Letters are usually brief messages (one to two pages) sent to recipients that are often outside the organization. They are often printed on letterhead paper and represent the business or organization. While e-mail and text messages may be used more frequently today, the effective business letter remains a common form of written communication. It can serve to introduce you to a potential employer, announce a product or service, or even serve to communicate feelings and emotions. We’ll examine the basic outline of a letter and then focus on specific products or, if for a college course, writing assignments.

All letters have expectations in terms of language and format. The audience or readers may have their own ideas of what constitutes a specific type of letter, and your organization may have its own format and requirements. This chapter outlines common elements across letters, and attention should be directed to the expectations associated with your particular writing assignment. There are many types of letters, and many adaptations in terms of form and content, but in this chapter, we discuss the fifteen elements of a traditional block-style letter. Letters may serve to introduce your skills and qualifications to prospective employers, deliver important or specific information, or serve as documentation of an event or decision. Figure 3 demonstrates a cover letter that might introduce a technical report to its recipient.

Remember that a letter has five main areas:

  • The heading, which names the recipient, often including address and date
  • The introduction, which establishes the purpose
  • The body, which articulates the message

Letters of inquiry . You may want to request information about a company or organization such as whether they anticipate job openings in the near future or whether they fund grant proposals from non-profit groups. In this case, you would send a letter of inquiry, asking for additional information. As with most business letters, keep your request brief, introducing yourself in the opening paragraph and then clearly stating your purpose and/or request in the second paragraph. If you need very specific information, consider placing your requests in list form for clarity. Conclude in a friendly way that shows appreciation for the help you will receive.

Job application letters . Whether responding to job announcements online or on paper, you are likely to write a job application letter introducing yourself and your skills to a potential employer. This letter often sets a first impression of you, so demonstrate professionalism in your format, language use, and proofreading of your work. Depending on the type of job you are seeking, application letters will vary in length and content. In business, letters are typically no more than one page and simply highlight skills and qualifications that appear in an accompanying resume. In education, letters are typically more fully developed and contain a more detailed discussion of the applicant’s experience and how that experience can benefit the institution. These letters provide information that is not necessarily evident in an enclosed resume or curriculum vitae.

Any time you have made a request of someone, write a follow-up letter expressing your appreciation for the time your letter-recipient has taken to respond to your needs or consider your job application. If you have had a job interview, the follow-up letter thanking the interviewer for his/her time is especially important for demonstrating your professionalism and attention to detail.

Click  Create  on the template you want to use.

Step 1: Choose a template

  • Add your branding

Clicking  Create  on a template opens the editor tool where you can easily swap out colors, fonts, images, edit text and more.

To swap a color, click on the element you want to change, then click the  color icon  in the top bar and choose a new one. You can use the eyedropper to pick another color from your template, or enter a HEX or RGB color code. You can also adjust the opacity.

Step 2: Add your branding - change your color

To edit text, click on the text box you want to change. Double-clicking automatically selects the text. Start typing to overwrite it, or select just the section you want to change.

With the text box selected, change the font, color, size or other styles using the formatting bar at the top.

You can also upload your own font file to ensure your report cover perfectly matches the rest of your report, and brand.

Step 2: Add your branding - change or upload your own font

  • Swap out images

To edit an image, click on it and choose  Replace .

You can upload your own image, or search and choose from over 3 million  royalty-free stock images  from Pexels and Pixabay, conveniently accessible right inside the editor.

You may run into what I have with this report cover page template: I changed the photo, but it’s still got the blue overlay on it. Not to worry, here’s how to change that.

Open the left side menu and click  Background . You can choose a new background color based on other colors used in your document — an easy way to keep designs on-brand — or, specify your own color. You can even add a gradient background with one click, or add a pattern on top of your background color.

The possibilities are endless for customizing your visual elements.

Once you change the background color, your photo may be too dark or too light to show up properly. To adjust this, click on the photo, then  Opacity  at the top. Play around with it until it looks just right.

Click on any page to edit it and add in your report content. Click the  plus icon  to add a new blank page, or the  double-rectangle icon  to duplicate an existing page.

What should be on a report cover page?

There is only one “must-have” thing on your report cover: your report title.

But, most people also include:

  • Your company name
  • Company website URL
  • Contact information, like email or phone number (usually only if giving a presentation)
  • An identifier of what type of report it is (e.g. “ Annual Report ,” “Q4 Earnings Report,” “ Progress Update ,” etc)

Ultimately, what you include is up to you and the requirements of your report. You can easily add new text fields or images — or edit existing ones — to any of our  report cover page templates  to suit your needs.

Does my report cover page need to match the rest of my report?

Well… it’d be nice if it did. But no, it’s not required.

For example, your report may be in a spreadsheet format, or listing out balance sheets and financial statements. Most of these types of reports are automatically generated from software. Trying to brand them by copy and pasting that content into a nice looking template probably isn’t worth your time.

Plus, the people reviewing those reports are likely expecting the familiar format they’re used to and may be put off by a big change.

But your report cover page and actual report don’t need to be identical to “match.”

As long as the font in your report isn’t size 36 Comic Sans, attaching a nicely designed cover page will make any report appear more professional and put together. (If your report  is  in Comic Sans, sorry, nothing can redeem it.)

6.2: Formal Report—Cover Letter, Title Page, and Statement of Authorship

What Is a Formal Report Cover Letter?

The formal report cover letter—often referred to as the letter of transmittal— is either attached to the outside of the report with a paper clip or is bound within the report. It is a communication from you, the report writer, to the recipient, the person who requested the report and who may even be paying you for your expert consultation. Essentially, it says “Here is the report that we agreed I’d complete by such-and-such a date. Briefly, it contains this and that, but does not cover this or that. Let me know if it meets your needs.” The cover letter explains the context for the report.

The cover letter should use standard business-letter format (See 3.4: Writing Letters).  If you write an internal report, use the memorandum format instead. In either case, the contents and organization are the same:

Opening/Beginning: Cites the name of the report  and the date of the agreement to write the report.

Middle: Focuses on the purpose of the report and gives a brief overview of the report’s contents.

Close: Encourages the reader to get in touch if there are questions, comments, or concerns. It closes with a gesture of good will, expressing hope that the reader finds the report satisfactory.

As with any other element in a report, you may have to modify the contents of this letter (or memo) for specific situations. For example, you might want to add another paragraph, listing questions you’d like readers to consider as they review the report.

What Is a Formal Report Title Page? 

The title page may be formatted in different ways depending on company-specific requirements, but it generally provides the audience with the following information:

  • Title of the report
  • Name, title, and organization of the individual receiving the report
  • Name of the author and any necessary identifying information
  • Date of submission

What Is a Statement of Authorship?

A statement of authorship is included in a report to demonstrate that the report’s contents were written by its author. OACETT (2021) suggests the following wording for this statement:

Formal technical reports are a well-organized, complete and detailed description of the work that has been performed. Formal reports can be designed by following a particular format of writing that stands out in comparison with the formats of all other types of reports.
