How to copy vector graphics from Illustrator to PowerPoint

vector presentation ppt

Although it’s been possible for a long time, using vector files in PowerPoint has recently become significantly easier. Whether you want to copy something from Illustrator or add a swanky SVG element to your slide, it’s all possible and we’re here to share our secret tips with you.

If you have Office 365 or PowerPoint 2019 or 2021, then it’s really easy:

  • Copy the vector graphic in Illustrator (Ctrl + C)
  • Paste into PowerPoint (Ctrl + V)
  • Convert to Microsoft Object drawing object so that it’s editable using Ungroup (Ctrl + Shift + G)
  • Then ungroup the graphic (again) to edit individual components (Ctrl + Shift + G)

But what if you don’t have Office 365? Or what if you get a .psd Photostop or .ai Illustrator file of the vector, and not a nice and easy .svg file that you can just drop into PowerPoint?

Let’s imagine. Lydia, from Marketing, has been tasked by her manager to create an informative, if gently scolding, presentation on the danger of not washing your hands regularly. An essential, after Bob from Accounting contaminated half the company with a particularly nasty strain of Norovirus and almost drove the business into bankruptcy!

Lydia, who regularly reads our blog and knows that the best way into someone’s brain is by using visual slides , wants to create something truly engaging. She has a quick look through some resource websites and find the perfect illustration: some cute looking virus.

vectors in powerpoint

Let’s have a look at what Lydia did to use this particular virus image.

How to import an Illustrator file into PowerPoint

Open the file in a program supporting vector files

Vector Virus

There’s a selection of programs that allow you to open vector files. Here’s a non-exhaustive list:

  • Adobe Illustrator (subscription only)
  • Affinity Designer (one-off fee of £49)
  • InkScape (free)
  • Gimp (free)

Once you have the file open, select all the artwork you need and copy it. This is where things get interesting. There are two different ways to paste into PowerPoint.

“Paste Special”

In the Home tab, click on the small arrow under Paste and select Paste Special.

vector presentation ppt

A dialog box will open. In the list, select Paste as Picture (Enhanced Metafile), then click OK.

Paste as Picture

Your picture will be pasted into the centre of the slide.

Virus Centre

“The Shortcut”

There is also a shortcut version of this function. Right-click on the slide (and hold), press U , and there you are! One vector asset added.

Let’s keep imagining. Lydia, although delighted that she could add the virus to her slide, has now realised that the colours clash a little with her company’s brand guidelines. She can’t let that happen and so decides to change the virus’ colours. Here’s an explanation of how she does it.

How to modify a vector file in PowerPoint

First, you need to ungroup the picture. Select it, then right-click on it and select Ungroup.

Modify Vector

A dialogue box will appear, asking you if you’re happy to convert the picture to a Microsoft Office drawing object. Click Yes.

Convert Virus

Congratulations! Your picture is now a group of editable shapes. You can change their appearance, and grow and shrink them without loss of resolution.

Small tip: Every imported picture will have a transparent “Autoshape” layer in the background. It’s visible if you open the Selection Pane, and you can easily delete it.

So here we are. Lydia now has a brand-approved virus and can go on to build some incredible visual slides on the benefits of good hygiene so that the company never has to face bankruptcy again!

Final Virus

Working with vectors in PowerPoint

There are a few other specifics that you should be aware of when working with imported vectors in PowerPoint. Gradients on vector assets are not recognised and therefore will only be pasted as non-editable pictures. If your asset has gradients, we recommend you either change them to a block colour, or export it as a PNG and import into PPT as a picture. Similarly, if your artwork has a lot of lines, we recommend converting them to shapes before importing to PowerPoint, as you could lose the line weight ratio when editing it.

And finally, vector files that include a lot of elements tend to slow down PowerPoint considerably, which can make working on one slide quite difficult. In order to avoid this, try to simplify your files as much as possible.

thank you……….god bless you……..!!!!

That helped me a lot! Thank you!!!

Thank You Sooooooo Much

Doesn’t seem to work on Mac unfortunately. I am using 360 and latest Adobe. The vector object is just pasted as a picture, I think as a PNG with transparency.

Hi Andray – Sorry to hear that – Macs are always a little bit fiddlier. The process takes a few more steps and involves getting Open Office (free): 1. In Illustrator, export your drawing as an EMF file (in the Export As menu) 2. Start a new presentation in Open Office and import the EMF file you’ve just created by Insert>Picture>From File. 3. Once the EMF file has been placed, right-click the art and select Break. 4. Save the Open Office Presentation as a PowerPoint presentation. 5. Open the new PowerPoint in PowerPoint and then paste your drawings.

Hope that helps!

Very Helpful!!!

Real Estate Business Plan PowerPoint Template

The templates with vector graphics give the benefits of scalability and editability.

Vector images are a good choice for creating attractive and engaging presentations that rely on metaphors for empowering a message.

Some benefits of the use of vector images are:

  • Combine different shapes, assets, characters, and illustrations to build a visual scene that transmits a message.
  • Vectors can be adjusted without losing graphical precision, allowing you to combine shapes from different scenes and sizes, in your presentation layout.
  • The vectors in PowerPoint give more control on the customization. It means users can change some parts or whole graphics and rearrange the elements as they like.

What are Vector Images?

Vector Images are illustrations made of points within a cartesian canvas, connected by lines and curves. On the other hand, bitmap pictures are based on colored square pixels.

Vectors are drawn by a graphic engine (PowerPoint, Browser, Illustrator, etc.), on runtime, following instructions of point and how they connect. This means, increasing and decreasing the size of the canvas will not affect the picture quality. Those lines, curves, and points stay smooth. Simplifying, vectors are a group of shapes combined to create an image, therefore, they can be ungrouped to edit each shape individually.

What are Vector Images PowerPoint Templates?

PowerPoint provides a vector engine, generally called PowerPoint Shapes . Internally PowerPoint draws the vector connecting points and lines. A vector image is created using a composite of shapes. Each individual shape can be treated as an object (you can see them in the PowerPoint selection pane with a name). Shapes can be customized, themed, and animated.

How Vector Images can be used in PowerPoint Presentation?

Vector images in PowerPoint presentations are a powerful tool to convey meaning. Using a visual metaphor your message will be associated with it, and there is a higher probability to be remembered. They are also useful as decoration, using the canvas in a more balanced way between text and visuals.

Benefits of Vector Images

Infinite Resolution: The vector images are resolution-independent. They do not lose the quality, no matter how much you zoom in or out applied. If you like a scene, you can reduce it to fit in an icon or the other way round, if you like an icon, you can resize it to be used as a slide background.

Small Size: Due to less information (containing only coordinated), the file size of vectors is small compared to pixelated photos, making your presentation smaller than when using images

Easily Manipulated: Just like building blocks, the vectors are made of several shapes. Play around with parts of the vector to create something new.

How to use vector graphics to create cool custom graphics in PowerPoint

Your email has been sent

Image of Susan Harkins

Graphics can be a huge part of your PowerPoint presentation. From icons to bullet points, to animated images, you have a design in your head, but you may not have the skills of a graphic artist or designer to create it. When this happens, you can certainly hire a professional—and you should in some situations. On the other hand, with the amount of free graphic art out there, it’s worth finding something that sort of meets your needs and then adapting it. You don’t need any specialized skills. You only need a good feel for what you want.

SEE: 83 Excel tips every user should master (TechRepublic)

I’m using Microsoft 365 (desktop) on a Windows 10 64-bit system, but you can use earlier versions. For your convenience, you can download the demonstration .pptx and .ppt files . This article isn’t appropriate for the online version. This article assumes you have basic skills in PowerPoint, such as inserting objects and formatting, but even a beginner should be able to work through the instructions to success.

Make a plan for your custom graphic

When adding custom graphics to a presentation, whether for icons, bullet points or animation, you need a bit of plan before you actually start inserting things. For most of us, that means relating graphics to the organization the presentation represents. Think about the logo—its shapes and colors—and incorporate those in your graphics when appropriate. In addition, think about the point you’re trying to illustrate. Did profits go up? That could mean anything from a bold arrow to a smiley face, to a simple text message—Congratulations! On the other hand, if you really can’t come up with something from the start, there’s nothing wrong with a bit of research to spark your imagination.

How to insert a graphic in PowerPoint

Finding the right graphic can be frustrating. You can hire a professional to design and create your graphics, or you can experiment a little and use pieces of one or many graphics to create a graphic.

Now let’s suppose that you sell koi fish, and you want to create a graphic, quickly and easily. You found one, but it isn’t the overall picture you imagined. The good news is that you can insert the graphic, break it down into pieces and then use the pieces to create a different design.

First, we need a graphic and the stock images accessible with PowerPoint. It came through for us, as you can see in Figure A . In a blank slide, do the following:

  • Click the Insert tab and click Pictures in the Pictures group.
  • Choose Stock Images in the dropdown.
  • In the resulting pane, click Illustrations.
  • Find the koi graphic, click it, and then click Insert.

vector presentation ppt

Once the graphic is in a slide, you must see if it’s something you can use.

About vectors

If you find a graphic that’s perfect as is, great. If not, you can choose one that’s close, choose the pieces and delete what you don’t need. But you can’t do that with every graphic. You’re looking for vector files. In the simplest terms, a vector file is stored as a series of lines and curves, rather than pixels (little dots). They’re easier to scale. A side benefit is that you can often separate the lines.

To determine if a graphic is a vector file, look at the extension; most vector files are .svg, .cgm, .odg, .eps and .xml files. When using the stock images option, you won’t know what type of file a graphic is. Once it’s inserted, you can right-click and choose Save As Picture to see the file’s name and extension. As you can see in Figure B , the demonstration graphic is an .svg file, so we should be able to use it.

vector presentation ppt

Separating the pieces

The first step to dismantling the koi graphic is to select it and then click the contextual Graphics Format tab. In the Arrange group, click the Group dropdown and choose Ungroup. If the Ungroup option is dimmed, you can’t use the graphic; find another graphic to work with. However, this shouldn’t happen with a vector file. Just the same, when you click Ungroup, PowerPoint displays the message in Figure C . Keeping going; click Yes.

vector presentation ppt

You might see this message when trying to ungroup vector files. Figure D shows the ungrouped image. We’re lucky because this one has only four parts to work with; sometimes these files are very complex and removing pieces without impacting what you want to keep is difficult. I recommend that you work with a copy. That way if you really mess it up, you can delete the mess, make a new copy and start over without having to insert the graphic again.

vector presentation ppt

We want to keep both of the fish and delete all of the background. If you like, start pulling the different pieces apart to get an idea of how it’s put together. To do so, click anywhere outside the graphic to clear the select and start clicking to select a piece at a time. Figure E shows the four pieces separated. Keep only the two fish; delete the background circle and the rectangle with bubbles.

vector presentation ppt

Use the rotation handle to position both koi. Figure F shows the placement you want. You’ll also have to rotate (horizontally) the black koi. Click the Arrange dropdown, choose Rotate and then choose Rotate Horizontally. (The demonstration .pptx file has a slide of only the koi if you can’t position them correctly, or you prefer not to.)

vector presentation ppt

Finishing up

It’s time to consider logo art, shapes and so on. Let’s suppose your company logo is blue. Let’s create a blue circle, format it to resemble an icon and put the koi and circle together.

The finished circle is in Figure G . Insert a circle from the Shapes dropdown on the Insert menu. Hold down the Shift key as you draw the circle to make sure it’s a perfect circle. With the shape selected, use the contextual Shape Format tab’s Shape Fill, Shape Outline and Shape Effects options to add a light blue fill color with a gradient (or not), an outline and a shadow. After adding the koi, you can always change your mind.

vector presentation ppt

With the background ready, copy the two koi parts to the background. Figure H is my results—don’t worry if yours is a bit different. I set the slide’s background to a dark gray to match the gray and white fish. You could just as easily match the orange koi. Then, I went back to the original slide and copied the bubbles twice; the bubbles aren’t symmetrical on purpose. You’re free to change the positions of the koi, the background colors and so on. For instance, the circle’s shadow is lost in the dark background. This is a simple decision to make: lighten the background or remove the shadow.

After you work through a few vector images, you’ll begin to develop a bit of a second nature about what will work and won’t don’t. Before you start, be sure to look at the file’s name to make sure it’s a vector file. The point is to learn how to use free vector clipart, icons, illustrations and so on to create what you want. When the new graphic is done, consider grouping all the pieces and the background so you can easily resize and reposition. In this demonstration, the finished image is large, but you can make it any size you like—even much smaller, you can still make out the details.

A SCALAR is ANY quantity in physics that has MAGNITUDE, but NOT a direction associated with it. Magnitude – A numerical value with units.

A VECTOR is ANY quantity in physics that has BOTH MAGNITUDE and DIRECTION. x displacement x = 6 cm, 250 A picture is worth a thousand word, at least they say so. Vectors are typically illustrated by drawing an ARROW above the symbol. The arrow is used to convey direction and magnitude. length = magnitude 6 cm L Head 250 250 above x-axis = direction H Tail

The length of the vector, drawn to scale, indicates the magnitude of the vector quantity. the direction of a vector is the counterclockwise angle of rotation which that vector makes with due East or x-axis.

Example of a vector velocity of a plane A resultant (the real one) velocity is sometimes the result of combining two or more velocities.

80 km km km km km km km h h h h h h h 200 200 280 120 80 200 A small plane is heading south at speed of 200 km/h (If there was no wind plane’s velocity would be 200 km/h south) 2. It’s Texas: the wind changes direction suddenly 1800. Velocity vectors are now in opposite direction. 1. The plane encounters a tailwind of 80 km/h. e e Flying against a 80 km/h wind, the plane travels only 120 km in one hour relative to the ground. resulting velocity relative to the ground is 280 km/h

You can use common sense to find resulting velocity of the plane in the case of tailwind and headwind, but if the wind changes direction once more and wind velocity is now at different angle, combining velocities is not any more trivial. Then, it’s just right time to use vector algebra.

km km km km h h h h 200 200 80 80 3. The plane encounters a crosswind of 80 km/h. Will the crosswind speed up the plane, slow it down, or have no effect? HELP: In one hour plane will move 80 km east and 200 km south, So it will cover more distance in one hour then if it was moving south only at 200 km/h. To find that out we have to add these two vectors. The sum of these two vectors is called RESULTANT. The magnitude of resultant velocity (speed v) can be found using Pythagorean theorem v = 215 km/h RESULTANT RESULTANT VECTOR (RESULTANT VELOCITY) So relative to the ground, the plane moves 215 km/h southeasterly. Very unusual math, isn’t it? You added 200 km/h and 80 km/h and you get 215 km/h. 1 + 1 is not necessarily 2 in vector algebra.

km km km km km h h h h h 200 280 120 215 180 If the air velocity was not at the right angle to the plane velocity, you intuitively know that the speed of the plane would be different. So we are coming to the surprising result. 200 + 80 can be almost anything if 200 and 80 have direction.

Vector Addition: 6 + 5 = ? Till now you naively thought that 6 + 5 = 11. In vector algebra 6 + 5 can be 10 and 2, and 8, and… Not so fast When two forces are acting on you, for example 5N and 6N, the resultant force, the one that can replace these two having the same effect, will depend on directions of 5N force and 6N force. Adding these two vectors will not necessarily result in a force of 11N. The rules for adding vectors are different than the rules for adding two scalars, for example 2kg potato + 2kg potatos = 4 kg potatoes. Mass doesn’t have direction. Vectors are quantities which include direction. As such, the addition of two or more vectors must take into account their directions.

There are a number of methods for carrying out the addition of two (or more) vectors. The most common methods are:"head-to-tail"and “parallelogram”method of vector addition. We’ll first do head-to-tail method, but before that, we have to introduce multiplication of vector by scalar.

Two vectors are equal if they have the same magnitude and the same direction. This is the same vector. It doesn’t matter where it is. You can move it around. It is determined ONLY by magnitude and direction, NOT by starting point.

2A 3A - A – A A A ½ A Multiplying vector by a scalar Multiplying a vector by a scalar will ONLY CHANGE its magnitude. Multiplying vector by 2 increases its magnitude by a factor 2, but does not change its direction. One exception: Multiplying a vector by “-1” does not change the magnitude, but it does reverse it's direction Opposite vectors – 3A

examples: v – velocity: 6 m/s, E + 5 m/s, 300 a –acceleration: 6 m/s2, E + 5 m/s2, 300 F– force: 6 N, E + 5 N, 300 5 6 Vector addition - head-to-tail method vectors: 6 units,E + 5 units,300 + 300 you can ONLY add the same kind (apples + apples) 1. Vectors are drawn to scale in given direction. 2. The second vector is then drawn such that its tail is positioned at the head of the first vector. 3. The sum of two such vectors is the third vector which stretches from the tail of the first vector to the head of the second vector. This third vector is known as the "resultant" - it is the result of adding the two vectors. The resultant is the vector sum of the two individual vectors. So, you can see now that magnitude of the resultant is dependent upon the direction which the two individual vectors have.

The order in which two or more vectors are added does noteffect result. vectors can be moved around as long as their length (magnitude) and direction are not changed. Vectors that have the same magnitude and the same direction are the same. Adding A + B + C + D + E yields the same result as adding C + B + A + D + E or D + E + A + B + C. The resultant, shown as the green vector, has the same magnitude and direction regardless of the order in which the five individual vectors are added.

Example: A man walks 54.5 meters east, then 30 meters west. Calculate his displacement relative to where he started? 54.5 m, E + 30 m, W 24.5 m, E • Example: A man walks 54.5 meters east, then again 30 meters east. Calculate his displacement relative to where he started? 54.5 m, E 30 m, E + 84.5 m, E • Example: A man walks 54.5 meters east, then 30 meters north. Calculate his displacement relative to where he started? 62.2 m, NE 30 m, N + The sum 54.5 m + 30 m depends on their directions if they are vectors. 54.5 m, E

BUT…..what about the VALUE of the angle??? Just putting North of East on the answer is NOT specific enough for the direction. We MUST find the VALUE of the angle. 62.2 m, NE 30 m, N  = 290 q 54.5 m, E So the COMPLETE final answer is : 62.2 m, 290 or 62.2 m @ 290

A boat moves with a velocity of 15 m/s, N in a river which flows with a velocity of 8.0 m/s, west. Calculate the boat's resultant velocity with respect to due north. 8.0 m/s, W 15 m/s, N q The Final Answer :

Example A bear, searching for food wanders 35 meters east then 20 meters north. Frustrated, he wanders another 12 meters west then 6 meters south. Calculate the bear's displacement. 12 m, W 6 m, S 20 m, N q R 35 m, E 14 m 23 m The Final Answer:

Vector addition – comparison between “head-to-tail” and “parallelogram” method Two methods for vector addition are equivalent. parallelogram method of vector addition "head-to-tail" method of vector addition

"head-to-tail" method of vector addition + The resultant vector is the vector sum of the two individual vectors. = + parallelogram method of vector addition +

The only difference is that it is much easier to use "head-to-tail" method when you have to add several vectors. RESULTANT What a mess if you try to do it using parallelogram method. At least for me!!!!

Remember the plane with velocities not at right angles to each other. You can find resultant velocity graphically, but now you CANNOT use Pythagorean theorem to get speed. If you drew scaled diagram you can simply use ruler and protractor to find both speed and angle. Or you can use analytical way of adding them. LATER!!!

SUBTRACTION is adding opposite vector.

I WANT YOU TO DO IT NOW

q A Components of Vectors – Any vector can be “resolved” into two component vectors. These two vectors are called components. Ax = A cos  Ay = A sin  Vertical component y – component of the vector Ay if the vector is in the first quandrant; if not, find  from the picture. Ax Horizontal component x – component of the vector Vector addition: Sum of two vectors gives resultant vector.

q Examle: A plane moves with velocity of 34 m/s @ 48°. Calculate the plane's horizontal and vertical velocity components. We could have asked: the plane moves with velocity of 34 m/s @ 48°. It is heading north, but the wind is blowing east. Find the speed of both, plane and wind. v = 34 m/s @ 48° . Find vx and vy vy vx vx = 34 m/s cos 48° = 23 m/s wind vy = 34 m/s sin 48° = 25 m/s plane

A plane moves with a velocity of 63.5 m/s at 32 degrees South of East. Calculate the plane's horizontal and vertical velocity components. vx = ? – 320 Vy= ? Vy 63.5 m/s

q If you know x- and y- components of a vector you can find the magnitude and direction of that vector: Let: Fx= 4 N Fy= 3 N . Find magnitude (always positive) and direction. Fy  = arc tan (¾) = 370 Fx

Vector addition – analytically By Cy Bx Ay Ax Cx

example: = 68 N@ 24° = 32 N @ 65° Fx = F1x + F2x = 68 cos240 + 32 cos650 = 75.6 N Fy = F1y + F2y = 68 sin240 + 32 sin650 = 56.7 N  = arc tan (56.7/75.6) = 36.90

How to Convert a PowerPoint Presentation to a Vector Image

Last updated on April 1st, 2024

If you are using custom shapes and graphics in PowerPoint as vectors, you may want to export the existing slide shapes to vector format so that you can open the presentation content in other applications like Adobe Illustrator, Corel, Affinity, Canva, etc. In this article we will explain you how to export your PowerPoint presentation to a vector image .

First, open your PowerPoint presentation and draw some shapes so we can start trying this powerful and useful tip.

Once you have inserted some shapes in the slide, go to File -> Save As and choose Enhanced Windows Metafile (.emf) or Scalable Vector Graphics Format (.svg).

Choose an output filename and then save it.

You will be asked to save the current slide only or all slides in the presentation. For this test you can just save the current slide so we can see the results.

Now, you can locate the output vectorized image and open it with Illustrator or any other vectorization tool.

Export Individual Graphics to Scalable Vector format in PowerPoint

Another way to export vector graphics in PowerPoint is by right clicking on the graphic and then Save as Picture. If you do this for a graphic in PowerPoint (be it a shape, SmartArt graphic or a PowerPoint object), you’d be able to pick the SVG format from the type options, as shown in the picture below:

Export Shape from PowerPoint to SVG format

Then, you can open the .svg file in any other presentation tool or design tool, and enjoy the benefits of the scalable objects.

Other ways to export PowerPoint to Vector

You can save your PowerPoint presentation as PDF and then open the resulting PDF document in Photoshop or Illustrator.

Another useful tip to export your slide to vector (.eps) is opening the Notes Page in PowerPoint (used to print handouts and speaker notes) and then select the slide with the select tool. Copy the selection and then paste it in your preferred vectorization tool like Illustrator, Corel or the Open Source Ink Scape.

Export Shape from PowerPoint to Vector Format

Finally, we have exported the graphics from PowerPoint to vector format.

What are possible use cases of this functionality? Here are some examples of use cases where you can leverage the functionality to export shapes from PowerPoint to vector format.

How to use AI to help improve your presentations

Creating and giving a presentation isn’t always easy, especially if you want to deliver a dynamite lecture. However, by harnessing the power of AI tools, you can elevate your presentations and leave a lasting impression on your audience. See how AI can provide valuable insights and enhancements to make your presentations stand out.

A person giving a presentation

How AI can create structure in your presentation

No matter the subject, every great presentation has a narrative. You begin by introducing yourself and why you’re the best person to present this subject. Then, you mention the general outline and key topics before diving into the details: problems, potential solutions, and calls to action. Finally, you end with a conclusion that wraps up your topics and brings your presentation full circle.

Sometimes, this structure can be hard to define. Asking AI to create an outline for a presentation can be a great time-saving shortcut. If you’re starting with a complex research paper or passage, you can directly copy and paste it into the AI chat window, then ask to summarize it. AI can also extract key points for headings, which can create your outline for slide titles.

Use AI to design visually attractive presentations

You don’t need to be a graphic designer to create presentations that are both striking and easy to follow. With AI tools integrated into Microsoft PowerPoint , you can design slides that consider factors like readable fonts, compatible color schemes, the informational hierarchy , and information spacing that won’t overwhelm the audience with too much to see on each slide.

AI image creators can also translate your text into custom visuals: not only can this bring your slides to life, but it can also save you time from searching through image libraries, stock photos, or visual sources from the Internet.

Tell your story with captivating presentations Banner

Powerpoint empowers you to develop well-designed content across all your devices

AI tools that transcribe recordings into presentations

While the visual presentation is one aspect of your project, your speech and delivery are vital. The key to this is practice. Rehearsing your presentation out loud, and especially multiple times before you go onstage, can aid in balancing when to present new points, ensure smooth transitions between slides, time your overall presentation, and help you refine your text so you can sound clearer.

AI can help! Advanced tools can transcribe your spoken words, both in real-time and through prerecorded clips on your computer or mobile device. This not only assists in creating accurate speaker notes but also provides an opportunity to learn how you sound, allowing you to refine and improve your delivery. In PowerPoint, speaker notes are hidden from the audience during a live presentation, and AI integration can generate live notes from the sound of your voice—which makes it easy to practice and familiarize yourself with your content.

AI tools that can summarize, design, and transcribe your presentations can make it easier to engage with your audience confidently. See more presentation tips to enhance your points, such as how to craft a compelling story or how to overcome public speaking anxiety .

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Read more: The 20 Best Mac Apps That Will Improve Your Apple Experience

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

  • Visit the Microsoft 365 page .
  • If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
  • On the Office home page, select PowerPoint from the side panel on the left.
  • Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
  • Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

  • Search for Microsoft 365 (Office) on the Microsoft Store app.
  • Install and open it.
  • Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
  • Click on Create on the left side panel.
  • Select Presentation.
  • In the PowerPoint window that opens, log in using your account.
  • Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
  • Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

  • Install Microsoft PowerPoint from the App Store or Google Play Store .
  • Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
  • On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
  • If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
  • To make a new presentation, tap the plus sign in the upper right corner.
  • Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
  • Press "Set as default" to set your local folder as the default file storage location.
  • Choose your template from the selection or use a blank presentation.
  • Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

  • Go to the Office 365 Education page .
  • Type in your school email address in the empty text field.
  • Press "Get Started."
  • On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
  • For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
  • Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.
