Communication skills are all around us, from the day we are born until the rest of our lives. How many times have you seen communication skills required for a job in the classifieds and wonder what it actually means. A communication skill is some type of skill used in communication, From talking, body language to even listening. Many things can effect the way one can convey his or her communication skills to others. All of these skills are very personnel to one another. Everyone has different ways of expressing some kind of communication skill within them. One communication skill is speaking, by far one of the most important skill we posses. To be a good speaker one must be able to convey ideas clearly and briefly. One must also have a clear and pleasant tone to his or her voice. This makes the person you are talking to more attentive, thus, more interested. The speaker must also be aware of his environment and the people he is speaking to. Environment plays a lot with what you say and try to convey to people. If you hear a bird chirping, you might incorporate it to what you where just about to say. This makes the person you’re talking to even more comfortable with what you are trying to convey with your thoughts and ideas. This is how different things can effect one’s communication skill, speaking. A second communication skill is body language, a very personal way of expressing yourself without words. One’s body language can carry a whole conversation without even saying a word. Sign language is an excellent example of this, one can spend there whole life communicating only with there body. Still one can be able to understand exactly how a person is trying to express themselves. Speaking and body language goes hand to hand, without gestures when talking one cannot truly explain certain things to someone. Also there is no visual effect for the person listening. When there is sound as well as some kind of visual movement one is more interested in what someone is trying to say. Through body language one can tell if a person is sad or happy, glad or mad. Body language conveys a lot of expression to are inner feelings and thoughts. Body language can show many things about you and the way you think. It can also show the way a person reacts to what you try to convey to them. If the listener isn’t responding one must try and change the topic without losing the listeners focus. One can only know this threw the listener’s body language. Body language is essential to a good way of showing and conveying ones’ ideas. A third and final major communication skill is listening, one of the most useful communication skills. A good listener is someone who can concentrate and not loose focus on a subject. When someone listens to someone sometimes they might start daydreaming or think of something else and loose focus on a speaker’s subject. Listening is what connects people together. One “cannot speak if no one is listening,” without a listener there would be no need for a speaker. Listening is a skill that takes a long time to develop and to really understand how to listen. One can hear but are they really listening to what is said?. One way to make a listener’s job easier is to have a speaker who is clear and brief. This way the listener won’t drift away and the speaker has stated his or her point. This way the listener has understood what has been said and can make his or her own interpretations. An active listener is a listener who is involved with what the speaker is trying to say. He or She for example may nod, lean forward or make eye contact and Also may take notes. This shows that the speaker has done his job successfully and the listener is responding and being active to what has been said. A listener can be biased and not even listen this does not effect the speaker cause he or she maybe responding to others. These effects show how important listening is to everyone and what an important communication skill it really is. Communication skills will be around us forever and will continue to thrive and develop as time goes by. These effects on communication skills showed that one can interpret different things through one’s communication skills. As one improves their communication skills it shows us how to talk, listen and communicate better with one another. As the world progresses we will see more people taking more time to develop this skill to there fullest. One will understand to control the effect’s communication skills causes and how to handle them.

At the end, the sender must receive without feedback by the recipient of the message. Organizational Communication: According to Wrench & Carter (2012), organizational communication is the assemblage of people with a similar interest, in a particular setup or space, interacting together to achieve a common goal. This include interaction with internal entities such as competitors, vendors, customers and other forms of stakeholders. Internally, organizational communication involves the various units and departments and the human capital, which form the important part of an organization. Organizational Communication is described as the ways and form in which communication occur in an organization. These include both internal and external communication. The container approach of communication describes organizational communication as the understanding of transmitted message through a channel to a receiver, while the social construction approach defines organizational communication as how language is processed to form diverse social structures, for example, relationship, teams and networks. Organizational communication is premised on the use of communication as a means of carrying out tasks and achieving organizational goals. According to some people, it is the lifeline of organizations. Some of the benefits of organizational communication includes, enabling various units of the organizational to work together effectively. It helps in the process of policy implementation, as well as encouraging exchange of information (Goldhaber, 1990). Organizational communication is significant in an organization in adaptation, management, motivation, leadership, and control. More so, there are certain aspects within organizational communication, such as, leadership, teams, communication networks, organizational culture, and organizational learning. Answers to Nancy’s Communication Skills Questions

1. how do you define communication, without using a dictionary.

Communication is a combination of sending and receiving information. Communicating a message is sent with a combination of words, the tone of voice and/or body language. When we email or text, we are only communicating with words. When we talk on the phone, we communicate words and our tone of voice. When we are in the physical presence of others, we can communicate with all three–word, tone of voice, and body language, including facial expressions.

2. On a scale from 1 to 10 (1 being low and 10 being high), how do you rate the importance of communication? 

I give it a NINE! I agree with the expression, “Communication is the life source of relationships as water is to fish,” If communication suffers, so will the relationship. I know. I have been there and see it in others who struggle to meaningfully connect.

3. What bugs you when it comes to communication? Do you have a communication pet peeve?

My pet verbal communication peeves include:

  • Name calling. Sexist, racist, ageism, hetero-sexism, and bullying comments are degrading to those who receive them. They reveal a dark side of the speaker. Plus, most often, I lose any respect I might have had for the speaker.
  • Blaming others as in, “It is all your fault”, which is seldom true.
  • Self-blaming or self-demeaning language such as “It is all my fault”, “I’m sorry” when no harm was done to anyone. Add, “I am useless” or “stupid me”.
  • Avoidance of a crucial conversation. Sometimes having a conversation can trigger strong emotions. Avoiding the conversation only makes the situation worse.
  • Those who pretend to listen while they are merely waiting to jump in with their own agenda.
  • Grating-in-my-ear, blatantly poor grammar. One example of the misuse or lack of using a noun is “Me and her went.”  “No one deliberately says, “Me went”!

4. What have been the biggest lessons you have learned about communication?  

It was in my early twenties that I experienced my most painful communication lesson. A friend brought her children a long distance for a visit. I talked non-stop. She later wrote me a letter describing how she felt dismissed and ignored to me.

Regardless, of crying my eyes out and apologizing, the friendship ended. To this day I still feel sad about my error. From that time forward I determined to improve my communication skills, primarily my listening skills. By the time I was forty years of age, I was a therapist who uses listening professionally.

Here are five communication skills I value:

  • Using Stephen Covey’s classic line, First, seek to understand.
  • Accepting that underneath every angry statement is a feeling of fear, frustration or hurt.
  • Believing I am in charge of how I respond to others’ messages, no matter how mean spirited they are.
  • Appropriately encouraging, empowering, and appreciating others. Relationships are built when we notice and mindfully comment. I have never met anyone who does not welcome being seen, heard and acknowledged.
  • Counting my relationship blessings.

5. On a scale from 1 to 10, (1 being poor and 10 being excellent) how would you rate yourself as a communicator?

It is difficult to rate one’s self. I give myself a 9 from where I used to be! On the whole, I rate myself at an 8. I want to honor the time and effort I have devoted to improving my communication skills.

6. What do you think you do well when you communicate?

At my ripe age, people tell me they feel uplifted, empowered, and loved by me. I watch for moments I can honestly acknowledge, encourage and appreciate. I smile as often as I can as it helps others feel safe and trusting.  Listening empathetically and using self-responsible language has earned the trust of others.

Although I tend to avoid conflict, when challenged, I have developed assertiveness skills to hold me steady . . .  most of the time. There are still situations where I end up feeling like a withered daffodil.

7. What communication skills are you working on or would like to further develop?

  • I admire our Canadian dignitary and previous US Ambassador, Stephen Lewis. He is an eloquent luminary who uses passionate, descriptive and meaningful words. The deceased Canadian storyteller, Stuart McLean had a rich, fun and whimsical language. I work at story crafting and painting pictures with words.
  • I am working at integrating Marshall Rosenberg’s work on nonviolent communication. I intend re-reading his book, Nonviolent Communication: A Language of Life.
  • We could all benefit from asking more effective open-ended questions. I am no exception. Although I have read about Appreciative Inquiry, I would like to take a workshop or training in it.

8. The digital age has brought many new ways to communicate such as email, Twitter, and Facebook.  How has communication changed?  What is helpful?

More and more of us are reading texts, listening, watching, and participating online. Here are my on screen delights:

  • I love Facebook. It has helped me stay better connected to distant friends and family. Plus, I have made connections with people all over the world.
  • My Facebook Page allows me to support followers interested in resilience concepts and promote my work. Please look at Patricia Morgan-Solutions for Resilience . LinkedIn provides more of a business focus.
  • Giving and receiving support is much easier online. Making the odd comment on Facebook, in a private chat room or in a simple Tweet, can uplift others in less than a minute. I see more and more people online reaching out to ask for a kind word, for help with a problem or for prayers. Also, I see moments of celebration; of a birthday, a wedding anniversary, a special occasion, the bloom of a beautiful flower or reaching an audacious goal!
  • Skype, Facetime, and Zoom allow me to easily see and connect with others. These tools make it easy to visit with our daughter, Katie, who has lived in Amsterdam for the last seven years. With little effort I can provide remote therapeutic counselling and deliver online presentations.
  • TedTalks provide cutting edge thinking and information. Webinars have opened the doors to economical and international learning.
  • Creative activities abound on platforms such as  Canva , Pinterest, and of course, YouTube. I enjoy video-taping resilient strengthening messages. Please look at YouTube/woeToWow  
  • The internet gives me a sense of competence. I no longer worry about not knowing . I can google it!
  • Lastly, I feel excited to share my discoveries and thoughts through blogging.

The two cautions about engaging with Social Media are:

  • Beware of using it for vanity. Use it for offering value.
  • Use it. Don’t let it use you!

9. What are the problems that you see when it comes to the digital age and communication?

Fewer of us are having face-to-face communication. I see teenagers sitting together; all with their faces in screens. Research is indicating that digital overload is changing our youths’ brains and not necessarily for the better. Many are becoming addicted to the screen and losing the ability to pick up on social cues or make meaningful conversation.

Les and I watched a documentary about an internet withdrawal treatment camp in China for youth addicted to online gaming.  Scary!

10. Based on what you have learned about communication, what advice do you offer?

Communication skills in the workplace are called ‘soft skills’ and are often devalued. Yet it is a known fact that about 80% of employees do not lose their job because of a lack of ability to do their work. They lose their jobs because they lack the ability to communicate respectfully and get along with others. John Gottman, the marriage researcher, also affirms the importance of effective communication to maintain a satisfying relationship.

Effective communication skills are key for success as an employee, a leader, parent, lover or friend. To communicate effectively:

1.      Speak with honesty, thoughtfulness, and kindness. 2.      Listen attentively and non-judgmentally.

We spend almost  70%  of our waking time communicating with others. Failed communication can lead to conflicts and frustration. Nevertheless, most of us were never taught how to communicate in a way that produces desired results.

So what is good communication, and what are obstacles that prevent us from reaching our goal or objective in the communication progress and does communication change?

I asked Dave Charon, MBA, entrepreneur and summer director of the Global Leadership Academy 9 questions about communication. Here are his answers:

1.  How would you describe good/effective communication?

Effective communication is: an interconnected connected system where people and ideas flow quickly, comprehensively, and sustainable. Effective communication is NOT just getting your point across to others quickly

It is extremely hard to do and takes lots of conscious thought and effort to set-up and maintain.

  • Quickly: The time it takes to think, message, listen, understand and then take action
  • Comprehensively: The people and ideas are sent and received completely
  • Sustainably: The cost, whether financial, emotional, or otherwise is very low allowing ideas to flow in the system easily without it breaking down (e.g. shouting and screaming makes things clear, but not sustainable)

2.  Why and when do we need it?

Effective communication is important all the time in every situation whether professional or personal. Depending on the situation, effective communication can save lives, marriages, countries, or just help avoid every day issues

3.  What are the greatest challenges to good communication?

  • People who think communication is about WHAT YOU SAY, versus HOW YOU SAY IT
  • People who focus too much on BEING HEARD, instead of LISTENING TO OTHERS
  • People who use the WRONG CHANNEL TO SEND A MESSAGE, such as choosing to discuss a difficult situation with someone else through a weak channel such as TEXT, EMAIL, or THROUGH SOMEONE ELSE
  • Not re-evaluating whether effective communication is happening, checking to see if people actually understood what was said.

4.  How important is listening in communication?

Listening is equally, and some would say even more important, than talking when it comes to good communication.

5.  Is there a way we can measure or assess effective communication?

Yes, you can measure almost anything though it really depends on the context as to what measures you use. You can survey people about how effective communication is, you can map and graph emails in terms of frequency, length, quality, content, there is something called Network analysis that is used to analyze workplace communication, lots of different ways to measure something.

6.  Can culture, gender, nationality or social class have an effect on communication?

WOW, all of these factors can change everything when it comes to communication. In the literature on this you can possibly look up “source monitoring” or as I remember it – people’s inherent ability to always assess the source of the information rather than the information itself. We are not objective creatures as we would like to think. Gender and gender roles can certainly come into play at times such as the recent videos around “ mansplaining ”. There are certainly ways to work through these differences but it takes genuine time and understanding on the part of everyone in that communication system

7.  What role do facial expressions, gestures and pauses play in communication?

Again there is  tons of research  on the impact of nonverbal communication, often much of it points to it being far more significant than most people realize.

8.  Has the development of the internet and social media caused a change in the way we communicate (quality, quantity, style etc.)?

Social Media has absolutely changed the way that we communicate, now messages can travel around the world in a matter of seconds and sometimes reaching an audience far larger than any single newspaper could ever hope to reach. Though I tend to think of things in terms of tradeoffs, not just good or bad. Social Media is fast, frequent and brief when it comes to its messaging – snippets, browsing, BUT when it comes to truly understanding someone or something, especially if it’s more complex than a sound bite, or if it’s even totally fake news, Social Media only perpetuates ideas it doesn’t demand that the user really take the time to process or understand these ideas. Just take for example reading someone’s post about “their day” and how different that is than sitting down with that person and actually talking about their day.

9.  Do you believe that teenagers could benefit from communication courses?

I believe that teenagers absolutely could benefit from communication courses, no matter what their academic interest or future career. I was recently reading about innovators who help bring about the invention of the computer and this one famous mathematician/ professor who demanded that all her students be able to write about and explain their mathematic equations as well as their importance. Communication is not just an essential professional tool but it fairly critical to navigating life on earth with some 7 billion people.

In communication, we have to take full responsibility for both what we say and what message reaches the other person. We have to be sensible to the communication styles of the people that we are talking with and choose our words, gestures and facial expressions prudently, ensuring that the right message actually reaches our counterpart. We especially have to bear in mind factors such as gender, age and culture.

All this does not mean that you should sacrifice yourself and give up on your personal beliefs! But it is important that we consider that mostly it is more about how we say something than about what is said. Good, effective communication can make life easier in many aspects and can prevent avoidable conflicts. Communication should not only be accepted as something that we do the most time of the day … we should acknowledge its value, importance and potential in our daily lives and actively train communication skills. Here it has to be acknowledged, that communication is not just verbal face-to-face, but can also be written (letters, e-mails, messages etc.), by pictures or take place over long distances.

Example answer: Good candidates know that it’s critically important to understand the problem themselves first.
