Presentation Structure

A presentation structure includes an introduction, context, main body, conclusion, and scope for questions. Depending on the type of presentation you’re doing, this format can change. The article discusses various considerations for each section of a presentation structure.

For presentations to be understood and create a good impression, they can’t be haphazard. It has to have some sort of pre-planned presentation structure that is both logical and simple enough. Depending on the type of presentation you’re doing, there are likely some basic frameworks available that people tend to follow. Before we delve into the format, let’s consider key points to consider when planning a presentation.

How do you structure and plan a presentation?

We plan a presentation by considering the type of presentation, who our audience is, ideating the purpose, and formulating subtopics through research.

Consider the type of presentation

This leads to understanding the ideal flow to convey your content best. For instance, for persuasive presentations, you could use creative ways to convey what is best about a product, such as starting with a story about how it has helped many people achieve something.

On the other hand, for a progress presentation at your workplace, you might have conventions about what is expected, which must be followed precisely.

A few other types of presentations include:

  • Informative presentations
  • Instructive presentations
  • Motivational presentations
  • Analytical presentations

You might also want to consider if you want audience interaction and put that into the structure accordingly. While some allow questions mid-presentation for smaller audiences, it is typically left towards the end.

Consider your audience’s knowledge level and interests

This will determine if you can assume a particular knowledge base and not include it in your presentation structure or if you have to start off with basics and build up on that.

For instance, if you’re teaching 1st-year students about something, you might start with basics. But for graduates, a similar format would be unnecessary as they might have already learned about it.

Similarly, if your purpose is to deliver something entertaining, knowing about the interests and values of your audience helps a ton.

The most simple way is demographics. It’s typically quite easy to find out the expected age group, gender, etc of the audience. This information can help you have a basic idea of the sort of experiences they go through, which helps formulate an understanding.

Consider the purpose of your presentation

While this may seem obvious, many of us lose track of the main purpose and spend too much time on remotely related content. This diverts attention from the topic and might even cause boredom.

For example, if you’re advocating for some social action, it would be beneficial to stay on the topic itself, like the pros, cons, what can be done practically, etc. Instead, if the presenters spend more time criticizing others, the presentation will fall short of its purpose.

Few other examples of different purposes your presentation could have:

  • Entertainment
  • Providing information
  • Telling your story
  • Proposing ideas
  • Discussing future plans for the company

Research your topic and start noting down the subtopics

Skip this if you already know exactly what needs to be a part of your presentation, and plan to include just that. While looking up your topic, you’ll discover the various sub-topics within that field. After you start noting them down, you can organize later what comes under which to build a structure.

What is the best presentation form?

The best presentation format is one that includes the introduction, context, main body, conclusion, and questions.

Here, we will discuss a template or structure for a typical presentation.

Introduction

  • Greet the audience and introduce yourself, e.g., what you do and why you’re here
  • The purpose of your presentation
  • The flow or outline gives a sense of what they can expect
  • Depending on the topic and audience, you might have to provide more or less context about your topic
  • This could include a brief history, terminologies, the current market status, the current status of the field, etc.
  • Includes the full depth of the primary purpose of the presentation
  • All major chunks of data, including examples, evidence like research studies, etc, are included here

  • Thank your audience if they have been a good one
  • Take questions and encourage healthy discussion
  • End with sharing ways they can address their questions later

To make sure that the structure works out, it is important that you practice your presentation. This will also tell you if you’re falling within the time constraints. Here is a guide on how you can go about practicing your presentation.

5 Ways to Structure Your Presentation

The five ways include ordered, problem-solution, comparative, storytelling, and demonstrating structures.

1. Ordered Structure

The presentation follows a logical sequence starting with an introduction, main points, and then conclusions. This is what this article has focused on, as it’s the most straightforward method and tends to be very clear for the audience. However, for presentations that do not follow a clear progression, this may not be useful.

2. Problem-Solution Structure

This is useful when persuading the audience. You explain the problem (+ its importance and impact) and then provide a solution that motivates the audience to take it. This could be in the form of a product, a particular method of communication, some technical thing, etc. There should be a decent amount of time spent on the benefits of the solution as well as the exact “How?” to implement it to make the audience convinced. It helps to address any questions or barriers you expect them to have during the speech itself.

3. Comparative Method

This is useful when you want to highlight the benefits of something over alternatives . It is ideal to first fully address the alternatives by talking about their benefits and limitations. Then you lastly talk about the solution that you possess that effectively addresses the other limitations or is in some way a better choice than others, based on your arguments.

Alternatively, if you do not want to highlight the benefits of something particular and just form a comparison that demonstrates the pros and cons of different subjects in an unbiased manner, this technique is still used. For instance, how the main benefit of a product is practically useful for the consumer in comparison to the main benefit of another product can be discussed.

4. Storytelling Structure

This is useful when your goal is just to tell a story. This could be to explain the context or history of a company. It could also serve to talk about yourself and how you got there. A story will typically have an introduction, a complicating factor that introduces some challenges, and then an ending that highlights the importance of some action or belief. 

You may also go in a timewise order when explaining a story. This might take away from the thrill but is useful nonetheless when it is required for the audience to properly understand what is being conveyed. Storytelling can be done in various ways, so feel free to find your own structure.

5. Demonstration Structure

This is useful when demonstrating products or services . The benefits of the product/service are highlighted and it is demonstrated showing those capabilities. The goal should be on persuading the audience that it is useful to them for their needs.

How to structure a scientific presentation?

Structuring a scientific presentation typically includes an introduction, methods, results, and discussion.

This typically follows the below format, but depending on the university/conference guidelines, you’ll have to adjust accordingly. The rest of the sub-topics revolves around these sections.

  • Introduction/Background 
  • Literature review (if applicable)
  • Acknowledgments (often optional)

After this, time is given to take questions.

How do you structure a presentation script?

The presentation never includes the full extent of the information. It’s just a concise version of what you’re speaking that adds as a visual aid at times while also highlighting major points. 

The script is where the major content lies. The structure remains the same, but the content is greater in depth .

To make it easier for you to understand how you can structure your presentation script, here is a sample script for a presentation on the topic: Importance of Public Speaking.

This follows the same flow introduced earlier- introduction, context, main body, conclusion, and questions.

Greetings, ladies, and gentlemen. Today, I will be exploring the importance of public speaking. My name is John, and I’m thrilled to discuss with you how improving our public speaking abilities may make a significant difference in our quality of life in the personal, social, and professional domains.

Slide 2: Introduction

Public speaking involves persuading an audience with a well-organized message. It is an essential part of our daily lives. We use it when we make conversation in social groups as well as when we address enormous crowds at social gatherings. It is a highly multifaceted and effective tool.

I will start off by giving some information about the context, moving on to its benefits, which is the main crux of our presentation, and then we will spend some time concluding.

Effective communication is essential in our globally interconnected society. Speaking in front of an audience enables us to express our views and thoughts clearly and firmly. It facilitates the development of solid bonds and influences others, and acts as a catalyst for constructive change. Public speaking may open doors of opportunity and propel achievement for anyone, whether they are a student, professional, or member of the community.

Public speaking increases self-esteem and confidence, which are quite rudimentary to our self-efficacy. Effective communication skills help us to be more assertive and feel more in control of our lives. Research suggests that having an internal locus of control (i.e., feeling in control) leads to better outcomes in our personal lives as well as greater mental health.  As we organize our ideas and arguments through public speaking, it improves critical thinking and organizational abilities. Furthermore, as we interact with others during talks and Q&A sessions, public speaking also enhances our listening abilities.

The ability to speak in front of an audience effectively is highly essential in most workplaces.

You ask Why? Well, it is because we are better able to communicate our qualifications and worth to potential employers, which enhances our performance in job interviews. Secondly, our influence within organizations grows when we can make a strong case for our points in meetings and conferences.

Next, for leadership positions, where success depends on inspiring and motivating others, public speaking is critical. And in general, you’ll need public speaking in any meeting or any talk you would typically deliver in front of a bunch of people.

Public speaking is a sought-after, multifaceted, and handy skill across many settings. It gives us the ability to inspire others, tell our stories, and make a lasting impression. Strong public speaking abilities help us communicate clearly and lead with influence in many facets of our lives.

How to Structure a Presentation

Choosing the best format for your audience.

Have you ever sat through a rambling, disorganized presentation? If so, you probably found it hard to follow what the speaker was saying.

When presentations don't flow well, it's easy for audiences to get lost. This is why it's important to think carefully about the structure and organization of your presentation.

In this article, we'll explore some common structures that you can use next time you speak in front of other people.

The Importance of Structure

Without a defined structure, your audience may not be able to follow your presentation. When this happens, your opportunity is lost, the communication fails, and your reputation takes a hit. For example, if your aim is to persuade people, you'll want to use a different approach from the one you'd use if you wanted to demonstrate how a product works.

Many factors can influence your choice of structure, but the most important consideration is your presentation's purpose or goal. You need to identify what you want to achieve – do you want to inspire, motivate, inform, persuade, or entertain people?

Your audience's needs also affect the structure you choose. For example, those who are new to your topic need more background information than people with more expertise and experience. So, in this case, you'd want to choose an approach that gives you ample time to explain the context of your subject, as well as to reinforce your main points.

Structures to Consider

Below, we outline several structures that you can use to organize your presentation.

1. Open – Body – Conclusion

The Open – Body – Conclusion approach is one of the most practical structures you can use for presentations. (Click here to download a worksheet that helps you use it.)

People often call it the "tell 'em" approach, because you:

  • Tell audience members what you're going to tell them (introduction).
  • Tell them (body).
  • Tell them what you told them (conclusion).

This structure is simple, effective and easy to remember. Its repetitive nature allows you to reinforce your points, which helps others remember them. It is also flexible: you can adjust the introduction and body to persuade, motivate, educate, or entertain them.

One downside, however, is that repetition can quickly bore people. The approach is also "old hat" to many, which can cause them to lose interest. If you choose to use it, balance repetition with plenty of interesting facts, images, anecdotes, or stories to hold your audience's interest.

Let's look at each stage of the Open – Body – Conclusion structure in detail and discuss the elements that you need to include in each. We'll start with the body, rather than the introduction, because the rest of your presentation will be based on that.

The body of your presentation needs to contain your key points. You should present these in a logical order, so that your audience can follow them easily.

Keep in mind that the body should comprise a limited number of ideas: the more you try to include, the fewer people will remember. A good guide is to cover three to five main points, but no more.

When organizing your ideas, use the chunking principle to put the information into specific units. This will make the concepts easier to grasp, and help people remember what you have told them.

Make sure that you back up your main points with facts. Use good information-gathering strategies in your research, and consider citing the sources that you use. To add credibility to your presentation, consider using the following information to support your ideas:

  • Data, facts or statistics.
  • Images or diagrams.
  • Stories and examples.
  • Quotes or testimonials from experts or industry leaders.

Reliable sources will strengthen your credibility , and build trust with your audience.

Your opening, or introduction, has two main purposes: to grab your audience's attention, and to cover the key points that you intend to talk about.

Instead of telling people what you plan to say, you can use a different approach and explain why they are there. What will they learn from your presentation, and how will the content benefit them?

It's also important to get their attention right from the beginning. You can do this in several ways:

  • Tell a story.
  • Ask a rhetorical question.
  • Play a short video.
  • Make a strong or unexpected statement.
  • Challenge your audience.
  • Use a quotation or example.
  • Appeal to people's self-interest.
  • Request a specific action.
  • Use suspense.

If you plan to answer questions at the end of your presentation, it's a good idea to mention this in the introduction, so people don't interrupt you mid-flow.

Many presenters overlook the importance of a conclusion – but the statements you finish with are what many audience members will remember best.

With the "tell 'em" approach, your conclusion summarizes the main points in the body of your presentation. If you want people to take action, be specific about what you want them to do.

Think carefully about how you want them to feel once you've finished; your conclusion is a great opportunity to reinforce this. Why not inspire them with a great story, a quote or a compelling call to action?

2. The Sandwich Approach

The Sandwich Approach is a variation of the Open – Body – Conclusion structure. This three-part structure covers:

  • Advantages and/or benefits of your message or idea.
  • Risks and concerns.
  • How the benefits manage or eliminate those risks.

This approach is effective when you want to persuade audience members, or change their minds.

Having evidence to support your position is critical. However, factual data and reams of spreadsheets and charts are not highly persuasive. What people respond to is "vivid" evidence that brings your concept or argument to life.

To brush up on your persuasion skills, look at The Rhetorical Triangle . This tool asks you to consider your communication from three perspectives: those of the writer, the audience and the context. It's a method that builds credibility, and helps you ensure that your arguments are logical.

3. Monroe's Motivated Sequence

Monroe's Motivated Sequence is another good structure to use when you need to motivate or persuade. This sequence consists of five key steps:

  • Getting your audience's attention – Use an interesting "hook" or opening point, such as a shocking statistic. Be provocative and stimulating, not boring and unemotional.
  • Creating a need – Convince the audience there's a problem, explain how it affects them. Persuade them that things need to change.
  • Defining your solution – Explain what you think needs to be done.
  • Describing a detailed picture of success (or failure) – Give people a vision; something they can see, hear, taste, and touch.
  • Asking the audience to do something straight away – Get them involved right from the start. If you do this, it's then much easier to keep them engaged and active in your cause.

4. Demonstration Structure

Use a simple demonstration structure when you are unveiling a new product or service.

Start by explaining why the product or service is so good. What makes it special? What problem will it solve for people?

Next, demonstrate what it does. How you do this will depend on your product but, whatever you do, make sure it works! Bring any important points to the audience's attention and provide helpful tips, where appropriate. Show them the results, and finish by giving them useful information, a good understanding of your topic, and something to remember.

Don't get too wrapped up in the detail; remember to keep it simple. Your presentation will be more powerful and your audience will remember more if you highlight just a few of the most important features. This will whet their appetite, and leave them wanting to know more.

5. Opportunity, Benefits, Numbers Structure

The Opportunity, Benefits, Number (OBN) structure is useful when you face busy people who want to hear what you have to say in the shortest time possible.

To use this structure, give audience members a quick summary of the opportunity that they need to consider, and outline the benefits that they can expect. Then, show them the numbers that back up your claims. [1]

For example, imagine you are explaining why your company should implement a new performance management system. First, you might give some background on the proposal – for example, you want to drive a high-performance culture. Then, you could explain the benefits, such as improving organizational performance and profits. Finally, you could compare the cost of bringing the system in with the predicted return on investment, based on a similar system at another organization.

Presentations that lack a clear flow are confusing and ineffective. This is why it's important to pay careful attention when choosing the most appropriate structure.

Different structures fulfill different purposes. Before you begin, think about why you are giving your presentation. Do you want to inform, persuade, inspire, or entertain your audience?

The most common structure for presentations is Open – Body – Conclusion. This is often effective because it gives you the opportunity to repeat your key points a number of times. However, other structures can be more appropriate, depending on the circumstances, such as when you're trying to persuade an audience, demonstrate a product, or provide information in the most time-efficient way.

The Presentation

Most presentations are divided into 3 main parts (+ questions):

As a general rule in communication, repetition is valuable. In presentations, there is a golden rule about repetition:

  • Say what you are going to say...
  • then say what you have just said.

In other words, use the three parts of your presentation to reinforce your message. In the introduction, you tell your audience what your message is going to be. In the body, you tell your audience your real message. In the conclusion, you summarize what your message was.

We will now consider each of these parts in more detail.

Introduction

The introduction is a very important - perhaps the most important - part of your presentation. This is the first impression that your audience have of you. You should concentrate on getting your introduction right. You should use the introduction to:

  • welcome your audience
  • introduce your subject
  • outline the structure of your presentation
  • give instructions about questions

The following table shows examples of language for each of these functions. You may need to modify the language as appropriate.

The body is the 'real' presentation. If the introduction was well prepared and delivered, you will now be 'in control'. You will be relaxed and confident.

The body should be well structured, divided up logically, with plenty of carefully spaced visuals.

Remember these key points while delivering the body of your presentation:

  • do not hurry
  • be enthusiastic
  • give time on visuals
  • maintain eye contact
  • modulate your voice
  • look friendly
  • keep to your structure
  • use your notes
  • signpost throughout
  • remain polite when dealing with difficult questions

Use the conclusion to:

  • (Give recommendations if appropriate)
  • Thank your audience
  • Invite questions

Questions are a good opportunity for you to interact with your audience. It may be helpful for you to try to predict what questions will be asked so that you can prepare your response in advance. You may wish to accept questions at any time during your presentation, or to keep a time for questions after your presentation. Normally, it's your decision, and you should make it clear during the introduction. Be polite with all questioners, even if they ask difficult questions. They are showing interest in what you have to say and they deserve attention. Sometimes you can reformulate a question. Or answer the question with another question. Or even ask for comment from the rest of the audience.

A great presentation leaves the audience feeling either inspired or informed on a specific topic. It generally is not because the speaker was knowledgeable or motivating. 

Instead, they are aware of how to structure presentations logically and simply, allowing the audience to keep up with them and take away the key aspects of the presentation. When designing a presentation, 

  • Create a solid, organized structure for the entire presentation. 
  • Keep the slides simple and clear to follow.

The Introduction – Greeting the audience & introducing the speaker

Be sure to create a positive environment by welcoming the audience with a friendly greeting. This allows the audience to arrive, settle down, and prepare for the presentation to start. The introduction should help the audience comprehend and understand the subject and objective of the presentation as well as gain their attention and confidence . It should narrow down from a broad topic to the specifics of the talk.

  • Narrowing to the area of interest/ subject of the presentation.
  • Stating the problems/ challenges in the area being discussed. 
  • Stating the objective and purpose of the presentation. 
  • Providing a statement of the outcome of the presentation.

The Body 

The body of the presentation should meet the objective and the information indicated in the introduction. This is an integral part of crafting an Effective Presentation Structure: From the Introduction to the Conclusion should make up about 75% of the total duration of the presentation. 

  • The topics should be segmented considering the nature of the presentation and then working through them individually for the audience to understand fully. 
  • The main points should be concise with relevant supportive evidence, statistics, and examples. 
  • Critical points should be indicated with reasons. Each important idea could be presented several times in different ways to help the audience fully absorb the meaning. 
  • State clear links between the ideas and internal summaries and always signal when moving on to the next point. 
  • Allow the audience to make relevant notes. Always remember to summarize the talk’s body and remind the audience of the topic.

An attractively designed and worded agenda can also help to capture the audience’s attention right from the start and get them excited about the presentation. For example, the agenda can be designed using images, language, or terminology that is specific to the audience’s goals and interests. In this way, the presenter signals that they value the audience’s time and interest and are tailoring their presentation to meet their needs. 1. Greeting:

With a friendly greeting, you create a positive atmosphere right from the start. You give the audience the opportunity to arrive, get quiet and collect themselves and signal that it’s about to start. This phase is important to establish the audience’s concentration.

2.  Introduction:

Briefly introduce yourself and your organization. Give an overview of who you are and what your role is in your organization. By doing this, you will give your audience direction and reinforce your expertise and credibility at the very beginning of the presentation.

3. Objective:

Briefly outline the topic of your presentation and explain what you hope to accomplish with the presentation. Make sure the goal of the presentation is clear and concise.

4. Context:

Explain the context in which the presentation will take place. Why is the topic important? Why is it relevant to the audience? Here you should also make sure that you connect with the audience and tailor your presentation to their needs and interests.

Here you present your information, argue for your position, try to convince the target audience or bring them to a decision. In short, the middle section is the heart of your presentation. It should be structured in a logical and comprehensible way and should be consistently oriented towards your presentation objective. The biggest challenge is to make the main part compact and not to ramble too much, but still not to make any jumps in content where you might lose your audience. Ideally, when building the main body, you follow the thought processes your audience might have and answer any questions that might pop into your target audience’s head. Of course, this requires a good knowledge of your target audience and also some experience. If you have given similar presentations before, you should take into account insights you can derive from audience reactions or questions, for example, when building your next presentation.

The main part should make up about 75% to 80% of the total duration of the presentation. These are our tips for the main body:

1. Precise headings:

Make sure the main body is clear and logical and use precise headings. They will ensure that your audience can follow your arguments. Headings that are to the point also help the speaker, for example, when you want to jump back and forth within the presentation.

2. Key messages:

Present your core messages and arguments in a logical order. Make sure to support your arguments with examples and facts to strengthen your position. Report from the field to show that you understand the needs of your target audience.

3. Visualization:

Make sure you make your information easy to grasp quickly. Whenever possible, you should make use of visualizations. Diagrams, icons, and images are quicker to grasp than columns of scrubs, and you’ll stick in their minds. Your audience is more likely to remember a good picture than the text on your slides.

After the main part, you should have achieved the following with your audience:

  • The audience has understood your information and your arguments
  • You have answered or anticipated your audience’s most important questions and objections
  • The audience has recognized the relevance of the topic for their own needs and requirements
  • The audience is ready to take the next step toward your goal.

The closing section is the last part of your presentation and gives you the opportunity to emphasize your message once again. It’s not just about leaving a strong impression. The conclusion of your presentation determines whether you have achieved your presentation goal. Were you able to find supporters for your topic? Were you able to bring about a decision? Were you able to win a new customer? In order to be able to measure the achievement of your objectives, it is important to be specific at the end of your presentation. Depending on the goal, you can give an outlook here, agree on next steps or deadlines, or already distribute tasks. Use all possibilities for a binding exit and a concrete connection. Make sure that your topic is thought about further, a project is pursued or a collaboration is started. Otherwise, unfortunately, your presentation will be forgotten very quickly or other topics will push in front of it.

The conclusion of your presentation should be about 10% to 15% of the total duration of the presentation and include the following elements:

Summarize the most important points of your presentation again in a short and concise way. This will remind the audience of the key messages and strengthen your overall impression.

2. Call-to-action

Conclude your presentation with a call-to-action that fits your presentation objective. Ask the audience to make a decision, buy a product, or schedule a follow-up appointment with you. This will create commitment and ensure that your presentation objective is achieved.

Give an outlook on future developments or projects. Show the next steps or point out follow-up topics. By doing so, you show that you know the processes and are also an expert for the next steps and implementation.

4. Thank you

Conclude your presentation by thanking the audience. Show your appreciation for the interest and time the audience invested in your presentation. You can also include your contact information and offer to answer questions or provide further information. The thank you note should come from you in person; you don’t need a slide for that. Introduction

  • The introduction should orient the audience to your subject and purpose. To capture interest and set up rapport, it should tell the audience what to expect.
  • Be sure to carefully define the central point (or thesis) that is the basis of your talk and ensure that your supporting argument or information relates closely to it.
  • If you are not proceeding from an already written assignment, it might help to think of your introduction as funnel-shaped, with the content coming out of the funnel. See the diagram below:

The body of the presentation should meet the promises of purpose and information made in the introduction.

The structure of the presentation is crucial.

Whether you organise:

  • chronologically,
  • by priority,

the body of your talk must proceed logically. The main points should be brought out one by one, with concise and relevant supportive evidence, statistics or examples and verbal ‘signposting’ of your progress through your argument or report.

You could present each important idea or point several times in different ways, because a listening audience needs several opportunities to fully absorb meaning.

You need to state clearly the links between your ideas and always signal when the next point is coming. If you think something is particularly important, say so and why.

If you don’t have a written assignment, it will help to think of your main points as paragraph topic sentences, each of which needs to be followed by supporting sentences and a conclusion.

Staging the body of your talk

Group presentations.

It may be that you are making a presentation as part of a group. Essentially the same information applies to group presentations as individual ones. It is important that they are logical and well structured as well as professional and meaningful. It is also doubly important that the group rehearse and practise together several times to ensure the presentation runs smoothly on the day.

Handing over to a co-presenter

Your talk may involve several speakers in your group presentation. You need to manage the handover smoothly and professionally, for example:

“I would like to conclude my discussion/report at this point and hand over to my partner/colleague XYZ who will examine/discuss/report the area/topic/perspective of…”

Similar to a written assignment, the conclusion again states your main points and what has been learned or shown but you also may raise implications inherent in the findings and offer creative recommendations.

Comparative Structure

The Comparative Structure is a strategic approach to presentations that hinges on juxtaposing two or more elements, ideas, or solutions side by side. By examining similarities and differences, this method illuminates unique qualities, advantages, or drawbacks inherent in each element. Often employed in business scenarios like product comparisons, market analysis, or debates, the comparative structure helps audiences critically analyze options and make informed decisions.

Presenters utilizing this structure typically start by introducing the elements for comparison. They then delve into detailed analysis, often using criteria or metrics to maintain objective evaluations. Visual aids like Venn diagrams or comparison charts can enhance clarity and visual appeal.

The strength of the Comparative Structure lies in its ability to foster critical thinking. By directly contrasting items, audiences are engaged, encouraged to weigh pros and cons, and ultimately arrive at a deeper understanding or more nuanced perspective on the subject matter.

Matrix Structure

The Matrix Structure offers an approach to organizing presentations by segmenting information into distinct categories or sections, akin to a grid or matrix. Instead of a linear flow, topics are grouped by themes, criteria, or any relevant classification, allowing for simultaneous exploration of multiple facets of a subject. Think of it as viewing a topic through various lenses concurrently.

For instance, in a business setting, a product might be examined in terms of design, functionality, market positioning, and customer feedback. Each of these constitutes a segment in the matrix.

Visually, the matrix can be represented using tables, grids, or quadrant charts, making the content easily digestible and engaging. A key advantage of this structure is its flexibility; presenters can delve deep into one segment or provide a broader overview of all areas, depending on the audience’s needs. Ultimately, the Matrix Structure ensures a comprehensive and multifaceted examination of a topic, providing depth and breadth in analysis.

Modular Structure

The final model we will study is the Modular Structure. It takes content and packs it into modules, which can be arranged at any other the presenter requires them to be. Each module addresses a specific topic or idea and is designed to be self-contained, ensuring clarity even if presented independently or in a different order. This adaptability makes the modular approach especially valuable in dynamic settings, such as workshops or conferences, where audience feedback or time constraints might necessitate adjustments on the fly.

For example, in a corporate training session, different modules could cover distinct skills or topics. Based on the attendees’ prior knowledge or the session’s time limit, the presenter can prioritize, omit, or rearrange modules without compromising the integrity of each segment.

By adopting the Modular Structure, presenters gain flexibility without sacrificing depth. This approach fosters a responsive presentation style, allowing speakers to tailor content in real-time, ensuring maximum relevance and engagement for their audience.

Even well-seasoned presenters can fall prey to these common mistakes in terms of presentation structure. Let’s learn how to prevent them.

Overloading with Information

It’s tempting to include every bit of knowledge you have on a topic. Still, information overload can quickly disengage an audience. Prioritize key points and leave out extraneous details. As famous architect, Mies van der Rohe famously coined, “Less is More.”

Weak Transitions

Jumping abruptly from one point to another can disrupt the flow and confuse listeners. Ensure smooth transitions between sections, signaling shifts in topics or ideas to keep the narrative cohesive.

Dull Design

While content is king, visual appeal matters. Relying solely on walls of text or bland slides can lose your audience’s interest. Incorporate engaging visuals, charts, and multimedia elements to enhance your message and retain attention.

Ignoring the Call to Action

Concluding your presentation without guiding the audience on the next steps or what’s expected of them can be a missed opportunity. Whether it’s seeking feedback, prompting a discussion, or encouraging an action, always have a clear call to action.

Good communication is all about making your point clear, especially in presentations. We’ve talked about how the right structure can keep your audience hooked. But there’s more to it. Think about your presentation. Is it telling your story the way you want? Is it reaching your audience? Take a step back and really look at how you’re laying it out. Don’t just go with the flow – choose your format wisely. Remember, every presentation tells a story, and how you set it up matters a lot.

Structure How to structure your presentation

The general structure of a presentation is much like any other academic work, such as an essay or a lecture . It too has an introduction , a main body , and a conclusion . Unlike an essay or a lecture, it has a final section at the end, the Q&A , when you will answer questions from the audience. The general structure of a presentation is shown in the following diagram. Each area is discussed in more detail below.

  • About Q&A
  • Present data/material, using visual aids , with verbal signposts to aid understanding

  • Final 'take-away' message
  • Answer questions from the audience

The introduction is a vital part of your presentation. It must arouse the interest of the audience, provide them with a clear idea what the topic is and what you hope to achieve (your purpose), as well as explaining how the presentation will be organised (the structure). You also need to greet the audience and introduce yourself, say how long your presentation will be, and say when you will be answering questions.

In short, in the introduction to your presentation, you need to:

  • greet the audience
  • introduce yourself and the topic
  • arouse interest - ask a question, tell a story
  • state the purpose of the presentation
  • outline the structure of the presentation - tell them what you are going to tell them
  • say how long the presentation will last
  • say when you will be answering questions (Q&A)

The main body presents the ideas which will achieve the purpose you stated in the introduction. You need to be selective about the material you will present in order to keep to the limited time available. You also need to make sure you maintain the audience's interest and understanding. This is achieved by presenting the information in a clear and logical sequence, emphasising the main points, and by making the structure clear by using signpost phrases to mark the transitions between sections. Visual aids will also be an important part of your main body, so you need to plan these well.

In short, in the main body of your presentation you should:

  • present important data/material - be selective
  • use signpost phrases to help the audience follow your ideas
  • draw the audience's attention to important points
  • plan visual aids to reinforce the verbal message

The conclusion should provide a strong and clear end to your presentation. This is the part the audience will remember most clearly. It provides a chance for you to review the main purpose of your presentation, and show how this has been achieved. You need to summarise the main points. You should emphasise what the audience has learnt, and what you want them to remember, ideally giving them a final 'take-away' message which is the one main idea you want them to remember from your presentation.

In short, in your conclusion you need to:

  • review the purpose of your presentation - how did you achieve it?
  • give a brief summary of the major points of the main body - tell them what you told them
  • give a final 'take-away' message - what one thing do you want them to remember?

The Q&A session is the interactive part of your presentation: the one-way traffic of you talking to the audience now becomes two-way as they ask you for more information or to clarify some of your points. The Q&A can be intimidating, as you do not know what questions your audience will ask. You can help with this by anticipating questions as you prepare your presentation, and make sure you thoroughly research your topic. It is important to make sure you understand the question; a good technique is to repeat or rephrase the question to check ('Do you mean...?'). If you really do not know the answer, say so, but inform the questioner that you will do more research and answer the question later.

In short, you should:

  • invite questions at the end of your presentation
  • think of questions you might be asked when you are preparing your talk
  • research the topic widely to help you answer questions more easily
  • make sure you understand the question - repeat the question if you are not sure
  • don't be afraid to say you don't know - but make it clear you will answer the question later

Presentation skills: Introductions and conclusions

Pages 405-6 and 407

The most important point to remember about the introduction and conclusion of the presentation is that they have a job to do in telling the audience something about the presentation. The introduction tells them what to expect: it should identify the subject matter of the presentation and explain the stages that are going to be followed in order to talk about that subject matter. The conclusion should draw together the points that you have made and demonstrate how they answer the question posed by the presentation. You have probably heard the old joke about the three stages of a presentation: (1) tell them what you’re going to tell them, (2) tell them what you want to tell them, and (3) tell them what you’ve told them. This corresponds to the introduction (what are you going to talk about), the main body (content), and the conclusion (what you have talked about) of the presentation. The introduction is particularly important as it orientates the audience to what they can expect to hear from you. Think about your own lectures. It is very confusing if your lecturer dives straight into the substance of the lecture without giving it a context. Remember that you need to tell the audience what you are going to talk about and give them a clue as to the structure that you are going to follow. This might sound like the introduction to an essay and, to a great extent, it does fulfil the same role but you must use good spoken English for your presentation rather than good written English. Things that you would write in an essay rarely sound as effective when they are spoken so aim for a presentation style which is chatty and informative without being overly formal.

Suggestions for introductions

Presentation 1: Has the Human Rights Act 1998 eroded Parliamentary sovereignty?

Introduction 1

The topic of this presentation is the impact of the Human Rights Act 1998 on Parliamentary sovereignty. In order to give this subject a little context, I will start by outlining the traditional view of Parliamentary sovereignty—what you could call the Dicean view—and then spend a little time explaining some general points about the enactment of the Human Rights Act. Once I’ve covered these points, I’ll bring them together by tackling the central question that this presentation asks which is whether the Human Rights Act has eroded Parliamentary sovereignty.

Introduction 2

I’ve been asked today to consider whether the enactment of the Human Rights Act 1998 has eroded Parliamentary sovereignty—that is, is Parliament less sovereign now than it was before the Act was introduced. Although I am working on the assumption that you are all familiar with the traditional view of sovereignty, I will take a few moments at the beginning of the presentation to remind you of its key features before moving on to consider whether this has been eroded by the Human Rights Act.

Presentation 2: The right to silence

[Silence for thirty seconds looking at the audience]. What do you think of my presentation so far? Not very informative, is it? In some situations, when information is needed in order to investigate a crime, silence—the failure to speak—can be really obstructive. However, compelling someone to speak to incriminate themselves goes against one of the fundamental principles of our criminal justice system. It is this dilemma that is at the heart of my presentation today as I shall explore some of the key issues associated with the right of a person arrested of an offence to remain silent in the face of police questioning. In doing this, I will give a brief historical overview of the right to silence, consider the limitations placed upon that right by legislation, and then consider how the courts have interpreted this legislation. I will conclude by commenting on the extent of the right to silence today. Introduction 2 The law of evidence seeks to strike an appropriate balance between the rights of society—to be protected from criminal activity by the apprehension and prosecution of offenders—and the rights of an individual accused of criminal wrongdoing. The tension between these two conflicting rights is particularly evident in relation to the right to silence. Should those accused of wrongdoing be granted protection against self-incrimination that is enshrined in the right to silence or should this right be removed in the interests of society? This presentation will explore this issue, taking into account legislation and its interpretation.

Suggestions for conclusions

Conclusion 1

To wrap things up, I have demonstrated today that there has been some impact on Dicey’s traditional definition of Parliamentary sovereignty. There are some constraints upon the ability of Parliament to make or unmake any law that it chooses due to the requirement that a statement of compatibility must be attached to each new enactment and it therefore follows that there is a competing body that, at least, has a significant influence on the content of legislation. However, as this situation was facilitated by the enactment of the Human Rights Act 1998, it can only be assumed that these changes are a reflection of what Parliament desires so it does not seem reasonable to view them as an erosion of sovereignty but to see them as the operation of sovereignty in action.

Conclusion 2

In conclusion, it is clear that the Human Rights Act has eroded sovereignty. Parliament’s freedom to legislate as it chooses without interference from any other body has been altered and it is now unable to make any decision on the content of legislation without at least taking Convention rights into account. The interpretive powers of the courts can alter the meaning of legislation even if it is clear that this is contrary to the intention of the legislature. However, before we conclude that Dicey would be turning in his grave at this dramatic erosion of his view of sovereignty, we must remember that the Human Rights Act 1998 itself is only a piece of legislation. Thus, if the situation that it created was no longer to Parliament’s liking, it could be repealed and the traditional approach to sovereignty reinstated. As such, Parliament is, and will always remain, the ultimate sovereign.

It seems, then, that we have an anomalous situation with regards to the right to silence. The legislature clearly intended to limit this right by allowing an adverse impact to be drawn from the defendant’s silence but the courts have interpreted this to exclude situations in which a defendant’s legal representative reads a prepared statement thus rendering the provision entirely ineffective if the defendant and his solicitor choose to negate it in this way. It seems that the legislature and the courts are in conflict in this area of law which suggests that the position should be reviewed as a matter of urgency.

As we have seen, the legislation aimed to limit the instances in which a defendant could remain silent in the face of police questioning by ensuring that this would be brought to the attention of the court. There were sound reasons for this: a guilty person should not be able to hide behind silence to avoid the consequences of his actions and an innocent person should speak out so that he can be eliminated from the police enquiry so that the true offender can be found. It is in the interests of society that the police must have sufficient powers to investigate offences and the law should reflect this by ensuring that all persons must cooperate fully by answering questions put to them by the police. There is so much to favour this position that this is surely an instance in which the rights of the suspect should be trumped by the interests of society.

How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

Good presentation structure is important for a presentation

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

How to organize your presentation, the key elements of a great presentation.

Your verbal message is the core of your presentation. Whether your presentation is long or short, it should still follow some basic rules, which have been passed down through the ages:

  • Tell your audience what you’re going to say.
  • Tell them what you have said.

Based on the above, all presentations can be divided into three parts: Introduction, Body, and Conclusion. Transition statements and transition words can be used to maintain flow.

Introduction

The way you begin determines how your audience will respond throughout your presentation. First impressions are important, so make sure you follow the guidelines below to make a strong start. Your introduction should consist of three parts; the grabber, the thesis, and the overview.

THE GRABBER consists of your introductory remarks, which set the tone for what is to follow. One purpose of the grabber is to gain audience attention and create positive expectations about the presentation. A second objective is to establish rapport with the audience and assist in overcoming barriers between the speaker and the audience. A third objective is to wake up the sleepy members of your audience, especially if your presentation is scheduled right after lunch!

THE THESIS is a statement of purpose for the presentation. This is where you present your position to the audience. You explain how the audience will benefit from the information, thereby providing the audience with a reason to listen.

THE OVERVIEW indicates the main points which you will discuss in developing your thesis.The purpose is to show the audience what to expect so they can prepare to listen. This is especially important for global learners in the audience, who need to have a clear idea of the big picture before listening to the step-by-step details.

The body is the core of the presentation, where you develop the thesis. This is where most of the information will be covered. The number of main points should be limited depending on the length of the presentation. Offering people too much information only makes them tune out. Provide sufficient information to support your thesis without repeating yourself or going into too much detail. Provide stories, case studies, and examples whenever applicable. They provide an energizing break and enable the listener to grasp abstract concepts more easily. Use short script-like phrases to write the points of your talk. They will be easier for your listeners to understand than long, complicated sentences. Use examples and stories from your own life, career, or industry to sound and feel more authentic. Remember to speak at the level of your audience in terms of subject knowledge as well as language fluency. Whenever possible, keep your audience involved by asking for a show of hands.

THE REVIEW reinforces and summarizes the message. This is the part of the presentation when you can choose what was most important and what you would like audience members to remember. Choose three main concepts, ideas, or principles at the most.

THE CALL TO ACTION is the impetus to use the information presented. This is where you tell the listeners what you would like them to do after attending your presentation. This section crystallizes the entire purpose of the presentation.

THE CONCLUDING GRABBER signals the end of the presentation. The purpose is to create a memorable impression before your audience disperses. This short message may be what attendees describe or report to others on their cellphones as soon as they have finished attending your presentation. It’s your last chance to leave a powerful impression. By connecting your concluding grabber to your original grabber, you are able to neatly frame your entire presentation.

Imagine that you are about to enter a building for a job interview. You open the front door and walk straight into the bathroom.  A little unsettled, you look around and see that, past the toilet and the shower, there is another door. You walk through that door, and you are now in some type of gymnasium. There is a woman in the room, running on a treadmill, and you approach her to ask for help. “Excuse me,” you say. “I’m here for a job interview. Do you know where I can find the Human Resources Department?” “Sure,” the woman replies. “Just climb through that window and head down the hallway.” She points to the window on the far wall, and you walk over to it. It seems crazy, but the window does overlook a hallway with an office at the end. There doesn’t appear to be any other exit from the room you are in. So, you open the window, lift yourself up, and carefully climb through to the hallway on the other side. At the end of the hallway is a door whose small sign you can now read: “Human Resources.” At last, you’ve made it to your interview, but now you have some grave concerns. What type of company would have their employees work in a building like this? How will you connect with the people and resources you need to do your job in such a crazy setup?

Just as a building has structure and an overall plan to guide people through the space in a logical way, you will need an outline for your speech to provide a framework for your ideas and to help your audience see how these ideas connect to create your overall message. Additionally, similar to the way people have expectations for what they will experience when walking into a building, your audience will have some expectations about how your speech will unfold. When these expectations are not met, such as in the example earlier, when you entered the door expecting to see a receptionist and were instead met with a toilet, your audience may find it jarring or uncomfortable if your speech does not have a recognizable introduction or conclusion, or if you abruptly jump from subtopic to subtopic without notice.

In this chapter, we’ll look at how to create an outline to guide your audience through your points in an organized format for a well-structured speech. In a professional setting, most speakers outline their speeches far enough in advance of their presentation date so that they have time to practice their performance and become comfortable with the material. Creating an outline will help you feel confident during your speech, because you took the time to carefully plan out what you desired to say. This leaves you free to focus on your delivery—how you say it—during your speech.

This chapter will first walk you through all the different parts of a speech outline, and it will then show you how a formal outline can be translated into less cumbersome speaking notes.

The Speech Topic

One of the hardest parts of the speech assignment for students is choosing a topic with which to work with. Oftentimes, as soon as you begin drafting an outline for a chosen topic, other topics will start to look more and more appealing, and you will want to change to a new topic. Resist this impulse, if you can! Many speech students have lost points on late assignments because they kept changing their mind about what to speak about. Once you begin working with a topic (approved by your instructor, when applicable), commit to it. Your instructor can help you navigate through the challenges of a topic with which that you are struggling with. Remember, your research and your speech delivery can make almost any topic engaging for the audience.

The Speech Purpose

Before you begin preparing your speech, your instructor will let you know what kind of speech you are working on. Is it a speech intended to inform your audience? Is it a speech where you will be persuading the audience? Or, is the speech designed for entertainment purposes? You will need to know what kind of speech you are giving before you do any other work on this assignment. To make sure that you are aware of the overall goal of the speech, your instructor may ask you to include the general purpose on your outline. There are three basic general purposes that apply to speech presentations: to inform, persuade, or entertain. An informative speech requires you to give a neutral, unbiased perspective to the audience, while a persuasive speech attempts to change an audience’s beliefs, feelings, or actions. An entertainment speech is used to celebrate or commemorate something or as part of a ceremony.

In addition to the general purpose, each speech will also have a corresponding specific purpose. The specific purpose identifies what you would like to leave the audience with after your speech. For example, the specific purpose for an i nformative speech about the pyramids of Giza, Egypt might read:  To inform my audience about when and how the pyramids of Giza were built and what they look like today . A specific purpose for a persuasive speech about organ donation might read:  To persuade my audience to register as organ donors.

Some professors might prefer that you submit a purpose statement in lieu of a specific purpose. The purpose statement identifies your goal for the audience. Using the example informative speech topic above on the pyramids of Giza, Egypt, your purpose statement might read:  At the end of my speech, my audience will know when and how the pyramids of Giza were built and what they look like today. The organ donation speech might have the following purpose statement: At the end of my speech, my audience members will register as organ donors .

The Central Idea

Once you know your topic and your purpose, it’s time to brainstorm the key message of your speech. This message is known as the central idea, and it serves as a thesis for your presentation. Your instructor may ask you to include a central idea on your outline. Creating a central idea is good practice, because it shows that you can state the main ideas of the speech in one sentence. A central idea elaborates on the speech purpose.

For a persuasive speech, the central idea includes what we’re persuading the audience about, and why our viewpoint is correct. For example: Everyone should register as an organ donor because it’s easy to do, and it could save or drastically improve someone’s life at no cost to the donor. 

For an informative speech, the central idea is a summary thesis, and it gives the main ideas of the speech in one strong statement. For example: The pyramids of Giza, Egypt, were built by hand over six thousand years ago, and their outer structures and inner chambers are mostly intact today.

A strong central idea should have the following three characteristics:

  • It should be a complete sentence.
  • It should make a statement, not ask a question.
  • It should encapsulate each main idea.

The Speech Introduction

Although your instructor may ask you to include the topic, general purpose, specific purpose, and central idea on your speech outline, you actually won’t share these with your audience as part of your speech. Instead, your presentation to the class should begin with your introduction. The introduction and the conclusion are the most important parts of your speech, because they are the parts that your audience is most likely to remember. Thus, the structure and development of these two parts is crucial to the success of your speech. Your speech introduction should do the following five things:

  • Begin with an attention-getter.
  • Introduce yourself and your topic.
  • Include a statement of credibility/interest.
  • Relate the topic to your audience.
  • Preview your main ideas.

The Attention-Getter

The first—and most important—thing you can do in a speech introduction is to captivate your audience and interest them in your speech topic. It is much easier to keep someone’s attention than to fight to regain it, so the attention-getter is the first part of your speech that your audience will hear.

There are lots of ways you can help your topic appeal to your listeners. One classic example is to tell a short story. This can either be a personal story, or you can recount a story you heard or read somewhere that leads into your topic. A story can help personalize your topic for the audience and bring in a human connection.

Another way to draw attention to your topic is to startle your audience with a shocking statistic or example that they won’t be expecting. Be careful with this technique. If the audience is already familiar with your “shocking” material, your attention-getter could backfire, and you may end up losing the attention of your audience instead of gaining it.

Many students like to begin their speeches by asking a series of rhetorical questions. This requires the audience to think about the speech topic and make personal applications. If you start your speech in this way, make sure that you ask a few questions. One is rarely enough to generate interest in the topic. Also, the questions should make the audience ponder something. Suppose I began my speech with, “How many of you like lemons? Well, today I’m going to inform you about Miracle Berries.” Did that get your attention? Not likely. Are you excited to hear more about my topic? It’s doubtful. Let’s try that again. “By show of hands, who here likes drinking lemonade? Okay, now who likes having a slice or two of lemons in their drinking water? Now, how many of you would enjoy snacking on slices of lemon—no sugar added? Well, what if I told you there was a way to make lemons taste intensely sweet, without adding any sugar? Today, I’m going to tell you about Miracle Berries. . . .” When using questions as an attention-getter, you might consider incorporating a silent survey. This is where you have your audience answer your questions in a physical way, such as by raising a hand. If students answer your questions vocally, the attention-getter will likely go on for far too long. A silent survey keeps the entire audience involved, without letting the audience take over your speech.

Additionally, you could begin with a powerful quote that ties into your topic. Make sure that you tell the audience where the quote comes from. If the source of the quote is someone that your audience is not likely to be familiar with, you may need to contextualize the source and explain why the words of this person are relevant. For example, if I began my speech, “‘Taxes are the price we pay for civilized society,’ as Oliver Wendell Holmes Junior said . . . ,” your audience might wonder, Who is this person? Nobody knows, so nobody cares. I should contextualize this source, by saying something like, “According to U.S. Supreme Court Justice Oliver Wendell Holmes Junior . . .” Now my audience will understand why the person who spoke these words is relevant.

You might also try to get the audience’s attention by making them curious about your topic. Give them some clues, and see if they can guess what your topic will be from these clues. Be sure to take a moment and celebrate with them when they finally guess correctly!

Finally, you can begin your speech with some audience participation. Just make sure this is carefully planned and not too complicated. You don’t want the attention-getter to take up all the allotted time for your speech. One student began her informative presentation by having everyone write down five numbers, between zero and nine, in any order, with no repeats. She then held a mini lottery for the class by randomly drawing numbers from a hat and giving a small prize to the student whose written-down numbers were the closest to the drawn ones. This was an exciting way to begin a speech on the New York Lottery.

The attention-getter of the speech is arguably the most important part of the presentation. If you don’t capture the audience’s attention, they are less likely to take in the rest of your speech. Thus, it is worthwhile to spend some time developing an engaging attention-getter that you are comfortable delivering.

Introducing Yourself and Your Topic

Now that your audience is focused and interested in what you have to say, you should share with them who you are, and what you will be speaking to them about. This is especially important if you have used a detailed or complex attention-getter, where it may be necessary to clarify your actual topic for the audience.

Statement of Credibility/Interest

Once you have piqued the interest of your audience, and they know who you are and what you’ll be speaking about, it’s time to gain their trust. What makes you a credible speaker on this topic? Share with the audience why you chose this particular subject, and any personal experience you have with it. For example, if I were giving an informative speech on lacrosse, I might say, “I was first exposed to lacrosse in middle school, and I went on to play the sport for all four years of high school. Our team was very successful, and we won several championships.”

However, you might give a speech on a topic with which you have had no direct experience. Never fear! You can also tell the audience about the kinds of research you have done to prepare yourself to speak on this subject. For example: “Although I’ve never actually played lacrosse, I’ve always been curious about it. I began preparing for this speech by watching videos online to understand how the sport is played, and I found some great articles to help me understand its history and development.”

Sharing your interest in this topic, along with your experience with it, or an explanation of your research process will show the audience that you are a credible speaker on this topic and someone worth listening to.

Relating the Topic to Your Audience

The next step is to help the audience see how they can relate to the topic you have chosen. Be creative! This can be a challenging step, and it requires some critical thinking. Suppose you are giving a speech where you are persuading your audience that college students shouldn’t have to buy textbooks for their classes. Well, this is an easy one, because almost everyone in your audience will be a college student, and most people like to save money. Now, imagine that you are giving a speech to inform your audience about conjoined twins. It is unlikely that you will have many pairs of conjoined twins in your audience, so how can you make this topic relatable? You might start with the idea that many audience members may want to have children (or more children) someday, or they may know people who plan to have children. It’s important to be informed about a condition that could affect these future children. Also, you could take the angle that we live in a complex world, and we have to deal with lots of different kinds of people. Understanding more about the conditions of people different from ourselves can help us develop empathy. Almost any topic can relate to your audience, but some will take more work than others.

Previewing your Main Ideas

For the final part of the speech introduction, you’ll give your audience a summary of what you’ll specifically be talking about in this speech. This is different from introducing yourself and your topic. There, you might tell the audience that you’ll be informing them about the axolotl. In the preview, you’ll let them know that this speech will describe the physical appearance of the axolotl, where it lives, and how it regenerates different parts of its body. The preview is given at the end of the introduction to help the audience pace the speech. For the example above, when you come to the part about the axolotl regenerating, the audience will know that the speech is almost done. It also helps your audience to know what they should be focusing on during your speech, and what the takeaway will be.

The speech introduction is the foundation of your presentation, and it’s important to ensure that this foundation is sturdy. If the foundation of a building is unstable, the building may crumble and fall apart. Similarly, the speech introduction prepares the audience for the body of the speech. If the introduction is underdeveloped, the rest of the speech will be weakened by association. It is worth taking some extra time to make sure your speech introduction covers each of the five steps.

The Body of the Speech

The body of the speech is where you elaborate on your main ideas, providing information to support the ideas and using transitions to show the relationships between ideas. The body of your speech might begin with a transition from the introduction.

Transitioning from Point to Point

Suppose you were driving a car down the highway, and the driver in front of you kept switching lanes abruptly without using a turn signal. Wouldn’t that be frustrating? Well, when a speaker doesn’t use transitions, it creates a similarly jarring experience for the audience. Using a transition phrase prepares the audience for a new topic and helps your speech flow logically from point to point.

Transitions in a speech are a little bit different from transitions used in written work. When you are writing an essay, you can use a word such as “also” or “however” to move on to your next point. In a speech, you need to be more specific. The audience needs a clear signal that you are about to begin a new point. In order to transition to your first main point, you might say, “Let’s begin by,” “I’d like to start with,” “First of all, ” “To commence,” etc. For additional main ideas, you could transition with, “Moving on,” “My next point will be,” “Now that we’ve looked at _____, I’ll tell you about _____,” etc. Transitions are especially helpful in separating out your main ideas for your audience so that the body of the speech has distinct sections.

The Main Ideas

The main ideas are the major subtopics of your speech, each serving as a topic sentence in your speech. As a general rule, you should have at least two main ideas. If you only have one main idea, your speech has nowhere to go, and it may feel repetitive for the audience. That being said, you generally shouldn’t have more than five main ideas in your speech. Once you get past the fifth main idea, the audience may have trouble remembering the first one! It’s often a good idea to plan on having three main ideas for your speech. Think about how often the number three comes up in life: three strikes in baseball; three wishes; first, second, and third place, etc. In writing, this is known as the “Rule of Three.” How many bears does Goldilocks encounter? How many musketeers are there? People are used to hearing things come up in sets of three, and so having three main points may make it easier for your audience to remember them. In the end, though, you will need to decide on the appropriate number of points you need to develop your speech topic for your audience.

The Supporting Material

After you have your main ideas planned out, it’s time to start researching material to support these points. For each point, you’ll need some things to talk about. Depending on how you have chosen to organize your speech, you may need to look up some facts to share. This includes definitions, descriptions, and explanations. If you have too many facts, your speech may come across as dry and lacking in depth. Facts are generally used to lay the foundation for your main idea, and you will use other supporting materials to illustrate your point or defend your argument.

As you continue to research your topic, you should look for examples to share. Examples help your audience to understand and relate to your main idea. If I were giving an informative speech on the solar eclipses, I might share a brief example with my audience: “On Monday, August 17th, 2017, a rare, full solar eclipse crossed the North American continent.” A brief example takes an abstract idea from your speech and quickly translates it into a real-life situation. This can help make your topic clearer for your audience.

In that same speech on solar eclipses, you could also use an extended example. In this situation, you would fill in all the details to create a story for your audience. “It was a day to be remembered. Hotels across North America had been booked over a year in advance, and millions of people traveled to find a spot in the path of totality—the area, about 70 miles wide, that would experience a total eclipse of the sun. As the time of the eclipse drew near, the air felt noticeably colder, and there were strange shadows on the ground. Then, for a little over a minute in most cities, the sky was plunged into darkness and the beautiful, white corona of the sun could be seen, along with a few stars. People gasped and screamed with delight. It was over all too soon, but those who witnessed this event would never forget it.” Extended examples add a personal touch to your speech and can help ensure that you have enough content to reach the timing parameters of your assignment.

Additionally, you may decide to use a hypothetical example, beginning with phrases like, “What if you…,” “Suppose you…,” or “Imagine that you….” When used in a speech, a hypothetical example puts the audience into your speech. These types of examples work well as attention-getters in the introduction, and you can use them throughout your speech to grab the attention of your audience and refocus them on your topic. As the audience members think about how they would respond to the imagined scenario, they are directly engaging with your speech concepts.

If you are looking to build credibility with your audience on your main idea, you should include testimonies as part of your supporting material. In the court of law, a person who has experience with the subject of the trial is called upon to give their opinion or relate their direct experience. This is similar to how testimonies are used in a speech, where you will include quotations from people who are experienced with your topic. These quotations fall into two categories: expert and peer. An expert testimony comes from someone who has professional experience with the topic, or some other publicly recognized form of expertise. A peer testimony is someone who has personal experience with your topic, but this experience is not from a professional or academic standpoint. Now, which is better for your speech, expert or peer testimonies? It depends. People tend to trust expert testimony about scientific and medical points; however, people relate to a peer testimony more when the speech point has to do with everyday life. Sometimes expert testimony can feel out of touch with how the average person lives.

Another way to come across as a credible speaker on your topic is to include statistics in your speech. Any numerical data in your speech, except, perhaps, a date or time, would be considered a statistic. When people hear numbers, they are more likely to believe that what you are telling them is backed up by research. However, you need to make sure you are using statistics appropriately. Here are some guidelines to follow when using this type of supporting material.

  • Cite: If you use a statistic in your speech, you need to tell us where that number came from. Otherwise, we’ll think you made it up!
  • Be sparing: Don’t use too many statistics in your speech! Remember, statistics are like spices. If you use the right ones, they will bring out the flavors of your meal, but if you use too many, they will overwhelm your meal.
  • Round: It can be difficult to process complex numbers unless we see them written out. While it’s fine to read that “New York City covers 300.36 miles,” in a speech, it’s better to say that “New York City has just over 300 miles.” It’s okay to be a little less accurate, if it helps you to be understood. Words like “approximately,” “close to,” “almost,” and “nearly” will come in handy here.
  • Explain: Help your audience to understand the numbers you are using. For example: “How much is a billion dollars? You could spend $100,000 a day for 25 years before you’d run out of cash.” During your speech, help us grasp complicated numbers in terms we can relate to.

No matter what materials you decide to use in your speech to support your main ideas, you’ll want to include citations in your outline to show where you found this information. Unlike writing, which has several formal citation styles, there is no specific way to cite your sources in your speech body. Your professor may require you to use a particular writing citation style (APA, MLA, Chicago, Associated Press). If not, note that speech citations should include at least the source where you found the information and the date the information was published. You may also include the author of the information, but you may need to contextualize this for us. For example, if I said during my speech, “According to Bob Smith…,” who is Bob Smith? No one knows, and no one cares. However, if I said, “According to the financial journalist Bob Smith, in an article published by The New York Times last month…,” people may care more about Bob’s point of view. The date is important here because the recency of your information can affect its relevance. Unlike a citation in a paper, you don’t need to cite your source every time you use information from it. This would become tedious for the audience to listen to. Instead, you should add your citation at the beginning or end of the portion of your speech in which you are sharing information from that source. For example: “All of the statistics I’ve shared today come from the Red Cross website, updated in 2019.” Or, “The examples you’ll be hearing in my speech all come from the Mermaid documentary published on Animal Planet in 2011.” These oral citations give your audience enough information about your sources to be able to find a complete reference on your outline, if they need to verify something.

The Speech Conclusion

Once you have finished taking your audience on a journey through the main ideas of your speech, it’s time to draw things to a close. However, you need to give your audience a hint that the end is coming. We call this a signal . If you forget to signal the end of your speech, you may finish speaking and find that your audience does not break into applause. They didn’t realize you were on your way to the finish line. Giving your audience a signal alerts them that your speech will be over soon and helps them emotionally prepare for the end of your speech. The signal can be given a specific phrase, such as, “I’d like to end by…” or “to wrap things up….” Pay attention, and you may notice that your college professors will often use a verbal signal near the end of the class session, such as, “and last of all…” or “before we go….” Try using a signal phrase in your next presentation, and see if you can spot your audience visibly perking up when they hear it. More advanced signals can also signal the end of the speech by changing the rate, pitch, or volume of their remarks. However, if you are using this technique, be sure to practice in front of someone before your actual presentation in class. You may think that you’re effecting a great change in the way you are speaking, but those changes might need to be exaggerated to be noticeable by your audience. The only way you’ll know for sure is to get some live feedback.

The signal of the conclusion leads into a brief summary of your main ideas. Simply restate an overview of the main ideas you just covered to help your audience retain the message of your speech. You may notice that your professors will also do this near the end of a class session. “Today we have covered…” is a common way for this to begin.

You’ll want to cap off your conclusion with a strong statement . It’s a good idea to actually plan out, word for word, what you would like to say for the last line of your speech. The audience is most likely to remember the first thing you said, and the last thing you said, so these words are the most important part of your speech. As much as you are able, commit them to memory. This will help you to make eye contact with your audience as you speak to help the words land with maximum effect. A strong statement can be a quote, or it can refer back to something you said in your introduction. In a persuasive speech, this statement will usually contain a call to action, or it will reinforce what you want your audience to believe, feel or do after hearing your presentation. For an informative speech, the strong statement should reinforce the importance of knowing about your topic, or what makes it so interesting.

It may be useful to think of the Three S’s of the speech conclusion as you work on this part of your presentation. Using a signal, summary, and strong statement will provide closure for the audience and help them to remember the ideas that you shared.

Creating a List of References

The last piece of your outline will generally be a list of references that you have used to provide source material for your speech. There should be at least one citation in the body of your speech from each reference. A reference is not just a website link to your research, but it shares details about your source in an organized format. You will generally need to provide the author’s name and the title of the piece, along with the name of the source you got this information from, and the date it was published. If you found the source online, you will also include the URL for the web page where this source can be found. There are standardized ways to organize all this information, and your professor may ask you to use a specific format. The two most common styles for formatting references are MLA and APA. You can find many resources, both online, and in your college’s library, to help you apply the correct formatting of the style your professor has requested. Carefully following these guidelines will add a professional polish to your speech outline and help you develop attention to detail in your written work, which is a valuable skill in the workforce, and in daily life.

Practicing with the Outline

As you are preparing to present your speech, it may be helpful to highlight key words and phrases so that you can quickly find the information you need in a single glance. This way you can have consistent eye contact with your audience. You want to avoid bobbing your head up and down as you speak, alternating between reading and seeing your audience. Remember, the outline is merely there to keep you on track. You don’t have to say all the words exactly as you have written them. In fact, your words will have much greater impact with the audience if you can create the impression that you are speaking spontaneously. Don’t be afraid to check in with your outline to make sure you have included all your ideas, and in the correct order, but also don’t rely so much on the outline that you are not connected to the audience.

If your instructor has asked you to include a speech topic, general purpose, specific purpose, purpose statement, and/or central idea on your outline, do not include these as part of your speech presentation. They belong on the outline to show your professor that you understood the topic and the goals for the assignment, and that you had a clear thesis for the speech, but you don’t share these out loud with your audience. Likewise, you also won’t read off the references to the audience at the end. These are part of the written assignment, but your oral citations are sufficient to establish your credibility in your presentation. For each speech assignment, you’ll begin with the introduction and finish up with the conclusion.

To help you prepare for your in-class presentation, you should plan on practicing your speech out loud, with a timer, in front of at least one other person. The first time you run through your speech in this way, you’ll find out what you’ve got, and you will likely need to make some adjustments to your outline. You can also get some feedback on your speech delivery, so that you can begin to refine your presentation skills. Continue this process of making changes and then practicing again in front of someone. In general, by the fifth time you’ve gone through the speech, you have it loosely committed to memory. You will know the overall flow of your topics and supporting material, and you can focus on connecting with your audience.

Remember the example of the disjointed building at the beginning of this chapter? The building had important rooms, but it was very difficult to navigate between them and make use of them. This concept also applies to your speech. You might find interesting examples and compelling arguments, but if they are not organized well, your audience may miss them. A well-organized speech will help your audience process and remember your message and will give you greater confidence as a speaker. Spending a little extra time polishing your outline will pay off in dividends towards a speech performance that you can be proud of.

Class Activities

  • Read aloud a series of specific purposes or purpose statements, and have the students classify each as having the general purpose of informing, persuading, or entertaining.
  • Write down different types of attention-getters on small pieces of paper, such as “Telling a story,” “Startling the audience,” “Asking rhetorical questions,” “Using a powerful quote,” “Making the audience curious,” “Having the audience participate,” etc. Break up the class into small groups and have each group blindly choose an attention-getter from the pile. Then, give the entire class a topic, such as “Chewing gum.” Each group has to come up with an attention-getter for this topic in the type they selected.
  • Have students help you come up with a list of 10–14 totally random, but specific, people, places, or things. Give a few examples, such as: mustaches, black widow spiders, North Dakota, etc. Once you have a list, pair the students up and have them share how they would establish credibility on this topic. Do they have personal experience with this topic? Will they need to do research?
  • Using the same list as above, have students work with their partner to decide how they would relate this topic to their diverse classroom audience.
  • Create an abbreviated preparation outline for students that includes the general purpose, specific purpose, central Idea, and a list of main points. Break up the class into small groups and give each group either the introduction or a main point. Ask each group to prepare 1–2 minutes of content for their section of the speech and elect a spokesperson to present their section to the class. Once the students are prepared, start a timer and do the presentation. Provide transitions between main ideas and a conclusion.
  • Have the students find a quotation from their favorite celebrity in an article (not a from a website that simply lists quotations). Break up the class into small groups, have students share their quotation with their group, and let each group pick the best one to present to the class. The elected spokesperson for each group will share the quotation beginning with an oral citation as follows: “According to [the celebrity’s name], as reported by [the source of the quotation] on [the date] . . .”
  • Make 5–10 enlarged copies of both an APA reference and an MLA reference. Cut the copies up so that the author, article title, publication date, URL, and other elements of the reference each appear on a different slip of paper. Divide the class into groups and give each group an APA “puzzle” to assemble. The first group to assemble its reference correctly wins! Repeat with the MLA reference.
  • Pass out a lined index card to each student. Give students an easy topic, and have them freewrite in complete sentences on this topic until either the time is up or the card is filled. Next, have students choose 10 key words that will help them remember what they wrote and list those words on the blank side of the card. Then, pair the students up and tell them to decide who will be “Person A” and who will be “Person B.” “Person A” holds their card so that they can see only the key words and their partner can see the freewriting. “Person A” then attempts to share what they wrote with “Person B,” using only the key words as a prompt. At the end, “Person B” will let them know if anything was left out. Next, the partners will switch roles, so that “Person B” can present. Have a discussion with the class about the difference between presentation notes and preparation outlines.

The format for the Instructional Oral Presentation is Introduction, Body and Conclusion.

In the introduction , you must

  • tell the audience how the presentation is meaningful to them,
  • show openness
  • tell how the presentation relates to past experiences of the audience
  • tell your expertise regarding the topic/issue.

The presentation of these steps is referred to as the MORE (+E) principle: M eaningful to audience, O penness of speaker, R elates to past experiences, E xpertise of the speaker on the subject, and the speaker E valuated the audience (knows what the level of the audience’s knowledge of the topic/issue is).

The body of the presentation begins with what you want the audience to know, and presents the instruction.

The conclusion of the presentation briefly summarizes the steps in the body.

An instructional report simply gives instruction. Do not add your opinion regarding benefits or consequences.  Just give the instructions on how to do something.

22 Developing a Presentation Strategy

Learning Objectives

Upon completing this chapter, you should be able to

  • describe key communication format factors to consider when developing a presentation,
  • describe the main functional elements of an effective introduction,
  • match the main elements of the rhetorical model to where they are best applied in the development of a presentation,
  • describe the functional organization in the body of an effective presentation,
  • describe the main functional elements of an effective conclusion, and
  • develop a presentation outline using the concepts discussed in the chapter.

Introduction

In beginning to think about a strategy for your presentation, you must move from thinking only about your “self” to how you will engage with the world outside of you, which, of course, includes your audience and environment.

This chapter focuses on helping you prepare a presentation strategy by first revisiting the acronym FAST, which will help you select an appropriate Format, prepare an Audience analysis, ensure your Style reflects your authentic personality and strengths, and that the Tone is appropriate for the occasion.

Then, after you’ve selected the appropriate channel, you will begin drafting your presentation first by considering the general and specific purposes of your presentation and using an outline to map your ideas and strategy.

You’ll also learn to consider whether to incorporate backchannels or other technology into your presentation, and, finally, you will begin to think about how to develop presentation aids that will support your topic and approach.

At the end of this chapter you should be armed with a solid strategy for approaching your presentation in a way that is authentically you, balanced with knowing what’s in it for your audience while making the most of the environment.

Preparing a Presentation Strategy

Incorporating fast.

In the Writing module, you learned the acronym FAST, which you can use to develop your message according to the elements of Format, Audience, Style, and Tone. When you are working on a presentation, much like in your writing, you will rely on FAST to help you make choices.

First, you’ll need to think about the Format of your presentation. This is a choice between presentation types. In your professional life you’ll encounter the verbal communication channels in the following table. The purpose column labels each channel with a purpose (I=Inform, P=Persuade, or E=Entertain) depending on that channel’s most likely purpose.

There are some other considerations to make when you are selecting a format. For example, the number of speakers may influence the format you choose. Panels and Presentations may have more than one speaker. In meetings and teleconferences, multiple people will converse. In a Workshop setting, one person will usually lead the event, but there is often a high-level of collaboration between participants.

The location of participants will also influence your decision. For example, if participants cannot all be in the same room, you might choose a teleconference or webinar. If asynchronous delivery is important, you might record a podcast. When choosing a technology-reliant channel, such as a teleconference or webinar, be sure to test your equipment and make sure each participant has access to any materials they need before you begin.

Once you have chosen a Format, make sure your message is right for your Audience, just as you did in the Foundations module, when you conducted your Audience Analysis. You’ll need to think about issues such as the following:

  • What expectations will the audience have?
  • What is the context of your communication?
  • What does the audience already know about the topic?
  • How is the audience likely to react to you and your message?

The AUDIENCE tool you used in the Foundations module will be helpful tool here.

Next, you’ll consider the style of your presentation. Some of the things you discovered about yourself as a speaker in the self-awareness exercises earlier will influence your presentation style. Perhaps you prefer to present formally, limiting your interaction with the audience, or perhaps you prefer a more conversational, informal style, where discussion is a key element. You may prefer to cover serious subjects, or perhaps you enjoy delivering humorous speeches. Style is all about your personality!

Finally, you’ll select a tone for your presentation. Your voice, body language, level of self-confidence, dress, and use of space all contribute to the mood that your message takes on. Consider how you want your audience to feel when they leave your presentation, and approach it with that mood in mind.

Presentation Purpose

Your presentation will have a general and specific purpose. Your general purpose may be to inform, persuade, or entertain—the same goals you had in previous modules. It’s likely that any speech you develop will have a combination these goals. Most presentations have a little bit of entertainment value, even if they are primarily attempting to inform or persuade. For example, the speaker might begin with a joke or dramatic opening, even though their speech is primarily informational.

Your specific purpose addresses what you are going to inform, persuade, or entertain your audience with—the main topic of your speech. Each example below includes two pieces of information: first, the general purpose; second, the specific purpose.

To inform the audience about my favourite car, the Ford Mustang

To persuade the audience that global warming is a threat to the environment

Aim to speak for 90 percent of your allotted time so that you have time to answer audience questions at the end (assuming you have allowed for this). If audience questions are not expected, aim for 95 percent. Do not go overtime—audience members may need to be somewhere else immediately following your presentation, and you will feel uncomfortable if they begin to pack up and leave while you are still speaking. Conversely, you don’t want to finish too early, as they may feel as if they didn’t get their “money’s worth.”

To assess the timing of your speech as you prepare, you can

  • set a timer while you do a few practice runs, and take an average
  • run your speech text through an online speech timer
  • estimate based on the number of words (the average person speaks at about 120 words per minute)

You can improve your chances of hitting your time target when you deliver your speech, by marking your notes with an estimated time at certain points. For example, if your speech starts at 2 p.m., you might mark 2:05 at the start of your notes for the body section, so that you can quickly glance at the clock and make sure you are on target. If you get there more quickly, consciously try to pause more often or speak more slowly, or speed up a little if you are pressed for time. If you have to adjust your timing as you are delivering the speech, do so gradually. It will be jarring to the audience if you start out speaking at a moderate pace, then suddenly realize you are going to run out of time and switch to rapid-fire delivery!

Incorporating Backchannels

Have you ever been to a conference where speakers asked for audience questions via social media? Perhaps one of your teachers at school has used Twitter for student comments and questions, or has asked you to vote on an issue through an online poll. Technology has given speakers new ways to engage with an audience in real time, and these can be particularly useful when it isn’t practical for the audience to share their thoughts verbally—for example, when the audience is very large, or when they are not all in the same location.

These secondary or additional means of interacting with your audience are called backchannels, and you might decide to incorporate one into your presentation, depending on your aims. They can be helpful for engaging more introverted members of the audience who may not be comfortable speaking out verbally in a large group. Using publicly accessible social networks, such as a Facebook Page or Twitter feed, can also help to spread your message to a wider audience, as audience members share posts related to your speech with their networks. Because of this, backchannels are often incorporated into conferences; they are helpful in marketing the conference and its speakers both during and after the event.

There are some caveats involved in using these backchannels, though. If, for example, you ask your audience to submit their questions via Twitter, you’ll need to choose a hashtag for them to append to the messages so that you can easily find them. You’ll also need to have an assistant who will sort and choose the audience questions for you to answer. It is much too distracting for the speaker to do this on their own during the presentation. You could, however, respond to audience questions and comments after the presentation via social media, gaining the benefits of both written and verbal channels to spread your message.

Developing the Content

Creating an outline.

As with any type of messaging, it helps if you create an outline of your speech or presentation before you create it fully. This ensures that each element is in the right place and gives you a place to start to avoid the dreaded blank page. Here is an outline template that you can adapt for your purpose. Replace the placeholders in the Content column with your ideas or points, then make some notes in the Verbal and Visual Delivery column about how you will support or emphasize these points using the techniques we’ve discussed.

The beginning of your speech needs an attention-grabber to get your audience interested right away. Choose your attention-grabbing device based on what works best for you topic. Your entire introduction should only be around 10 to 15 percent of your total speech, so be sure to keep this section short. Here are some devices that you could try:

Subject Statement – to the point, but not the most interesting choice.

We are surrounded by statistical information in today’s world, so understanding statistics is becoming paramount to citizenship in the twenty-first century.

Audience Reference – highlights something common to the audience that will make them interested in the topic.

As human resource professionals, you and I know the importance of talent management. In today’s competitive world, we need to invest in getting and keeping the best talent for our organizations to succeed.

Quotation – wise words of another person. You can find quotations online that cover just about any topic.

Oliver Goldsmith, a sixteenth-century writer, poet, and physician, once noted that “the true use of speech is not so much to express our wants as to conceal them.”

Current Event – refer to a current event in the news that demonstrates the relevance of your topic to the audience.

On January 10, 2007, Scott Anthony Gomez Jr. and a fellow inmate escaped from a Pueblo, Colorado, jail. During their escape the duo attempted to rappel from the roof of the jail using a makeshift ladder of bed sheets. During Gomez’s attempt to scale the building, he slipped, fell 40 feet, and injured his back. After being quickly apprehended, Gomez filed a lawsuit against the jail for making it too easy for him to escape.

Historical Event – Compare or contrast your topic with an occasion in history.

During the 1960s and ’70s, the United States intervened in the civil strife between North and South Vietnam. The result was a long-running war of attrition in which many American lives were lost and the country of Vietnam suffered tremendous damage and destruction. We saw a similar war waged in Iraq. American lives were lost, and stability has not yet returned to the region.

Anecdote, Parable, or Fable – An anecdote is a brief account or story of an interesting or humorous event, while a parable or fable is a symbolic tale designed to teach a life lesson.

In July 2009, a high school girl named Alexa Longueira was walking along a main boulevard near her home on Staten Island, New York, typing in a message on her cell phone. Not paying attention to the world around her, she took a step and fell right into an open manhole (Witney, 2009).

The ancient Greek writer Aesop told a fable about a boy who put his hand into a pitcher of filberts. The boy grabbed as many of the delicious nuts as he possibly could. But when he tried to pull them out, his hand wouldn’t fit through the neck of the pitcher because he was grasping so many filberts. Instead of dropping some of them so that his hand would fit, he burst into tears and cried about his predicament. The moral of the story? “Don’t try to do too much at once” (Aesop, 1881).

Surprising Statement – A strange fact or statistic related to your topic that startles your audience.

  • A Boeing 747 airliner holds 57,285 gallons of fuel.
  • The average person has over 1,460 dreams a year.
  • There are no clocks in any casinos in Las Vegas.
  • In 2000, Pope John Paul II became the most famous honorary member of the Harlem Globetrotters.

Question – You could ask either a question that asks for a response from your audience, or a rhetorical question, which does not need a response but is designed to get them thinking about the topic.

  • Raise your hand if you have ever thought about backpacking in Europe.
  • If you prick us, do we not bleed? (Shakespeare, Merchant of Venice)

Humour – A joke or humorous quotation can work well, but to use humour you need to be sure that your audience will find the comment funny. You run the risk of insulting members of the audience, or leaving them puzzled if they don’t get the joke, so test it out on someone else first!

Personal Reference – Refer to a story about yourself that is relevant to the topic.

In the fall of 2008, I decided that it was time that I took my life into my own hands. After suffering for years with the disease of obesity, I decided to take a leap of faith and get a gastric bypass in an attempt to finally beat the disease.

Occasion Reference – This device is only relevant if your speech is occasion-specific, for example, a toast at a wedding, a ceremonial speech, or a graduation commencement.

Today we are here to celebrate the wedding of two wonderful people.

fter the attention-getter comes the rest of your introduction. It needs to do the following:

  • Capture the audience’s interest
  • State the purpose of your speech
  • Establish credibility
  • Give the audience a reason to listen
  • Signpost the main ideas

Rhetoric and Argument

Your audience will think to themselves, Why should I listen to this speech? What’s in it for me? One of the best things you can do as a speaker is to answer these questions early in your body, if you haven’t already done so in your introduction. This will serve to gain their support early and will fill in the blanks of who, what, when, where, why, and how in their minds.

You may remember the three rhetorical proofs, namely, ethos, pathos, and logos, from the Writing Module. The Greek philosopher Aristotle (384‒322 B.C) considered these the three most important elements in a speaker’s arsenal.

Ethos refers to the speaker’s character and expertise. When you use ethos correctly, you are showing the audience that you are credible and that they can believe what you say. To cover this element in your speech, tell the audience why they should listen to you. You can do this by demonstrating your authority on your topic. For example, you could begin a persuasive speech on the dangers of drinking and driving with a short story about how you helped implement a “designated driver” program. This way the audience will understand your relationship to the message and form a positive perception of you. If you are trying to persuade the audience to donate blood, your credibility on the subject may come from your studies in the medical field or from having volunteered at a blood drive.

The term pathos refers to the use of emotion as a persuasive element. You have probably seen commercials on television for charities trying to raise funds for sick children or mistreated animals, complete with sad images and music; this is pathos at work. We don’t always make decisions based on clear thinking. We are easily moved by words, by a video clip, or by a piece of music, so this can be an effective way of convincing the audience to take a particular action. But it can be overdone, and the audience will tire of it if you push too hard. If pathos is central to your strategy, be subtle about it so that you don’t turn off your audience.

The term logos refers to logic. Aristotle believed that any argument should be based on logic, not pathos (emotion), but you might not agree! To win your audience over using logic, your speech must be carefully organized and present facts and evidence. Depending on the general purpose of your speech, particularly if its goal is to persuade, you may need to present an argument. To do this, logos is key. Think about what prosecutors do during a trial—particularly during closing arguments. This is the place for facts and reason. Prosecutors will argue that the scenario they have presented is the only logical interpretation of the evidence. To use logos effectively, incorporate expert testimony, statistics, and other reliable data.

Organization

An organized body helps your audience to follow your speech and recall your points later. When developing the body of your speech, recall the specific purpose you decided on, then choose main points to support it. Just two or three main points are usually sufficient, depending on the length of your speech. Anticipate one main point per two to three minutes of speaking.

To narrow down your main points, start by brainstorming. Don’t worry about judging the value or importance of the points at this stage; just write down as many possible points as you can that support your topic. What information does your audience need to know to understand your topic? What information does your speech need to convey to accomplish its specific purpose? Here is an example of a list that you might begin with.

Once you have a list of points, you’ll need to narrow them down. Begin by looking for closely related minor points that can be grouped into one. This process is called chunking. Before reading our chunking of the preceding list, can you determine three large chunks out of the list above?

The preceding list is a little disjointed, and not all of the topics work together clearly. These are just general ideas at this point. There is often more than one way to organize a speech. Some of these points could be left out, and others developed more fully, depending on the purpose and audience. You will refine this information until you have the number of main points you need. Ensure that they are distinct, and balance the content of your speech so that you spend roughly the same amount of time addressing each. You’ll also need to remember what you learned about parallel structure in the Writing Module, to make sure each of your main points is phrased in the same way. The last thing to do when working on your body is to make sure your points are in a logical order, so that your ideas flow naturally from one to the next.

Concluding on a High Note

You’ll need to keep your energy up until the very end of your speech. In your conclusion, your job is to let the audience know you are finished, help them remember what you’ve told them, and leave them with a final thought or call-to-action, depending on the general purpose of your message.

In this chapter you revisited the importance of FAST and AUDIENCE tools in helping to lay out a strategy that incorporates your own understanding with the needs of the audience. You learned about how to use an outline to stay organized and keep track of your ideas, as well as general and specific purposes. You learned the importance of sustaining your audience’s attention throughout the presentation with key approaches you can take as you write your introduction, body, and conclusion. You should now be prepared to take your strategy to the next level by ensuring you next consider whether and how to incorporate high-quality presentation aids.

Traditional Academic Essays In Three Parts

Part i: the introduction.

An introduction is usually the first paragraph of your academic essay. If you’re writing a long essay, you might need 2 or 3 paragraphs to introduce your topic to your reader. A good introduction does 2 things:

  • Gets the reader’s attention. You can get a reader’s attention by telling a story, providing a statistic, pointing out something strange or interesting, providing and discussing an interesting quote, etc. Be interesting and find some original angle via which to engage others in your topic.
  • Provides a specific and debatable thesis statement. The thesis statement is usually just one sentence long, but it might be longer—even a whole paragraph—if the essay you’re writing is long. A good thesis statement makes a debatable point, meaning a point someone might disagree with and argue against. It also serves as a roadmap for what you argue in your paper.

Part II: The Body Paragraphs

Body paragraphs help you prove your thesis and move you along a compelling trajectory from your introduction to your conclusion. If your thesis is a simple one, you might not need a lot of body paragraphs to prove it. If it’s more complicated, you’ll need more body paragraphs. An easy way to remember the parts of a body paragraph is to think of them as the MEAT of your essay:

Main Idea. The part of a topic sentence that states the main idea of the body paragraph. All of the sentences in the paragraph connect to it. Keep in mind that main ideas are…

  • like labels. They appear in the first sentence of the paragraph and tell your reader what’s inside the paragraph.
  • arguable. They’re not statements of fact; they’re debatable points that you prove with evidence.
  • focused. Make a specific point in each paragraph and then prove that point.

Evidence. The parts of a paragraph that prove the main idea. You might include different types of evidence in different sentences. Keep in mind that different disciplines have different ideas about what counts as evidence and they adhere to different citation styles. Examples of evidence include…

  • quotations and/or paraphrases from sources.
  • facts , e.g. statistics or findings from studies you’ve conducted.
  • narratives and/or descriptions , e.g. of your own experiences.

Analysis. The parts of a paragraph that explain the evidence. Make sure you tie the evidence you provide back to the paragraph’s main idea. In other words, discuss the evidence.

Transition. The part of a paragraph that helps you move fluidly from the last paragraph. Transitions appear in topic sentences along with main ideas, and they look both backward and forward in order to help you connect your ideas for your reader. Don’t end paragraphs with transitions; start with them.

Keep in mind that MEAT does not occur in that order. The “ T ransition” and the “ M ain Idea” often combine to form the first sentence—the topic sentence—and then paragraphs contain multiple sentences of evidence and analysis. For example, a paragraph might look like this: TM. E. E. A. E. E. A. A.

Part III: The Conclusion

A conclusion is the last paragraph of your essay, or, if you’re writing a really long essay, you might need 2 or 3 paragraphs to conclude. A conclusion typically does one of two things—or, of course, it can do both:

  • Summarizes the argument. Some instructors expect you not to say anything new in your conclusion. They just want you to restate your main points. Especially if you’ve made a long and complicated argument, it’s useful to restate your main points for your reader by the time you’ve gotten to your conclusion. If you opt to do so, keep in mind that you should use different language than you used in your introduction and your body paragraphs. The introduction and conclusion shouldn’t be the same.
  • For example, your argument might be significant to studies of a certain time period .
  • Alternately, it might be significant to a certain geographical region .
  • Alternately still, it might influence how your readers think about the future . You might even opt to speculate about the future and/or call your readers to action in your conclusion.

Introduction: The first paragraph of your essay. It is the first impression your readers recieve, and explain the main point of your paper. Your introduction contains your thesis statement.

Body: The paragraphs in between your introduction and conclusion. The body of your paper supports the main point of your paper.

Topic Sentence: The sentence at the beginning of each body paragraph. It explains the main point that paragraph is going to make.

Conclusion: The last paragraph of your paper. It closes the paper and leaves the reader satisfied with what they just read. Summarizes your paper in an effective way.

  • Introduction:  The introduction should grab the reader’s attention with a hook, provide context, and include a thesis statement that presents the main argument or purpose of the essay.  
  • Body:  The body should consist of focused paragraphs that support your thesis statement using evidence and analysis. Each paragraph should concentrate on a single central idea or argument and provide evidence, examples, or analysis to back it up.  
  • Conclusion:  The conclusion should summarize the main points and restate the thesis differently. End with a final statement that leaves a lasting impression on the reader. Avoid new information or arguments.

This introduction paragraph example includes a hook (the quote by Nelson Mandela), provides some background information on education, and states the thesis statement (the importance of education). 

This is one of the key steps in how to write an essay introduction. Crafting a compelling hook is vital because it sets the tone for your entire essay and determines whether your readers will stay interested. A good hook draws the reader in and sets the stage for the rest of your essay.  

  • Avoid Dry Fact : Instead of simply stating a bland fact, try to make it engaging and relevant to your topic.   • Start with a General Statement:  Begin with a general statement about the topic and gradually narrow it down to your specific focus. For example, when discussing the impact of social media, you can begin by making a broad statement about social media and its widespread use in today’s society, as follows: “Social media has become an integral part of modern life, with billions of users worldwide.” 
  • Define Key Terms : Define any key terms or concepts that may be unfamiliar to your readers but are essential for understanding your argument. 
  • Provide Relevant Statistics:  Use statistics or facts to highlight the significance of the issue you’re discussing. For instance, “According to a report by Statista, the number of social media users is expected to reach 4.41 billion by 2025.” 
  • Discuss the Evolution:  Mention previous research or studies that have been conducted on the topic, especially those that are relevant to your argument. Mention key milestones or developments that have shaped its current impact. You can also outline some of the major effects of social media. For example, you can briefly describe how social media has evolved, including positives such as increased connectivity and issues like cyberbullying and privacy concerns. 
  • Transition to Your Thesis:  Use the background information to lead into your thesis statement, which should clearly state the main argument or purpose of your essay. For example, “Given its pervasive influence, it is crucial to examine the impact of social media on mental health.”

Crafting a compelling thesis statement for your introduction paragraph is crucial to grab your reader’s attention. To achieve this, avoid using overused phrases such as “In this paper, I will write about” or “I will focus on” as they lack originality. Instead, strive to engage your reader by substantiating your stance or proposition with a “so what” clause. The application of virtual reality meditation and mind–body exercises among older adults.

Virtual reality (VR)-based mindfulness is a promising method to improve the health of older adults. Therefore, many attempts have been made to explore the application of VR-based mindfulness, such as VR meditation and mind–body exercises, in older adults. Generally, current studies indicate the heavy reliance on apparatus for implementing VR-based mindfulness interventions. In VR meditation, the crucial apparatus is VR headsets. In VR mind–body exercises, three essential components are required: motion capture sensors, main consoles, and display screens. In the aspect of health promotion, VR meditation is an effective method for improving mental health, pain, and quality of life in older adults. VR mind–body exercises contribute to increasing the mental health and physical function of older adults. Furthermore, VR mind–body exercises may be combined with other forms of exercise as a mixed method to promote the health of older adults. VR-based mindfulness interventions enhance the meditation and mind–body exercises experience for older adults while improving accessibility. However, their implementation still encounters a series of challenges, such as cost, technical anxiety, and apparatus-related issues. Additionally, we recommend future research to examine the optimal exercise dose for VR mind–body exercises to maximize their health benefits.

1 Introduction

In recent decades, the global population has experienced unprecedented demographic shifts due to the aging population ( Zhao et al., 2022 ). As this trend continues, it is projected that by 2050, approximately 22% of the world’s population will consist of individuals aged 65 and older ( Zenebe et al., 2021 ; Zhao et al., 2022 ). The aging process involves a natural decline in physiological functions, including reduced performance in various organ systems, and a decreased ability to withstand physical, cognitive, and psychological stressors ( Norman et al., 2021 ). These age-related changes increase the risk of health problems among older adults. In the context of an aging population, this leads to substantial economic burdens and an increased demand for healthcare services on a global scale ( Collado-Mateo et al., 2021 ; Norman et al., 2021 ). Therefore, there is an urgent need to develop various health promotion strategies to enhance the health of older adults.

Mindfulness practice is the intentional cultivation of non-judgmental awareness and presence in the present moment, often achieved through meditation and mind–body exercises ( Gupta, 2021 ). While rooted in Buddhist traditions, mindfulness practice has gained increasing attention from researchers in medicine and psychology ( Scheepers et al., 2020 ; Fendel et al., 2021 ). In the past decades, researchers have identified various health benefits associated with mindfulness practice, such as improving mental health problems ( Enkema et al., 2020 ), life quality ( Valikhani et al., 2020 ), pain ( Ngamkham et al., 2019 ), cardiovascular disease ( Conversano et al., 2021 ), and other diseases ( Giulietti et al., 2023 ; Naude et al., 2023 ). At present, mindfulness-based intervention has been widely implemented in various secular populations: spanning from pre-school children to older adults ( Jamieson and Tuckey, 2017 ; Carsley et al., 2018 ; Odgers et al., 2020 ; Kriakous et al., 2021 ; Zhang et al., 2021 ). However, the implication of mindfulness practice still faces a range of challenges. On one hand, mindfulness practice requires conscious effort and can be challenging to maintain, particularly for novice meditators who may already be using substantial cognitive capacity to enhance their self-regulatory skills ( Seabrook et al., 2020 ). On the other hand, many factors can impact the implementation of mindfulness practice, such as environment, attention, cognition, physiology, emotional well-being, and social relationships ( Seabrook et al., 2020 ; Li, 2022 ; Ma et al., 2023 ). Therefore, traditional mindfulness practice requires under the guidance of professional trainers in specific locations (e.g., meditation center and hospital) ( Ma et al., 2023 ). However, this method limits the accessibility of mindfulness practice, particularly for older adults.

In order to improve the accessibility of mindfulness practice, extensive exploration has been undertaken ( Hendrixson, 2020 ; May and Maurin, 2021 ; Wu et al., 2022 ). One promising solution is the application of virtual reality (VR) technology in mindfulness practice. VR technology allows individuals to engage with multisensory experiences in immersive 3D environments, potentially enhancing their mindfulness practice ( Lee et al., 2023 ). To date, some studies have examined the application of VR technology to meditation and mind–body exercises for older adults ( Chen et al., 2020 ; Hendrixson, 2020 ). However, comprehensive information on the implementation of VR meditation and mind–body exercises in older adults is still lacking ( Figure 1 ). Therefore, we conducted this review based on published literature to address the following questions:

i. How are VR meditation and mind–body exercises implemented in older adults?

ii. What is the impact of VR meditation and mind–body exercises on the health of older adults?

iii. What are the strengths and challenges of implementing VR meditation and mind–body exercises in older adults?

2 VR meditation

2.1 implementation, 2.1.1 apparatus.

VR headsets are a crucial component of VR meditation. Typically, a VR headset comprises a screen and lenses projecting the virtual environment directly in front of the user’s eyes, elevating the meditation experience ( Li et al., 2021 ). Additionally, VR headsets often feature built-in headphones or speakers to further enrich the user’s multisensory immersive experience. Traditionally, VR headsets operate as output devices, necessitating a connection to main consoles (e.g., Xbox, PS, PC, and smartphone) for generating the intervention environment ( Dzardanova and Kasapakis, 2022 ). However, it’s essential to note that main consoles are not always obligatory components. With the advancement of VR technology, all-in-one VR headsets (e.g., PICO 4 VR Headset, HTC Vive Focus 3 Headset, Meta Quest Pro VR Headset) have been developed ( Wang et al., 2023 ). This type of device is equipped with a built-in processor, offering independent processing, input, and output functions ( Al Arafat et al., 2021 ). Hence, there is no need for connections to a main console, eliminating wired constraints. Additionally, in order to reduce the cost of VR interventions, some researchers have tried to use mobile phone VR headsets (e.g., the Destek V5 headset) ( Trueba et al., 2023a , b ). These devices are relatively inexpensive and require users to insert their smartphones into the headset to experience virtual reality content ( Huang and Wang, 2021 ).

2.1.2 Implementation process

The implementation process of VR meditation is as follows:

i. Preparation phase: Firstly, researchers formulate an intervention plan. Subsequently, researchers prepare VR apparatuses and select suitable videos based their design. Finally, researchers provide participants with guidance and instructions related to VR meditation.

ii. Implementation phase: First, participants wear VR headsets and personalize settings to enhance their meditation experience. Subsequently, participants follow the instructions for meditation practice. Finally, after completing meditation practice, participants remove VR headsets. Throughout the VR meditation process, supervisors in the real world provide support and guidance to ensure participant safety.

iii. Testing and evaluation phase: Researchers will request participants to complete a series of questionnaires and tests at specific stages of a study, such as before and after meditation intervention, depending on their study design.

To minimize the risk of potential adverse events such as motion sickness and eye strain among older adults, VR meditation interventions are typically set for 5–15 min ( Sarkar et al., 2022 ; Cinalioglu et al., 2023a , b ). Furthermore, the implementation of VR meditation in older adults generally follows two methods: remote and in-person. In the in-person method, participants engage in VR meditation at a location prepared by the researchers, such as a hospital ( Cinalioglu et al., 2023a ). In the remote method, participants receive the necessary apparatus and online guidance to practice VR meditation in their own homes. Some studies also conducted post-intervention interviews with participants to gather insights into their experiences, emotions, and feedback regarding VR meditation ( Hendrixson, 2020 ).

2.2 Benefits

In the past decades, meditation has been considered an effective method for improving the physical and mental health of older adults ( Weber et al., 2020 ; Reangsing et al., 2021 ). In VR meditation, similar findings were also observed. In terms of mental health, studies by Cinalioglu et al. (2023b) and Trueba et al. (2023a , b) claimed that VR meditation can reduce stress and alleviate negative mood symptoms (e.g., anxiety and depression) in older adults. However, these three studies only published abstracts in The American Journal of Geriatric Psychiatry, and detailed information is unavailable. Additionally, Sarkar et al. (2022) explored the impact of VR meditation on older adults with knee osteoarthritis and found a significant reduction in negative emotions following the intervention, with this effect still noticeable after 24–48 h. Although not statistically significant, Sarkar et al. (2022) also observed an improvement in positive emotions among older adults after VR meditation. In terms of physical health, Sarkar et al. (2022) found that a 10-min VR meditation is a safe and feasible intervention for improving chronic pain, both overall and knee-specific, in older adults with osteoarthritis. Another study examining the impact of VR meditation on older adults’ quality of life found that a 3-week VR meditation program effectively enhanced overall quality of life ( Hendrixson, 2020 ). This finding may imply an improvement in overall physical and mental health conditions.

One perspective suggests that VR meditation may be more effective than traditional meditation because it enhances the meditation experience ( Ma et al., 2023 ). However, there is limited research comparing the health benefits of VR meditation to traditional meditation. One reason for the limited research might be that VR meditation is a new and emerging research topic, and many related studies may still be in progress. Additionally, researchers within the field of VR meditation may have diverse research priorities, and their focus not be solely concentrated on one theme. Therefore, it remains unclear whether the enhanced meditation experience translates into greater health benefits for older adults. Given this, we recommend future research to explore the most effective meditation methods. Furthermore, future studies should identify potential variations in the health benefits of VR meditation among different populations, such as older adults vs. younger individuals, males vs. females, and the general public vs. specific groups.

2.3 Strength

The strengths of VR meditation are as follows:

i. Meditation experience: VR meditation offers a more immersive and engaging experience compared to traditional meditation. The use of virtual environments and sensory stimuli can enhance the sense of relaxation and concentration during meditation. In the study conducted by Sarkar et al. (2022) , participants expressed that VR meditation enhanced their meditation experience, with 94.7% of participants expressing their willingness to engage in VR meditation again.

ii. Accessibility: VR meditation can be easily accessed and practiced from the comfort of one’s own home. For instance, in the research by Cinalioglu et al. (2023a) , participants were allowed to receive remote guidance and engage in VR meditation interventions within their homes. This accessibility is advantageous for older adults with limited mobility.

iii. Personalization: VR meditation programs can be customized to cater to individual needs and intervention objectives. This customization is advantageous for enhancing the personalization and specificity of meditation.

2.4 Implementation challenge

The implementation challenges of VR meditation are as follows:

i. Cost: VR meditation requires specialized apparatus, such as a main console + VR headset or an all-in-one VR headset. The prices for all-in-one VR headsets typically range between $200 and $500, with high-end devices featuring advanced display technology, tracking systems, and processors costing more, such as the Pimax Crystal VR headsets. Traditional VR headsets are generally more affordable, ranging in price from $100 to $300, but they require connection to a main console. The cost of these devices can be a barrier to widespread adoption, particularly among older adults in developing countries. Fortunately, some researchers are exploring low-cost VR meditation intervention solutions ( Trueba et al., 2023a , b ). They utilized free VR mobile apps and the Destek V5 headset (a mobile phone VR headset priced at a few tens of dollars) to investigate the effectiveness of VR meditation in improving the mental health of older adults. Their future findings could potentially benefit economically disadvantaged populations.

ii. Technical Anxiety: Some older adults may express concerns about using VR devices due to a lack of familiarity ( Trueba et al., 2023a , b ). Training and technical support may be necessary to alleviate their technological anxiety.

iii. Simulator sickness: Prolonged use of VR headsets can lead to discomfort or sickness. Current studies typically control the duration of VR meditation. Meanwhile, Sarkar et al. (2022) indicated that older adults generally reported scores of 0 (none) or 1 (slight) for each symptoms on the simulator sickness questionnaire, which measures the severity of 16 symptoms (such as headache, eye strain, and blurred vision) experienced during VR interventions ( Sevinc and Berkman, 2020 ). Nevertheless, some older adults still reported experiencing severe migraines the day after the intervention ( Sarkar et al., 2022 ).

iv. Apparatus: Certain apparatuses may lack stability and could malfunction, leading to interruptions during interventions ( Trueba et al., 2023a , b ). Additionally, compatibility issues between VR videos and devices may affect intervention implementation ( Trueba et al., 2023a , b ).

v. Video Content: Most VR videos are primarily designed for entertainment purposes and may not be suitable for VR meditation ( Trueba et al., 2023a , b ). Furthermore, language support for the videos may also pose a potential issue (some languages may not be supported) ( Trueba et al., 2023a , b ).

3 VR mind–body exercises

3.1 implementation, 3.1.1 apparatus.

Traditionally, implementing VR mind–body exercises requires hardware support such as motion capture sensors, main consoles, and display screens ( Kim et al., 2013 ; Rahman, 2023 ). In VR mind–body exercises, motion capture sensors are utilized to capture and monitor participants’ physical movements through cameras, infrared depth sensors, and various other sensors ( Kim et al., 2013 ). Main consoles (e.g., Xbox, PS, or PC) are then used to link motion capture sensors, acquire motion capture-related data, and establish the VR environment ( Kim et al., 2013 ). Display screens play a crucial role in presenting the virtual environment, showcasing visual elements related to movements and activities like exercise instructions, environmental backgrounds, and virtual participants ( Rahman, 2023 ). Simultaneously, display screens serve as tools for providing feedback, enabling participants to observe their movements and actions, thereby facilitating self-monitoring and improvement ( Rahman, 2023 ).

One thing to note is that current studies typically utilize display screens to present the VR environment when investigating the impacts of VR mind–body exercises on older people ( Hsieh et al., 2019 ; Rahman, 2023 ). Wearable devices, such as standalone VR headsets and all-in-one VR headsets, are currently seldom employed. This may be associated with controlling research risks. In VR mind–body exercise interventions, older adults participate in a series of physical activities, and the potential motion sickness induced by using VR headsets may elevate the risk of exercise-related injuries ( Cucher et al., 2023 ).

3.1.2 Implementation process

i. Preparation phase: Firstly, researchers prepare VR apparatuses and set them up in a suitable location. Subsequently, researchers prepare the necessary software for VR mind–body exercises and formulate the intervention plan. Finally, researchers provide participants with guidance and instructions related to VR mind–body exercises.

ii. Implementation phase: Firstly, participants follow researchers’ instructions for warm-up. Subsequently, they engage in mind–body exercises guided by a VR system. Finally, under the guidance of the researchers, participants completed relaxation activities after the intervention. Throughout the VR meditation process, in addition to the virtual coach, medical personnel/researchers/coaches are typically present to monitor and support participants as needed.

In VR mind–body exercises, to enhance the quality of motion capture and ensure participant comfort during viewing, motion capture sensors and display screens are positioned at appropriate heights (approximately 1 m above the ground) and distances (approximately 2–2.5 meters from the participants) ( Hsieh et al., 2019 ; Rahman, 2023 ). VR mind–body exercises typically select slow, continuous movements such as Tai Chi and yoga ( Kim et al., 2013 ; Rahman, 2023 ). A session typically lasts for 30–45 min, during which participants can view their own movements and receive motion scores ( Kim et al., 2013 ; Hsieh et al., 2019 ; Rahman, 2023 ). Additionally, a virtual coach provides visual and verbal feedback on participants’ movements to ensure the correct execution of each motion ( Hsieh et al., 2019 ; Chen et al., 2020 ; Rahman, 2023 ).

3.2 Benefits

Tai Chi and yoga are the main events in VR mind–body exercises. In terms of mental health, a study conducted by Hsieh et al. (2019) examined the impact of 6 months of VR Tai Chi on older adults with cognitive issues. Their research found that VR Tai Chi intervention significantly improved abstract thinking and judgment abilities in older adults. However, no significant outcomes were observed in long-term memory, short-term memory, attention, mental manipulation, orientation, language, drawing, and animal name fluency. Another study investigated the effects of VR Tai Chi on the mental health of older adults during the COVID-19 pandemic ( Kim et al., 2022 ). Their research revealed that older adults experienced improvements in mindfulness and enjoyment after the VR intervention. In terms of physical health, Hsieh et al. (2019) found that VR Tai Chi improves the aerobic endurance, lower extremity endurance, balance, and gait speed of older adults. Similar findings were also observed in mixed VR mind–body exercises. The study by Kim et al. (2013) indicates that a combined intervention of VR Tai Chi and yoga improved hip muscle strength and balance in older adults. Furthermore, one study compared the health benefits of older adults participating in VR Tai Chi versus traditional Tai Chi ( Chen et al., 2020 ). The results indicated that VR Tai Chi may have greater potential in improving balance function and strength.

In addition, some studies indicate that combining VR mind–body exercises with VR non-mind–body exercises can improve the health of older adults. For example, Padala et al. (2017) found that a combined intervention of VR yoga, strength training, and aerobic training improved the balance of older adults. Chao et al. (2015) used a similar mixed intervention and observed improvements in balance, mobility, and depression among older adults. These findings suggest that VR mind–body exercises may have the potential to combine with other forms of exercise.

In summary, current findings indicate that VR mind–body exercises and mixed exercises, including VR mind–body exercises, may positively impact the physical and mental health of older adults. This conclusion aligns with previous research based on traditional mind–body exercises ( Zou et al., 2018 ; Wu et al., 2019 ). However, which intervention method is the most effective remains unclear, and further research is needed to explore this.

3.3 Strength

i. Exercise quality: Some mind–body exercise events, such as the full Tai Chi sequence, can be challenging for older adults ( Chen et al., 2020 ). VR interventions provide real-time visual and auditory feedback. Specifically, participants can see their own movements and postures during the intervention, receiving guidance from a virtual coach. This can help them improve the quality of their exercise.

ii. Accessibility: Learning certain mind–body exercises can be challenging, as mentioned above. In traditional mind–body exercises, older adults may need to visit specific locations for instruction from a coach. In VR interventions, participants can receive guidance from a virtual coach, which opens up the possibility of home-based exercise. Research by Kim et al. (2013) suggests that VR mind–body exercises can improve physical function among older adults in an unsupervised environment, where VR feedback can replace the role of a coach.

iii. Immersion: VR technology offers a highly immersive experience, making it easier for participants to engage and enjoy the exercise. According to Rahman (2023) , most participants reported that VR mind–body exercises were enjoyable.

3.4 Implementation challenges

VR mind–body exercises implementation not only encounters the challenges mentioned in the previous section, such as the cost, technical anxiety, and apparatus, but also confronts the following issues:

i. Exercise dose: VR mind–body exercises, such as Tai Chi and yoga, primarily consist of physical activities. Therefore, different exercise settings (e.g., intensity, frequency, and duration) may result in varying physical and mental health gains ( Zhang et al., 2023a , b ). However, there is limited evidence regarding the optimal exercise dose for VR mind–body exercises. Additionally, different older individuals may have different exercise dose requirements ( Hsieh et al., 2019 ), and providing inappropriate exercise loads may lead to adverse effects. Thus, future research may need to further explore the optimal VR mind–body exercises dose under different conditions.

ii. Generalizability: Although research has identified the feasibility of seated Tai Chi exercise among frail older adults ( Rahman, 2023 ), implementing VR mind–body exercise interventions in older individuals with functional impairments (e.g., mobility issues or memory problems) remains challenging due to the extensive amount of physical activity involved.

4 Limitation

When interpreting the findings of this study, it’s important to consider some limitations. Firstly, our research suggests the positive impact of VR meditation and mind–body exercises on the physical and mental health of older adults. However, due to limitations inherent in our study design and the limited number of existing studies, our findings were not supported by quantitative analyses. Therefore, we recommend that future research conducts relevant meta-analyses as more related studies emerge. Secondly, our study focused on the implementation and effects of VR meditation and mind–body exercises in older adults. Therefore, the findings of this study cannot be generalized to other populations. Finally, the current research only included the application of VR Tai Chi and yoga in older adults. Consequently, our findings cannot be extrapolated to other types of VR mind–body exercises, such as VR pilates and Qigong. We encourage future experimental studies to explore various types of VR mind–body exercises.

5 Conclusion

The purpose of the current research is to summarize the implementation and impact of VR meditation and mind–body exercises in older adults. Our study indicates that VR headsets are critical devices for implementing VR meditation ( Trueba et al., 2023a , b ). However, in VR mind–body exercises, such devices are rarely used, and researchers typically employ a combination of motion capture sensors, main consoles, and display screens ( Kim et al., 2013 ; Rahman, 2023 ). This could be to mitigate the risk of motion sickness ( Cucher et al., 2023 ). In terms of health promotion, VR meditation has been shown to improve mental health ( Trueba et al., 2023a , b ; Cinalioglu et al., 2023b ), pain ( Sarkar et al., 2022 ), and quality of life ( Hendrixson, 2020 ) in older adults. VR mind–body exercises contribute to enhancing the mental health ( Hsieh et al., 2019 ; Kim et al., 2022 ) and physical function ( Chen et al., 2020 ) of older adults. Furthermore, VR-based mindfulness interventions not only improved the quality of meditation and mind–body exercises but also enhanced their accessibility ( Kim et al., 2013 ; Cinalioglu et al., 2023a ). However, the implementation of these interventions still faces challenges such as cost ( Trueba et al., 2023a , b ), simulator sickness ( Sarkar et al., 2022 ), technical anxiety ( Trueba et al., 2023a , b ), and apparatus-related issues ( Trueba et al., 2023a , b ). Moreover, despite the positive impacts of VR mind–body exercises on the health of older adults observed in current research, the optimal exercise dose remains unclear. Therefore, future research should focus on addressing the issue of the optimal dosage for VR interventions.
