In this podcast, we're going to be covering communication advice and tips to help express yourself with confidence in English in professional settings. So we hope you enjoy the show!

Okay, welcome back for our third episode of Talaera Talks. This is Simon, and I'm joined with Paola. Paola, how are you doing? 0:37 Hi, Simon. I'm great. Happy to do another episode. 0:41 Yeah, absolutely. And Happy Friday. 0:44 Happy Friday! 0:49 So today, our topic: Presenting in English. I'd like to start this episode with a quote I found on Harvard Business Review that I thought was really interesting. It says, "Even native English speakers often anticipate disaster when making presentations. By but for non-native speakers, the anticipatory and situational anxiety associated with their unique challenges (these challenges - being understandable, choosing the right words, speaking spontaneously), can be overwhelming. Moreover, if these concerns interfere with your willingness or ability to make business presentations, the impact can be career-limiting." So yeah, that's a pretty kind of heavy quote to start. But it is something that we see from a lot of our clients, right? 1:52 Yeah, it's super interesting. It was super interesting to read. It's something we know, but it's important to remind it that it is presentations, the topic we have today is something that is not pleasurable for anyone, not for non-native speakers, but also for native speakers. So that's something to point out. And today, we talked about that... We said that we wanted to start with those challenges or fears that we see from our clients, our learners. 2:25 Yeah, and it's usually around the same things, you know, we, at least for me, I come into contact with so many of these, so many of our students who are so competent in their, in their daily lives, what they're doing in their professional lives. And they come to me with these with these fears, like this just general lack of confidence, or imposter syndrome, right? This I don't know if I really deserve to be speaking and, you know, kind of explaining this concept to all these people. 3:05 Mm-hmm. Yes. And also the fear of not being understood, well, they know what I'm saying, well, they understand my accent. There's a lot of worries and concern around accent and our pronunciation expert, Lisa hosted a webinar, actually last week, where she explained that accent matters. But as long as people understand you, it's fine. You don't need to be perfect. Everyone has an accent. So that's also totally fine. 3:37 And this being Yeah, this being one of I think, at least for me, in my experience, one of the most frequently asked for aspects from students. So you know, and just to like, again, just say that this is a challenge for everyone, not just, you know, non-native English speakers. You know, I think all of us have a tough experience or somebody that we think of when we think about public speaking, it's, it's like this, yeah, really anxiety-riddled thing. I mean, I don't have any, you know, funny personal stories, but uh, do you, Paola? 4:20 You want me to tell my embarrassing story, don't you? 4:22 Please, you must. 4:25 So I used to teach at a university in Vietnam when I lived there, and the classes where it rains, you know, from perhaps 50 students to up to what 300 there's was a class with, you know, 2-300 students and there was a little stage it wasn't too high, but there was a little stage and I fell off. 4:46 You fell off the stage. This was during or after the presentation, or...? 4:56 It was around the beginning of the presentation. So... 5:01 During! Oh, I thought it was it was like after like you were walking off? 5:06 No, I move a lot. I use my body language quite a lot. And that was one of the moments where I overdid it, probably, and fell off. 5:17 Wow. Well, I'm glad that you're still here with us. 5:21 Yeah, you know, but that's the story that I sometimes not always tell it. But I sometimes tell it when my students say, Oh, I'm nervous, and I assume that it can happen, you know, I thought it was going to be a disaster. And then I actually ended up making friends with the students that turned out okay. 5:39 Right. Well, yeah, I mean, today, we're not necessarily going to go into the physical dimensions of how to avoid falling off the stage. But we do have some, some good tips, right? 5:54 Yes. And to provide some advice on how to deliver presentations, and lose that fear, we've divided it into three main blocks. And those are what to do before the presentation, tips for during the presentation. And then even after there's things you can do to, to get better. 6:18 Right, let's start with the first, right, what can we do before the presentation in terms of getting ready, preparing? 6:30 So preparing, it's a very general term, but one of the tips that we like to give is, think of the WHAT, WHY and NEXT. So WHAT is your presentation about? WHY should they listen to you and not look it up online (or listen to a podcast, like ours)? And in what NEXT means - what is supposed to happen next? Do they need to do anything, go on a website, send you feedback? Are you going to send them the materials? So what why our next is so straightforward and simple. But when I asked this question to our clients that are so thrown off, and they don't know what to answer sometimes, 7:10 Yeah, I think that's one of those things. And I struggle with this all the time is, when I get an idea or something like that. It's so easy to just jump over those most basic things of, you know, what, why and index, those are so, so basic, but it's such it's, they're so foundational, right? And in terms of creating something that people will understand and be able to, to really attach to. 7:41 Yep. And do you have any tips around how much you should learn? Should you write the whole thing? Or should you memorize? 7:52 Yeah, that, you know, this is a good question as well, that a lot of our learners ask in terms of, yeah, you know, I'm just going to go and write it all out. And then I'll have an idea. And I'll feel better because I can write it and change it so that it sounds more professional. It sounds like I know what I'm talking about. And I always tell people, please don't try to prepare a presentation where you're reading a script, it is just the most unnatural thing ever. And, and it, you won't end up sounding more professional, if anything, your audience is going to detach, because they're going to sense that something's not really right here, it doesn't seem genuine, right doesn't seem real, it just seems like this person is doing what he's doing, which is reading off of a script. And even still a lot of times with a lot of our learners where they know that, okay, I know this material. But I'm going to put all of my effort into making this perfect slide this perfect presentation. So I would say, focus on actually knowing the material itself really well. More than focusing on how the presentation looks, you know, these kinds of things. Because once you're in that situation where you're on the stage, and people are looking at you, at least you'll be able to Windows like kind of red Sirens of you know, panic and anxiety show up. You'll have learned the material itself so well that you can roll with that. 9:29 Yes. And you also have room for improvisation because your brain is so used to the content and you know, so well what you want to say that that's when your brain starts to come up with anecdotes and that's the fun thing that gets you hooked. And that's the main Why should people listen to you instead of reading an article online? 9:49 Exactly. Because for most of our students, you know what you're talking about. That's why you're up there. That's why you have the opportunities to speak there is because someone thinks you're qualified enough to speak to all these people. So trust in that and go with that. So yeah, so we have right not, not over learning. Don't script it right? What else can we do? 10:14 Practice, practice, practice, practice, practice in your mind, but more importantly verbalize it, say it out loud. And recording yourself is uncomfortable for everyone. But it works. I have never tried it. I always told my students should record yourself, you should record yourself and they were like, Huh. And just a few of them did it. And when we started with the webinars, I haven't done something like it before. And I said, Okay, I'll use my own tip. And it was one I'm comfortable. And two, super helpful. So if you get to go over the sound of your own voice, I would say do it. 10:54 Yeah. You know, this is one thing that I have to be totally honest here. Doing these podcasts is the first time I've actually recorded myself for a long time. And I've learned a lot about, you know, not saying the word Absolutely. 500 times, yeah, within the span of 20 minutes. So those are good learning lessons. Definitely. Okay, and then so we have that. And then the last little tip is, I would say get an English mindset before 30 minutes to an hour before the presentation. And that could be listening to a podcast, you know, like Talaera Talks, or, you know, watching a show on Netflix that's, that's in English, whatever you can do to get your kind of English mind, you know, in the zone before you go up and actually speak English. So So those are all of our kind of pre presentation tips, what you can do before, so what about during, 11:58 so for during, there's a lot of things that you can you can do to improve your presentations. But the first tip is to learn how to start to have a mind map of what am I going to do at the beginning. So you start confident already. So welcome, everyone, introduce the people introduce the topic and go to the main point, those four parts will help you have a nice start. Welcome, everyone. For example. Hi, everyone. Welcome to today's presentation. Today, we'll be talking about business events, introduce the people, you can introduce yourself , like, Hi, my name is Paula and I'm a business English instructor at Telstra, and perhaps even the audience. Today we have with us students from all different nationalities and levels, or, you know, whatever the audiences, that's also helpful for everyone to understand, introduce the topic, or give you some best practices for business emails , and a few templates, and then go to the main point. So a simple sentence like Alright, let's get down to business. So having those welcome introducing people introducing the topic and going to the main point will help you have a nice start. 13:16 Yeah, and I like that concept of that the mind map is so good. Because it's it's not the scripting, like we were talking about before, it's having a kind of a little mental checklist. So that when those first few minutes, were you're up there on the on stage, and you're like, oh god, oh, god, here we go. Here we go. You have that little checklist that I created. Okay, so I welcomed introduced the people the topic, and now to the main point, and that can get you in the zone and going I really liked that. Yeah, so so having that, that starting template. And then another thing would be, I would say slowing down, slowing it down. And this is really I think it touches on a lot of aspects. The first would be just the general anxiety, we tend to speak a lot faster when we're really anxious, you know, but by slowing down, it really helps with non native English speakers because it helps with the accent. And it helps with giving you some time to really think through your next thoughts. Now, I'm not saying that you should, while you're speaking, try to think steps three, four or five ahead of you. But giving yourself a little bit of time to Okay, I'm going through this pattern now. Now I can go to the next one, right. And doing that, you know, another with the slowing down a tip if you're really nervous to go in is prefacing your speech. So before you really get into everything, maybe after the welcome part is just to say, Hey, you know, I'm going to try to speak as clearly as possible, as English as myself. first language and really smile and maybe make a little joke about that. And I think that's a good way to open it out for the audience to show some vulnerability and and help. I mean, what do you think about that? 15:13 Yeah, I mean, we see that with, sometimes with celebrities, when they're not native speakers, and they admitted, and they, they kind of put yourself put themselves, as you said, in that vulnerable position, and that makes them even cuter. 15:28 Mm hmm. 15:29 So it's making yourself human, I think it's always a good tip. And you were saying that slowing down helps with your accent and also for yourself to gain time to really know what you're going to say. But also for the for the audience. We don't mind people making some little pulses, so that they also have time to collect their thoughts. 15:50 Right, right. Yeah. Yeah, definitely. Those are, those are two really good aspects, starting, you know, the template and then slowing down, right. Yeah, kind of diffusing the anxiety by saying, Hey, you know, this isn't my first language. And that really gets the audience on your side, right. And then another would be not reading off of your slides. I mean, this is kind of the basic, you know, what you learn in school, but it's also something that a lot of people get, yeah, get, get hooked on, just because it's like a safety net. And I would say that's where the overlearning the material that we talked about beforehand comes into play. Anything else in this? 16:42 Oh, recap for sure. After every section, do a little recap, and at the end to recap where you summarize the main points of the whole presentation? 16:54 Yeah, yeah. Good. Good. So So summarize. Yeah, yeah. And that's a that's a good, you know, I would say three aspects, four aspects that during the presentation, if you keep these in, in your mind, it's, it's, I would say, it's going to help a lot. And so now we're going to move to what can we do after the presentation? We've done it, we've walked off the stage. Whoo, I'm so glad that's over. Now, is all of our work done? No. 17:27 No, not really. That's now it's your chance to actually learn from, from everything you did. So one of the tips we suggest is try to ask for feedback. But that's not so easy, right, Simon? 17:42 Yeah, it's, I think, a big question. And that is, who do you get the feedback from? Right?

17:50 So we, we would always suggest to try and find someone you can trust someone who is honest, and who can give you objective feedback. So in some cases, that can be your manager, but sometimes it's a colleague that understands the topic, and can really provide some feedback on how you did. 18:13 Yeah. And that's, I think, in terms of learning, this is one of the most crucial thing is reflecting back on what you did, and seeing what worked, what didn't work, and how can I take that and move forward? Because especially with presenting, it's a skill, and it takes practice, practice, practice. And, and I think, for a lot of people, you should jump at the chance to do this. So that you can continue to learn and continue to grow. But be sure to reflect by Yeah, by asking for feedback and seeing what worked, 18:47 for sure. And ideally, that would be someone, perhaps from work that can see how you did and like the actual show, if not Talaera teachers also do that. So you can present your own presentation, pretending it's the actual one. And that's how we can provide feedback on the structure, the vocabulary, the language in general. 19:08 Yeah, absolutely. I do that. Oh, there you go. Absolutely. Definitely. See, I'm reflecting back and learning as we go. I'm working. I'm learning that. Yeah. But I've done that recently with a couple of students where we've gone through their deck and looked at what are their plans in terms of presenting and we've kind of gone through in detail that together. So So yeah, so that was kind of I would say the biggest thing in terms of afterward. 19:40 So we have the pre-presentation, just as a quick recap for the pre-presentation and before your presentation, always remember the what why next, what is your presentation about? Why should people listen to you and what should happen next overnight Learn the content. be super confident about what you want to talk about. But don't script it. Don't write everything down. Otherwise, it would sound like you're just reading. 20:11 Write and practice through verbalization. record yourself, even though it may be awkward, but it's a great learning technique. And then get in that English mindset beforehand by Yeah, listening to a podcast or what have you. And then during the presentation, right, starting with the template, Paolo was discussing the welcome introducing the people the topic, and then going to the main point, 20:37 slowing down a little bit. It's not necessary to go super fast. It's not only not necessary, but people will understand you better if you take your time and make some pauses. Of course, don't read off their slides. Tell them the story. 20:54 Right, right. And remember 20:56 to recap, just like we're doing now. Send them or tell them a quick summary and the main points, 21:03 right, and don't fall off the stage as well. That's ideally we forgot. Ideally, it's final for then, as the final point, right, asking for feedback, finding that person that can get you that feedback that's so important to you. Presentations have the advantage that many standard phrases can be used at various points. Perhaps you wish to welcome the audience, introduce the speaker and the topic, outline the structure, offer a summary, or deal with questions. In all these situations, you can apply a number of useful expressions that will make your presentation a linguistic success.

At the beginning of each presentation, you should welcome your audience. Depending on who you are addressing, you should extend a more or less formal welcome.

If I had to name The KEY to your success in giving a presentation, it would be PREPARATION and PRACTICE.

If you think about it, it’s not really a rocket science – you have to prepare slides for the presentation and that’s half of the job already done!

Yes, it’s the actual slides that make up the main part of the presentation and in theory you could give a decent presentation just by switching between the slides and describing what you see in them!

Therefore it would seem to follow that all you have to do to ensure successful performance during a presentation is to prepare the slideshow in a way that enables you to more or less read all the information off the screen, right?

Well, slide preparation is obviously crucial in order to give a presentation, there’s no doubt about that!

I mean – preparing the slides and presenting all the information to the audience is what makes the presentation a presentation.

For those unaware – if you’re just standing in front of people talking about a specific subject, it’s called a SPEECH.

Adding some visual clues to your speech makes it a PRESENTATION – at least in my opinion.

In reality, to engage the audience and make the presentation flow nicely, reading information off the slides just doesn’t cut it:

  • You have to know how to address the audience.
  • You have to use the best means of expression to comment on the slides.
  • And you also have to use the proper English phrases to stress the main points and draw conclusions during the presentation!

That’s exactly where English presentation phrases step in , so without further ado let me give you the very cream of the crop!

Presentation Opening Statements

Presentation opening phrases in English

I’d like to take this opportunity – this is a typical phrase you can use to thank everyone for attending the presentation: “Hello everyone, my name is such and such, and I’d like to take this opportunity to thank you all for coming along!”

I’m honored to be here – this is how you express your gratitude for being invited to give the presentation.

Having been given this opportunity to – this is another handy phrase to use when expressing gratitude during the opening statement of the presentation: “I’m really thankful for having been given this opportunity to speak in front of such a large audience!”

Without further ado – this may be an overused phrase, but it doesn’t make it less useful! Basically you can use it whenever you’re ready to proceed to the next stage of the presentation: “So, without further ado, let me introduce the main concepts I’m going to cover in this presentation!”

Providing an Overview of the Presentation

I’m going to address – when you’re announcing the topic of your presentation, this English phrase comes in very handy: “In this presentation I’m going to address the rise and fall of the Roman Empire.”

Give you a quick rundown – “rundown” is a synonym for “summary”: “Now I’m going to give you a quick rundown of the various companies I’m going to mention during this presentation.”

I’ll walk you through – here’s an example of how this phrase can be used: “… and then I’ll walk you through the different stages of a product lifecycle.”

Here are the main points we’re going to cover – this is a really practical phrase you can use in your presentation to list all the main points.

And finally, I’ll wrap up this presentation by looking at – here’s how you specify what you’ll do at the very end of the presentation: “And finally, I’ll wrap up this presentation by looking at how the new budget is going to affect the ordinary working class people.”

How to Mention Specific Facts and Present Data

English phrases to use when presenting data during a presentation

…to paint a clearer picture for you! – this English idiomatic expression means “to make it clearer for you” and is perfect during presentations: “So, in order to paint a clearer picture for you, let me bring up this slide where you can see…”

This is a classic example of – when presenting specific facts, you can use this phrase to stress that the subject in question is a typical representation of the issue at hand: “Please have a closer look at this specimen – it’s a classic example of a mutated fish which is a direct result of waste water contamination!”

The most pressing issue – it simply means the most important issue.

Many studies have shown that – this is how you introduce some facts you don’t have a specific reference for, but you know them to be true: “Many studies with lab rats have shown that consuming genetically modified food increases the incidence of certain types of cancer.”

So, where were we? – if there’s been a short interruption during the presentation, this is how you resume it: “All right, so, where we? If I’m not mistaken, we were looking at the current euro currency rate…”

Ranging from … to – this is how you describe a range of objects: “As we already know, our competitors offer all kinds of children’s clothing ranging from shoes to school uniforms, so the best option for us is to specialize in a specific line of children’s clothing.”

More detailed information on it – if you have to tell your audience where they can find more information on a particular topic, this is the sentence to use: “… and you can find more detailed information on last year’s fiscal policy by visiting this website…”

Anything below (above)… is considered to be – this English presentation phrase helps you describe values below or above a certain threshold: “… and anything below 7 is considered to be a poor performance figure.”

Another important factor to consider – this phrase helps you to move on to the next point in the presentation: “Another important factor to consider when looking at the sales figures is the stock levels, so let me bring up this slide where you can see…”

Which brings us to the next point – this phrase is ideal in a situation when you have to make a transition from the previous point to the next one: “When dealing with crime, high conviction rate alone isn’t going to solve the problem, we have to look at how to avoid ex-convicts re-offending again, which brings us to the next point – rehabilitation.”

Currently stands at – do you have to present a specific figure during your presentation? This is the perfect way of doing it: “As you can see in the chart, the unemployment rate currently stands at 6% which is a 10-year low.”

Current estimate is around – when presenting estimates, this is a very handy phrase to use: “Speaking of last month’s turnover, the current estimate is around 70 thousand dollars, but we have to wait on the accountant’s report to get the exact figure.”

Speaking in purely … terms – a perfect phrase introducing a statement where you’re going to use industry-specific language: “Speaking in purely technical terms, the current average downtime is acceptable, so I don’t think this particular incident requires special attention.”

To put it in perspective – this English phrase is handy when you’re providing more information on the matter to make the audience understand the full scale of the issue: “Our company profits have dwindled heavily over the last few years. To put it in perspective – 10 years ago we could afford to employ twice as many staff members.”

The biggest contributing factor – when describing the major contributor to the issue, this is the phrase you want to use: “The biggest contributing factor in the high unemployment figure is unemployment among 18 – 25 years olds.”

Accounts for the vast majority of – do you have to specify what kind of data makes up the majority of the data pool? This is how you do it: “According to latest reports, burglaries and thefts account for the vast majority of reported crime.”

Working with Presentation Slides

English phrases when working with presentation slides

As you can clearly see – this is a perfect phrase for drawing everyone’s attention to the slide: “As you can clearly see in this chart, the demographic explosion coincided with the massive increase in oil production.”

This image allows us to see – another great way of insuring that people have a closer look at your slide: “Now, this image allows us to see that the actual situation in the region is much different from what the mainstream media is reporting.”

Move on to the next slide – pretty self-explanatory; this is simply how you fill the gaps in your speech while you’re switching between the slides: “And now we’re moving on to the next slide where we’re going to have a closer look at how…”

Let me give you a more technical insight into – you can use this sentence right before bringing up a slide containing detailed information on a specific subject such as a chart or a diagram.

Emphasizing the Main Points During a Presentation

Emphasizing the main points during an English presentation

Let me remind you once more – this phrase is used when you’re about to repeat something you’ve stated previously during the presentation.

As I mentioned before – this English presentation phrase carries pretty much the same meaning as the previous one and can be used to put emphasis onto something by mentioning it again.

It’s worth mentioning that – when discussing factors that don’t play the central role in the issue but are also important, this is the phrase you want to use: “And by the way, it’s worth mentioning that the educational background also contributes to a lower birth rate.”

Plays a significant role in – this is how you introduce very important facts to the listeners of your presentation: “As a matter of fact, country’s geographical location plays a significant role in its foreign policy.”

Let’s not forget – nice English phrase to use when emphasizing a point that could be easily ignored: “And let’s not forget that the federal government funding in our sector has been reduced by 10% this year, which makes the whole issue of wage increase even more difficult.”

That’s exactly where… steps in – this is how you provide a solution to a problem: “Our current staff members can’t deal with the ever-increasing call volumes, and that’s exactly where outsourcing steps in!”

Let me draw your attention to the fact that – pretty self-explanatory phrase, isn’t it?

Everybody agrees at this stage that – this is how you explain that there’s a widespread acceptance of a particular fact – “And I think everybody agrees at this stage that global climate change is happening.”

Let me reiterate – this phrase is useful in situations when you have to repeat something to stress its importance: “And let me reiterate – one third of school children are obese, so it’s obvious that this issue needs to be tackled right now!”

Drawing Conclusions

English phrases for drawing conclusions during a presentation

It’s safe to assume that – this is how you begin a sentence where you’re going to make a safe assumption: “Considering that our sales figures have remained steady over the last few years, I think it’s safe to assume that this year’s figures are going to be in line with our expectations.”

Predicated on the assumption that – this phrase sounds very sophisticated, but if you memorize it, it becomes very easy and you can use it to explain reasons why certain things happen: “Next year’s budget recommendations are predicated on the assumption that the economy will grow by another 1.5%”

Figures can be extrapolated to – this fancy phrase can be used to describe the concept of using the available data from one particular range of subjects when making assumptions about a related group of subjects: “The 18 – 25 year old male customer conversation rate is 1.5% which can be extrapolated to 26 – 40 year olds, thus giving us the sales forecast of 150 thousand dollars.”

It begs the question – when something you’re discussing leads to a new question to be asked, this is the phrase to be used: “As you can clearly see, the current abstinence level is unacceptable, and it begs the question – what can be done about that?”

Shows the correlation between – if you want to explain that two processes are related, this is how you do it: “This chart clearly shows the correlation between the number of fast food outlets and cancer incidence in the general population.”

Inevitably leads to – when one thing always leads to another, this is the phrase you can use when describing this phenomenon during your presentation: “… it’s not really a solution because increase in social welfare handouts inevitably leads to the so-called “culture of entitlement.”

Which is a direct result of – do you have to explain the fact that a particular phenomenon occurs because of something else? Then do it this way: “…profits have gone up by 5% which is a direct result of the recent measures introduced to deal with absenteeism.”

Summing Up the Presentation

Summing up presentation in English

On the finishing note – this is how you start the ending of your presentation: “On the finishing note, I’d like to thank everyone for coming along!”

To sum it up – this phrase is quite similar to the previous one – the only difference being that “on the finishing note” doesn’t necessarily require you to draw any conclusions while this one actually does: “So, to sum it up, the third production line model is the most efficient one, and that’s what our company should go for.”

The bottom line is – this phrase can be actually used interchangeably with “to sum it up”, and it’s a perfect way of announcing the main premise of the entire presentation: “So, the bottom line is – based on all the available data, it’s not economically viable to maintain the current staff levels.”

Yes Sergio, I agree that the techniques you just mentioned are useful in terms of audience engagement but please let me point out that they don’t contradict with the main structure of the presentation. They’re just small additions, if you like; the purpose of this article was to provide my readers with a bunch of useful phrases to use when structuring and doing a presentation and obviously such attention hooks as asking rhetoric questions etc is something that anyone can use as they see fit!

However, some experts say we should start a presentation with a question, a remark or something that holds the audiencie attention and makes them interested in what will come next. Similarly, the end of the presentation would be one phrase, statement, quotation, that invites to reflexion or action, depending on the purpose of the presentations. Could you elaborate a little bit on that?

You’ve been asked to give a presentation. Chances are, your response will be roughly one of the following:

1. It’s a subject you’re passionate about and you’re a confident speaker. You’re pleased to have the opportunity.

2. You secretly worry that your style is flat and unengaging. You’re not looking forward to it.

3. At best, the prospect makes you nervous; at worst, terrified. You’d rather have root canal surgery.

If you belong in one of the last two categories, you probably know you’re not alone. You may have heard the statistic that public speaking is more widely feared even than death .

Quote from Mark Twain, illustrated with his photo: ‘There are only two types of speakers in the world: those who are nervous and liars.’

However you feel about the prospect of presenting, this comprehensive guide will take you step by step through the process of planning, writing and delivering a presentation you can be proud of (even via Zoom).

What is a presentation?

Essentially, it’s a story. And its origins go back thousands of years – to when our ancestors gathered around the campfire to listen to the wise elders of the tribe. Without PowerPoint!

These days, presentations encompass the glitz and scale of the Oscars or the new iPhone launch through to business briefings to smaller audiences, in person or – increasingly – online. We’re focusing on the business side.

Whatever the occasion, there’s always an element of drama involved. A presentation is not a report you can read at your leisure, it’s an event – speakers are putting themselves on the spot to explain, persuade or inspire you. Good presentations use this dynamic to support their story.

Always remember: everyone wants you to do well

If you are nervous, always remember: no one sets out to write a poor presentation and no one wants to go to one either. There may be private agendas in the room, but for the most part audiences approach presentations positively. They want to be engaged and to learn. They want you to do well.

First things first: the date’s in the diary and you need to prepare. Let’s break it down.

Preparing a presentation

1. Preparing your presentation

Imagine you’re a designer in the automotive industry and your boss has asked you to give a presentation. The subject: the future of the car and how it will fit with all the other modes of transport.

Where to start? How to approach it? First you need an angle, a key idea.

We talk about ‘giving’ a presentation – and of course it’s the audience who will be receiving it. So, instead of beginning with cars (in this case), let’s think about people. That way we can root the talk in the everyday experience we all share.

Maybe you remember a time you were stuck in traffic on a motorway. Morning rush hour. No one moving. Up ahead children were crossing a footbridge on their way to school, laughing at the cars going nowhere. And you thought, ‘Enjoy it while you can! This will be you one day.’ But maybe not. Surely we can do better for future generations!

There’s your opening – the whole issue captured in a single image, and you’ve immediately engaged your audience with a simple story.

The who, the why and the what

Always begin with the people you’ll be addressing in mind. Before you start writing, answer three fundamental questions: who is your audience, why are you talking to them and what do you want to say?

The answers will provide the strong foundations you need and start the ideas flowing. Ignore them and you risk being vague and unfocused. Clear writing is the result of clear thinking and thinking takes time, but it’s time well spent.

Start with the audience

Are you a senior car designer talking to your team? If the answer’s yes, you can assume high-level, shared knowledge.

But if you’re talking to the sales or marketing departments, you can’t make the same assumptions – there are issues you might have to explain and justify. And if it’s a press briefing, it’s about getting the message out to the general public – a different story again.

Knowing your audience will also dictate your tone. Your presentation to the board is likely to be quite formal, whereas a talk for your team can be more relaxed.

And what’s the audience’s mood? On another occasion you might have bad news to deliver – perhaps the national economy and the company’s finances are threatening people’s jobs. Then you must empathise – put yourself in their position and adapt your tone accordingly.

You also need a clear objective (the why ). For our car designer, the overriding objective should be to plant a key idea in the audience’s mind. Starting with that image of the schoolchildren, it’s to convince the audience that the company has a radical and distinctive design future.

That’s the takeaway. How should they do that? Should they explain, persuade or inspire – the three key strategies for any presentation? You may need to use several of them to achieve your goal.

Objectives should always complete the statement ‘I want to …’. What do you want to do ?

It’s about …

The what is the substance of your presentation – the building blocks, all the facts and figures that tell the audience ‘It’s about …’.

Back to our designer. The move away from petrol and diesel will allow a complete rethink of car design. The electric power unit and battery can lie under the car’s floor, freeing up all the space taken up by the conventional engine. And then there are all the issues around emission-free, autonomous vehicles in the ‘smart’ cities of the future.

When you’re planning, it can be helpful to get all the information out of your head and onto the page, using a mind map , like the example below (for a talk on UK transport policy).

This is an effective way of unlocking everything you know (or still need to do more research on). Start with your main topic, then keep asking yourself questions (like who, what, when, where, how and why) to dig into all the aspects.

Once you’ve got it all out on the page, you can identify which parts actually belong in your presentation. Don’t try to include every last detail: audiences don’t want to process piles of information. They are more interested in your ideas and conclusions.

Now let’s put all this research and planning into a structure.

2. How to structure your presentation

On 28 August 1963, Dr Martin Luther King Jr stood on the steps of the Lincoln Memorial in Washington DC and delivered one of the most powerful speeches in history: ‘I have a dream’.

He was the leader of the civil rights movement in the US and his audience that day numbered in the hundreds of thousands. His goal was to inspire them to continue the struggle.

Presentations usually aim to either explain, persuade or inspire – sometimes with elements of all three. Your aim will determine your structure. This will be the backbone of your presentation, giving it strength and direction.

Explain in a logical sequence

When you explain, you add to people’s knowledge to build the key idea. But ask yourself, what does this audience already know?

If you’re an astrophysicist talking to an audience of your peers, you can use terms and concepts you know they’ll be familiar with. If you’re explaining black holes to Joe Public, you can’t do that. Typically, you’ll have to use simple analogies to keep the audience with you (‘Imagine you’re in a huge dark room …’).

Whether it’s black holes or new software, good explanations start with what we know and then build on that understanding, step by step, layer by layer. The audience will stay with you if they can follow your logic and you can help this with linking comments – ‘Building on that … ‘, ‘This means …’, ‘To illustrate that, I’ve always found …’.

We need to change

If you’re writing a persuasive presentation, you also need to follow a particular sequence.

Whether you’re writing a pitch for a prospective customer or making research-based recommendations to a client, you follow the same structure. That structure is the Four Ps . It’s a powerful way of leading your audience’s thinking.

Start with the current situation – where you are now ( position ). Explain why you can’t stay there, so the audience agrees things have to change ( problem ). Suggest up to three credible ways you can address the issue ( possibilities ). Then decide which one is the optimum solution ( proposal ).

Three is a magic number for writers – not too many, not too few. But there may be one standout possibility, in which case you go straight to it ( position, problem, proposal ).

Think about how the pandemic has profoundly changed our working lives. Towns and cities are full of offices that people used to commute to. But to maintain social distancing, we’ve been encouraged to work from home where possible and to stay away from public transport.

At some point, decision-makers within organisations will have to make a call – or share a recommendation – about what to do long term. Should we go back to the office, stay at home or combine the two?

If we had to present on this choice using the Four Ps structure, we could outline the pros and cons of each possibility and then make a push for the one we recommend above the others. Or we could join the likes of Google and Twitter and simply propose purely remote working well into the future.

I have a dream

A presentation that inspires is about the future – about what could be. Scientists inspire children to follow careers in astronomy or physics with their passion and stunning visuals. Designers re-energise companies with their radical, exciting visions. Business leaders convince their staff that they really can turn things around.

An audience watching an inspirational presentation is not going to take away lots of facts and figures. What’s important is their emotional and intellectual engagement with the speaker, their shared sense of purpose. One way to build that engagement is with your structure.

From dark to light

The most inspiring presentations are so often born of shared struggle. On 13 May 1940, Winston Churchill addressed the British parliament – and the British people listening on their radios – in the darkest days of the Second World War.

He was brutally realistic in his assessment of the current position: ‘We have before us many, many long months of struggle and of suffering.’ He then set out his policy: ‘To wage war by sea, land and air, with all our might … against a monstrous tyranny’, and the prize: ‘Victory, however long and hard the road may be.’

In difficult situations, audiences immediately see through false hope and empty rhetoric. They want honest acknowledgement, and the determination and clear strategy to lead them to the future.

We can imagine how the same structure could show up in a more business-related context:

‘I’m not going to sugar-coat the figures. We have to change to save jobs and secure our future. There will be dark days and sacrifices along the way, but what’s the hardest part of any turnaround? It’s getting started. To do that, we all need to keep asking two fundamental questions: where can we improve, how can we improve? And if we push hard enough and if we’re utterly relentless, change will come and our momentum will build.’

Are you going to appeal to your audience’s

  • habits of thought (current beliefs)?

If your recommendations run counter to their current beliefs, try appealing to their emotions.

3. Writing your presentation script

You don’t have to write a script. Some people put a few PowerPoint slides together and wing it; others make do with bullets on a smartphone, laptop or cue cards. It depends on the event and the presenter.

Writing a full script takes time, but if it’s a very important presentation and you might use it again – perhaps to appeal for investment – it will be worth it.

Some people will write a full script because the company or organisation that’s commissioned a presentation will want to see a copy well ahead of the event (often for legal reasons). Others will write the script, edit it down to the required time and then edit it down again to bullets or notes.

If the presentation is to a small audience, your notes or bullets will suit a more conversational approach. There are no rules here – see what works best for you. But what you must do is know your subject inside out.

To write clearly, you must think clearly and a full script will expose the areas that aren’t clear – where an explanation needs strengthening, for example, or where you should work on a transition.

Timing is everything

A full script also helps with working out timing, and timing is crucial. TED talks, for example, have a strict 18-minute limit, whether in front of an audience or online. That’s short enough to hold attention, but long enough to communicate a key idea. (The ‘I have a dream’ speech lasted 17 minutes 40 seconds and it changed the world.)

It takes a very skilled presenter to go much over 30 minutes. If you are taking questions during or after your presentation , however, it’s fine to build in extra time.

Imagine you’re writing your presentation in full and your slot is 20 minutes. On an A4 page with a 14-point Calibri font and 1.5 line spacing, that will equate to about 10 pages.

You can also divide the page in two, with slides on the left and text on the right (or vice versa). Then you can plan your words and visuals in parallel – and that will be roughly 20 pages.

How should they do that? Should they explain, persuade or inspire – the three key strategies for any presentation? You may need to use several of them to achieve your goal.

The most powerful key on your keyboard – Delete

Use these numbers as your goal, but your first draft will probably be longer. That’s when you start deleting.

Be ruthless. Anything not adding to the story must go, including those anecdotes you’ve been telling for years ( especially those anecdotes). It’s not about what you want to tell the audience, it’s about what they need to hear.

Don’t feel you have to include every single issue either. Dealing with two or three examples in some detail is far better than saying a little bit about many more.

And interpret visual material you’re displaying rather than describing it, just as you wouldn’t repeat the text that’s on the screen. The audience can see it already.

It’s a conversation

Be yourself – don’t write a script that’s not in your style. We want the real you, not a supercharged version.

Some people are naturals when it comes to presenting – which can mean they’ve learned how to draw on their authentic strengths.

Sir David Attenborough is a great example. He has a wide-ranging knowledge of the natural world. He has an infectious passion and enthusiasm for his subject. And most importantly, he doesn’t lecture the camera: he talks naturally to his audience (and he’s now using Instagram to inspire new generations).

You can take a cue from Sir David and make your presentation style your own. Knowing your own strengths and really understanding your why will help you speak with purpose and passion.

And aim to speak naturally. Use conversational, inclusive language. That means lots of personal pronouns ( I believe, we can) and contractions ( Don’t you wonder …, you’re probably thinking …).

Sir David Attenborough introduces his new series, Our Planet at its premiere. He builds up our awareness by layering information alongside arresting statistics. These are framed simply, in relatable terms (‘96% of mass on the planet is us …’), so we easily grasp their shocking significance. He also uses ‘we’ and ‘us’ a lot to underline how this environmental emergency affects us all on ‘the planet we all call home’.

Finding the right words

Imagine you’re talking to someone as you write. And try saying the words out loud – it’s a good way to catch those complex, overlong sentences or particular words that will be difficult to say.

Presentations are not reports that can be reread – the audience has to understand what you are saying in the moment . Don’t leave them wondering what on earth you’re talking about, as they will only fall behind.

So avoid using long or complex words, or words you wouldn’t hear in everyday conversation (if your everyday conversation includes ‘quarks’ and ‘vectors’, that’s fine). And beware of jargon – it can exclude the audience and it quickly becomes clichéd and outdated.

Here are some more hints and tips on how to write effectively for speaking:

Syntax (word order): Disentangle your thoughts and arrange the words in your sentences to be simple and logical. Often, complex syntax shows up when the main point is getting lost inside excess information (or that the speaker is unsure what their main point is).

Pace, rhythm and tone: Varying the pace, rhythm and tone of sentences makes both the speaking and listening experience far more enjoyable.

Make sure the stress falls on the most important words. For example, ‘To be or not to be ‘ (where the stress rises and falls on alternate words) or ‘I have a dream ‘ (where the stress falls on the final word).

Vary the length of sentences and experiment with using very short sentences to emphasise a point.

Play with rhythm by arranging words in pairs and trios. Saying things in threes gives a sense of movement, progression and resolution: Going, going … gone . Saying words in pairs gives a more balanced tone (‘courage and commitment’, ‘energy and effort’) or a sense of tension between the words (‘war and peace’, ‘imports and exports’).

Analogies: Good analogies can work well in presentations because they paint vivid pictures for the audience. The best way to do it is to use either a simile (‘It wasn’t so much a dinner party, more like feeding time at the zoo’) or a metaphor (‘He was the fox and the company was the henhouse’).

Alliteration: This means using two or more words that start with the same sound, like ‘big and bold’, ‘sleek and shiny’ or ‘key components’. On the page alliteration may look contrived, but it can effectively highlight important phrases in a presentation.

Words to avoid: Be careful about using clichés like ‘pushing the envelope’, ‘playing hardball’ and ‘thinking outside the box’. And think carefully about using any word that ends with -ism, -ise, -based, -gate, -focused and -driven.

Be careful with humour too: don’t write jokes unless you can naturally tell them well. Keep the tone light if it fits the occasion, but a badly told joke can be excruciating.

4. How to start your presentation

People tend to remember beginnings and endings the most, so make sure your opening and conclusion are both strong.

You have about a minute to engage an audience. You want them to be intrigued, to want to know more, to come slightly forward in their seats. If you only learn one part of your presentation by heart, make it that minute.

A quick ‘thank you’ is fine if someone has introduced you. A quick ‘good morning’ to the audience is fine too. But don’t start thanking them for coming and hoping they’ll enjoy what you have to say – you’re not accepting an Oscar, and they can tell you what they thought when it’s over. Get straight down to business.

There are four basic types of introduction which will draw your audience in:

  • News – ‘Positive Covid-19 tests worldwide have now reached …’
  • Anecdotal – ‘About ten years ago, I was walking to work and I saw …’
  • Surprise – ‘Every five minutes, an American will die because of the food they eat.’
  • Historical – ‘In 1800, the world’s population was one billion. It’s now 7.8 billion.’

You can interpret these beginnings in any number of ways. If you were to say, ‘I have an admission to make …’, we will expect a personal anecdote relating to your main theme. And because you’re alone in front of us, it’s playing on your vulnerability. We’re intrigued straight away, and you’ve established a good platform for the rest of the presentation.

You can also combine these techniques. The historical beginning creates a sense of movement – that was then and this is now – as well as a surprising fact. It may prompt a thought like, ‘Wow, where’s this going?’ And you can trade on this with your own rhetorical question: ‘What does this mean for everyone in this room? It’s not what you think …’.

As well as setting up your story, you need to quickly reassure the audience they’re in safe hands. One way to do that is to give them a map – to tell them where you’re going to take them and what they’re going to see along the way.

Then you’re starting the journey together.

5. How to end your presentation

Your ending is what you want the audience to take away: your call to action, your vision of the future and how they can contribute.

If your presentation is online or to a small group in a small room, your ending is not going to be a battle cry, a call to man the barricades – that would be totally inappropriate. But equally don’t waste it with something flat and uninspiring.

Here are four effective ways to end your talk (like the intros, you can combine them or come up with your own):

  • Predict the future – ‘So what can we expect in the next ten years? …’
  • Quotation – ‘As our chief exec said at the meeting yesterday, …’
  • Repeat a major issue – ‘We can’t carry on with the same old same old.’
  • Summarise – ‘Continuous improvement isn’t our goal. It’s our culture.’

Predicting the future fits well with a historical beginning – it completes the arc of your presentation.

If you end with a quotation, make sure it’s relevant and credible – it has to be an authoritative stamp.

Repeating a major issue means pulling out and highlighting a major strand of your presentation, while summarising is about encapsulating your argument in a couple of sentences.

Your ending can also be a change of tone, perhaps signalled by the single word ‘Finally …’. It’s the audience’s cue to come slightly forward again and pay close attention.

As with your opening, it will have more impact if you’ve learned your ending – put down your notes, take a couple of steps towards the audience and address them directly, before a simple ‘Thank you.’

6. Creating your PowerPoint slides

We’ve all been there – watching a seemingly endless, poorly designed slide deck that’s simply restating what the presenter is saying. So common is this tortuous experience that there’s a name for it: Death by PowerPoint. But it doesn’t have to be like this.

Do you need slides at all?

As with your script, the first thing you should ask is ‘Do I actually need this?’ In 2019, Sir Tim Berners-Lee gave the Richard Dimbleby lecture for the BBC. He spoke for about 40 minutes with no autocue (he’d memorised his script) – and no speaker support.

This is a uniquely powerful form of presentation because the audience’s attention is totally focused on that one person. The call to action at the end of a presentation and delivering bad news are also best done without visuals.

Visual support

But if they’re well-judged and relevant, slides or other visuals can add enormously to a presentation – whether it’s photography, video or the ubiquitous PowerPoint. There are, however, two things everyone should know about PowerPoint in particular:

  • It’s incredibly versatile and convenient.
  • In the wrong hands, it can be unbearably tedious.

Your PowerPoint slides should not essentially be your cue cards projected onto a screen. They shouldn’t be packed margin to margin with text or full of complex diagrams.

If the presentation is live, the audience has come to watch you, not your slide deck. Online, the deck may have to work harder to sustain visual interest.

As with the script, keep your finger poised over that Delete key when you’re putting the deck together.

How many slides?

There’s no hard-and-fast rule about how many slides you should use, but think in terms of no more than one or two a minute on average. And don’t use more than a couple of short video inserts in a 20-minute presentation.

You might have a section where you show a few slides in a sequence or hold a single slide for a couple of minutes, which is fine. Varying the pacing helps to keep a presentation moving.

Optimise for psychology

As self-professed presentation aficionado David JP Phillips notes in his TEDx talk , people – and that includes your audience – have terrible working memories. If you don’t account for this fact in your slides, your talk will not have a lasting impact. In fact, most of it will be forgotten within around 30 seconds.

To counter this effect, David identifies five key strategies to use when designing your PowerPoint:

  • Only have one message per slide: more than that and you’re splitting your audience’s attention.
  • Don’t use full sentences on slides, and certainly don’t imagine you can talk over them if you do. People trying to read and listen at the same time will fail at both and absorb nothing. Move your running text into the documentation section instead, and keep the slide content short and sweet.
  • People’s focus will be drawn to the biggest thing on the slide. If your headline is less important than the content below it, make the headline text the smaller of the two.
  • You can also direct people’s attention using contrast. This can be as simple as guiding their point of focus by using white text (on a dark background) for the words you want to highlight, while the surrounding text is greyed out.
  • Including too many objects per slide will sap your audience’s cognitive resources. (Your headline, every bullet, any references, even a page number each count as an object.) Include a maximum of six objects per slide and viewers will give a mental sigh of relief. This will probably mean creating more slides overall – and that’s fine.

More Powerpoint and visual aid tips

Here are a few more guidelines for creating your visual aids:

  • Never dive into PowerPoint as job one in creating your presentation. Work out your talk’s structure (at least) before designing your slide deck. Making a genuinely effective PowerPoint requires that you know your subject inside out.
  • List any visuals you’ll need as you prepare your script. That terrific photo you saw recently could be difficult to track down, and you might need permission and to pay to use it.
  • It bears repeating: keep each slide to one key idea.
  • Use the build effect of adding one bullet at a time (or use the contrast trick above) and try not to use more than three bullets per frame (or six objects overall).
  • Strip each bullet to the bare minimum – no articles (‘a’, ‘an’ and ‘the’), no prepositions (‘in’, ‘at’, ‘to’ etc) and cut right back on punctuation.
  • Every word that’s not there for a reason has to go. Delete, delete, delete.

‘Extra’ slides

  • Use a ‘walk-in’ slide. Rather than have the audience arrive to a blank screen, this tells them who you are and your presentation’s title.
  • Use occasional holding slides in between those with more content – perhaps an image but no text. They give the audience a visual rest and put the focus back on you.
  • A plain white background might look fine on a computer monitor, but it will be glaring on a big screen. Invert the norm with a dark background, or use shading or ‘ghosted’ images to break up backgrounds and add visual interest.
  • Some colours work better than others on-screen. Blues and greys are soft and easy on the eye. Red is a no-no, whether for backgrounds or text. And if you stick with a light background, favour a more subtle dark grey over black for the text.
  • Use sans serif fonts (like Arial, Helvetica or Calibri) and think about point size – make sure it’s easily legible.
  • Only use upper case where absolutely necessary.

Images and data

  • Photos work well full screen, but they also really stand out well on a black background.
  • Make sure your charts and graphics aren’t too complex. The dense information that’s fine on the page will not work on-screen – it’s too much to take in. Graphs behind a TV newsreader are often reduced to a single line going dramatically up or down.
  • Don’t present data or graphs and expect them to speak for themselves. You need to find the story and significance in the data and present that .

And finally

  • Proofread, proofread, proofread – or risk standing in front of an embarrassing spelling mistake.

Technical check

  • Check what laptop they’re using at your venue. If you’ve written your deck on a PC, run it on a PC (and, of course, the same rule applies if you’ve used a Mac).
  • If you’ve emailed your presentation to the venue, take a USB copy along as back-up.
  • If you’re presenting online, check which platform you’ll be using and get comfortable with it. If someone else will be hosting the event, make sure you arrange a time for a rehearsal, especially if there will be a producer.

7. Delivering your presentation

You’ve put a lot of time and effort into preparing your presentation and now you’ve come to the sharp end – it’s time to stand and deliver.

Run it through

You don’t have to rehearse, but most presenters do and for good reason – it catches weak points and awkward transitions. And, crucially, it bolsters confidence.

Read your script or go through your bullets aloud – it will help to settle your nerves. If you use colleagues as a dummy audience, you can do a sense check too: ‘Does that bit work?’ ‘Have I explained it clearly?’ ‘Do you get the big picture?’ And rehearsing out loud will catch those words and sentences you thought you could say but can’t.

The more you rehearse, the more familiar and natural the presentation will become. Rehearse the technical side too – where the video is going to come in, how you’re going to vary your pace and tone to maintain interest.

Try speaking slightly more slowly than you would normally so the audience catches every word, and don’t be afraid to pause now and again. It gives a breathing space for you and the audience.

Connect with your audience

When you deliver your presentation for real, establish eye contact with the audience, just as you would in a conversation. In a small room with a small audience, talk to individuals. In a larger space, don’t talk to the first couple of rows and ignore the rest – include everyone.

And if you stumble over your words here or there, carry on and don’t dwell on it – you’ll lose your concentration. Audiences are generally forgiving and they might not even notice.

Each audience is unique: they react differently in different places. And although tomorrow might be the tenth time you’ve done the same presentation, it will be the first time this audience sees it. Your duty is to keep it fresh for them.

A final point

This is your presentation – you’re in control and the audience needs to feel they’re in safe hands.

It’s perfectly natural to feel nervous , but it’s the thought of doing it that’s the worst bit. Once you get going – and especially when you sense the audience is with you – the nerves will start to disappear. Try to enjoy it. If you enjoy it, it’s far more likely the audience will too.

And remember: everyone wants you to do well.

8. How to present online

Taking to Zoom or another online platform to present was once the exception. These days, online presenting is as essential a skill as presenting in person.

The switch to online can be nerve-wracking and cause even usually skilled presenters to falter. But there’s no need for that to happen.

Indeed, all of the advice we’ve talked about on preparing, structuring and writing for in-person presenting is equally relevant for your online delivery. You just need to be ready for the unique challenges that remote presentations pose.

An obvious one is that while you still have an audience, it will probably be muted and possibly even unseen (if webcams are switched off). This makes it far more difficult to gauge audience reaction, and if the event is pre-recorded, there might not be any at all – at least not immediately. Clapping and laughing emojis are not quite like the real thing.

Keep eye contact

But although your audience may be many miles away, there are still ways you can – and should – create a sense of connection with them. Your presentation will have much more impact if you do.

Whether the event is live or recorded, at least start with your webcam on (unless you really can only use slides). If it’s an option and feels appropriate, consider keeping your camera on throughout – remember, you are the presentation as much as any visuals.

If you will be on display, make sure you know where your webcam’s lens is and at key moments of your talk look directly into it – and out at your audience – to punctuate those points.

And don’t look at a second screen to cue up your PowerPoint – viewers will think your attention is wandering.

Engage your online audience

Being an engaging speaker is always important, but remember that the online world is already a place we associate with distraction. It’s also easier for a viewer behind their laptop to disguise their wandering attention than it would be for one in an auditorium or boardroom.

This isn’t to say your audience don’t want to give you their attention. But it is more important than ever to keep your presentation sharp and concise. Revisit your structure, your script or cue cards and your slides. Take a really critical eye to it and (as always) delete, delete, delete anything that’s not directly relevant.

If it works for your format, you can look at making your presentation interactive. You can then break the content into short segments, interspersed with comment, polls, questions and discussion. The variety will be a welcome change for your viewers.

Your visuals are part of what will keep people with you – along with the interplay you create between you and them. This means following the best-practice guidance we covered earlier is even more important.

Modulate your voice

Your tone of voice is extremely important here because presenting online is like radio with pictures. When people say ‘You have a great voice for radio’ what they mean is that it’s easy to listen to, often because you’re using quite a low-pitched, warm and relaxed register.

Listen to voices on the radio and voiceovers and identify the ones you particularly enjoy. What do you like about them? Why do you enjoy some voices and not others?

A flat, unmodulated voice, for instance, is difficult to listen to for long periods (and isn’t likely to inspire anyone).

Experiment with intentionally adding energy to your voice, as internet audio can have a dulling effect. As our trainer Gary Woodward puts it: ‘Turn up the enthusiasm dial even higher than you think, to make sure it comes through.’ And always vary your pace and tone as you would in a normal conversation.

And if it suits the tone of your talk, smile now and again. Smiling is contagious, and people will hear it in your voice even if they can’t see you.

Perfect your transitions

One of the other key challenges of remote presentations is that you have another layer of technology to wrestle with: sharing your PowerPoint online.

This means that many presentations begin with the popular catchphrase ‘Can you see my screen?’

This can also cause many presenters to stumble through their transitions, making the links between their slides clunky. And while remote audiences may be forgiving, for a slick presentation it’s best to prevent these sort of fumbles.

Naturally, practice plays a part here. But you can also give yourself the advantage with your set-up.

Dave Paradi from Think Outside the Slide explains one great way of setting up Zoom so you can smoothly cue up and run your slide deck – and be certain what’s being displayed.

You’ll even be able to see the rest of your screen (but the audience won’t). As you’ll be able to see what’s coming up, your transitions can also be seamless.

The trick is to use one of Zoom’s advanced settings after you hit ‘Share screen’, to share only a portion of your screen:

This will give you a frame you can move to the part of the screen you want the audience to see.

Put your PowerPoint slides into ‘presenter view’ before launching the screenshare. Then you’ll be able to see the upcoming slides and your notes throughout, and your animations (like build slides) will work as normal.

Five practical tips for a truly professional online presentation

You’re happy with the content of your talk, you’ve ruthlessly streamlined your slides and mastered your radio voice. Now just make sure you cover these crucial practicalities for a polished presentation:

1. Create a good space Make sure you have your environment well set up:

  • Keep the background on display as tidy and minimalist as possible – a plain wall or backdrop is great, if you can.
  • Manage and minimise background noise (shut the window, ensure your phone’s on silent, put the cat out, make sure someone’s watching the kids in another room – whatever it takes).
  • Check your lighting: have your light source in front of you, not behind you (or you’ll be in shadow).
  • Set up your computer or device at eye level so that you are well-framed and facing it straight on – avoid looming above it while providing a lovely view into your nostrils.

2. Think about your appearance Dress in the same way you would if the presentation were in person, and judge your choice of attire based on the formality of the event and your audience.

3. Practise! Run through the presentation and rehearse the technical side. Practise your transitions, including the initial cueing up of your slides (perhaps using the Zoom tip above), so that you can be confident in doing it all smoothly.

4. Be primed and ready Log in early on the day of your talk. Check all your tech is working, get your headset on and ensure everything is set up well ahead of time. This will save any last-minute issues (and stress) and means you can hit the ground running.

5. Stand and deliver Even online, consider giving your presentation standing up, if you can do so comfortably (adjusting your device or webcam accordingly). This may put you more into a presenting frame of mind and will differentiate you from most remote presenters.

Are you still there?

Live audiences have a group dynamic – as soon as a few people start laughing it becomes infectious and the others join in. It’s naturally different online. But that doesn’t have to throw you.

You might not get that immediate feedback, but don’t overcompensate and feel you have to win them back.

No matter how well-crafted and planned the body of your presentation, its impact depends on its opening and ending.  On one hand, you have 30 seconds to grab your audience’s attention so people would be interested in hearing what you have to say. On the other, your ending is what your audience will be left with and will shape how they feel about your presentation and how they’ll remember it. This might be like a lot of pressure but the truth is, it’s easier than it sounds. This is why, in this article, we will help you achieve this and more with 10 practical tips on how to start and end a presentation effectively .

5 Practical Tips on How to Start a Presentation

Imagine you spent weeks preparing an amazing presentation with lots of valuable insight that you just can’t wait to share with your audience. Unfortunately, only a few minutes in, you notice that most of your viewers are on their phones scrolling and barely paying any attention to what you have to say. What happened?

Presenters and speakers often start with a long introduction. They introduce themselves, share how excited they are, thank the audience for attending, explain what they’re going to speak about in a minute, why the topic is important, etc. This might take only one or two minutes, however, when it comes to presentation,  two minutes without telling anything interesting might result in losing your audience. In fact, you only have 30 seconds to grab your audience’s attention .

This is why, no matter the topic and goal of your presentation, you must always captivate your audience’s attention first. Leave the introductions and summaries for later .

In this section, we’ll talk about ways to hook your audience in the first 30 seconds and get them invested in what you have to say in your presentation.

1. The Hook

Anything unpredictable that catches you off-guard, will get your attention.

This tactic, masterfully named as a metaphor for attracting fish with a juicy worm on a hook, refers to a few-second short story, metaphor, shocking fact, statistics, analogy, controversial statement, or anything unconventional and unexpected that will capture your viewer’s imagination. We’ll have a look at three examples for hooks.

1.1 Bold Claim

“Here’s all you have to know about men and women: women are crazy, men are stupid.” This opening line by stand-up comedy legend George Carlin is a great example of a hook in the form of a bold claim. If you’re confident enough with your presentation and you have a bold claim up to your sleeve, don’t save it for the end. Instead, shoot that bullet confidently the second you start your presentation. It will immediately catch your audience off-guard and you will have it paying attention to your every word after that.

Here are some examples for bold claim starters in presentations and public speaking.

  • “What you’re doing right now at this very moment is killing you.” ( Nilofer Merchant )
  • “Sadly, in the next 18 minutes when I do our chat, four Americans that are alive will be dead through the food that they eat.” ( Jamie Oliver )
  • “I’m going to try to increase the lifespan of every single person in this room by seven and a half minutes. Literally, you will live seven and a half minutes longer than you would have otherwise just because you watched this talk.” ( Jane McGonagall )
  • “I don’t want to alarm anybody in this room. However, it’s just come to my attention that the person to your right is a liar.” ( Pamela Meyer )

1.2 Imagine

One of the greatest ways to get attention and start strong is through storytelling. People love stories and are always interested in hearing one. In fact, many presentations may revolve around a story or just use small anecdotes to enhance their message. With this being said, amongst the best methods to create a compelling story is to get your audience involved. To do so, make them imagine themselves in the shoes of the main character. This attention-grabber invites your viewers to create a mental image and get emotionally invested.

Here are examples of speeches starting with the Imagine play:

  • “I want you, guys, to imagine that you’re a soldier, running through the battlefield. Now, you’re shot in the leg with a bullet that severs your femoral artery. This bleed is extremely traumatic and can kill you in less than 3 minutes. Unfortunately, by the time a medic actually gets to you, what the medic has on his or her belt can take 5 minutes or more with the application of pressure to stop that type of bleed.” ( Joe Landolina )
  • “Imagine a big explosion as you climb through 3000 feet. Imagine a plane full of smoke, imagine an engine going clack-clack-clack-clack-clack. Well, I had a unique seat that day.”( Ric Elias )

1.3. Humourous Twists

Great stories have unexpected plot twists. The best stories, however, have a funny plot twist. Depending on your topic, you can start by telling your story, get your audience in the mood for a serious talk, and then contradict all expectations with a hilarious spin.

  • “I need to make a confession at the outset here. A little over 20 years ago I did something that I regret. Something that I’m not particularly proud of. Something that in many ways I wish no one would ever know. But here I feel kind of obliged to reveal. In the late 1980s, in a moment of youthful indiscretion, I went to law school.” ( Daniel Pink )

2. Transition

Your next step would be to make an organic transition between your hook and the main point of your presentation. You can do this seamlessly or by linking directly with “I tell you this, because”, “This brings us to…”. Mohammed Qahtani, for example, does this transition so smoothly, that you’ll never even catch it.

First, as a hook, he chooses to use a prop. He literally goes on stage and lights a cigarette, capitalizing on unpredictability, originality, bold statement, humor, and immediately uses the second hook in the form of a provocative question, asking the audience “You think smoking kills?”. The third thing he does is strike with shocking data that he immediately admits to being fake. He already has the audience on the tip of his fingers. Having accomplished that, Mohammed Qahtani is ready to finally move to the body of the presentation and reveal his actual message.

3. Personal Story

Another storytelling technique besides making people from your audience imagine themselves in a particular situation, is to start with your own personal story. One that is relevant to the topic of your presentation. Your personal involvement and experience give you credibility in the eyes of the viewers, and, as we mentioned, everyone loves to hear an interesting story. This is because stories are relatable, easy to identify with communicating honesty, openness, and connection.

4. Build Tension with Silence

Interestingly enough, saying nothing is also a very powerful option. In fact, standing in front of an audience and confidently keeping silent is as powerful as making a bold statement. Silence will definitely build tension and pique your audience’s curiosity about what you have to say. Be careful, however, as this technique requires knowing your timing.

5. Use Startling Statistics

Sometimes you just can’t think of a story, a joke, or a specific statement that is bold enough. And that’s okay. As a last resort, but also a pretty effective one, you can always rely on curious shocking statistics, related to your topic, to instantly gain people’s attention. Take your time researching curious statistics that will emphasize the seriousness of your topic or as a tool to start over the top.

To sum it up, your presentation opening follows 5 steps:

  • Hook: You immediately strike your audience instantly with something interesting and unconventional they wouldn’t expect.
  • Transition: You link your hook to your main point.
  • Introduction: Once you already have your audience’s attention, you can finally make a very brief introduction with something relevant to your topic.
  • Preview: Give your audience a brief preview of what you’re going to talk about.
  • Benefits: Tell your audience how will they benefit from listening to your presentation. (ex. “By the end, you will already know how to…”)

Keep in mind, that your opening, consisting of these 5 steps, should be brief and ideally not exceed 2 minutes . If you manage to make a great hook, transition, introduction, review and list the benefits in 2 minutes, you already have your audience’s full attention and they will be listening to your every word throughout the body of your presentation.

5 Practical Tips on How to End a Presentation

Let’s consider this situation. You start watching a movie that instantly opens with a jaw-dropping suspenseful scene that raises questions and makes you want to unravel the mystery. This scene will certainly make your stay through the movie. You are very invested, you love the story, the build-up keeps you on the edge of your seat until the end when the reveal is so underwhelming, you feel disappointed. The ending doesn’t fit the intensity of the story and feels incomplete and rushed. How does this relate to your presentation?

Having a great start for your presentation is what will keep your audience interested in what you have to say. However, the end is what your audience will be left with and will shape how they feel about your presentation and how they’ll remember it.  In short, if you fail your opening, you will still be able to catch up with your presentation and capitalize with a great closing line. But an underwhelming conclusion can kill the velocity of a good presentation and ruin the overall experience.

Let’s look at some practical tips and examples by great presenters to get inspired and never let that happen.

1. The Rule of Three

This powerful technique in speech writing refers to the collection of three words, phrases, sentences, or lines. In photography, there’s a similar rule, known as the Rule of Thirds, that serves to divide an image into three. In writing, the Rule of Three combines a collection of thoughts into three entities with combined brevity and rhythm to create a pattern.

Information presented in a group of three sticks in our heads better than in other groups. This is why this principle presents your ideas in more enjoyable and memorable ways for your audience.  It also serves to divide up a speech or emphasize a certain message. Let’s see a couple of examples where the rule is applied in different forms.

Examples of the Rule of three in Speeches

  • “ I came, I saw, I conquered .” (Veni, Vidi, Vici. ) by Julius Caesar in a letter to the Roman Senate
  • “…this nation, under God, shall have a new birth of freedom—and that government of the people, by the people, for the people , shall not perish from the earth.” from Abraham Lincoln’s Gettysburg Address
  • “ It means to try to tell your kids everything you thought you’d have the next 10 years to tell them in just a few months. lt means to make sure everything is buttoned up so that it will be as easy as possible for your family. It means to say your goodbyes.” from Steve Job’s Stanford Commencement Speech

In Veni Vidi Vici, the rule serves to divide the concept of Caesar’s victory into three parts to prolong the conclusion in order to give it more power. The “came” and “ saw” parts are technically obvious and unnecessary in terms of context. However, they serve to build up the conclusion of conquering, creating a story, rhythm, and, ultimately, a memorable and powerful line. A single “I conquered” wouldn’t impress the Senate that much, let alone become such a legendary phrase preserved in history.

Lincoln’s famous speech ending shows an excellent practice of the Rule of Three in the form of repetition to emphasize the new role of the Government.  “That Government of the people shaw not perish from the earth.” would still be a good line, however, the repetition makes it way more powerful and memorable.

And last, Steve Job uses the Rule of Three in the form of repetition to accomplish building up the conclusion and emphasizing what “it means”.  This repetition gives rhythm and helps the audience to be more receptive, stay focused, and follow the speaker to the final conclusion.

You can also use the Rule of Three to close your presentation by giving your audience two negatives and ending with a positive . Typical structures would be “This is not… this is not… but it is”; “You wouldn’t… you wouldn’t… but you would..”, etc.

For example, you can conclude a speech about self-growth with something similar to “Your future isn’t a matter of chance, it isn’t a matter of circumstances, it’s a matter of choice.”

2. Come Full Circle

In short, this means capitalizing  on your message by ending your presentation the exact way you started it . If done right, this is a powerful tool to make an impact. Usually, you begin your presentation with a statement that piques your audience’s curiosity. You use it to set the topic and start building on it. You take your audience on a journey, you make them start at one point, follow them through the entire journey, and make them end at the same point. By repeating the opening line as an ending, now the message makes more sense, it’s way more personal and makes a satisfying logical conclusion .

A good example of this comes from Yubing Zang in her speech “Life Begins at the End of Your Comfort Zone.” The speaker opens her TED talk with that same line to take you on a journey. You experience her story, you learn how fear is the biggest thief of dreams while comfort is a drug that keeps you from following them. After that strong message, she finishes with that same phrase. In the end, this phrase isn’t just an abstract quote, now it makes more sense and feels more real and personal.

You can also use the full circle method to start and finish your presentation with the same question. As an opening line, your question will make your audience think. It will compel them to listen to your presentation and learn the answers. As an ending, however, this same question will become rhetorical .

And speaking of questions…

3. Food for Thought Question Ending

The easiest way to end a speech on a good note is to leave your audience with a question. The kind of open-ended question that will inspire your audience to reflect on . Such questions can be so inviting, they will give your audience something exciting to think about and even think of throughout the day.

Examples of open-ended questions, depending on your topic, could sound like this.

  • What if it doesn’t work out that way?
  • What does this look like for you?
  • If you could do it over again, what would you do differently?

Unlike close-ended questions that the viewers can answer immediately on the spot and forget about your speech later, interesting open-ended questions that give them food for thought will inevitably surface on occasion.

For example, Lera Boroditski closes her topic on “How Language Shapes the Way We Think” with ” And that gives you the opportunity to ask: why do I think the way that I do? How could I think differently? And also, what thoughts do I wish to create?”

In order for your open-ended question to become food for thought, make sure your presentation raises it organically . It should sound like a relevant and logical conclusion to what you’ve built during your speech. Otherwise, the question would be forced and would seem like coming from nowhere. The best way to think of such an open-ended question is to reflect on what is the question you wished to answer during your presentation but couldn’t. Something that doesn’t have a solution yet.

  • Why do people fear losing things that they do not even have yet?
  • Why do we strive for perfection if it is not attainable?
  • How much control do you have over your life?
  • When will we reach a point where terraforming Mars will be our only chance at human survival? How can you influence this deadline?

This will give a great puzzle for your audience to solve and something to remember your presentation with, for a long time.

4. Inspire with Personal Involvement

If you have a story to share, don’t hesitate to inspire your audience with it during your own presentations.

This method is most powerful when we share a personal story or experience . Our vulnerability and personal touch are what will help you inspire your audience without sounding insincere or forcing them a piece of advice out of nowhere. The key here is to have credibility and personal involvement . It might come from your degree, accomplishments, or from your life’s story. Also, make sure the story is relatable and encourages empathy from your audience.

Steve Jobs gave a commencement speech at Stanford University sharing his personal experiences in order to inspire change in his audience’s mindset. He uses his authority and credibility to shape the spirit of leadership and entrepreneurship in young people. He aims to inspire people that they should learn to color outside the lines instead of following the patterns and structure of society. And he serves as a great example with his own life story and accomplishments .

Which makes the ending memorable and impactful: “ Your time is limited, so don’t waste it living someone else’s life. Don’t be trapped by dogma — which is living with the results of other people’s thinking. Don’t let the noise of others’ opinions drown out your own inner voice. And most important, have the courage to follow your heart and intuition. They somehow already know what you truly want to become. Everything else is secondary. Stay hungry. Stay foolish. ”

In conclusion, the entire speech builds up to this conclusion making it powerful as the personal involvement and experience make it sincere and inspirational.

5. Make Your Audience Laugh

If your topic allows it, one of the best ways to make your presentation memorable and a great experience for your audience is to end with a joke. Just make sure to craft a joke that relates to the main point of your presentation.

As an example for this tip, we chose the TED talk of webcartoonist Randall Munroe where he answers simple what-if questions using math, physics, logic, and -you guessed it- humor.

He ends by sharing an allegedly personal experience about receiving an email from a reader with a single subject line “Urgent”. “And this was the entire email: If people had wheels and could fly, how would we differentiate them from airplanes? Urgent. And I think that there are some questions math just cannot answer. ”

Final Words

In conclusion, the start and end of your presentation are crucial to its success. No matter the topic and goal of your presentation, you must always captivate your audience’s attention first, leaving the introductions and summaries for later. Having a great start for your presentation is what will keep your audience interested in what you have to say. After all, many office workers are called on to prepare a presentation at some point during their careers.

And, of course, many people are looking to share their expertise through workshops and lectures.

With that in mind, we wanted to dedicate an article to learning about the best ways to deliver an impactful presentation opening.

So, whether you’re currently struggling to come up with introductory lines for a presentation, or you have a more passive interest in this subject — you’ve come to the right place.

In this article, we’ll:

  • Share expert tips for preparing the best opening lines for any type of professional presentation ,
  • Offer some valuable examples and specific phrases you can use, and even
  • Analyze the way professional speakers approach their presentations.

But first, let’s talk about why having a good introduction is such a crucial part of any presentation.

Why does having a good introduction to a presentation matter?

If you’ve ever had to prepare an address, you probably understand the importance of having an impactful introduction to a presentation.

If the body of a speech contains most of the information you want to share with the audience and the conclusion allows you to invite the audience to take action — the introduction is how you get them to listen to you in the first place.

In other words, a presentation is a motivated sequence — a method of persuasion with 5 distinct steps:

  • Attention — wherein the speaker introduces the problem the listeners are having in an interesting manner. In the format of a presentation, this step is the introduction .
  • Need — the speaker explains how the problem affects the listeners and backs up their claims. This step corresponds with the body of a presentation , along with the following two.
  • Satisfaction — the speaker offers a solution and shows how it will alleviate the concern they have previously identified.
  • Visualization — the speaker describes precisely what will happen if the listeners choose to implement their solution. Sometimes, they also describe what will happen if their solution is not implemented. This concludes the body of the presentation.
  • Action — the speaker directs the listeners with a call to action, explaining what they can do in response to their presentation. This step represents the conclusion of a presentation.

Even though this framework was developed in the 1930s, it’s still a useful tool for people who want to improve their presenting skills.

What do professional speakers have to say about the importance of opening a presentation effectively?

For more insight into the importance of starting a presentation with a bang, we turned to professional speakers and communication experts.

We put the question to Mark Beal , Assistant Professor of Professional Practice, Communication, at Rutgers University School of Communication and Information. Here’s what he had to say:

“It is critically important to engage your audience immediately at the start of a presentation in a high-energy manner, or you could lose them to their mobile phone or laptop and you may never get them back.”

Speaker, author, communication skills trainer, and editorial producer at CNN, Nadia Bilchik , added:

“The beginning of your presentation is your prime real estate. It’s when your audience decides if you are worth paying attention to or not.”

So, in addition to capturing the audience’s attention , your introduction also needs to establish your authority .

Having said that, let’s talk about the specific steps you need to take before you begin presenting to make your presentation opening as memorable as it can be.

How to prepare the best opening for a presentation

Before we tell you how to start a presentation speech, let’s take a moment to consider the best preparation practices .

Naturally, preparing the introductory lines for your presentation should take place well before the speech itself.

Even so, many novice speakers are still unaware of the different factors that should influence and inform their decisions in this regard.

Luckily, we have managed to boil the results of our extensive research down to the following 3 tips:

  • Take note of the way other people start their presentations ,
  • Understand the goals of an introduction , and
  • Know your audience .

Having said that, let’s see what each of those tips entails.

Tip #1: Watch other speakers’ openers

As Napoleon Hill, author of Think and Grow Rich , puts it:

“Experience has taught me that the next best thing to being truly great is to emulate the great, by feeling and action, as nearly as possible.”

With that in mind, the best thing you can do before drafting your speech is observe the way others have made theirs.

In this case, you’ll want to focus on the way professional speakers introduce themselves and the subjects of their presentations .

The goal of this exercise is to determine:

  • What makes a good opening statement ,
  • Which openers are generally effective with audiences, and
  • What kinds of introductions you resonate with .

Somewhere in the middle of those categories is where you’ll find the opening lines of your presentation.

For their part, the experts we have contacted seem to agree with this tip.

Nadia Bilchik said:

“I have been speaking and training speaking skills for three decades and I still do a tremendous amount of research and customize each and every presentation. If I am speaking […] about the hybrid workplace, I will Google [the] latest statistics. I will also go onto YouTube to see what other speakers and thought leaders are saying about the subject.”

And Mark Beal mirrored her thoughts:

“I am consistently studying presentations in a quest to be a student who is always learning, evolving, transforming, and innovating my approach to presenting. I closely watch all types of presentations, from TEDx Talks to my former students who return to guest lecture in my university courses.”

Tip #2: Understand the goals of an introduction

According to the other authors of Communicating at Work , an introduction has 5 distinct objectives . It should:

  • Capture the listener’s attention (or, as professional speakers might say, “hook” them),
  • Give them a reason to listen (offer a solution to a personal or professional problem they have),
  • Set the proper tone for the topic and setting (let the audience know whether they’re in for an informative, emotional, or humorous speech),
  • Establish your qualifications (explain why the audience should listen to you , specifically), and
  • Introduce your thesis and preview your presentation (so that the audience knows what to expect in advance).

With those goals in mind, Nadia Bilchik would even say that:

“It’s always best to have someone else introduce you and confirm your credibility.”

That puts the onus of explaining why you deserve to be there on the host of the meeting and allows you to skip that part of the introduction.

However, these 5 objectives are not a checklist you have to follow at all costs.

Depending on the circumstances surrounding your presentation, some of them will matter more than others.

Speaking of, there’s one last thing to keep in mind when crafting your presentation opening.

Tip #3: Know your audience

The audience you end up presenting to will affect everything from the way you organize your presentation to your style of delivery — and even the supporting materials you use.

Your presentation’s opening lines are no exception.

In other words, the content and style of your introduction will depend on the size of the group you’re speaking to and its demographic breakdown .

However, perhaps the most important audience attribute you’ll have to keep in mind is its willingness to listen and engage with your message .

In Business Communication: Process & Product , authors Mary Guffey and Dana Loewy have identified 4 types of audiences based on that factor:

  • Friendly — an audience that likes you and cares about your topic,
  • Neutral — an audience that is calm and considers itself objective,
  • Uninterested — an audience full of people with short attention spans (who may or may not be there against their will), and
  • Hostile — an emotional or defensive audience whose goal is to take charge or ridicule the speaker.

Luckily, Guffey and Loewy have also provided some guidance for dealing with each of those kinds of audiences.

How to start a presentation effectively (tips + examples)

It’s the day of your big presentation — time to go big or go home.

Which of the following tips would you incorporate in your presentation opening lines?

  • Exude confidence.
  • Drop the pleasantries.
  • Prove your expertise.
  • Begin with a realistic promise (explain what the audience stands to gain from your presentation).
  • Go for the drama.
  • Fall back on an insightful quote or a pop culture reference.
  • Share an interesting statistic.
  • Ask questions.
  • Relieve tension with a joke or a humorous statement.
  • Use visual tools (like images, videos, or props).

If you haven’t thought about which one of these would help you get your point across effectively — don’t worry.

We’re about to explain each of those tips and provide some illuminating examples and specific phrases you can use when starting a presentation.

Tip #1: Exude confidence

One thing you need to know about starting a presentation is that your work begins the moment you set foot on that stage .

Alternatively, it begins the moment someone passes you the (literal or figurative) mic — if we’re taking into account the presentations that take place on video conferencing platforms.

In any case, you’ll want the audience to see you as someone who knows what they’re talking about . That includes:

  • Making eye contact ,
  • Moving with intention (not fidgeting),
  • Wearing professional attire (or at least appropriate attire for the occasion),
  • Projecting your words , and
  • Showing your confidence through nonverbal cues . 

One of the experts we spoke to, Reesa Woolf , PhD, keynote speaker, bestselling author, and executive speaking coach, would even advise you to rehearse your opener and closer to the point of being able to “deliver them with 100% eye contact.”

For what it’s worth, overpreparing also allows you to appear more confident when presenting , as you’ll be less worried about forgetting parts of your speech.

Then again, a moment of forgetfulness can also be turned into a tool for establishing a commanding presence.

Namely, staying still or being quiet for a moment can make the audience pay closer attention to you.

But, if that’s something you’d like to try, make sure the technique doesn’t clash with the type of audience you’re presenting to .

Tip #2: Drop the pleasantries

Have you ever heard a professional public speaker use one of these phrases?

  • “It’s a pleasure to be here.”
  • “I’m honored to be asked to speak about…”
  • “Today, I’m going to talk about…”

The chances of a professional using these phrases are pretty slim — so why would you?

Well, there’s nothing wrong with following a traditional format to introduce yourself . 

However, you’ll have to admit that the sentences we have listed above don’t pack the same punch as some of the other presentation opening lines we have included in this article.

Keynote speaker, Forbes contributor, career change consultant, and host of the Career Relaunch® podcast, Joseph Liu , recommends avoiding greetings altogether .

“While I do say hello, rather than starting with drawn-out greetings, I recommend diving right into the presentation with a hook so your audience immediately switches on to the content you’re about to present.”

Speaker, bestselling author, and award-winning accountant, Tatiana Tsoir , notes:

“People’s attention span is 20 minutes max, which is why TEDx is capped at 18 min. Also, people generally remember the beginning and the end, so make sure those are strong [and] get to the point fast.”

So, instead of wasting time on small talk, use an opener that will get your audience’s attention as quickly as possible.

Tip #3: Prove your expertise

As we have established, starting a presentation with a traditional introduction may not be the best way to get the audience’s attention.

Still, you’ll have to establish your credibility at some point — so we might as well illustrate how to do so properly.

Of course, if you’re a teacher or an educator in broader terms, you probably won’t have to prove your expertise to your audience.

However, if you’re tasked with presenting in front of neutral or hostile audiences, you’ll want to establish your qualifications as soon as possible.

If you can’t get someone else to introduce you and establish your credibility before you start your presentation, we suggest hooking the audience first and then introducing yourself right before you head into the main part of the speech.

Phrases you can use to establish your credibility

We have come up with 3 imaginary presentation scenarios to help illustrate our points throughout this guide.

Here’s how our speakers might introduce themselves:

“Hello, everyone. For those of you who don’t know me, I’m Nick Mulder, the head of the security department. I’m here to talk to you about phishing.”
“My name is Joan Miller. As someone with over four decades of experience in marketing, I’m uniquely qualified to talk to you about how artificial intelligence is changing the future of the industry.”
“I’m Milo Green — you probably know me as being the founder of Green & Co. As someone who’s had a hand in running a successful business for over two decades, I’m here to explain how my company’s employee retention rate has never fallen below 85% in a single year.”
If these speakers started with a hook rather than an introduction, the sentences introducing the subject of their presentations would be excessive.

Tip #4: Begin with a realistic promise

So far, there’s been a lot of discussion about “hooks” in this article and not many specific examples of phrases that might hook an audience — let’s change that.

The first type of hook you might want to master, especially for professional presentations, is the “promise.”

One of the experts we have spoken to, Reesa Wolf, uses that very method:

“Begin with a brief statement about the benefits of listening to [your] message. You can give an example of a company or person like them that had the issue they have and how these ideas solved it, but it still must be brief.”

In other words, start by giving them a preview of the knowledge they’ll have by the time you finish your presentation.

This method of starting a presentation is a great way to:

  • Show that you’re in tune with the listeners’ needs, concerns, and interests ,
  • Offer a solution to a problem the audience might have , or
  • Keep the audience interested throughout your presentation .

Ultimately, audiences are self-interested — they will listen to you if you explain what’s in it for them.

Usually, that will require you to point out a problem they are having or an opportunity they’re not taking advantage of.

Phrases you can use to offer a realistic promise

To put this tip in perspective, let’s hear from our imaginary presenters:

“By the end of my talk, you’ll be able to spot phishing emails and understand the steps you need to take when you do.”
“My presentation will alleviate any worries you might have about the ways the marketing sector will need to adapt to the AI revolution.”
“During this talk, you’ll learn how your company can improve its relationship with its employees and boost its retention rate.”

Tip #5: Go for the drama

One thing you should note as you are writing your presentation opening is that the first words you say will set the tone for the rest of your speech .

If offering a realistic promise to your audience suits your presentation subject — by all means, do so.

However, if you’d like to induce excitement and keep your audience’s mood elevated throughout your presentation, you might want to go for a more dramatic entrance instead.

Namely, you could start with:

  • A fun fact,
  • A startling statement, or
  • An emotionally moving story.

Many speakers rely on these kinds of openers to establish the central theme of their presentation naturally .

After all, this method can make the speaker look more approachable and relatable , particularly if their opening line references other people (e.g. “the other day, I met someone/a coworker told me…” ).

One example of this technique comes from author, entrepreneur, and certified fraud examiner, Pamela Meyer, who famously started her TED Talk by pointing to an audience member and saying:

“Okay, now, I don’t want to alarm anybody in this room, but it’s just come to my attention that the person to your right is a liar. Also, the person to your left is a liar! Also, the person sitting in your very seat is a liar.”

The combination of starting her speech with such a shocking statement and pointing out a specific audience member makes Meyer’s TED Talk an iconic one in our books!

Phrases you can use for a dramatic opening

Now, let’s see how our imaginary speakers would apply this tip:

“1,270,883! What do you think that number signifies? If you guessed ‘the number of phishing attacks recorded in the third quarter of 2022’ — you’d be right! We have the Anti-Phishing Working Group to thank for that disturbing piece of trivia.”
“Artificial intelligence is coming for our jobs! At least, according to Chat GPT and Business Insider , people working in tech, media, law, and many other industries might want to look elsewhere for employment in the coming years.”
“When I first started my company, I did it with about 20 of my most trusted friends and advisers. I’m happy to report that all but two are still working for Green & Co. — and those two are only absent because they’ve started their own successful ventures! In any case, my wish to surround myself with high-quality people has manifested itself in the company’s high employee retention rates. Today, I’m going to tell you about how I created an environment that makes employees want to stick around.”

Tip #6: Fall back on a quote or a pop culture reference

When in doubt, you could always start the introduction to your presentation with a quote.

As long as you don’t overuse other peoples’ words in your speeches, quotations are a completely legitimate and convenient tool for introducing the topic you’ll be discussing.

Aside from being a tried and true method of getting people’s attention without having to string together a perfect sentence on your own, quoting a particularly impressive individual is a good way to “borrow” their authority .

However, that can also be a double-edged sword , since it can also give you the individual’s notoriety. So, make sure you know whose words you’re echoing.

Of course, some people would advise you to avoid quotes altogether.

Assistant Professor of Rhetorical Communication at the State University of New York, Dr. Lee M. Pierce , cautions against starting your presentation “with quotes or long personal stories.”

Doing so might bore the audience.

Then again, Dr. Pierce also enjoys using pop culture references as openers, saying:

“By choosing a pop culture reference that most of your audience gets, you build instant rapport and have something you can use to ease them into your presentation material.”

So, perhaps there’s still a way to work a quote into your presentation, as long as it fits the mood you’re trying to establish.

Phrases you can use when you’re opening with a quote

So, how would our three fictional speakers incorporate quotations in their opening lines? Let’s find out.

“According to Harper Reed, entrepreneur and Chief Technology Officer for Barack Obama’s re-election campaign, ‘Very smart people are often tricked by hackers, by phishing.’ So it’s not about being smart. It’s about being smarter than a hacker.’ And I’m here to help you get there.”
“Stephen Hawking once said that ‘Success in creating AI would be the biggest event in human history. Unfortunately,’ he said, ‘it might also be the last, unless we know how to avoid the risks.’ I’m here to alleviate your concerns about those risks.”
“When I was developing my management style, I often referred back to one particular quote by Max DePree, founder of Herman Miller. He said, ‘The first responsibility of a leader is to define reality. The last is to say thank you. In between, the leader is a servant.’ That sentiment clarified my function for me — even though I was the CEO of my company, I was primarily there to help my employees.”

If you want to make sure your audience understands what you’re talking about, you could also show the quote on the first slide of your presentation.

Tip #7: Share an interesting statistic

Using relevant, interesting statistics is another great way to introduce the topic of your presentation.

This tip could also be an excellent tool for establishing your qualifications, if you decide to share a statistic that proves the efficacy of the solution you’re presenting.

Just keep in mind that people tend to trust third-party sources more than a potentially unverifiable statistic coming from your organization’s internal research.

Phrases you can use to introduce your presentation with a statistic

Let’s see how our three presenters might incorporate this tip.

“According to APWG, the number of wire transfer Business Email Compromise (BEC) attacks increased by 59% in the third quarter of 2022.”
“Netflix took 3.5 years to reach a million users. Facebook took 10 months. ChatGPT, which has been dubbed the best AI chatbot ever released by New York Times, reached its first million users in only 5 days. By January 2023, over 100 million people had used the service.”
“According to the 2022 Workplace Learning Report from LinkedIn Learning, companies that enable their employees to advance internally retain employees for an average of 5.4 years. That’s nearly twice as long as companies that struggle to provide opportunities for internal mobility, where the average retention span is 2.9 years.”

And, if you wanted to go the extra mile, you could also represent the statistics you’re talking about with a visual element.

Tip #8: Ask questions

Once you start researching public speakers, you’ll find that many of them engage their audience by asking questions .

It goes back to the concept of “hooking” your audience. According to Joseph Liu:

“The best way to start a presentation is with a hook. For example, ask a question. Invite people to do something. Have your audience imagine a situation. Or, surprise them with an interesting fact.”

Indeed, most of the experts we have spoken to would confirm that questions are the best tool for increasing audience participation . As Nadia Bilchik would say:

“ I like to ask my audience a question. […] the key is to invite participation from the start. ”

With that in mind, there are 2 types of questions you can use, depending on the situation:

  • Direct questions require answers from the audience. Speakers might ask for a show of hands or use a polling tool that allows people to stay anonymous while also showing the results for everyone to see.
  • Rhetorical questions are about asking the audience to envision a scenario that allows you to introduce the topic of the presentation. These sometimes have a “What if” construction.

Either way, the questions should prompt the audience to start thinking about the subject of your lecture. 

Questions you might use to open a presentation

Our resident phishing expert might ask his audience one of the following questions:

“How do you protect your company from phishing attacks?”
“Let’s see a show of hands — how many of you know what phishing is?”
“Has anyone here fallen prey to a phishing attack?”

Joan Miller, the digital marketer we have envisioned, might ask:

“Who here is already using AI to conduct their business?”
“Will your company survive the AI revolution?”
“Would you rather incorporate AI into your marketing strategy or continue doing business as usual? Think carefully about this question — and use the link I’m about to send you to tell me your answers. By the end of my presentation, I’ll run this question by you again, and we’ll see how the results of the poll have changed.”

Lastly, our imaginary CEO might ask his audience:

“Does your company’s employee retention rate matter?”
“How are you making your company a desirable place to work?”
”Can anyone here tell me their company’s employee retention rate?”

Tip #9: Relieve tension with a humorous statement

If you sense that your audience isn’t in the mood to take in the kind of presentation you have prepared, you can prime them for it with humor.

Cracking a joke at the top of your presentation sets the scene for a lighthearted conversation and makes you appear confident (even if you’re not). Additionally, a well-placed joke can:

  • Get the audience interested ,
  • Make a point about the topic of your presentation , and
  • Increase your likeability .

But, humor is an art form — and not everyone has the talent and skill to execute this tip effectively. If it doesn’t come naturally, there’s no need to force it.

When in doubt, take a page out of the comedian’s playbook and run your opening joke by a friend or, better yet, a more neutral acquaintance.

Of course, even if your joke works on them, you can’t always account for cultural or even professional differences that might prevent some people in the audience from getting it.

Jokes for opening a presentation

The 3 speakers we have imagined might use the following jokes to kick off their presentations:

“Can anyone tell me a hacker’s favorite season? Phishing season, of course! Unfortunately, in real life, phishing season is more of a year-round kind of thing.”
“Why are people so nice to AI? Because it’s self-conscious! Just kidding. For now… Actually, I have good news and bad news. The bad news is that AI does seem to be gaining traction, particularly in the marketing industry. But, the good news is that I’m here to tell you how to navigate that situation.”
“Did you know that staff retention is more likely to be improved by offering better working conditions than by chaining employees to their desks? Much to think about!”

Most of these examples would pair wonderfully with a visual element — which brings us to our final tip!

Tip #10: Use visual tools

Different speakers have different approaches when it comes to the visual aspects of their presentations.

Some rely on their speech to get most of the information across. Yet, others prefer to make their presentation slides a more integral part of their presentation.

We imagine Joseph Liu would sort himself into the latter group:

“I tend to keep my presentations as visual as possible, relying less on quotes and more on imagery.”

If you decide to let visuals do some of the heavy lifting for your presentation, there are several ways to incorporate them. Namely, you could:

  • Use images in your presentation slides,
  • Invite the audience to watch a video before the presentation,
  • Hand out printed materials ,
  • Show data charts , and
  • Bring out a physical prop .

The type of visuals you end up using will depend on the type of presentation you’re giving.

Either way, you’ll want to become familiar with different elements of visual communication (such as colors, shapes, fonts, and layouts) if you want to make your presentation truly memorable.

Going back to our 3 speakers, let’s see how they might incorporate visual elements into their presentation introductions.

“According to APWG, these are the most targeted industries for phishing scams in the third quarter of 2022.”

“Before I start my presentation, let’s look at a video showcasing the importance of having a high employee retention rate.”

You could also combine this tip with the others on our list , by saying something like:

  • “Can anyone tell me what’s wrong with this picture?” thus, combining a visual opener with a question, or
  • “What do you think the number on the screen behind me signifies? If you guessed ‘the number of phishing attacks recorded in the third quarter of 2022’ — you must be psychic!” as a spin on an example we used to illustrate tip #5.

Putting the tips into practice

Having concluded our list of tips, we wanted to see how the experts we have spoken to have put them into practice.

So, let’s start with the way they conceptualize and write their presentation starting lines.

Step #1: Draft your speech

Every memorable presentation starts with a written copy of everything you want to say.

According to Tatiana Tsoir:

“Developing a speech is a craft. I generally work first on who the audience is , then my core message I want them to walk away with, then the outline of the speech : how and when I introduce the main idea, and how I make a case for it and reiterate it throughout.”

Ultimately, the best time to write your presentation introduction would be once you have a clear idea of everything you want to say in the body and conclusion of your speech.

Even so, sticking to this advice won’t make you a better speaker immediately.

Instead, our experts have stressed that the only way to get better at presenting is through practice and repetition .

Take it from Tatiana:

“With public impactful speaking you don’t rise to the occasion, you fall back on training and practice.”

Step #2: Get right to the point

As you are drafting your presentation introduction, keep in mind that the audience is already waiting for you to get to the point.

When in doubt, follow Reesa Woolf’s formula for starting a presentation:

“Open with the attention-catching statement/story/quotation. Once they look at you, say your name and the parts of your experience and credentials that THEY would be most impressed by, at most 3 things about you.”

After delivering your opener and introducing yourself, you’ll want to quickly transition into the main part of your presentation.

Step #3: Invite audience participation

As we have previously mentioned, many of the experts we have contacted stressed the importance of increasing audience engagement.

Knowing your audience is a big part of that equation, as Dr. Lee M. Pierce would testify:

“Presentations should take advantage of what makes them unique — having an audience. Engage them, [and] introduce yourself. Just don’t start with a question right away — that’s asking too much too soon.”

Then again, many of the experts we have spoken to have said that asking questions is a good way to invite audience participation.

For example, Nadia Bilchik would even engage her audiences on a more physical level:

“I like to ask my audience a thought-provoking question. This gets them from passive to active mode. I also always get my audience to stand up and do a breathing exercise.”

Nadia also provided us with an example of an audience interaction she might use in the introduction of her speaking engagements. For example, she might ask the audience:

“ How do you rate your ability to present information in a concise, clear, and confident manner? High, medium, or low?”

After receiving her answers by a show of hands or even an online poll, she connects the response to the topic of her presentation by stating:

“Wherever you are on the spectrum, in the next X minutes, I will share tips and techniques to ensure you have a greater impact every time you communicate to an audience of one or 100!”

That’s a textbook opener you can use to introduce the topics of your own presentation, too!

Step #4: Put it all together

Remember, nothing is stopping you from combining the tips we have mentioned throughout this guide to create a presentation introduction that is wholly unique to you.

If you’re unsure how to do that, let’s analyze a professional speaker’s technique.

Mark Beal told us about a presentation opening he’s created for his lectures:

  • Walking off the stage adds an element of drama and establishes a commanding presence,
  • Asking questions engages the audience right off the bat,
  • Rewarding the audience with a book promotes engagement throughout the presentation, and
  • The books themselves are both an interesting prop and proof of Beal’s qualifications.

When you start researching famous speakers to prepare for your presentation, try dissecting the strategies they’re using.

Final thoughts: A checklist for starting a presentation effectively

Learning how to start a presentation is no easy feat.

After all, how would you go about checking your work if you don’t have an experienced presenter to help you?

Well, one way to check your introduction would be to perform a quick self-assessment based on the goals we have talked about in this article.

Namely, once you have finalized your presentation opening, answer the following questions . Does your introduction:

  • Capture the audience’s attention?
  • Give the audience reasons to listen?
  • Set an appropriate tone?
  • Establish your qualifications (if necessary)?
  • Introduce your thesis and preview the content?

If your introduction doesn’t meet one of these ‘requirements,’ consider whether it can be improved.

And, remember, as Joseph Liu would say:

“The best way you can get better at public speaking is to keep doing it again and again. With more practice, you’ll get more comfortable and confident with it.”

So, don’t be discouraged if your presentation isn’t a home run. Instead, think of it as a learning opportunity for future speaking engagements.

It doesn’t matter how well you know what you’re talking about, the moment you have to persuade, engage, or teach in front of an audience, you will probably stumble a bit. This is a natural reaction that affects pretty much everyone when all eyes are pointed in one direction and the anxiety sets in. 

It’s important to remember that the overwhelming feeling of stress you probably feel is the result of your unfamiliarity with the situation, not from your lack of preparedness. The more comfortable you are with taking the stage and having everyone’s attention on you, the less nervous you’ll get. 

The greater confidence you have in your presentation skills will allow you to focus on what actually matters–which is the material that you’re presenting. 

The best way to implement this practice is by starting off small. Prepare a presentation to give to your friends, family, or closest co-workers. This sounds easy, but you will learn that it’s not necessarily who is listening to you that causes nerves, but it’s the fact that all of the attention is on you.

We’ve all been there before: sitting at the conference table trying our very best to stay interested and engaged with the presentation before us. The presentation lacks color, images, and all sense of creativity while containing an over-abundance of text and long-form paragraphs. 

These types of presentations are horrible for two reasons: 

The first reason being that the minute you have words on the screen, your audience will direct their attention away from you to begin reading and completely tune you out. 

The second reason is if your presentation skills are poor, not only will your presentation be dull to listen to, but it will be unbelievably boring to look at as well. You’ll quickly find out how easy it is to lose most of the room’s attention when you create a lackluster presentation.

3. Leverage your personality

As cliche as it sounds, you should always be true to who you are, especially if when you’re presenting. 

It’s incredibly easy to tell if someone is faking it for the sake of their audience, so you should never pretend to act in a way that you don’t typically do. Not only will you feel unnatural and uncomfortable doing it, but you can also risk embarrassment when you try to tell a forced joke and no one laughs or your new-found trait of sarcasm doesn’t sit well with your boss. 

It should bring you comfort knowing that most everyone in your meeting knows who you are. Use this to your advantage and start the presentation by playing up your best personality traits. Use your humor if you’re known to crack jokes or throw in your typical mannerisms.

Don’t worry if it veers you off your script. Chances are if one person has a question or comment, the others in the room are thinking it too. 

Use this as an opportunity to prove how well you understand the material you’re presenting–your audience will take notice.

Also, take some time out at the start or your presentation to ask your audience some icebreaker questions and slowly transition into the more important stuff. 

Taking this minute to talk through anything that your audience is thinking of is a good thing because it means they are engaged with you and really paying attention to the words coming out of your mouth. 5. Be passionate and engaging

A persuasive presentation is the best way to get the positive reactions you are looking for, so be as passionate as you can be about your subject matter to seal the deal.

The more excited you are to present your ideas and show off your expertise, the more excited and engaged your audience will be. Own your subject matter and know what you’re talking about, it’s one of the most important presentation skills to have.

6. Maintain eye contact with your audience

When the people you’re speaking to feel like you’re taking notice of them, they are much more likely to take notice of you and pay better attention to everything that you’re saying. 

It’s important to remember that losing eye contact and looking everywhere but at the people that you’re presenting to is a common nervous behavior. Pay extra close attention to whether or not you’re guilty of that, and work to ensure you have your eyes on at least one person.

7. Obsess over your listeners

Be receptive to your listeners. You can’t forget that what you’re presenting is for the audience, and it has nothing to do about you! 

Focus on the value you can provide to the people in the room. The more serving you are to them, the greater chance you have at driving your point home and nailing your presentation. 

It’s also important not to forget about those listening to you remotely over video conferencing . Make sure they know you’re aware of them and engage them as well! 

8. Focus on confident body language

Smiling, hand gestures, eye contact, and a powerful stance all exude confidence. 

If you don’t have strong body language and are showing physical signs of nervousness (ie. tapping, bouncing, shaking, darting eyes, and more) your audience will have a hard time focusing on the material you’re presenting and hone in on the fact that you’re nervous and probably don’t know what you’re talking about as much as you say you do.

No matter how nervous you are, take a deep breath and pretend otherwise. You might actually start to believe it!

9. Keep it as short as possible

Every single person’s time is valuable ( especially at work), so don’t waste precious meeting time. If you can say everything you need to in half of the time that is allotted, you should do so. 

Ensure that you’re only sharing the most important information. All of the extra fluff will bore your audience and you will lose their attention very quickly.

It’s a great idea to wrap up your presentation with key takeaways and action items. Doing so will ensure that no matter how quickly your meeting ended, your team understands their next steps. You can send out a quick, summarizing slide deck or an easy to read one-pager for their reference later. These visuals will make sure all of your bases are covered and that everyone is on the same page upon leaving the meeting.

Looking to make your meeting, event, or training more interactive? Then live polls are one of the interactive tools that you can’t miss out on in your presentation.

Polls allow you to interact with your audience in real-time , which makes your presentation more inclusive and engaging .

You simply ask your audience a poll question and they’ll vote, or submit, their insights using their smartphones.

Of course, it’s fair to say that polls alone won’t save an unprepared speech. For instance, we cannot blame PowerPoint for a poor presentation.

It’s all about facilitation .

In this article, we will take you through tips on how to integrate live polls into your presentation and how to facilitate them successfully. Let’s get started!

BEFORE YOUR PRESENTATION

During your presentation, 1. create interaction points.

Interaction points are spots on the agenda where you purposefully insert live polls to stimulate engagement.

Go through the flow of your talk and think about where you could insert some interaction. Tuck in a poll where you think it would make the most sense. For example:

Before revealing research findings or business results, you could ask a poll question such as:

  • What was the main challenge the respondents indicated as…?
  • How many people found it difficult to..?

Before presenting an argument or a topic, ask your audience what they think about the topic first. For example:

  • What’s the first thing that comes to your mind when you hear ‘virtual events’?
  • What are the main challenges that event organizers face today?
  • Who is responsible for Learning and Development? Individuals or companies?

After you present an interesting number or argument and ask your audience what they think about it. For instance:

  • Does this argument resonate with you? Yes/No
  • How well do you understand this concept?

This strategy will allow you to (1) break the long content deliveries into more digestible chunks, (2) regain your audience’s attention, (3) ignite conversations based on the results.

Polls can strengthen your point or, on the contrary, provide a different perspective and serve as data points to the discussion.

As for frequency, I typically recommend using a poll every 7-10 minutes to rekindle your audience’s attention.

2. Select the right poll type

There are different types of live polls that you can use in your presentation – each fit for a slightly different use case, with a slightly different objective. Let’s break it down.

Word cloud poll

Word clouds are basically word collages; your audience submits one-two word answers, and they will create a cool-looking cloud of words. The more times a word is submitted, the larger it appears on the screen.

As I already hinted at, they work well for questions that can be answered with one or two-word answers. This is great if you want to crowdsource ideas, thoughts, or feelings from your audience. For example:

  • Using one-two words, describe what ‘diversity and inclusion’ means to you.
  • Which one word best describes your state of mind right now?

To optimize their use, start your questions with, “In one word, what do you…?”

Multiple choice poll

Polls with multiple options allow your audience to choose one or multiple options. You can use them in different ways. For example, if you want your audience to vote for their preferred option:

  • Which of these trends do you think will dominate the market in 2021?

Or, you can use multiple choice polls as quiz questions – with one correct answer – to test your audience’s knowledge. Or just for fun.

  • What was the number one cybersecurity threat in 2020? A: Cloud Jacking B: Ransomware attacks C: Mobile malware

Tip With multiple choice polls , where you expect people to select a correct answer, it’s important to set the right difficulty level. You don’t want the question to be too easy, but not too difficult either.

Rating poll

As the name suggests, these polls let your audience rate things. You can assign a different star-rating scale to your poll, with up to 10 stars.

A typical use case of a rating poll is feedback. You can run a rating poll after you’ve presented something to your audience, and ask them how well they understand or like it. For example:

  • From 1-10, how much do you identify with our new company mission statement?

Or, you can add a rating poll to the end of your presentation and ask your audience to give their feedback.

Ranking poll

With this type of poll, you can let your participants rank multiple options based on their preference, liking, or any other order. Simply add the choices for your audience to rank and ask them to order them accordingly.

Ranking polls are great for decision-making or prioritizing. For example:

  • Which of these topics would you like to learn the most about? Please rank.
  • Which of these four campaign proposals do you prefer? Rank these according to your level of excitement.

Open text poll

With this poll type, you give your audience the freedom to formulate their own answers and ideas. When using this poll, make sure to give people more time as they need to type in their answers.

Open text polls are more suitable for smaller crowds, as going through many submissions could take a lot of time. They are effective for crowdsourcing ideas, suggestions, challenges, or areas for improvement. For example:

  • How can we increase our brand recognition?
  • What marketing channels should we experiment with?

3. Insert live polls into your presentation

Once you have thought out your flow, it’s time to align the polls with your slide deck.

If you’re using Google Slides or PowerPoint, you can insert polls directly into your presentation using Slido’s integrations with Google Slides , Microsoft Teams, and PowerPoint .

The polls will then be added to your slide deck as separate slides and you can present and engage your audience seamlessly without having to switch apps or screens.

If you’re using other platforms such as Keynote or Prezi, you can create polls on Slido and activate them remotely with your smartphone through your Slido admin using Switcher .

Once you activate a poll, it appears on top of your slide until you deactivate it and move on with your story. Learn more about how to use the Switcher here .

4. Give instructions on how to vote in polls

The moment to shine is here. Before you fire up the polls, don’t forget to give people instructions on how they can participate and vote in the polls.

The best practice is to introduce Slido at the start of your talk and let your audience know that you’ll be using polls to gain insights from them.

Then, tell your audience to:

  • Go to slido.com and enter your unique event code
  • Or scan the QR code.

Once they’re in, they can vote in the polls. (Or ask questions via the live Q&A feature .)

A great practice is to run a warm-up poll to get people to open the app and get familiar with it. Find some examples of warm-up poll questions here .

After you fire a poll, allow your audience a few seconds (up to 1 minute) to submit their answers. While some polls might be quick for your participants to vote in, others might require some more thinking time.

Tip To increase participation, you can follow the vote count in the top right corner to see how many people have already sent in their votes. You can encourage more people to participate by saying: “We’re on 85 – let’s try to hit at least 100.”

5. Set the poll in the context of your presentation

Live polls bring the most value when they’re well facilitated and make sense for the flow of the presentation. Don’t just use polls for the sake of interaction.

Before you’re about to run a poll, introduce it properly and explain to your audience why you’d like to know their thoughts. Set the poll in the context of your presentation or the topic that you’re discussing .

The same goes for after you reveal the results. Don’t just display the results and move on, but comment on how people voted, and where applicable, read people’s submissions and tie them to your own arguments or discussion points.

As our dear friend and seasoned moderator, Jan-Jaap In der Maur said:

“The moderators or speakers need to move beyond the mere act of voting. What’s really critical is the follow-up on the results of the vote.”

6. Use polls to drive discussions

Polls are also effective for triggering a discussion . Where possible, after you reveal the poll results, ask people what they think about them, or encourage the volunteers to share how they voted and why.

In an online environment, this can be a nice ‘excuse’ for some people to join in the discussion and speak up (as opposed to being passive otherwise).

Also, polls can guide and give structure to your discussion. Often there’s radio silence following the question: “Does anybody want to share their thoughts?” But the poll results provide you with a concrete discussion point, an anchor if you will, to hold on to and elaborate on.

Another thing to consider as far as discussions go is group discussions . Granted, it’s not the easiest thing to pull off in a remote setup, but it is possible.

You can simulate a roundtable discussion or think-pair-share format using Breakout rooms .

After you run a poll that caters to different perspectives, divide your participants into breakout rooms and ask them to elaborate on the topic and discuss why they voted the way they did.

It’s super refreshing for your participants to be able to talk to their peers and actively contribute to the discussion.

7. Highlight the main points and ask for feedback

As you’re wrapping up your presentation, it’s good practice to include a summary slide where you bring back the main points that you’ve discussed during your talk.

While you’re at it, why don’t you give your audience a voice once again and ask them about what they’re taking away from the presentation? It may or may not overlap with your wrap-up slide, and your participants’ answers can be great feedback to you and your content.

And finally, just as you rate your Uber drives or meal deliveries, don’t forget to ask your audience to rate how they liked your talk/meeting/training using a rating poll. Knowing how your audience enjoyed your session is always better than not knowing! Good luck.

Live polls are great for making your presentation more conversational and engaging. But the technology is not enough.

In order to leverage the full potential of live polls in a presentation, they need to be properly facilitated and moderated . Learning to facilitate the conversations that arise from the dynamic content that polls enable is essential for becoming better (online) presenters and speakers.

There is unequivocal evidence that Earth is warming at an unprecedented rate. Human activity is the principal cause.

  • While Earth’s climate has changed throughout its history , the current warming is happening at a rate not seen in the past 10,000 years.
  • According to the Intergovernmental Panel on Climate Change ( IPCC ), "Since systematic scientific assessments began in the 1970s, the influence of human activity on the warming of the climate system has evolved from theory to established fact." 1
  • Scientific information taken from natural sources (such as ice cores, rocks, and tree rings) and from modern equipment (like satellites and instruments) all show the signs of a changing climate.
  • From global temperature rise to melting ice sheets, the evidence of a warming planet abounds.

The rate of change since the mid-20th century is unprecedented over millennia.

Earth's climate has changed throughout history. Just in the last 800,000 years, there have been eight cycles of ice ages and warmer periods, with the end of the last ice age about 11,700 years ago marking the beginning of the modern climate era — and of human civilization. Most of these climate changes are attributed to very small variations in Earth’s orbit that change the amount of solar energy our planet receives.

The current warming trend is different because it is clearly the result of human activities since the mid-1800s, and is proceeding at a rate not seen over many recent millennia. 1 It is undeniable that human activities have produced the atmospheric gases that have trapped more of the Sun’s energy in the Earth system. This extra energy has warmed the atmosphere, ocean, and land, and widespread and rapid changes in the atmosphere, ocean, cryosphere, and biosphere have occurred.

Earth-orbiting satellites and new technologies have helped scientists see the big picture, collecting many different types of information about our planet and its climate all over the world. These data, collected over many years, reveal the signs and patterns of a changing climate.

Scientists demonstrated the heat-trapping nature of carbon dioxide and other gases in the mid-19th century. 2 Many of the science instruments NASA uses to study our climate focus on how these gases affect the movement of infrared radiation through the atmosphere. From the measured impacts of increases in these gases, there is no question that increased greenhouse gas levels warm Earth in response.

Scientific evidence for warming of the climate system is unequivocal.

Intergovernmental Panel on Climate Change

Ice cores drawn from Greenland, Antarctica, and tropical mountain glaciers show that Earth’s climate responds to changes in greenhouse gas levels. Ancient evidence can also be found in tree rings, ocean sediments, coral reefs, and layers of sedimentary rocks. This ancient, or paleoclimate, evidence reveals that current warming is occurring roughly 10 times faster than the average rate of warming after an ice age. Carbon dioxide from human activities is increasing about 250 times faster than it did from natural sources after the last Ice Age. 3

Global Temperature Is Rising

The planet's average surface temperature has risen about 2 degrees Fahrenheit (1 degrees Celsius) since the late 19th century, a change driven largely by increased carbon dioxide emissions into the atmosphere and other human activities. 4 Most of the warming occurred in the past 40 years, with the seven most recent years being the warmest. 2. In 1824, Joseph Fourier calculated that an Earth-sized planet, at our distance from the Sun, ought to be much colder. Gilbert Plass formulated the Carbon Dioxide Theory of Climate Change in 1956.

This U.S. airport will take you the longest to walk through

From check-in to your gate, here’s how far you’ll walk

Summer travel season is coming up, and airports around the country are expected to be busier than ever. Crowds, high prices, delays and other hassles are sure to be a part of every vacationer’s plans. But have you thought about how long it will take you to walk to your gate? When it comes to distance between check-in and boarding, some airports are more of a slog than others.

Footwear company KURU looked at major airports around the country to determine which ones have the longest and shortest walks through the terminals. Dallas/Fort Worth International Airport came in as the longest airport walk, with 2.16 miles. The airport has 182 gates across 17,207 acres. Washington Dulles and George Bush Intercontinental follow. The shortest airport walk is in Kentucky, just .11 miles at Blue Grass Airport.

KURU also surveyed 800 travelers about their habits, including airport walking. Of those surveyed, 35 percent spend less than an hour walking around the airport, while 33 percent spend an hour. Only 40 percent of travelers are annoyed by a long walk to a gate, and only 27 percent avoid a particular airport because of walking distance. Sneakers are the footwear of choice for 66 percent of those surveyed.
