operator at the system administrator. The collection of the assignment will be kept at the administrator. The student can collect their assignment from the operator at the administrator.

1.6 Limitations of Study

In the course of carrying out this research work a number of problems were encountered.

  • Lack of adequate fund to finance the project: this was another limitation to this work because much money is needed to carry out a detailed research work which is not easily borne by every student.
  • The limited knowledge of Visual Basic programming was great challenge to this project. However, more research was made to complete this project successfully.
  • Time Constraints: Looking at the interval between the resumption of the final semester, the time given is too short for collection of required information and a more comprehensive fact finding for a better work would have been done if given enough time.

Data Security : Data security prevents unauthorized users from viewing or updating the database by the use of passwords.

Data : This is the collections of vital information that meant to be processed.

Database Management System (DBMS) : It is software which controls the flow of data and checks and checks on how data are stored.

Database : This is an organized /unique collection of related files. It is a collection of schemas, tables, queries, reports, views and other object.

Design : This is the art or process of designing how something will look, work.

Documentation : material that provides official information or evidence that serves as record; written specifications and information that describes the product.

Information : This is a processed data that can be read and understand.

Lecturer : A lecture is an oral presentation intended to present information or teaches people about a particular subject, for example by a university or college teacher.

Management : It is an act of getting people together to accomplish desired goals and objectives using available resources efficiently and effectively. It includes planning, organizing, staffing, leading or directing, and controlling an organization or a system to accomplish a goal.

Management : This is an academic discipline, a social science whose objective is to study organization and organizational leadership.

Online : indicates a state of connectivity.

Security : It is protection from allowing an unauthorized users from accessing certain data within the database, it protects your data/ files.

Software : is a program or a set of programs written to carry out some task in the computer, it also perform logical related programs that works together to control the hardware.

Student : A student or pupil is a learner or someone who attends an educational institution.

Submission : The action of presenting a proposal, application, or other document for consideration or judgment.

System : It is the collection of hardware and software, data information procedure and people.

With the aim of designing and implementing a web-based article submission management system for academic research papers, several international models such as Elsevier Editorial System and ICOCI, International Conference on Computing and Informatics, are studied and analyzed. Through this analysis, an open access web-based article submission and peer review system for Journal of University of Zakho (JUOZ) is employed. This kind of systems is not only capable of solving issues such as complex manuscript management, time-delays in the process of reviewing, and loss of manuscripts that occurs often in off-line paper submission and review processes, but also is capable to build the foundation for e-journal publications. Consequently, an active and rapid scholarly communication medium can be made. The implementation and deployment of this system can improve the rank of the university and the reputation and the globalization of science and technology research journals.

The immense progress in Information Technology has accelerated its use in the domains of management. In the fields of academic publishing too, it has had its great influence. With the advent of the client-server based models of computing and the World Wide Web, the whole process merely reduces to typing out the document on the computer, a series of mouse clicks and receiving information via email. Not only does this save the cost of paper publications, it also saves the valuable time of both the publishers and the authors. By making the actual publication process quite convenient, easy and accessible, it helps in shifting the focus of the publishers more onto the quality and content of the journals themselves. Numerous publishing companies have either developed or acquired such IT systems for these tasks, notably. This paper makes a systematic case study of the general functions that such a system has to demonstrate, with SXC-IJACS as an example. The SXC-IJACS system has been developed for the authors' institution as part of the degree thesis requirement of Bhattacharyya and Mondal. A paper on the more technical aspects of the work has been previously published at an international conference.

This study aimed to design and develop an Electronic Research Journal System: an online publication for Nueva Ecija University of Science and Technology - San Isidro Campus. The primary goal of this study was to develop digital libraries of published researches. With this system, researches that play a vital role in the world of academe will be readily available online. The system also accepts, stores, reviews, and posts research papers. The editor-in-chief of electronic journal publication serves as an administrator of the system who has full management control. The end-users are categorized into two types, the member who has full access to browse and download published research and the non-member, which has limited access to the published studies, where they can only find and read the research abstract. During the development, the proponent employed the Agile Software Development method in the conduct of analyzing requirements, designing web applications, testing, and making the necessary revisions. Selected end-users and IT experts evaluated the Electronic Journal System. The developed system is capable of records all the electronic research outputs, research publications, and working research papers managed by the editorial board team and recommended for the University to utilize the structure.

Since the late 1990s, different web-based submission and peer review systems have emerged, and significant numbers of journals have shifted from their old paper-based systems to the web-based ones. Exploring the main features of these online systems might lead to better understand this flow. This study was performed to examine the features and capabilities of online submissions and peer review systems, with focus on the author role, which have been currently using by Iranian, approved medical and biomedical journals. This descriptive study was conducted during 2011-2012. The population of the study was peer review systems of approved medical and biomedical journals by Ministry of Health and Medical Education, Iran. In this term, 199 journals were identified. Data were gathered by a standardized, researcher made checklist. The data were analyzed using SPSS 18 and Microsoft Excel 2007. 27 out of 199 journals were using no systems. 21 out of 199 were using 12 systems with inaccessible information or unknown status (which were removed from this study), and 151 journals were using 6 systems which were examined in this study. Evaluated systems were more than 80% in compliance with the research checklist. Due to rapid changes in information technology and information systems` designs, it is required for such systems to be constantly evaluated. It is of high value to investigate new demands of beneficiary groups like authors and researchers, editorial boards, and reviewers in this regard.

The paper examines the design and implementation of an online assignment submission system. The challenges faced by students in meeting assignment deadlines and cost associated with printing hard copies of paper, necessitated the researcher to develop a user friendly system to tackle these challenges. The system allows students to submit assignments online to a particular course lecture, who have access to the system for grading purpose. The system was developed using PHP and MYSQL technologies.

CHAPTER ONE

INTRODUCTION

An online assignment handling is a system contained within the Module virtual learning environment. The functionality of the standard assignment handling module has been extended to cater for all the Department’s needs in terms of receiving assignments from students, making them available to tutors to mark, returning grades, comments and marked work to students and keeping Registry and course administrators informed at all stages of the process. Extension requests are an integral part of the system.

Universities, Polytechnics and colleges of education are considered the main provider of knowledge in various fields. Various courses of studies are taught in institutions, covering several fields including applied Sciences, Math, Computer, Human Resource, and Accounting. Most courses at universities consist of theoretical as well as practical subject matter. To evaluate the level of understanding and degree of comprehension among students, assignments are often given.

Assignments are submitted by students either individually or in groups. Assignment management involves collecting, marking, and redistributing to students. Tregobov (1998) breaks the process down into four stages: submission, recording, marking, and return. Online assignment submission and management (OASM) involves the use of the World-Wide Web, the Internet and computers to aid this process (Jones, 2003). With traditional assignment submission system, lots of problems arise especially when the students have to submit the answers of the assignment to the lecturer. There may be problems due to distance, time, or format of the assignment (written or printed). Also every learning process requires administrative support. Much of this administrative support is to some degree transparent but if the latter is not well organized it could disrupt the flow of learning between students and the staff.

As the educational world is moving faster and becoming more competitive, almost every university started to use an online submission system, or newer technologies to facilitate their task, to have more time, and to be in pace with this fast moving IT world.

1.2 STATEMENT OF THE PROBLEM

Many reported failures in courses thought in the tertiary institutions can be attributed to the careless of the course representative or the teaching assistant who failed to submit an assignment paper to the lecturer for marking (Jones, 2003). Such careless could lead to a zero mark for the victim whose paper was declared missing or simply not found. The manual method of submitting assignments to the course lecturer or directly to the lecturer in most Nigerian Universities is simply not effective as these papers could get damaged or get missing due to the carelessness of the course representative or the lecturer.

Moreover, assignments that are large in terms of pages or volume could easily discourage a student from submitting due to financial constraints brought about by high cost of printing an assignment. All these problems highlighted are the main reasons the researcher is developing an electronic assignment submission system to curtail these challenges and make studying more enjoyable in our tertiary institutions.

1.3 OBJECTIVES OF STUDY

The main objective of the paper is to design and implement an online assignment submission system. Specific objectives of the study are: i) To develop a system for proper documentation of students’ record in the in the school system. ii) To Create a database that will manage each student assignment submission and allow access by lecturer to access those files submitted by the student. iii) To Create a quick search and advance search that the student/lecturer when sorting a file. iv) This proposed system is geared towards providing a system to assure equal opportunity and impartial review of student assignment submission. v) The system to be developed will provide a full school system by that will take cares of faculty registration, lecturer registration, course registration, department registration, users registration, student registration, perform scores /grades registration, test scores assessment and article entry.

1.4 SIGNIFICANCE OF THE STUDY

The study will aid lecturers to have a well structured system for assignment submission and grading. This will eliminate paper work in their offices and improve on their efficiency in managing students assignments. Unlike attaching files in a mailing system like yahoo mail and gmail and sending to a lecturer, this system systematically arranges assignments with respect to courses, departments and students ID, creating a more user friendly environment for both the students and the lecturers.

1.5 ORGANIZATIONAL PROFILE

Founded in 1962, the University of Lagos has, for over 5 decades, provided qualitative and research-oriented education to Nigerians and all those who have entered its domain in search of knowledge. The University has built a legacy of excellence and has been instrumental in the production of top range graduates and academia who have had tremendous impact, directly or indirectly, on growth and development in Nigeria..

1.6 DEFINITION OF TERMS

Assignment:  a task or piece of work allocated to someone as part of a job or course of study.

Student:  A  student  or pupil is a learner, or someone who attends an educational institution.

Online:  online ” indicates a state of connectivity.

Lecturer:  A lecture is an oral presentation intended to present information or teach people about a particular subject, for example by a university or college teacher.

Submission:  the action of presenting a proposal, application, or other document for consideration or judgement.
