Bad presentations. We’ve all had to sit through them.  Heck, we’ve probably all given one or two. I know I have.

You know the type: twice as long as they need to be, slides chock-full of text, no visuals in sight. 

How can you ensure you don’t fall victim to these presentation faux-pas when designing your next presentation for your team, class, or clients?

In this blog, I’ll walk you through tips on how to design an impactful presentation and how you can deliver it with style to leave a lasting impression.

Tips for designing and delivering an impactful presentation

What makes a presentation memorable?

It usually comes down to three things:

  • The main idea.
  • The presenter.
  • The visuals.

All three elements work together to create a successful presentation. Just like how different presentation styles serve different purposes, having a good presentation idea will give the audience a purpose for listening. A good presenter communicates the main idea so that the audience cares about it. And compelling visuals help clarify concepts and illustrate ideas.

But how the presenter delivers their presentation and what visuals they use can vary drastically while still being effective. There is no perfect presentation style or presentation design.

Here are some top tips to consider to help you design and deliver an impactful presentation:

Tip #1: Include less text and more visuals in your presentation design

According to David Paradi’s annual presentation survey , the 3 things that annoy audiences most about presentations are:

  • Speakers reading their slides
  • Slides that include full sentences of text
  • Text that is too small to read

The common thread that ties all of these presentation annoyances is text. Audiences are very picky about the text found in presentation slide decks .

In my experiences speaking at conferences and in webinars over the past few years, audiences respond much more positively to presentations that use visuals in place of text.

Audiences are more engaged, ask more questions, and find my talks more memorable when I include lots of visual examples in my slide decks. 

I’m not the only one who has found this. We recently surveyed nearly 400 conference speakers about their presentation designs and found that 84.3% create presentations that are highly visual.

A great example of a high visual presentation is the iconic AirBnB pitch deck design , which includes no more than 40 words per slide. Instead of repeating the speaker’s script on the slides, it makes an impact with keywords, large numbers, and icons:

Tip #2: Identify one core message to center your presentation design around

We know from David Paradi’s survey that audiences are easily overwhelmed with lots of text and data, especially when presentations are long.

So unlike in a white paper , report , or essay , you can’t expect to tackle many complex ideas within a single presentation.

That would be a recipe for disaster.

Instead, identify a single central message that you would like to communicate to your audience. Then build your presentation around that core message.

By identifying that core message, you can ensure that everything you include in your presentation supports the goal of the presentation .

As seen below, a great presentation tells you exactly what you’re going to learn (the core message), then gets right to the facts (the supporting information).

To ensure you create an asset that’s clear, concise, impactful, and easy to follow, design your presentation around a single core message.

Tip #3: Create a strong presentation outline to keep you focused

Think of your outline as a roadmap for your presentation. Creating a strong presentation outline straight away helps make sure that you’re hitting all of the key points you need to cover to convey a persuasive presentation .

Take this presentation outline example:

  • Introduction and hellos
  • Vision and value proposition
  • Financial profit
  • Your investment
  • Thanks and questions

These are all things that we know we need to talk about within the presentation.

Creating a presentation outline makes it much easier to know what to say when it comes to creating the actual presentation slides.

Tip #4: Eliminate any information that doesn’t support the core message

Next, use that core message to identify everything that doesn’t belong in the presentation.

Aim to eliminate everything that isn’t immediately relevant to the topic at hand, and anything remotely redundant. Cut any information that isn’t absolutely essential to understanding the core message.

By cutting these extra details, you can transform forgettable text-heavy slides:

Here’s a quick checklist to help you cut out any extra detail:

Get rid of:

  • Detailed descriptions
  • Background information
  • Redundant statements
  • Explanations of common knowledge

This step may seem obvious, but when you’re presenting on a topic that you’re passionate about, it’s easy to get carried away with extraneous detail. Use the recommendations above to keep your text in check.

Clarity is key, especially if you’re presenting virtually rather than in-person. However, Lisa Schneider (Chief Growth Officer at Merriam-Webster) has had plenty of experience making that adjustment. Tip #5: Use text to reinforce, not repeat, what you’re saying

According to presentation guru  Nancy Duarte , your audience should be able to discern the meaning of your slides in 6 seconds or less.

Since your audience will tend to read every word you place on each slide, you must keep your text to an absolute minimum. The text on your slides should provide support for what you’re saying without being distracting.

Never write out, word for word, what you’re going to be saying out loud. If you’re relying on text to remember certain points, resist the urge to cram them into your slides. Instead, use a tool like Venngage’s speaker notes to highlight particular talking points. These can be imported into PowerPoint — along with the rest of your presentation — and will only be viewable to you, not your audience.

For the actual slides, text should only be used to reinforce what you’re saying. Like in the presentation design below, paraphrase long paragraphs into short bulleted lists or statements by eliminating adjectives and articles (like “the” and “a”).

Tip #6: Design your presentation with one major takeaway per slide

As I mentioned above, audiences struggle when too much information is presented on a single slide.

To make sure you don’t overwhelm your audiences with too much information, spread out your content to cover one major takeaway per slide.

By limiting each slide to a single simple statement, you focus your audience’s attention on the topic at hand.

My favorite way to do this is to pick out the core message of whatever I’m talking about and express it in a few keywords, as seen in this presentation slide below.

Using the text in this way, to simply state a single fact per slide, is a sure-fire way to make an impact in your presentation.

Alternatively, pull out a significant statistic that you want to stick in your audience’s minds and make it a visual focus of the slide, as seen in this popular presentation by Officevibe .

This might mean you end up with a slide deck with a ton of slides. But that’s totally ok!

I’ve talked to many professionals who are pressured by their management teams to create presentations with a specific number of slides (usually as few as 10 or 15 slides for a 30-minute presentation).

If you ask me, this approach is completely flawed. In my mind, the longer I spend sitting on a single slide, the more likely I am to lose the interest of my audience.

How many slides should I use for a 10 minute presentation?

A good rule of thumb is to have at least as many slides as minutes in your presentation. So for a 10 minute presentation you should have at least 10 slides .

Use as many slides as you need, as long as you are presenting a single message on each slide, (as seen in the lengthy presentation template below). This is especially important if you’re presenting your business, or delivering a product presentation. You want to wow your audience, not bore them.

Tip #7: Use visuals to highlight the key message on each slide

As important as having one major takeaway per slide is having visuals that highlight the major takeaway on each slide.

Unique visuals will help make your message memorable.

Visuals are a great way to eliminate extra text, too.

You can add visuals by creating a timeline infographic to group and integrate information into visual frameworks like this:

Or by representing simple concepts with icons, as seen in the modern presentation design below. Using the same color for every icon helps create a polished look.

Using visuals in this way is perfect for when you have to convey messages quickly to audiences that you aren’t familiar with – such as at conferences. This would also make the ideal interview presentation template.

You can alternatively use icons in different colors, like in the presentation templates below. Just make sure the colors are complimentary, and style is consistent throughout the presentation (i.e. don’t use sleek, modern icons on one slide and whimsically illustrated icons on another). Any time you have important stats or trends you want your audience to remember, consider using a chart or data visualization to drive your point home. Confident public speaking combined with strong visualizations can really make an impact, encouraging your audience to act upon your message.

One of my personal favorite presentations (created by a professional designer) takes this “key message plus a visual” concept to the extreme, resulting in a slide deck that’s downright irresistible.

When applying this concept, don’t fall into the trap of using bad stock photos . Irrelevant or poorly chosen visuals can hurt you as much as they help you.

Below is an example of how to use stock photos effectively. They are more thematic than literal and are customized with fun, bright icons that set a playful tone.

The content and visual design of a presentation should be seamless.

It should never seem like your text and visuals are plopped onto a template. The format and design of the slides should contribute to and support the audience’s understanding of the content.

Tip #8: Use scaffolding slides to orient your audience and keep them engaged

It’s easy for audiences to get lost during long presentations, especially if you have lots of slides. And audiences zone out when they get lost.

To help reorient your audience every once in a while, you can use something I like to call scaffolding slides. Scaffolding slides appear throughout a presentation to denote the start and end of major sections.

The core scaffolding slide is the agenda slide, which should appear right after the introduction or title slide. It outlines the major sections of the presentation.

At the beginning of each section, you should show that agenda again but highlight the relevant section title, as seen below.

This gives audiences the sense that you’re making progress through the presentation and helps keep them anchored and engaged.

Alternatively, you can achieve a similar effect by numbering your sections and showing that number on every slide. Or use a progress bar at the bottom of each slide to indicate how far along you are in your presentation. Just make sure it doesn’t distract from the main content of the slides.

You can imagine using this “progress bar” idea for a research presentation, or any presentation where you have a lot of information to get through.

Leila Janah, founder of Sama Group, is great at this. Her  Innovation and Inspire  talk about Sama Group is an example of a presentation that is well organized and very easy to follow.

Her presentation follows a logical, steady stream of ideas. She seems comfortable talking in front of a crowd but doesn’t make any attempts to engage directly with them.

Tip #9: Use text size, weight and color for emphasis

Every slide should have a visual focal point. Something that immediately draws the eye at first glance.

That focal point should be whatever is most important on that slide, be it an important number, a keyword, or simply the slide title.

We can create visual focal points by varying the size, weight, and color of each element on the slide. Larger, brighter, bolder elements will command our audience’s attention, while smaller, lighter elements will tend to fade into the background.

As seen in the presentation template above, this technique can be especially useful for drawing attention to important words within a long passage of text. Consider using this technique whenever you have more than 5 words on a slide.

And if you really want your audience to pay attention, pick a high-contrast color scheme like the one below.

When picking fonts for your presentation, keep this technique in mind. Pick a font that has a noticeable difference between the “bold” font face and the “regular” font face. Source Sans Pro, Times New Roman, Montserrat, Arvo, Roboto, and Open Sans are all good options.

The last thing to remember when using size, weight, and color to create emphasis on a slide: don’t try to emphasize too many things on one slide.

If everything is highlighted, nothing is highlighted.

Tip #10: Apply design choices consistently to avoid distraction

Audiences are quick to pick out, and focus on, any inconsistencies in your presentation design. As a result, messy, inconsistent slide decks lead to distracted, disengaged audiences.

Design choices (fonts and colors, especially), must be applied consistently across a slide deck. The last thing you want is for your audience to pay attention to your design choices before your content.

To keep your design in check, it can be helpful to create a color palette and type hierarchy before you start creating your deck, and outline it in a basic style guide like this one:

I know it can sometimes be tempting to fiddle around with text sizes to fit longer bits of text on a slide, but don’t do it! If the text is too long to fit on a slide, it should be split up onto multiple slides anyway.

And remember, a consistent design isn’t necessarily a boring one. This social media marketing presentation applies a bright color scheme to a variety of 3-column and 2-column layouts, remaining consistent but still using creative presentation ideas.

Tip #11: Split a group presentation by topic

When giving a group presentation it’s always difficult to find the right balance of who should present which part.

Splitting a group presentation by topic is the most natural way to give everybody the chance to attempt without it seeming disjointed.

When presenting this slide deck to investors or potential clients, the team can easily take one topic each. One person can discuss the business model slide, and somebody else can talk about the marketing strategy.

Top tips for group presentations:

  • Split your group presentation by topic
  • Introduce the next speaker at the end of your slide
  • Become an ‘expert’ in the slide that you are presenting
  • Rehearse your presentation in advance so that everybody knows their cue to start speaking

Tip #12: Use a variety of page layouts to maintain your audience’s interest

Page after page of the same layout can become repetitive and boring. Mix up the layout of your slides to keep your audience interested.

In this example, the designer has used a variety of combinations of images, text, and icons to create an interesting and varied style.

There are hundreds of different combinations of presentation layers and presentation styles that you can use to help create an engaging presentation . This style is great for when you need to present a variety of information and statistics, like if you were presenting to financial investors, or you were giving a research presentation.

Tip #13: Use presentation templates to help you get started

While you might be tempted to fill your slides with decorative visuals and splashes of color, consider that sometimes simplicity is more effective than complexity. The simpler your slide is, the more you can focus on one thought-provoking idea.

Tip #16: Find quotes that will inspire your audience

A really good quote can stick in a person’s mind for weeks after your presentation. Ending your presentation with a quote can be a nice way to either begin or finish your presentation.

Tip #17: Emphasize key points with text and images

When you pair concise text with an image, you’re presenting the information to your audience in two simultaneous ways. This can make the information easier to remember, and more memorable.

Use your images and text on slides to reinforce what you’re saying out loud.

Doing this achieves two things:

  • When the audience hears a point and simultaneously read it on the screen, it’s easier to retain.
  • Audience members can photograph/ screencap the slide and share it with their networks.

Tip #18: Label your slides to prompt your memory

Often, presenters will write out an entire script for their presentation and read it off a teleprompter. The problem is, that can often make your presentation seem  too  rehearsed and wooden.

But even if you don’t write a complete script, you can still put key phrases on your slides to prompt jog your memory. The one thing you have to be wary of is looking back at your slides too much.

10 slide design tips for producing powerful and effective presentations

#1: Keep it simple

PowerPoint uses slides with a horizontal, or Landscape, orientation. The software was designed as a convenient way to display graphical information that would support the speaker and supplement the presentation. The slides themselves were never meant to be the star of the show. (The star, of course, is your audience.) People came to hear you and be moved or informed (or both) by you and your message. Don’t let your message and your ability to tell a story get derailed by slides that are unnecessarily complicated, busy, or full of what Edward Tufte calls “chart junk.” Nothing in your slide should be superfluous, ever.

Your slides should have plenty of white space, or negative space. Do not feel compelled to fill empty areas on your slide with your logo or other unnecessary graphics or text boxes that do not contribute to better understanding. The less clutter you have on your slide, the more powerful your visual message will become.

#2 Limit bullet points and text

Your presentation is for the benefit of the audience. But boring an audience with bullet point after bullet point is of little benefit to them. Which brings us to the issue of text. The best slides may have no text at all. This may sound insane given the dependency of text slides today, but the best PowerPoint slides will be virtually meaningless without the narration (that is you). Remember, the slides are meant to support the narration of the speaker, not make the speaker superfluous.

Many people often say something like this: “Sorry I missed your presentation. I hear it was great. Can you just send me your PowerPoint slides?” But if they are good slides, they will be of little use without you. Instead of a copy of your PowerPoint slides, it is far better to prepare a written document that highlights your content from the presentation and expands on that content. Audiences are much better served receiving a detailed, written handout as a takeaway from the presentation, rather than a mere copy of your PowerPoint slides. If you have a detailed handout or publication for the audience to be passed out after your talk, you need not feel compelled to fill your PowerPoint slides with a great deal of text.

We’ll talk more about this in the delivery section below, but as long as we are talking about text, please remember to never, ever turn your back on the audience and read text from the slide word for word.

#3: Limit transitions and builds (animation)

Use object builds and slide transitions judiciously. Object builds (also called animations), such as bullet points, should not be animated on every slide. Some animation is a good thing, but stick to the most subtle and professional (similar to what you might see on the evening TV news broadcast). A simple Wipe Left-to-Right (from the Animations menu) is good for a bullet point, but a Move or Fly, for example, is too tedious and slow (and yet, is used in many presentations today). Listeners will get bored quickly if they are asked to endure slide after slide of animation. For transitions between slides, use no more than two or three types of transition effects and do not place transition effects between all slides.

#4: Use high quality graphics

Use high quality graphics, including photographs. You can take your own high quality photographs with your digital camera, purchase professional stock photography, or use the plethora of high quality images available online. (But be cautious of copyright issues.) Never simply stretch a small, low-resolution photo to make it fit your layout–doing so will degrade the resolution even further.

Avoid using PowerPoint Clip Art or other cartoonish line art. Again, if it is included in the software, your audience has seen it a million times before. It may have been interesting in 1993, but today the inclusion of such clip art often undermines the professionalism of the presenter. There are exceptions, of course, and not all PowerPoint art is dreadful, but use it carefully and judiciously.

I often use images of people in my slides, as photography of people tends to help the audience connect with the slide on a more emotional level. If the photographic image is secondary in importance, then I decrease the opacity and add a Gaussian Blur or motion filter in Photoshop. If the photographic image is the primary area I want the audience to notice (such as a picture of a product), then the image can be more pronounced and little (or no) text is needed.

#5: Have a visual theme but avoid using PowerPoint templates

You clearly need a consistent visual theme throughout your presentation, but most templates included in PowerPoint have been seen by your audience countless times (and besides, the templates are not all that great to begin with). Your audience expects a unique presentation with new (at least to them) content; otherwise, why would they be attending your talk? No audience will be excited about a cookie-cutter presentation, and we must therefore shy away from any supporting visuals, such as the ubiquitous PowerPoint Design Template, that suggests your presentation is formulaic or prepackaged.

You can make your own background templates, which will be more tailored to your needs. You can then save the PowerPoint file as a Design Template (.pot) and the new template will appear among your standard Microsoft templates for your future use. You can also purchase professional templates online.

#6: Use appropriate charts

Always be asking yourself, “How much detail do I need?” Presenters are usually guilty of including too much data in their onscreen charts. There are several ways to display your data in graphic form; here are a few things to keep in mind:

Pie charts. Used to show percentages. Limit the slices to 4-6 and contrast the most important slice either with color or by exploding the slice.

Vertical bar charts. Used to show changes in quantity over time. Best if you limit the bars to 4-8.

Horizontal bar charts. Used to compare quantities. For example, comparing sales figures among the four regions of the company.

Line charts. Used to demonstrate trends. For example, here is a simple line chart showing that our sales have gone up every year. The trend is good. The arrow comes in later to underscore the point: Our future looks good!

In general, tables are well suited for side-by-side comparisons of quantitative data.

However, tables can lack impact on a visceral level. If you want to show how your contributions are significantly higher than two other parties, for example, it would be best to show that in the form of a bar chart (below). But if you’re trying to downplay the fact that your contributions are lower than others, a table will display that information in a less dramatic or emotional way.

#7: Use color well

Color evokes feelings. Color is emotional. The right color can help persuade and motivate. Studies show that color usage can increase interest and improve learning comprehension and retention.

You do not need to be an expert in color theory, but it’s good for business professionals to know at least a bit on the subject. Colors can be divided into two general categories: cool (such as blue and green) and warm (such as orange and red). Cool colors work best for backgrounds, as they appear to recede away from us into the background. Warm colors generally work best for objects in the foreground (such as text) because they appear to be coming at us. It is no surprise, then, that the most ubiquitous PowerPoint slide color scheme includes a blue background with yellow text. You do not need to feel compelled to use this color scheme, although you may choose to use a variation of those colors.

If you will be presenting in a dark room (such as a large hall), a dark background (dark blue, gray, etc.) with white or light text will work fine. But if you plan to keep most of the lights on (which is highly advisable), a white background with black or dark text works much better. In rooms with a good deal of ambient light, a screen image with a dark background and light text tends to washout, but dark text on a light background will maintain its visual intensity a bit better.

#8: Choose your fonts well

Fonts communicate subtle messages in and of themselves, which is why you should choose fonts deliberately. Use the same font set throughout your entire slide presentation and use no more than two complementary fonts (e.g., Arial and Arial Bold). Make sure you know the difference between a serif font (e.g., Times New Roman) and a sans-serif font (e.g., Helvetica or Arial).

Serif fonts were designed to be used in documents filled with lots of text. They’re said to be easier to read at small point sizes, but for onscreen presentations, the serifs tend to get lost due to the relatively low resolution of projectors. Sans- serif fonts are generally best for PowerPoint presentations, but try to avoid the ubiquitous Helvetica. I often choose to use Gill Sans, as it is somewhere in between a serif and a sans-serif font and is professional yet friendly and “conversational.” Regardless of what font you choose, make sure the text can be read from the back of the room.

#9: Use video or audio

Use video and audio when appropriate. Using video clips to show concrete examples promotes active cognitive processing, which is the natural way people learn. You can use video clips within PowerPoint without ever leaving the application or tuning on a VCR. Using a video clip not only will illustrate your point better, it will also serve as a change of pace, thereby increasing the interest of your audience.

You can use audio clips (such as interviews) as well. But avoid using the cheesy sound effects that are included in PowerPoint (such as the sound of a horn or applause when transitioning slides). The use of superfluous sound effects attached to animations is a sure way to lose credibility with your audience.

#10: Spend time in the slider sorter

According to the Segmentation Principle of multimedia learning theory, people comprehend better when information is presented in small chunks or segments. By getting out of the Slide view and into the Slide Sorter view, you can see how the logical flow of your presentation is progressing. In this view, you may decide to break up one slide into, say, two or three slides so that your presentation has a more natural and logical flow or process. You’ll also be able to capture more of the gestalt of your entire presentation from the point of view of your audience. You will be able to notice more extraneous pieces of visual data that can be removed to increase visual clarity and improve communication.

Most consulting firms have an unhealthy obsession with PowerPoint slides. As a young consultant, I remember entire meetings that were focused on the design and structure of a client presentation. Instead of discussing the strength of our argument or the viability of our analysis, we’d overanalyze the wording of our titles, the color in our visuals, and the font size of our text.

At the time I rolled my eyes through these types of meetings. But over the next 10 years of my career, I began to see the genius of these subtle design and structural choices. The Problem

As you present your slides the audience is faced with a tough task. In addition to listening to what you say, they’ll be trying to read what you have on the slide, think about what you might say next,  and  about how they can contribute to the conversation. Even if your audience is smart and engaged, this is too much information for their brains to process all at once. So what you need to do as the presentation creator, is figure out a way to make your slides as easy as possible to process (i.e. read and understand).

I see a lot of advice out there that says you should create minimalistic slides so that your audience focuses on you instead of the slides. And that’s great advice, but it’s not something that can be applied in all settings. Unless you’re giving a keynote presentation, it’s likely that you need to provide a lot of information to the audience – sales numbers, a marketing pitch, or a 5 year strategic plan, to name a few examples. Plus, a lot of the time you need to be able to send your presentation, and it’s not going to make sense to anyone unless it has the right amount of detail.

So that leads to a situation where you have to create a dense, content heavy presentation, but one that the audience can understand quickly without being overloaded mentally. In other words, you need to help the audience process a large amount of information, as efficiently as possible. So that’s what these tips will focus on. 

1. Nail the title

The title is the most important part of your slide. It should provide a summary of the slide content and should help your audience clearly understand the key takeaway.

A big mistake people make here is to just put the topic of your slide. This is not something that’s going to help your audience process the rest of the information quickly. Instead, put a full sentence here, 1-2 lines typically, and tell your audience exactly what you want them to know.

Take a look at this slide from Deloitte as an example. The title says “Retailers are in a challenging position: They are not highly trusted AND consumers hold them accountable to ensure privacy.”

And really this tells me everything I need to know about the slide, helping me to understand their main point quickly and efficiently. Imagine how much harder the slide would be to understand if the title just said something like, “Retailer Challenges” or “Consumer Privacy in Retail.”

It might feel a little unnatural to write something like this at first, but when you can make it easier on your audience by summarizing the entire slide quickly, you’ll find it’s a lot easier to hold their attention and persuade them of your key message.

2. Guide the reader

You want to design your slide so that the audience understands the highest level idea first, before diving into the details. This is going to give them the context they need to understand what you’re trying to tell them.

Take a look at this slide from BCG for example.

If you focus on the chart first without having the right context, it’s hard to see what the takeaway is. It shows VC media investments by city over time, but it’s unclear what they’re trying to tell me. Is it that total VC investments are growing? Is it that Silicon Valley VC investments are growing more than other cities? Or maybe something else? Without the right context or guidance we don’t know how to interpret the details of the chart.

But now go back and read the slide title first: “Media VC investment has exploded in New York City over the past 10 years”. And then the subtitle: “Media and Entertainment VC investments increasing sharply in New York City.”

With this context, I know exactly what to look for, which is going to make it so much easier for me. And this is exactly how they want me to process the slide – starting with the highest level idea, which is the title, and then working my way down through the different layers, rather than looking at the details first and trying to guess what the main takeaway is.

This way of communicating is based on the Pyramid Principle, which is the idea that communication works best when you start with your main point first, then work your way into the details.

Notice how this slide is designed to guide me through the different layers. They want my eyes to naturally go to the highest level idea first, which is the title, so they make that the biggest and most obvious. It’s also green when the rest of the text on the slide is black.

Then the next layer of the slide is the subtitles, and those are the next biggest text on the slide and they also have these underlines to help attract attention to them, but not so much attention to where I look at them before I see the title.

Then the next layer is the chart on the left, and the bolded text on the right, which again is slightly less obvious than the subtitle or title, but still more obvious than the bullet points below them. Then lastly the bullet points are the bottom layer, which attract the least amount of attention.

If you can format your slide in this way, using text, bolding, colors, and shapes to help guide the reader through the different layers of your slide, you’re going to help them understand your presentation quickly and with as little effort as possible, which is exactly what you want.

3. Add visuals to your slide

This one might seem obvious, but it’s easy to forget or misinterpret. Remember, your primary goal isn’t to make the slide look prettier – that’s important, but it’s not the main goal. The main goal is to help your audience process the information on your slide as efficiently as possible. And visuals are a great way to do that.

One obvious visual is a chart, which can help you tell a story with your quantitative data. But another commonly overlooked visual is icons. Icons are great for helping the audience understand the text and titles of your slide quickly.

In this slide from PWC the icons make the slide more aesthetically interesting, but the real value comes from the nice mental boost they provide.

Without thinking, my brain can look at these icons and have some idea for what they represent. That way I can skim through the slide without having to read every single word. Remember the problem we talked about in the beginning – the audience is trying to mentally do multiple things at once – so even little stuff like this is going to help them out.

Without the icons here this slide would have way too much text. But because they’ve bolded the main points and connected them with easy to understand icons, it’s much easier for me to look at the slide and understand what they’re trying to tell me quickly.

You can see the same thing here in this slide from Bain . Notice how they use the visuals down at the bottom to make it easier on me to see the country each column represents.

Obviously I could just read the names of each country, but the flags make it that much easier for me to process the details and get to the main point of the slide. It’s a small and easy addition to add these visuals, but it’s very effective.

4. Annotate your charts

Charts are a very common element in management style presentations, but they’re often used incorrectly. People sometimes assume that as long as the data is there, the insights will be clear (a huge mistake).

By the time you show your slides to the audience, it’s likely that you’ve already looked them over many many times – so you automatically know where to focus your attention and what the insights are. But your audience is likely looking at your slides for the first time, so you need to do whatever you can to help them see the insights quickly – especially on your charts, where people often get lost.

But thankfully, this is really easy to do. You can add color, arrows, circles, or even text, right on top of your chart. It’s something most people forget to do but it makes a world of difference.

On this slide from Bain you can see it done very effectively. First they used red on the columns that matter most to help them pop a bit more. But then secondly they added a callout to show the top 3.

What’s interesting about this is that they’re not telling us anything we can’t already see ourselves – it’s very clear what the top 3 brands are just by looking at the chart. But Bain is smart and they know that anything they can do to make the chart easy to understand quickly is going to help the audience stay engaged.

This is an easy one to do, you just have to remember to do it.

5. Bring a perspective

There’s nothing more important for adding life to your presentation than bringing a perspective. And what I mean by that is you should find ways to show what the data in your presentation actually means, rather than just using the presentation as a way to show data.

Tell the audience what you see when you look at the data. Or better yet, tell them what it means for your company.

An easy way to think about this would be to imagine what you might say in a live presentation setting. After you show your slide, what kind of natural voiceover would you add?

Let’s say you’re showing sales for the quarter. While presenting the slide you might naturally say something like, “As you can see sales are up over last quarter, but we’ve struggled in these three markets.”

And if the setting is right, you might even add something like, “By diverting some resources to those markets, we can recover lost sales and have a stronger 2nd quarter.”

Well if that’s something you would say naturally when showing the data, then just add it to your slides. This is going to help your audience understand what you’re trying to say more quickly. This again goes back to the idea that you want to make it easy on your audience – tell them what you want them to know, don’t make them discover it themselves.

Let’s look at another example from BCG , this one from a presentation on electric cars. The slide shows a table comparing the viability of electric cars in different markets. And actually it’s a really simple slide – there’s just a title (notice that it’s bright green and very obvious?), then below that is a simple table with just a few rows and columns.

But what’s important to notice is the callout down at the bottom, which says “China provides the most favorable combination of energy prices and mileage for EV penetration”.

If I looked at the table long enough I could probably reach that same conclusion myself. But they’re giving me a shortcut. They’re telling me exactly what they see when they look at this table, and in turn, what they want me to see. They’re very clearly and very directly bringing a perspective, and it makes the slide much easier to understand.

The best presentation designers don’t create slides that make them look smart. They create slides that make their audience  feel  smart. They do whatever they can to help the audience understand the slide quickly and efficiently.

And sometimes that just might mean you have to overanalyze the size of your text.

Just because you make a grand presentation with many facts and figures and thought-out details doesn’t make it more effective, nor sophisticated, for that matter. What’s important is that your presentation hits the right points and leaves the audience impressed and persuaded by your message.

You want your presentation to be easy to follow to ensure your audience is engaged from start to finish. To do that, remove anything that doesn’t support your narrative or add substantial value to your presentation. 

When speaking, always focus on your main points and avoid drifting away to other topics or irrelevant details. It’s best not to spend too much time explaining complex theories or terminologies. If you must, give concise, brief summaries of the concepts your audience might not be familiar with, but spend the majority of your presentation focused on the information your audience will have an easier time understanding. Another way to touch on a complex topic is to describe it from a new angle, one that might unlock new understanding for your audience.

Stay calm and focused

Sometimes, nerves can get the best of you. Your hands get sweaty, your breath shortens, and your heart starts pounding. If you’re not a fan of public speaking, this is how you might feel about presenting in front of an audience. 

Don’t panic. There’s a way to calm your nerves and appear collected in front of your audience. The last thing you want is for people in the audience to notice your nervousness and for you to mess up because of it. 

Try practicing in front of your friends to get acquainted with speaking in front of people. Also, focus on your topic and shut down intrusive thoughts. If you’re focused on the topic, you’ll have less time to think about other people’s thoughts. Read the room

You have mapped out the whole presentation. However, you can never truly know how your audience will feel and react. They might surprise you.

Make your presentation a conversation instead of a monologue, if applicable. Ensure that your audience feels comfortable and understood. There’s a higher chance they’ll ask a question if they don’t have to be in the spotlight and ask on camera.

Body language can say a lot about how a person feels, and whether or not theyre confident and comfortable. Body language can influence other people’s connection with you. If you’re talking to a person with inviting body language (for instance, a friendly smile, open posture, or eye contact), you might feel closer to them. 

That’s why you need to work on your body language to appear confident and approachable when presenting. You’ll be able to develop a close connection with your audience and appear trustworthy and friendly. 

Make sure you greet your audience with a smile and keep eye contact. Have an open posture and use hand gestures to articulate your thoughts (without overdoing them). If you’re on stage, you can even walk around the stage to develop command of the room.

Effective Presentation Design

There are seven key elements in our effective presentation design guide for PowerPoint. No one should underestimate the importance of an effective PowerPoint design as it can impact how we deliver our information or knowledge, as well as how effectively our audiences receive them.

Quite often, we have encountered poorly designed PowerPoint presentations that were either ordinary, boring, cluttered or distracting. Some were even barely visible. But, how do we ensure we avoid such mistakes?

First of all, get familiar with the key elements in our effective presentation design guide. Then implement them step-by-step. This will help you eliminate the many pitfalls mentioned earlier when designing your PowerPoint presentation. By crafting your presentation methodically, you will also reduce the need to keep revising your slides.

Effective Presentation Design - The Seven Key Elements

The seven key elements for an effective presentation design for PowerPoint are explained below. They are:

  • Template and Slide Layout
  • Slide Design
  • Fonts and Colours
  • Animation, Transition and Sound Effects
  • Compatibility of Equipment

1. Template and Slide Layout

  • Use the PowerPoint slide master feature to create a consistent and simple design template. You may want to use custom-made or third-party templates instead of the ones supplied by Microsoft that have been over-used, which could make your presentation looks dated. To better represent your company, you may consider creating a template that contains your corporate logo and colours. This is one of the most basic presentation design element that even experienced presenters have often overlooked.
  • Use the proper layout – For most languages, the reading order is from left to right, top to bottom. Using this natural reading order will help direct people’s attention to certain key parts of a slide that you want to emphasize. This is a simple, yet effective presentation design strategy to manage the flow and hierarchy of information.

2. Slide Design

  • Simplify and limit the number of words on each slide. Check for spelling and grammar errors. Display only essential information. The slides should be visual to help convey and reinforce key information or ideas. The speaker should be delivering most of the content, not your slides. If your audience keeps reading your presentation instead of listening to you, the opportunity to convey your message effectively will be lost.
  • Limit punctuation and avoid cramming too many words in each slide. As a guide, each slide should not contains more than five lines. Empty spaces on the slides will enhance readability and help people to focus on your key points. In other words, less is more.

3. Fonts and Colours

  • Be consistent with the use of font(s), colours, and background. The use of too many colours can be distracting.
  • Use contrasting colours for text and background. Dark text on white background or Light text on a dark background is most effective. Patterned backgrounds can reduce readability of text. Exceptionally bright text can be too glaring and cause eye fatigue. Similarly, intense gradients can make the text less visible. So, use both sparingly. If you are presenting for your brand or company, check what are the corporate colours and the guidelines for using them. This will help you to align your presentation design with your company’s identity and style.
  • Use sans serif fonts. Different fonts can evoke different emotions. Traditionally, serif fonts such as Times New Roman, Garamond and Bookman are best suited for printing, while sans serif fonts such as Helvetica, Tahoma and Verdana are preferred for screen presentation as they are easier to read. It is advisable to stick with one font, or choose two at the most, to give your presentation a consistent feel.
  • Font size should be 30 point or larger. Many experts agree that this is the minimum font size to use. In fact, some even suggested larger font sizes. Not only does it ensure that your text is readable, it also forces you to include only the most important points of your message and explain them efficiently since space is limited.
  • Use larger fonts to indicate importance and avoid abbreviations and acronyms as not everyone is familiar with them.
  • Simplicity is key to an effective presentation design for PowerPoint. Use simple techniques like bolding, italicising or changing the colour of the words to help draw attention. But use them sparingly and avoid over-styling as it can make your presentation looks distracting and messy. Three of the easiest and most effective ways to draw attention to text are: bold, italics, or a change in colour. Our eyes are naturally drawn to things that stand out, but use it sparingly.

4. Animation, Transition and Sound Effect

  • Avoid the over-use of flashy animations and transitions, as well as sound effects. These features may seem impressive at first, but they can become distracting and tiresome. By all means be creative, but don’t get too elaborate as it could spoil your overall presentation design.
  • Do not include too many different animation into every slides as it can make your presentation look confusing. It could also make it difficult for your audience to focus on the key information in your slides.
  • Use relevant images that reinforce your message. Ensure that your pictures are of high resolution as far as possible so that they remains sharp when projected on a larger screen.
  • Use images of appropriate size so that your audience can see them clearly. Use one or two large images of the same size rather than several small images. Size does matter!
  • When using charts or graphical images, use minimal text and label them clearly. A graphical image should relate to and enhance the topic you are talking about.
  • Avoid clipart. They have been so commonly used that they are included in PowerPoint by default. But they have become such a “visual cliché”, making your presentation look tired and dated.

6. Presenting

  • Time your presentation. Maximise the time allotted to you in order not to miss out on any key information. But at the same tie, do not cramp too much information within a limited timeframe. Make sure you highlight your most important information.
  • Rehearse your presentation and ensure your sides are clear from the back row. Adjust the lighting and room setup for optimal visual and audio delivery.
  • Familiarise yourself with the presentation and learn how to navigate it. Often, audiences will ask to see the previous slides again or you may need to bring them back to an earlier slide to clarify or reinforce some information.
  • Inform your audience that copies of the slides will be distributed at the end of the presentation, if they require them. This will keep their focus on you. Avoid giving the slides at the start as your audience could end up reading them instead of listening to you. A good and effective presentation design should create some suspense that engages the audience. If the audience can read everything you will be talking about, that element will be lost.
  • Limit the number of slides. You should be the main source of information, not your slides, although they play an important supporting role. Also, presenters who “flip” their slides constantly are likely to lose their audience. A good rule of thumb is one slide per minute. If sound effects or a video is used, wait until they have finished before talking.
  • Speak to the audience, not read from the slides. Make eye contact to draw their attention to you. Often, presenters face away from their audiences and this will negatively affect their ability to engage them.
  • Use a wireless presenter (see picture below) to help you control the slides. It also allows you to move around and interact with your audience.
  • Give a brief overview of your presentation at the start. Then present the information. Finally review important points to reinforce your audience’s memory, especially in a long presentation.

7. Compatibility of Equipment

The last element in our effective presentation design guide is about the slide size and whether they are compatible to the projector used in the presentation venue. Quite often, many people have overlooked this issue and this could result in dire consequences.

  • Check out the equipment and screen size used in your presentation venue before designing your PowerPoint presentation. The latest default standard, starting from PowerPoint 2013 onward, is the 16:9 widescreen aspect ratio. The previous standard is 4:3. If you project your PowerPoint presentation designed in the 16:9 aspect ratio onto a 4:3 screen, black bars on the top and bottom of the slide will appear. This is because the slides do not fill the entire height. Vice versa, if your PowerPoint presentation is designed in the 4:3 ratio but projected on a 16:9 screen, black bars will appear on both the left and right side of your slides.   • Do a test run before the actual event. Adjust and fine-tune your presentation to ensure the equipment are all functioning properly.

Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

I was sitting across the table from a Silicon Valley CEO who had pioneered a technology that touches many of our lives — the flash memory that stores data on smartphones, digital cameras, and computers. He was a frequent guest on CNBC and had been delivering business presentations for at least 20 years before we met. And yet, the CEO wanted to sharpen his public speaking skills.

Introduction

The “presentation slide” is the building block of all academic presentations, whether they are journal clubs, thesis committee meetings, short conference talks, or hour-long seminars. A slide is a single page projected on a screen, usually built on the premise of a title, body, and figures or tables and includes both what is shown and what is spoken about that slide. Multiple slides are strung together to tell the larger story of the presentation. While there have been excellent 10 simple rules on giving entire presentations [ 1 , 2 ], there was an absence in the fine details of how to design a slide for optimal effect—such as the design elements that allow slides to convey meaningful information, to keep the audience engaged and informed, and to deliver the information intended and in the time frame allowed. As all research presentations seek to teach, effective slide design borrows from the same principles as effective teaching, including the consideration of cognitive processing your audience is relying on to organize, process, and retain information. This is written for anyone who needs to prepare slides from any length scale and for most purposes of conveying research to broad audiences. The rules are broken into 3 primary areas. Rules 1 to 5 are about optimizing the scope of each slide. Rules 6 to 8 are about principles around designing elements of the slide. Rules 9 to 10 are about preparing for your presentation, with the slides as the central focus of that preparation.

Rule 1: Include only one idea per slide

Each slide should have one central objective to deliver—the main idea or question [ 3 – 5 ]. Often, this means breaking complex ideas down into manageable pieces (see Fig 1 , where “background” information has been split into 2 key concepts). In another example, if you are presenting a complex computational approach in a large flow diagram, introduce it in smaller units, building it up until you finish with the entire diagram. The progressive buildup of complex information means that audiences are prepared to understand the whole picture, once you have dedicated time to each of the parts. You can accomplish the buildup of components in several ways—for example, using presentation software to cover/uncover information. Personally, I choose to create separate slides for each piece of information content I introduce—where the final slide has the entire diagram, and I use cropping or a cover on duplicated slides that come before to hide what I’m not yet ready to include. I use this method in order to ensure that each slide in my deck truly presents one specific idea (the new content) and the amount of the new information on that slide can be described in 1 minute (Rule 2), but it comes with the trade-off—a change to the format of one of the slides in the series often means changes to all slides.

Rule 2: Spend only 1 minute per slide

When you present your slide in the talk, it should take 1 minute or less to discuss. This rule is really helpful for planning purposes—a 20-minute presentation should have somewhere around 20 slides. Also, frequently giving your audience new information to feast on helps keep them engaged. During practice, if you find yourself spending more than a minute on a slide, there’s too much for that one slide—it’s time to break up the content into multiple slides or even remove information that is not wholly central to the story you are trying to tell. Reduce, reduce, reduce, until you get to a single message, clearly described, which takes less than 1 minute to present.

Rule 3: Make use of your heading

When each slide conveys only one message, use the heading of that slide to write exactly the message you are trying to deliver. Instead of titling the slide “Results,” try “CTNND1 is central to metastasis” or “False-positive rates are highly sample specific.” Use this landmark signpost to ensure that all the content on that slide is related exactly to the heading and only the heading. Think of the slide heading as the introductory or concluding sentence of a paragraph and the slide content the rest of the paragraph that supports the main point of the paragraph. An audience member should be able to follow along with you in the “paragraph” and come to the same conclusion sentence as your header at the end of the slide.

Rule 4: Include only essential points

While you are speaking, audience members’ eyes and minds will be wandering over your slide. If you have a comment, detail, or figure on a slide, have a plan to explicitly identify and talk about it. If you don’t think it’s important enough to spend time on, then don’t have it on your slide. This is especially important when faculty are present. I often tell students that thesis committee members are like cats: If you put a shiny bauble in front of them, they’ll go after it. Be sure to only put the shiny baubles on slides that you want them to focus on. Putting together a thesis meeting for only faculty is really an exercise in herding cats (if you have cats, you know this is no easy feat). Clear and concise slide design will go a long way in helping you corral those easily distracted faculty members.

Rule 5: Give credit, where credit is due

An exception to Rule 4 is to include proper citations or references to work on your slide. When adding citations, names of other researchers, or other types of credit, use a consistent style and method for adding this information to your slides. Your audience will then be able to easily partition this information from the other content. A common mistake people make is to think “I’ll add that reference later,” but I highly recommend you put the proper reference on the slide at the time you make it, before you forget where it came from. Finally, in certain kinds of presentations, credits can make it clear who did the work. For the faculty members heading labs, it is an effective way to connect your audience with the personnel in the lab who did the work, which is a great career booster for that person. For graduate students, it is an effective way to delineate your contribution to the work, especially in meetings where the goal is to establish your credentials for meeting the rigors of a PhD checkpoint.

Rule 6: Use graphics effectively

As a rule, you should almost never have slides that only contain text. Build your slides around good visualizations. It is a visual presentation after all, and as they say, a picture is worth a thousand words. However, on the flip side, don’t muddy the point of the slide by putting too many complex graphics on a single slide. A multipanel figure that you might include in a manuscript should often be broken into 1 panel per slide (see Rule 1 ). One way to ensure that you use the graphics effectively is to make a point to introduce the figure and its elements to the audience verbally, especially for data figures. For example, you might say the following: “This graph here shows the measured false-positive rate for an experiment and each point is a replicate of the experiment, the graph demonstrates …” If you have put too much on one slide to present in 1 minute (see Rule 2 ), then the complexity or number of the visualizations is too much for just one slide.

Rule 7: Design to avoid cognitive overload

The type of slide elements, the number of them, and how you present them all impact the ability for the audience to intake, organize, and remember the content. For example, a frequent mistake in slide design is to include full sentences, but reading and verbal processing use the same cognitive channels—therefore, an audience member can either read the slide, listen to you, or do some part of both (each poorly), as a result of cognitive overload [ 4 ]. The visual channel is separate, allowing images/videos to be processed with auditory information without cognitive overload [ 6 ] (Rule 6). As presentations are an exercise in listening, and not reading, do what you can to optimize the ability of the audience to listen. Use words sparingly as “guide posts” to you and the audience about major points of the slide. In fact, you can add short text fragments, redundant with the verbal component of the presentation, which has been shown to improve retention [ 7 ] (see Fig 1 for an example of redundant text that avoids cognitive overload). Be careful in the selection of a slide template to minimize accidentally adding elements that the audience must process, but are unimportant. David JP Phillips argues (and effectively demonstrates in his TEDx talk [ 5 ]) that the human brain can easily interpret 6 elements and more than that requires a 500% increase in human cognition load—so keep the total number of elements on the slide to 6 or less. Finally, in addition to the use of short text, white space, and the effective use of graphics/images, you can improve ease of cognitive processing further by considering color choices and font type and size. Here are a few suggestions for improving the experience for your audience, highlighting the importance of these elements for some specific groups:

  • Use high contrast colors and simple backgrounds with low to no color—for persons with dyslexia or visual impairment.
  • Use sans serif fonts and large font sizes (including figure legends), avoid italics, underlining (use bold font instead for emphasis), and all capital letters—for persons with dyslexia or visual impairment [ 8 ].
  • Use color combinations and palettes that can be understood by those with different forms of color blindness [ 9 ]. There are excellent tools available to identify colors to use and ways to simulate your presentation or figures as they might be seen by a person with color blindness (easily found by a web search).
  • In this increasing world of virtual presentation tools, consider practicing your talk with a closed captioning system capture your words. Use this to identify how to improve your speaking pace, volume, and annunciation to improve understanding by all members of your audience, but especially those with a hearing impairment.

Rule 8: Design the slide so that a distracted person gets the main takeaway

It is very difficult to stay focused on a presentation, especially if it is long or if it is part of a longer series of talks at a conference. Audience members may get distracted by an important email, or they may start dreaming of lunch. So, it’s important to look at your slide and ask “If they heard nothing I said, will they understand the key concept of this slide?” The other rules are set up to help with this, including clarity of the single point of the slide (Rule 1), titling it with a major conclusion (Rule 3), and the use of figures (Rule 6) and short text redundant to your verbal description (Rule 7). However, with each slide, step back and ask whether its main conclusion is conveyed, even if someone didn’t hear your accompanying dialog. Importantly, ask if the information on the slide is at the right level of abstraction. For example, do you have too many details about the experiment, which hides the conclusion of the experiment (i.e., breaking Rule 1)? If you are worried about not having enough details, keep a slide at the end of your slide deck (after your conclusions and acknowledgments) with the more detailed information that you can refer to during a question and answer period.

Rule 9: Iteratively improve slide design through practice

Well-designed slides that follow the first 8 rules are intended to help you deliver the message you intend and in the amount of time you intend to deliver it in. The best way to ensure that you nailed slide design for your presentation is to practice, typically a lot. The most important aspects of practicing a new presentation, with an eye toward slide design, are the following 2 key points: (1) practice to ensure that you hit, each time through, the most important points (for example, the text guide posts you left yourself and the title of the slide); and (2) practice to ensure that as you conclude the end of one slide, it leads directly to the next slide. Slide transitions, what you say as you end one slide and begin the next, are important to keeping the flow of the “story.” Practice is when I discover that the order of my presentation is poor or that I left myself too few guideposts to remember what was coming next. Additionally, during practice, the most frequent things I have to improve relate to Rule 2 (the slide takes too long to present, usually because I broke Rule 1, and I’m delivering too much information for one slide), Rule 4 (I have a nonessential detail on the slide), and Rule 5 (I forgot to give a key reference). The very best type of practice is in front of an audience (for example, your lab or peers), where, with fresh perspectives, they can help you identify places for improving slide content, design, and connections across the entirety of your talk.

Rule 10: Design to mitigate the impact of technical disasters

The real presentation almost never goes as we planned in our heads or during our practice. Maybe the speaker before you went over time and now you need to adjust. Maybe the computer the organizer is having you use won’t show your video. Maybe your internet is poor on the day you are giving a virtual presentation at a conference. Technical problems are routinely part of the practice of sharing your work through presentations. Hence, you can design your slides to limit the impact certain kinds of technical disasters create and also prepare alternate approaches. Here are just a few examples of the preparation you can do that will take you a long way toward avoiding a complete fiasco:

  • Save your presentation as a PDF—if the version of Keynote or PowerPoint on a host computer cause issues, you still have a functional copy that has a higher guarantee of compatibility.
  • In using videos, create a backup slide with screen shots of key results. For example, if I have a video of cell migration, I’ll be sure to have a copy of the start and end of the video, in case the video doesn’t play. Even if the video worked, you can pause on this backup slide and take the time to highlight the key results in words if someone could not see or understand the video.
  • Avoid animations, such as figures or text that flash/fly-in/etc. Surveys suggest that no one likes movement in presentations [ 3 , 4 ]. There is likely a cognitive underpinning to the almost universal distaste of pointless animations that relates to the idea proposed by Kosslyn and colleagues that animations are salient perceptual units that captures direct attention [ 4 ]. Although perceptual salience can be used to draw attention to and improve retention of specific points, if you use this approach for unnecessary/unimportant things (like animation of your bullet point text, fly-ins of figures, etc.), then you will distract your audience from the important content. Finally, animations cause additional processing burdens for people with visual impairments [ 10 ] and create opportunities for technical disasters if the software on the host system is not compatible with your planned animation.

Conclusions

These rules are just a start in creating more engaging presentations that increase audience retention of your material. However, there are wonderful resources on continuing on the journey of becoming an amazing public speaker, which includes understanding the psychology and neuroscience behind human perception and learning. For example, as highlighted in Rule 7, David JP Phillips has a wonderful TEDx talk on the subject [ 5 ], and “PowerPoint presentation flaws and failures: A psychological analysis,” by Kosslyn and colleagues is deeply detailed about a number of aspects of human cognition and presentation style [ 4 ]. There are many books on the topic, including the popular “Presentation Zen” by Garr Reynolds [ 11 ]. Finally, although briefly touched on here, the visualization of data is an entire topic of its own that is worth perfecting for both written and oral presentations of work, with fantastic resources like Edward Tufte’s “The Visual Display of Quantitative Information” [ 12 ] or the article “Visualization of Biomedical Data” by O’Donoghue and colleagues [ 13 ].

Slideshows are an intuitive way to share complex ideas with an audience, although they're dull and frustrating when poorly executed. Here are some tips to make your Microsoft PowerPoint presentations sing while avoiding common pitfalls.

define a goal

It all starts with identifying what we're trying to achieve with the presentation. Is it informative, a showcase of data in an easy-to-understand medium? Or is it more of a pitch, something meant to persuade and convince an audience and lead them to a particular outcome?

It's here where the majority of these presentations go wrong with the inability to identify the talking points that best support our goal. Always start with a goal in mind: to entertain, to inform, or to share data in a way that's easy to understand. Use facts, figures, and images to support your conclusion while keeping structure in mind (Where are we now and where are we going?).

I've found that it's helpful to start with the ending. Once I know how to end a presentation, I know how best to get to that point. I start by identifying the takeaway---that one nugget that I want to implant before thanking everyone for their time---and I work in reverse to figure out how best to get there.

Your mileage, of course, may vary. But it's always going to be a good idea to put in the time in the beginning stages so that you aren't reworking large portions of the presentation later. And that starts with a defined goal.

avoid walls of text

A slideshow isn't supposed to include everything. It's an introduction to a topic, one that we can elaborate on with speech. Anything unnecessary is a distraction. It makes the presentation less visually appealing and less interesting, and it makes you look bad as a presenter.

This goes for text as well as images. There's nothing worse, in fact, than a series of slides where the presenter just reads them as they appear. Your audience is capable of reading, and chances are they'll be done with the slide, and browsing Reddit, long before you finish. Avoid putting the literal text on the screen, and your audience will thank you.

use better fonts

Right off the bat, we're just going to come out and say that Papyrus and Comic Sans should be banned from all PowerPoint presentations, permanently. Beyond that, it's worth considering the typeface you're using and what it's saying about you, the presenter, and the presentation itself.

Consider choosing readability over aesthetics, and avoid fancy fonts that could prove to be more of a distraction than anything else. A good presentation needs two fonts: a serif and sans-serif. Use one for the headlines and one for body text, lists, and the like. Keep it simple. Veranda, Helvetica, Arial, and even Times New Roman are safe choices. Stick with the classics and it's hard to botch this one too badly.

use fewer bullets

There reaches a point where bullet points become less of a visual aid and more of a visual examination.

Bullet points should support the speaker, not overwhelm his audience. The best slides have little or no text at all, in fact. As a presenter, it's our job to talk through complex issues, but that doesn't mean that we need to highlight every talking point.

Instead, think about how you can break up large lists into three or four bullet points. Carefully consider whether you need to use more bullet points, or if you can combine multiple topics into a single point instead. And if you can't, remember that there's no one limiting the number of slides you can have in a presentation. It's always possible to break a list of 12 points down into three pages of four points each.

avoid transitions

Animation, when used correctly, is a good idea. It breaks up slow-moving parts of a presentation and adds action to elements that require it. But it should be used judiciously.

Adding a transition that wipes left to right between every slide or that animates each bullet point in a list, for example, starts to grow taxing on those forced to endure the presentation. Viewers get bored quickly, and animations that are meant to highlight specific elements quickly become taxing.

That's not to say that you can't use animations and transitions, just that you need to pick your spots. Aim for no more than a handful of these transitions for each presentation. And use them in spots where they'll add to the demonstration, not detract from it.

use visuals

Sometimes images tell a better story than text can. And as a presenter, your goal is to describe points in detail without making users do a lot of reading. In these cases, a well-designed visual, like a chart, might better convey the information you're trying to share.

The right image adds visual appeal and serves to break up longer, text-heavy sections of the presentation---but only if you're using the right images. A single high-quality image can make all the difference between a success and a dud when you're driving a specific point home.

When considering text, don't think solely in terms of bullet points and paragraphs. Tables, for example, are often unnecessary. Ask yourself whether you could present the same data in a bar or line chart instead.

find a color palette

Color is interesting. It evokes certain feelings and adds visual appeal to your presentation as a whole. Studies show that color also improves interest, comprehension, and retention. It should be a careful consideration, not an afterthought.

You don't have to be a graphic designer to use color well in a presentation. What I do is look for palettes I like, and then find ways to use them in the presentation. There are a number of tools for this, like Adobe Color , Coolors , and ColorHunt , just to name a few. After finding a palette you enjoy, consider how it works with the presentation you're about to give. Pastels, for example, evoke feelings of freedom and light, so they probably aren't the best choice when you're presenting quarterly earnings that missed the mark.

It's also worth mentioning that you don't need to use every color in the palette. Often, you can get by with just two or three, though you should really think through how they all work together and how readable they'll be when layered. A simple rule of thumb here is that contrast is your friend. Dark colors work well on light backgrounds, and light colors work best on dark backgrounds.

Spend some time in the Slide Sorter before you finish your presentation. By clicking the four squares at the bottom left of the presentation, you can take a look at multiple slides at once and consider how each works together. Alternatively, you can click "View" on the ribbon and select "Slide Sorter."

Are you presenting too much text at once? Move an image in. Could a series of slides benefit from a chart or summary before you move on to another point?

It's here that we have the opportunity to view the presentation from beyond the single-slide viewpoint and think in terms of how each slide fits, or if it fits at all. From this view, you can rearrange slides, add additional ones, or delete them entirely if you find that they don't advance the presentation.

The difference between a good presentation and a bad one is really all about preparation and execution. Those that respect the process and plan carefully---not only the presentation as a whole, but each slide within it---are the ones who will succeed.

This brings me to my last (half) point: When in doubt, just buy a template and use it. You can find these all over the web, though Creative Market and GraphicRiver are probably the two most popular marketplaces for this kind of thing. Not all of us are blessed with the skills needed to design and deliver an effective presentation. And while a pre-made PowerPoint template isn't going to make you a better presenter, it will ease the anxiety of creating a visually appealing slide deck.

Visuals are great for emphasizing or highlighting certain points, but you never want your visuals to overtake your presentation or distract your audience.

Handouts are a good way for providing your audience with information that would be hard to decipher from a slideshow (detailed charts, graphs, etc.). Handouts also give your audience a physical takeaway they can refer to later.

Know your Audience

In order to understand and fulfill the mission of your presentation, you need to research your audience. You need to determine your audience's level of experience in your subject and you need to determine what their expectations are for your presentation.

Once you have a good grasp of your audience, you can decide what to include or leave out of your presentation.

Preparing a Mission Statement & Goals

1. Before you start planning your presentation, it is important that you determine why you are giving your presentation. What is the mission? What are you trying to get your audience to do?

2. After you've developed your mission statement, you should set goals for accomplishing that mission statement. Your goals are concrete steps that you will take during your presentation.

Example Mission Statement:   "To raise awareness about climate change, its causes and effects, and incite the audience to take action."

Example Goals: Provide history of climate change, show charts illustrating increasing CO2 emissions, show video of environmental effects,  and offer solutions for curbing C02 emissions.
