The IT team at Tata Consultancy Services (TCS) was spending valuable time handling and storing a multitude of CCTV tapes from 150+ sites and offices across India. Not only was this an unsustainable business practice, but it also slowed down access and retrieval processes.

THE SOLUTION:

Tata Communications and TCS collaborated to design and implement an end-to-end digital solution architecture using the IZO TM Cloud Storage, NDE links, firewalling, and innovative data routing and transmission technology.

THE RESULT:

Now, CCTV tapes are a thing of the past. The content from cameras is sent to and retrieved from operational and DR storage at three Tata Communications data centres in India. Access takes minutes rather than days and there are huge environmental benefits too.

Tata-Consultancy

Tata Consultancy Services (TCS), a multinational organization in IT Services, Consulting and Business Solutions, with over 469,000 of the world’s best-trained consultants in 46 countries, has established itself as a pioneer in Software Research and Innovation. TCS’ investment in Research and Innovation is significant and runs into 1.0-1.3% of its global turnover with the direct involvement of over 4000 employees. TCS operates a network of over 30 Innovation Labs globally; connected to a network of over 2300 global start-ups and has invested in research in over 60 academic institutes all across the globe. The company strongly believes that in order to sustainably grow and drive value from its Research and Innovation investments, it needed to transform the culture of the wider organization.

TCS wanted to instigate a ‘culture spill over’ from its Research and Innovation teams into the broader organization so that the workforce at large could become a new engine of ideas, creativity and innovation. It wanted to mine employees’ rich contextual knowledge about customers, markets and industries in a systematic manner to leverage this for business benefit. Digital technologies are blurring industry segmentation. Each industry wants to learn from others and TCS wanted a robust way of cross-pollinating these ideas. Furthermore, TCS values its employees’ cognitive surplus and wanted to initiate a mechanism to encourage and reward this. Building scale for any initiative needs special consideration, as it is often at this point that initiatives fail. In a large organization that is resource intensive, to set-up and execute culture changes of this magnitude, it was imperative for TCS to execute it in an agile and resource optimal way.

The company launched a program called TCS Manthan during 2016-17 to spread the innovation culture. The name, which has its roots in the ancient Sanskrit language, means churning an ocean of talent for useful knowledge. TCS’s Global Chief Technology Officer was the principal sponsor of the program. Senior leaders from various lines of businesses and human resources became additional sponsors and a lean team was chosen at the corporate level to put the program in motion.

The earlier phases of the program were spent interviewing and surveying a large number of stakeholders internally and externally. Armed with this information on business needs and propensity of their employees to feel engaged, they evolved a number of event types that enabled creativity and problem solving. For example, ideation contests, hackathons and design jams. They next created standardized playbooks and procedures for each type of event, including guidance on bounding and articulating problems, communications, compliance, reward and recognition and closure. A five-phased operational approach was put in place for each event and the playbooks grew with every contest; making it very easy for new challenges or events to be rolled out.

For a large company like TCS, to digitize the program, some key decisions had to be taken such as what initiatives would be driven under the program banner and how to standardize them. This included, for example, shared spaces for knowledge repositories, flexible options for virtual or face to face competitions, hardware and “garage-style” space for hands-on experiments, and webinars for sharing innovations. The rich repository of the Playbooks and the plethora of digital tools put in place enabled TCS to scale execution of these within the organization such as through specific business teams, units, or client relationship teams. A strong communication mechanism was put in place to highlight the successes of the program and feature case studies of employees who had participated. This amplification helped TCS increase program engagement and the curiosity to get involved. Most importantly, they also celebrated failure as, in the case of innovation, ideas often do not get implemented, despite exhibiting great potential in the early stages.

Within a few years the program has generated a large repository of ideas that are being algorithmically mined. These ideas then serve as the basis for Research & Innovation teams to design solutions around them, thereby shortening the ideas to value cycle. While the team rated itself on the number of events conducted, coverage within the company and external impact; each event also had its own metrics related to the solutions provided and business improvements generated. There were participant Rewards & Recognitions such as awards and badges, management recognition in town halls and on the intranet.

A clear set of metrics was laid down right from inception. While an organization-wide easy-to-use framework was the output of the exercise, hard numbers were also collected year-on year. Quantitative Lead Metrics captured engagement in the form of participation at an individual level. These showed that 17 events were held, involving 29% of business units in 2017, which further increased to 68 events and 67% business unit involvement by 2020. Also, the 1009 entries received for the shark tank-type contests (TCS Innovista) from 76% of business units in 2017, increased to 6457 entries with a coverage of 97% business units by 2020. Quantitative Lag Metrics measured more strategic outcomes over a longer period of time, such as new products or services that originated through the program. These showed that 22 of the ideas implemented as new products or solutions in 2019, increased to 28 in 2020. Furthermore in 2019 and 2020, TCS was certified as a Top Employer Globally by the Top Employers Institute and ranked as the No.3 Most Valuable IT Brand by Brand Finance.

Two ideas that emerged in the Program’s shark tank-type contest have now become major business initiatives for the company. TCS iON, a winner at TATA Innovista, is one of the fastest-growing business units at TCS. It has transformed itself into the world’s most secure and scalable assessment platform, with over 200m candidate assessments. TCS Ignio was another winner. Ignio’s functions digitally transform operations, moving from outdated manual methods into digitally streamlined work. Overall, the TCS Manthan Program was acknowledged in the 2019/20 annual report for shareholders as being critical in developing the right culture for business sustainability.

Multinational tech consultancy group, TCS, wanted to bring both quantitive and qualitative insight to the future of business. In order to analyse how business would change with the introduction of disruptive technology, FT Longitude and TCS conducted an extensive series of interviews with subject-matter experts, as well as a wide-ranging survey of senior business leaders, to examine their thoughts on the future state of business.

A large bank in the Netherlands, with annual revenue of more than €9 billion, provides asset management, commercial, investment, and retail banking services, plus private banking for high-net-worth clients in 14 countries. In addition, it has commercial and merchant banking operations that play a major role in energy, commodities, and transportation markets.

Like many other companies, the bank’s data was in silos. Unifying it on a common platform appeared to be an insurmountable challenge. As it saw its data growing exponentially, the bank found that traditional methods of storing and analyzing the data were no longer sustainable or cost effective. It was increasingly difficult to spot inefficiencies or inaccurate decisions on sensitive matters. This proved especially problematic in respect of complex reporting and compliance requirements.

TCS built a data ingestion, DevOps, and testing framework to create and support a modern cloud data warehouse on Azure. The full-fledged solution utilizes Azure platform as a service (PaaS) offering, including Data Lake Store, SQL Database, Data Factory, Event Hub, DevOps, and many others. The result is a unified, secure, and cost-effective data platform, which hosts datasets of close to 1 TB (and growing) across the bank from more than 20 data sources.

The bank’s customers benefit by having full transparency on their data, with end-to-end tracking and complete history. Importantly for compliance, the solution uses Azure’s enterprise-grade security. The bank’s leadership now has greatly improved access to its data, with sophisticated AI and advanced analytics for better business decision-making. A global consumer goods company, headquartered in the United Kingdom, has more than 400 brands. It had 30-plus disparate platforms supporting day-to-day operations, with more than 100,000 IT users, 900 connected sites across 94 countries, and 22 petabytes of data. It used multiple data platforms and was hobbled by siloed data and retrospective-only business intelligence.

Like many other companies, it had multiple reporting environments built over the years. Often the sources of data for reports and analytics were hard to trace and, therefore, frequently the company didn’t trust its own data.

TCS and Microsoft partnered to carry out multiple proofs of concept to identify architectural standards and build an improved, unified data platform. The company chose Microsoft Azure to implement its data lakes and processing capabilities. TCS provided services including program management, data ingestion from 120+ sources, DevOps, and a digital factory and data labs.

The digital factory TCS built on Azure has capabilities which include data collection from IoT sensors, data aggregation, visualization, and advance analytics. This digital twin solution improved factory operations by providing real-time information that enabled line operators and factory leaders to make proactive data-driven decisions.

The company’s IT spend for licensing and infrastructure costs was significantly reduced by decommissioning existing legacy systems. The cloud data lake has enabled the customer to achieve data democratization and productization of machine learning models across the organization. The company is now better able to derive insights from a central single source of truth. The solution has enabled citizen scientists and empowered business IT while managing data governance and data quality centrally.

Taking clients on a learning journey

When team members from Tata Consultancy Services (TCS) join a client project, they bring a myriad of skills to get projects done on schedule and on budget. TCS provides technical insights, strategy and multi-disciplinary expertise to guide clients toward long-term business success by refining the knowledge, tools and technology clients have at their disposal. The TCS Experiential Learning Group is a testament to those values, focused on developing the training tools and materials clients need to keep both their internal teams and customers engaged.

The group has been around for 20 years, with about 300 team members now actively supporting almost 70 clients. In that time, its services have evolved from standard texts and classroom-based materials to gamified learning or even augmented reality and virtual reality-based trainings. Team members use skills across instructional design, graphic design, media development, individual tool expertise and technical writing to guide clients toward innovative ways of sharing information with audiences.

“We’ve seen training tools and methodologies change to match the ways people want to learn,” says Gajendra Palni, Service Offering Owner, Experiential Learning, TCS Interactive, Tata Consultancy Services. “Our most exciting challenge is finding the right resources to make training modules, presentations and documentation interactive and succinct.”

Members of the Experience Learning Group are well-versed with using Adobe applications to create better outcomes for clients. When Anusha Srinivasan, Assistant Consultant at TCS and member of the Experiential Learning Group, was tasked with developing a user guide for a leading global telecommunications company, she knew Adobe RoboHelp would turn standard documentation into a dynamic learning experience.

Building a better user guide

As a renowned telecommunications company invested in expanding its massive 5G network and making its world-class 5G solutions even better for customers, the client often shares large volumes of technically complex information. Originally, the client envisioned the user guide in traditional formats: Working under an initial six-month arrangement, the TCS Experience Learning Group delivered the user guide in PowerPoint.

Once the client realised just how much value TCS offered when developing for web content and technical documentation, it extended the initial six-month arrangement over years. During that time, the client needed to update the user guide to reflect two weeks updates to a cloud platform. But publishing those updates in traditional formats came with challenges.

Without an integrated way of implementing changes, it’s harder for customers to find the most recent, fully up to date version of the guide. The volume of these materials also made manual updates in PowerPoint and Word difficult: The user guide alone included over 150 PowerPoint slides.

The TCS Experiential Learning Group is all about finding the right resources to resolve client challenges. Based on previous experience with RoboHelp, Srinivasan suggested that the client use RoboHelp as an authoring tool.

“Adobe RoboHelp is a game-changer in accelerating the content publishing process. Content that might’ve taken two days to develop and publish only takes a day,” says Srinivasan. “Best of all, we can present that content in exciting, creative ways that call attention to client branding.”

She took the initiative to develop a sample of a customised user guide in RoboHelp. In only one month, the team used the Frameless output in RoboHelp to customise the CSS, the publish settings and stay true to client's branding guidelines. With the client’s branding guidelines as the north star, the team gave the user guide a modern look which offers a content experience that align better with expectations of end-users.

The older version of the user guide featured pages divided into one or two panes. Now, in Adobe RoboHelp, key topics appear on cards—once a user clicks that card, the user is taken to the actual topic page for a richer, more immersive experience.

Through Adobe RoboHelp, the TCS team performed a large-scale customisation across all topics in just four hours. The CSS was only customised for formatting once in its entire lifecycle, saving the time to reformat with every minor or major content update.

A week after seeing the revamped user guide, the client agreed to use Adobe RoboHelp for future user guide updates.

Creating faster, more effective internal processes.

With the insight from the TCS Experiential Learning Group, the client saw that using RoboHelp boosted productivity. One technical writer can create content across 20 topics in only 10 days. Traditionally, the client’s content authors had to wait for a developer to help publish their materials. Now, they can do it independently in just 10 minutes.

Content authors can also make far easier updates to the user guide and architecture document to match the speed of the product’s evolution: There was a 67 per cent reduction in turnaround time for updating the user guide.

Srinivasan also knew that the single-source authoring capabilities of RoboHelp would help the client resolve potential version control issues by automating updates across common content. If an author needs to call out older versions of specific content, they can use conditional tags to flag them. The client also found great value in the dynamic content filter, since it enables end-users to filter content based on the product version they are working with.

While coaching the client’s operations team, the TCS team explained how RoboHelp could turn the user guide into a living document that makes it easier to do their jobs. Previously, operations team members had to search through an entire PDF or PowerPoint slide deck to find a piece of relevant information, prompting users to hunt through specific pages.

Every topic stored within RoboHelp has its own link the telecommunications client can copy and share, directing users straight to the information they need. The enhanced search functions also cut down on the time operations team members spent circling back to the development team for answers, while reducing the overall volume of help tickets since the guide was so much easier for users across the organisation, as well as customers viewing the website, to access and use.

Future growth and innovations

As the TCS Experiential Learning Group broadens its relationship with the telecommunications client, RoboHelp is taking centre stage on new projects and user guide updates. When the client wanted TCS to serve as its video production partner, TCS used RoboHelp and other tools, including Adobe Captivate Prime, to create an online help system to integrate and embed videos of key, frequently performed activities — such as logging in — under a new user guide section expressly for video tutorials.

TCS is exploring the highly efficient authoring functions in RoboHelp, including a cross-referencing capability that lets users create links to information within a topic or across multiple topics.

The TCS team is also keen to see how the out-of-the-box chatbot integrations available within RoboHelp could empower clients to share information even faster. Clients can prepare instant responses to some of the most common user questions, cutting down on call centre enquires and tickets.

Tata Consulting Services: Knowledge Management and Collaboration Case Study

The year 1968 saw the founding of the TCS in India. The founders of the company had an aim of rendering solutions to businesses, outsourcing, and IT-services. Additionally, the firm offers customers all over the world with different IT services. This company offers different services through a variety of domains. The company as well as the geographic domain commonly uses vertical domain. There are 47countries that enjoy the presence of TCS in their markets. In terms of revenues, TCS remains to be one of the largest IT service firms in India. The KM concept came to be in 1995. During that time, KM had covered most of the functions in TCS. TCS started formal KM efforts in the late 1990s. Later the Process Asset Libraries that contained relevant information were developed. The company later combined portal library, Kbases and Ultimatix. TCS also developed training programs that targeted both experienced and new employees. The company also enhanced the transfer of knowledge by encouraging employees to attain widespread experience through the process of rotating them in different divisions as well as in its group firms. A Microsoft server developed the Knowmax. TCS initiated propel sessions in order to maintain the work-life balance of its employees. Overall, TCS used KM tools as a key strategic resource for the company.

Using the KM value chain model, TCS knowledge management efforts comprise of different activities. Below is the analysis of the activities.

Knowledge Acquisition

The company acquires most of its knowledge through the process of ensuring that its employees’ are rotated in most of its divisions as well as across its group firms so that they gain widespread body of experience. This helps employees in attaining a variety of knowledge applicable in the business. TCS also encouraged its people to participate in other bodies such as the IEEE. In addition, certifications were a requirement for the employees (Laudon & Laudon, 2012).

Knowledge Storage

TCS developed a number of repository tools that helped in the storage of company knowledge. They comprised of KnowMax, process asset libraries, Kbases and Ultimatix (Laudon & Laudon, 2012).

Knowledge Dissemination

This refers to the extent to which knowledge moved among the people in the business. TCS disseminated knowledge using several techniques. The techniques include;

  • The use of portals known as the ultimatix which managed knowledge electronically,
  • The grouping of individuals who had similar interests through the propel session,
  • Use of emails in sharing human as well as technical skills within the business and
  • Making sure that during projects knowledge transition was effectively used (Laudon & Laudon, 2012).

Knowledge Application

The use of the intranet of the company made it possible for the employees to access the available knowledge database from different servers. The company website contained several established capabilities in which different people explored. Individuals can as well relate such developments to the accumulated knowledge about the markets, technologies, customers and systems development (Laudon & Laudon, 2012).

Knowledge exists in the form of tacit as well as explicit. Various activities and tools, manage these knowledge’s in TCS. The company used a number of tools to manage tacit knowledge. The company commonly used propels session tools as well as the communities of practice. Sessions for transitioning knowledge were also in use. The redesigning of centers for knowledge management also helped in managing tacit knowledge. Tools for managing explicit knowledge included KnowMax, Process Asset Libraries, Kbases and Ultimatix (Laudon & Laudon, 2012).

TCS initially introduced Knowledge management as a concept in the year 1995. In 1998, knowledge management formed a team referred to as the “Corporate Groupware”. In the year 1999, the TCS team launched the knowledge management pilot. As of this time, various TCS functions had been covered by the KM. Former Tata workers say the company tried to collect fees from them after they quit. Many immigrant tech workers say they are bound to their jobs this way, despite a federal law banning companies from penalizing H-1B visa holders for quitting. But such bonding agreements may not be enforceable, even in Indian courts.
