PowerPoint presentations can be recorded and shared at a later date. By uploading PowerPoint presentations to YouTube , you can increase your reach to co-workers, clients or friends. Doing so also allows your audience to view presentations on their own time without missing any important information. Microsoft even does what it can to simplify this process, but you still have to follow a few important steps.

Here’s how to do it.

1. Record your PowerPoint presentation

The first step is to record your PowerPoint presentation so that once it’s uploaded, viewers will be able to hear and see the entire presentation. You can use the Insert menu to add individual recordings to each slide. To do this, go to Click Insert > Media > Audio > Record Audio.

To record the entire slideshow, go to the Slide Show tab, and select Record Slide Show. Then, choose whether to record from the beginning or from the current slide. This option will include all narration, animations and slide transitions in the PowerPoint video.

Click Slide Show > Record Slide Show > Start Recording

Once your presentation is fully recorded, it’s ready to be converted into a video and uploaded to YouTube.

2. Turn your PowerPoint presentation into a video

To upload a PowerPoint presentation, you must convert it into a video. That includes all of the media – narration, animation, pointer movements and slide transitions – that go with it. So, once the presentation is up on YouTube, viewers will be able to watch it as if they were viewing it in real time.

There are two main ways to convert a PowerPoint presentation into a video: saving the file in a video format and saving the presentation as a PowerPoint Show. The advantage of saving the file as a PowerPoint Show is that your presentation will automatically jump to full-screen mode when someone opens it. This is ideal for business owners who are looking to send their video presentation to certain people instead of uploading it to YouTube.

Video presentations are saved as Windows Media Video (WMV) files, while PowerPoint Show presentations are saved in their own PowerPoint Show format (PPSX).

To save the presentation as a video, select File > Export > Create a Video > Select Video Quality > Use Recorded Timings and Narrations> Create Video.

To save the presentation as a PowerPoint Show, simply save the file under a new format. Click File > Save As > Browse > Save as Type > PowerPoint Show > Save.

3. Add audio to your PowerPoint presentation

You can add audio to a PowerPoint presentation on a PC or a Mac. Audio options include sound bites, music and narration. Adding sound helps further engage viewers, especially if you’re including commentary like you would if you were actually presenting the PowerPoint slideshow.

While in edit mode for your PowerPoint presentation, follow these steps to add audio to a PowerPoint presentation on a PC:

Click Insert > Audio. Then, select Audio on my PC from the available menu options. All available audio files on your computer will come up in the dialog box. Select the file you want to add to the presentation and click Insert at the bottom of the dialog box.

Choose Audio Tools Playback to edit the options for the presentation. From here, you can edit options such as Fade, Sequence and Loop Mode.

Here’s how to add audio to a PowerPoint presentation on a Mac:

Click Insert > Audio. Select either Audio Browser or Audio from File. The former allows you to add the audio from iTunes, while the latter browses your computer for the correct file. Choose the audio file. From the Audio Format tab, you can edit options such as Loop Mode, Play Across Slides and Hide During Slideshow.

After you edit a presentation with audio, you can preview the results using the playback option. Save all progress before exiting the program.

4. Upload your PowerPoint presentation to YouTube

After converting the presentation into a video format, sign in to your YouTube account, and click Upload at the top of the page. Select the presentation video you want to upload, and then adjust the video privacy settings.

I get lots of requests for information on how to post a presentation as a video to YouTube .

Here are some options:

  • Use Techsmith Camtasia Studio . For longer presentations, and when you want editing capabilities, Camtasia is a great tool, with lots of features. I use it a lot. Camtasia is video-recording software, so you run through your presentation and Camtasia creates a video. You can record your voice as you go.
  • Techsmith’s SnagIt can also record video, but you won’t get any editing or narration features.
  • CamStudio is free, open-source video-recording software.  I’ve only tested it once. It doesn’t let you edit your video.
  • Authorstream , a presentation-sharing site, lets you convert up to 5 minutes to video and upload it to YouTube. They have paid versions that will let you convert more time.

To get the best results, you’ll need to know about slide timing and perhaps narration. Go to Create a video effect for information on slide timing and go to  Secrets for successfully narrating a presentation for information on narration.

When you have your video output, you just upload it to YouTube the same way you would upload any other video.

Hi Ellen -thanks for posting these! I have tried them all plus screenr http://screenr.com/ . Personally, my favorites are Jing, Screenr, and CamStudio (notice these are the free ones!). I am especially fond of CamStudio because of the video annotation option. My Facebook buddy “Grandma Mary” uses this a lot for her tutorials – like this one: http://www.youtube.com/watch?v=PDedkWS3Z2w

Also, I believe I have taken my slideshares and turned them into slidecasts – which are videos.

In the Mac, both PowerPoint (2008 & 2011) and Keynote (09) let you save your presentations as movies. Other nice video capture software is Screenflow (MAC).

After you have your movies then they can be posted in YouTube.

Thanks for this! Pedro, I see that you are also working on a Mac. When I save my PowerPoint presentation as a .mov on my IMac, I lose all of my animations except the slide transitions. I am looking to keep them intact. If you have any suggestions on how to do this I would love to hear about it.

Yes, the Mac version of PowerPoint does not do such a great job — but you can use other tools on the Mac too including both of TechSmith’s tools (Camtasia Studio and Jing). In addition, Snapz Pro is also a great video capture program for Mac OS X.

Hi, I found this thread on google after having the same problem. In fact the transitions were there in the MOV flie after making the movie in powerpoint. However they were lost when I uploaded to Facebook (I’m guesssing youtube would be similar). I reckon these sites probably convert the MOV file to an MPEG or AVI and lose the transitions in the process. I did a similar conversion using MPEG Streamclip and found that also lost them

Hi Ellen, I just created an HD slide presentation in PPT 2013, exported it to an MP4 file and uploaded to YouTube. While playing in YouTube the video goes sometimes, but not every time, out of focus. Seems to be related with whether the download speed keeps up with streaming. Tried exporting it to a WMV file too with the same result. So I’ve already spent several hours making a slideshow just the way I wanted it, and it played perfectly when I presented it from my computer. But I would like to be able to upload it to facebook or youtube so I can share it with my friends. Is there any option that allows me to keep all my animations and the music it’s put to without having to use the “record slide show” feature and manually click everything? File> Save & Send lets you export as a video. In 2013, it’s File> Export. This should maintain your timing. I’m not sure I understand the type of animations you have. You may need to set the timings so that you don’t have to click. Then the video will work.

I think the best way to turn your presentation to a video with audio is in quicktime, I did a screen record and played the slide show. It easily uploaded to youtube. My sound quality was not the best at first but after playing with the sound for awhile it turned out alright.

I created a power point presentation with a video embedded in the first slide that plays over all 16 slides. I saved the presentation as a video (.wmv) but when I play it back in windows media player the video does not show up…..Everything including the audio from the video looks great, but no video. I created a slide show using PPT 2013 (PC) that has 39 slides and 8 music tracks for a tour group to be posted on YouTube. All transitions, including music, work fine in slideshow mode, however when I exported and created a video for the Internet, keeping all transitions, the music starts on time but doesn’t stop on time, creating 18-23 seconds of track overlap. I have created a video file (converted from PowerPoint 2013 presentation) which is actaully a tribute to my precious dog that I lost a few days back. It has photos and text. I have managed to set a time of 25 seconds between slides so that the text can be read. Was wondering if one could only navigate the slides manually by a mouse click as some readers would read fast and some slow and so a mouse click might be more suitable.

Just recorded the first video ever. I was so happy when I uploaded that on YouTube. But when I accessed the Video URL to watch it online, I almost cried. The Video is so blurry. Like larry, I am having the same issue. I have about 6 different songs that play through my 10 minute PowerPoint. My Power Point works great but when I tried to convert it to video some of my songs over lap and I will have two songs playing at once. Did anyone figure out the fix to the problem Larry and others have (which I now have) where the music inserted plays fine when in slideshow mode but when exported to a video doesn’t (I.e. the timings are off and it plays over other tracks). The best luck I’ve had with PowerPoint 2013 is to save as MP4 video format. Save the mp3 audio files in the same folder with the MP4 video. Use Windows Movie Maker to upload the MP4. Then, I import the MP3 audio files (you can use WAV format too) and adjust the fade in and fade outs for fast, medium, or slow in Movie Maker. Rather than linking to a YouTube video in your presentation, embedding it in the slide is usually the better option. It gives your presentation a more professional look because you won't be leaving your slide to pop open the YouTube website. Keep in mind, though, that even with the video embedded in your presentation, you’ll still need to be connected to the internet to play the video.

First, head over to YouTube and find the video you want to embed. Once you’re there, select the “Share” option, which you'll find in the video description.

A window will appear, giving you a few different vehicles for sharing the video. Go ahead and click the “Embed” option in the “Share a link” section.

Another window will appear, providing the embed code along with a few other options.  If you wanting to start the video at a particular time, select the “Start at” box and enter the time when you’d like the video to start. Additionally, you can select whether you’d like to player controls to appear and if you want to enable privacy-enhanced mode.

Note: Privacy-enhanced mode keeps YouTube from storing information about visitors that visit your website that the video is embedded on unless they play the video. Since we will be using the embed code in a PowerPoint presentation, this option is not necessary.

Select “Copy” at the bottom right of the window to copy the embed code to your clipboard. Alternatively, select the code and use the Ctrl+C shortcut.

We’re finished with YouTube, for now, so head on over to PowerPoint and open your presentation.

Select the slide where you want to embed the YouTube video. On the “Insert” tab, click the “Video” button.

On the drop-down menu, select the “Online Video” option.

The Insert Video window that appears lets you search YouTube for a video or paste in that embed code you copied from the YouTube website. Paste the embed code and click the arrow to complete the action.

Your video will now appear in the presentation. To resize the video, click and drag the corners.

Note that at first, the video will appear as a black rectangle. Don’t worry---this is normal. Simply right-click the video and then select “Preview.”

This will give you a quick preview of how the video will look during your presentation.

You can also search for a YouTube video from that Insert Video window in PowerPoint. Type in your search terms and then click the search icon.

That’s all there is to it. Generally, we recommend searching the actual YouTube website and using the embed code the way we described earlier---mostly because the site is much easier to search and you can watch the videos before selecting the one you want. Still, if you know exactly what you're after, this method might work fine for you.

Note: Before you add the YouTube video to PowerPoint, you can add some parameters to the code to make the video play the way you need it to. Adding a YouTube video to your PowerPoint presentation is a great way to improve how exciting and engaging it is. That might be a low bar with a PowerPoint, but if you can keep people watching and listening for longer, you're more likely to get a good result from your presentation.

Here’s how to embed a YouTube video in PowerPoint to make it the best it can be.

What You Need

Microsoft PowerPoint

PC or laptop

Step 1: Head to the slide where you want to embed a YouTube video by clicking it in the sidebar section, where all your slides are located. Now, click the exact area where you want to add the video, such as the title header or within the main body of text underneath.

Step 2: Click the Insert tab at the top. Select the Video icon. From the drop-down list that appears, choose Online Video .

Please note that the PowerPoint 2019 and Microsoft 365 PowerPoint versions will allow you to embed a video in by solely copying and pasting, just the YouTube video link.

Step 3: Open the video you wish to embed on YouTube. Under the video player, click Share and then the Embed icon. Under the Embed Video title, click the Embed Code once, which will select the entire code section. Click the Copy button or use the keyboard shortcut ( Ctrl + C on Windows).

Step 4: Go back to your PowerPoint presentation window after you’ve copied the necessary code. Within the From a Video Embed Code section, paste the code into the adjacent field. Click the Enter button on your keyboard or click the small, grayed-out Arrow .

Step 1: You can customize how you want the video to play on your slide. Click the Playback tab and make any necessary adjustments, such as the video playing automatically or only letting it play when you click the video itself.

Step 2: You can also click the video frame, then right-click and select the Format Video tab for further modification tools, such as the video’s brightness, size, and more.

If you’d prefer to embed a video into your PowerPoint presentation with a video contained within your system, Microsoft provides an option to do so.

Step 1: Choose exactly where you want to add a video file. Click the Insert tab and select the Video icon. Click the Video on My PC field.

Step 2: Navigate to the video you want to insert, then double-click it or click it once and select the Open button. Microsoft PowerPoint will embed the video with its own media player.

Please remember that if you do prefer the option to insert a video directly from your PC and you'll need to show the presentation via an external system, don't forget to save both the PowerPoint and video files onto your USB, external hard drive, etc. Otherwise, it won't be able to play the video. Moreover, add both of them into a single folder so they're interconnected to ensure playback.

Once you have added a video in PowerPoint, you can format the video to adjust it according to need. The video size can be adjusted either from the Video Format tab or via drag and drop. The same tab also provides options to crop, rotate, and adjust the colors of the added video. Cropping and resizing options are available in the Video Format tab from the Size menu.

To add a video frame or change the look of the video outline, go to the Video Styles menu from the Video Format tab.

From the Video options menu in the Playback tab, select the Start dropdown menu to decide if the video will be played automatically when clicked or in a click sequence. From this menu, you can also select whether the video is to be played in full screen and hidden when not played.

Insert Captions is another option in the Playback tab that enables importing closed captions to be added to the video. The closed captions format supported by PowerPoint is WebVTT.

To edit a video in PowerPoint, the Playback tab provides the Editing menu. From this menu, you can trim the video and add a Fade (in and out) effect.
