Power BI Story in PPT Slides with Comments

This is not story of Power BI in Power Point slides. This post is about how to use Power Point integration with Power BI for story telling of Power BI reports and dashboards through slides, and also give some users features such as commentary. This features is not a new feature, it has been released almost a year ago! but because many people still are not aware of such feature, I intended to write about it in a post. In this post you will learn;

  • Enabling Power BI Power Point Integration
  • Pin Live reports and dashboards elements in Power Point Slides
  • Using Power Point and Power BI from storytelling with commentary feature

If you want to learn Power BI, read Power BI online book; from Rookie to Rock Star .

Prerequisite

Dashboard and reports used in this example are sourced from Power BI Desktop; The First Experience .

Power BI Tiles

Power BI Tiles is an add-in for Excel, Power Point and few other Microsoft Office products version 2013 SP 1 or later. This component is developed by DevScope . Please note that this is not Microsoft built-in feature. However it can be used easily with Microsoft Power BI and Power Point. This component enables Power BI reports and dashboard elements to be pinned in Power Point slides. Download this component and install it from there, or from your office project.

Installation

Open Power Point, create a blank slide deck, then insert a BLANK slide, and from Insert menu option, click on My Add-ins

From My Add-ins you might see Power BI Tiles if you have installed that before. otherwise go to Store tab, and search for Power BI

After adding this add-in you will be ask to enter Power BI account related to this, and also authorizing Power BI tiles to access reports and dashboards in your Power BI cloud storage. After authorization you will see a box including list of dashboards in your work space will appear.

Adding Power BI Tiles to Slides

This box is Power BI Tile added to your slide. You can select any of dashboards you want. for this example I use the dashboard which is related to Pubs Data Analysis Demo I’ve done before. After choosing a dashboard you will see one of its tiles appear here.

This is only one of the tiles in the existing dashboard, You can navigate between tiles by two navigator arrow buttons highlighted above.

Here is the dashboard in full view in Power BI service. as you can see in Power BI Tiles add-in we can navigate between tiles individually.

Once you chose the tile, you can leave it there. It is already embedded into your Power BI slide. You can now add another Power BI Tile, again from My Add-ins and this time Power BI Tiles is there. Note that you can build similar dashboard here in Power Point with adding each item as a tile.

Storytelling with Power BI and Power Point

You can see here that I’ve added a title for this slide in Power Point, and also a Textbox with text “Psychology has the most sales”. Yes, with this method you can add commentary to Power BI reports and dashboards, you can tell the story behind the data with integration of Power BI and Power Point. very simple feature but really useful.

Under each Power BI tile in Power Point there will be a link to Power BI

When you click on this link, it will open that Power BI dashboard or report in a browser. This provides you the navigation from a high level story point to the detailed report in Power BI service.

Images or Re-Loaded Tile Feature

By default Power BI Tiles are interactive tiles that can be refreshed and clicked, highlighted, and interactive. However if you want them as an image only tile, you can choose it from top right hand side of Power BI tile.

Working with other Work Spaces

You can navigate to all other work spaces that you are part of, and see all reports and dashboards under it. by default Power BI Tiles will look into “My Workspace” (named as Personal Workspace), but you can change it from the top side of Power BI Tile.

You can also bring a Power BI public report ( a report that is published to web ) into a tile

If you choose dashboard, then you can pick one element of dashboard in each tile. but if you choose a report. For example “Pubs Analysis” report we’ve built in another example , then you will see the whole report in tile, with all report pages, and filter pane.

The view of report is fully interactive here. For example if you hover on something or click on something you will see it responds like any other Power BI reports (but in Power Point slide)

Power BI and Power Point integration helps to tell story behind the data much easier. You have presentation and story telling features of Power Point, plus interactive visual, refresh-able from cloud features of Power BI.  Good news is that Microsoft team is working on another integration feature named “ Export to Power Point ” which will be released very soon I believe. I’ll put together another post when that feature comes live.

Hi Reza, As you have mentioned under “Reports in Tile” is it possible to created PowerPoint Slides on the fly in Power Bi Tiles add-in. Suppose i have 4 tiles under a report, so is it possible to create 4 Slides under powerpoint and render the tiles slides wise i.e. Slide 1 -> contain Tile 1 Slide 2 -> contains Tile 2 Slide 3 -> contains Tile 3 etc. and it should render there tiles per slide without manual intervention.

I may not be the best person to answer this question. This is more Power Point question. Someone with good experience and knowledge in Office should know that. Maybe with VBA it be possible.

Is PowerBITiles a trusted Addin by Microsoft? I could not find this information in the AppStore.. If yes should be supported with the non online version pf Powerpoint?

Visualizations in Power BI

All of these visualizations can be added to Power BI reports, specified in Q&A, and pinned to dashboards.

Area charts: Basic (Layered) and Stacked

The basic area chart is based on the line chart with the area between the axis and line filled in. Area charts emphasize the magnitude of change over time, and can be used to draw attention to the total value across a trend. For example, data that represents profit over time can be plotted in an area chart to emphasize the total profit. On the other hand, stacked area charts display the cumulative total of multiple data series stacked on top of each other, showing how each series contributes to the total.

Bar and column charts

Bar charts are the standard for looking at a specific value across different categories.

Multi row cards display one or more data points, one per row.

Single number

Single number cards display a single fact, a single data point. Sometimes a single number is the most important thing you want to track in your Power BI dashboard or report, such as total sales, market share year over year, or total opportunities.

Combo charts

A combo chart combines a column chart and a line chart. Combining the two charts into one lets you make a quicker comparison of the data. Combo charts can have one or two Y axes, so be sure to look closely.

Combo charts are a great choice:

  • When you have a line chart and a column chart with the same X axis.
  • To compare multiple measures with different value ranges.
  • To illustrate the correlation between two measures in one visual.
  • To check whether one measure meets the target which is defined by another measure.
  • To conserve canvas space.

Decomposition tree

The decomposition tree visual lets you visualize data across multiple dimensions. It automatically aggregates data and enables drilling down into your dimensions in any order. It is also an artificial intelligence (AI) visualization, so you can ask it to find the next dimension to drill down into based on certain criteria. This makes it a valuable tool for ad hoc exploration and conducting root cause analysis.

Doughnut charts

Doughnut charts are similar to pie charts. They show the relationship of parts to a whole. The only difference is that the center is blank and allows space for a label or icon.

Funnel charts

Funnels help visualize a process that has stages, and items flow sequentially from one stage to the next. One example is a sales process that starts with leads and ends with purchase fulfillment.

For example, a sales funnel that tracks customers through stages: Lead > Qualified Lead > Prospect > Contract > Close. At a glance, the shape of the funnel conveys the health of the process you're tracking. Each funnel stage represents a percentage of the total. So, in most cases, a funnel chart is shaped like a funnel -- with the first stage being the largest, and each subsequent stage smaller than its predecessor. A pear-shaped funnel is also useful -- it can identify a problem in the process. But typically, the first stage, the "intake" stage, is the largest.

Gauge charts

A radial gauge chart has a circular arc and displays a single value that measures progress toward a goal. The goal, or target value, is represented by the line (needle). Progress toward that goal is represented by the shading. And the value that represents that progress is shown in bold inside the arc. All possible values are spread evenly along the arc, from the minimum (left-most value) to the maximum (right-most value).

In the example above, we are a car retailer, tracking our Sales team's average sales per month. Our goal is 200,000 and represented by the location of the needle. The minimum possible average sales is 100,000 and we've set the maximum as 250,000. The blue shading shows that we're currently averaging approximately $180,000 this month. Luckily, we still have another week to reach our goal.

Radial gauges are a great choice to:

  • Show progress toward a goal.
  • Represent a percentile measure, like a KPI.
  • Show the health of a single measure.
  • Display information that can be quickly scanned and understood.

Key influencers chart

A key influencer chart displays the major contributors to a selected result or value.

Key influencers are a great choice to help you understand the factors that influence a key metric. For example, what influences customers to place a second order or why were sales so high last June .

A Key Performance Indicator (KPI) is a visual cue that communicates the amount of progress made toward a measurable goal.

KPIs are a great choice:

  • To measure progress (what am I ahead or behind on?).
  • To measure distance to a metric (how far ahead or behind am I?).

Line charts

Line charts emphasize the overall shape of an entire series of values, usually over time.

Use a basic map to associate both categorical and quantitative information with spatial locations.

The combination of ArcGIS maps and Power BI takes mapping beyond the presentation of points on a map to a whole new level. The available options for base maps, location types, themes, symbol styles, and reference layers creates gorgeous informative map visuals. The combination of authoritative data layers (such as census data) on a map with spatial analysis conveys a deeper understanding of the data in your visual.

Filled map (Choropleth)

A filled map uses shading or tinting or patterns to display how a value differs in proportion across a geography or region. Quickly display these relative differences with shading that ranges from light (less-frequent/lower) to dark (more-frequent/more).

The more intense the color, the larger the value.

Shape maps compare regions on a map using color. A shape map can't show precise geographical locations of data points on a map. Instead, its main purpose is to show relative comparisons of regions on a map by coloring them differently.

The matrix visual is a type of table visual (see Tables in this article) that supports a stepped layout. A table supports two dimensions, but a matrix makes it easier to display data meaningfully across multiple dimensions. Often, report designers include matrixes in reports and dashboards to allow users to select one or more element (rows, columns, cells) in the matrix to cross-highlight other visuals on a report page.

The matrix automatically aggregates the data and enables drilling down into the data.

Power Apps visual

Report designers can create a Power App and embed it into a Power BI report as a visual. Consumers can interact with that visual within the Power BI report.

Q&A visual

The Q&A visual provides users with a text box to query data in Power BI reports. Users can use natural language to query data, and the Q&A visual interprets the query and provides an appropriate visualization.

For example, if a user asks a question like "What were the product sales in 2019?" the Q&A visual will query the relevant data and create an appropriate visualization to display the results. This visualization can be in many different formats, such as a chart or a table.

Similar to the Q&A experience on dashboards , the Q&A visual lets you ask questions about your data using natural language.

R script visuals

Visuals created with R scripts, commonly called R visuals , can present advanced data shaping and analytics such as forecasting, using the rich analytics and visualization power of R. R visuals can be created in Power BI Desktop and published to the Power BI service.

Ribbon chart

Ribbon charts show which data category has the highest rank (largest value). Ribbon charts are effective at showing rank change, with the highest range (value) always displayed on top for each time period.

Scatter, bubble, and dot plot chart

A scatter chart always has two value axes to show one set of numerical data along a horizontal axis and another set of numerical values along a vertical axis. The chart displays points at the intersection of an x and y numerical value, combining these values into single data points. These data points might be distributed evenly or unevenly across the horizontal axis, depending on the data.

A bubble chart replaces data points with bubbles, with the bubble size representing an additional dimension of the data.

Both scatter and bubble charts can also have a play axis, which can show changes over time.

A dot plot chart is similar to a bubble chart and scatter chart except that it can plot numerical or categorical data along the X axis. This example happens to use squares instead of circles and plots sales along the X axis.

Scatter-high density

By definition, high-density data is sampled to create visuals reasonably quickly that are responsive to interactivity. High-density sampling uses an algorithm that eliminates overlapping points, and ensures that all points in the data set are represented in the visual. It doesn't just plot a representative sample of the data.

This ensures the best combination of responsiveness, representation, and clear preservation of important points in the overall data set.

A slicer is a standalone chart that can be used to filter the other visuals on the page. Slicers come in many different formats (category, range, date, etc.) and can be formatted to allow selection of only one, many, or all of the available values.

Slicers are a great choice to:

  • Display commonly used or important filters on the report canvas for easier access.
  • Make it easier to see the current filtered state without having to open a drop-down list.
  • Filter by columns that are unneeded and hidden in the data tables.
  • Create more focused reports by putting slicers next to important visuals.

Smart narrative

The Smart narrative adds text to reports to point out trends, key takeaways, and add explanations and context. The text helps users to understand the data and identify the important findings quickly.

Standalone images

A standalone image is a graphic that has been added to a report or dashboard.

A table is a grid that contains related data in a logical series of rows and columns. It might also contain headers and a row for totals. Tables work well with quantitative comparisons where you are looking at many values for a single category. For example, this table displays five different measures for Category.

Tables are a great choice:

  • To see and compare detailed data and exact values (instead of visual representations).
  • To display data in a tabular format.
  • To display numerical data by categories.

Treemaps are charts of colored rectangles, with size representing value. They can be hierarchical, with rectangles nested within the main rectangles. The space inside each rectangle is allocated based on the value being measured. And the rectangles are arranged in size from top left (largest) to bottom right (smallest).

Treemaps are a great choice:

  • To display large amounts of hierarchical data.
  • When a bar chart can't effectively handle the large number of values.
  • To show the proportions between each part and the whole.
  • To show the pattern of the distribution of the measure across each level of categories in the hierarchy.
  • To show attributes using size and color coding.
  • To spot patterns, outliers, most-important contributors, and exceptions.

Waterfall charts

A waterfall chart shows a running total as values are added or subtracted. It's useful for understanding how an initial value (for example, net income) is affected by a series of positive and negative changes.

The columns are color coded so you can quickly tell increases and decreases. The initial and the final value columns often start on the horizontal axis, while the intermediate values are floating columns. Because of this "look", waterfall charts are also called bridge charts.

Waterfall charts are a great choice:

  • When you have changes for the measure across time or across different categories.
  • To audit the major changes contributing to the total value.
  • To plot your company's annual profit by showing various sources of revenue and arrive at the total profit (or loss).
  • To illustrate the beginning and the ending headcount for your company in a year.
  • To visualize how much money you make and spend each month, and the running balance for your account.

1. Power BI Reports Examples: Sales Analysis Reports

Power BI offers a very detailed Sales Analysis report. 

Here are some important things highlighted in this report image:

  • The left column shows the industry s ales volume of 50K in the last year including a  market share of 3.68%, a sentiment score of 68, and so on. 
  • % Units Market Share vs. % Units Market Share in the Top Tab shows how marketing shares are being distributed.  
  • In the middle column chart tile, the competitors can be seen and also the Total Units YTD Variance %.
  • Locations for most of the business operations can also be seen.
  • The line chart at the bottom shows the trends in the businesses over different periods of months.

For a desktop or computer view, a horizontal 16:9 ratio is suitable. A scrolling dashboard is better on mobile devices—just remember to highlight the hierarchy in the data. The optimal dashboard presentation is responsive to different screen sizes. 

Before we get into the KPIs and the step-by-step guide, let’s visualize the anatomy of a dashboard presentation. Here are some actionable guidelines to help you.

Giving the dashboard a title

The dashboard title doesn’t need to be too large; remember that you need space in the canvas to display the data. If necessary, include a subtitle with essential information. Don’t add it if it’s not needed to understand the dashboard. 

The location of the title is preferably at the top left or top center. To the left, leaves space to the right for a couple of data points; the centered option will have white space on the sides.

And yet another could be the social media manager’s need to show progress over time regarding a specific campaign.

Here are the questions you need to answer before continuing:

  • Who will be the end users?
  • What are their key business goals and objectives?
  • What are the most important questions they need answers to?
  • How frequently will the dashboard be reviewed?

With the answers to this checklist, you’re ready to go on to the next step.

For each data point, take note of what it’s highlighting. What exact question is it answering? These will turn into legends and captions when you put them all together.

These answer the most immediate question of the dashboard’s purpose, like the opener of a story or essay. The story continues with the rest of the data points, which will complete the analysis.

Introducing the new 100% Stacked Area Chart, now available in our core visuals gallery. These visuals display the relative percentage of multiple data series in stacked areas, where the total always equals 100%. It’s perfect for showing the proportion of individual series to the whole and how they change over time. Take your line charts to the next level with our new line control features.

  • Adjust line color transparency under Lines > Colors > Transparency.
  • Control the color and transparency of each series by selecting them in the ‘Apply settings to’ dropdown.
  • Use Monotone and the new Cardinal smooth type for full control of smooth lines.
  • Choose from before, center, and after step lines to align your visual with your story.

Enhance Q&A with Copilot-generated Linguistic Relationships

Improving your linguistic schema is an important step in making sure that the Q&A visual can understand the wide range of questions people might ask about their data. This is why, back in September , we added a new section into the Q&A setup menu to help you add linguistic relationships to teach Q&A about words which qualify or relate your data.   

But we also know that coming up with all the different words people might be using to refer to your data can take time and effort, and we’ve been working on ways to make that process easier for you! In November , we introduced a way for you to quickly generate new synonyms for the names of tables and columns in your model; this month, we’ve introduced the same functionality for linguistic relationships!   

When you open a report with a Q&A visual, if you have Copilot enabled and you’ve already added synonyms, you’ll now see a banner prompting you to get relationships with Copilot as well.

Unlike with synonyms, Copilot-generated relationships will not be used to understand natural language inputs until you have approved them, so make sure you accept the ones which work for your model!   

Allow Copilot to help interpret Q&A questions.

You can also now use Copilot to improve the Q&A engine’s term recognition when you ask questions! This new feature will trigger when you ask Q&A a question which uses words or phrases which Q&A doesn’t recognize, but which it detects might be referring to data entities like tables or columns. Then, Copilot will also check those unknown words or phrases to see if there is any reasonable match — and, if so, return the answer as a visual as though a suggested synonym had been applied.

This feature is not a replacement for synonyms! In fact, adding synonyms for the entities in your semantic model is even more important to create good matches, as they increase the surface area to check for similarities. It will widen the range of inputs Q&A will recognize, but like a multiplier, it will improve recognition for well-modeled data much better than it will for poorly modeled data.   

This feature will be automatically enabled when you choose to get synonyms with Copilot, but you can also turn it on or off manually in the suggestion settings menu in the Synonyms tab in Q&A setup.

Data Connectivity

The Snowflake connector has been updated to support the use of Snowflake dynamic tables .

We’ve made saving Power BI content as an image simpler and more powerful.

First, we’ve added a new dropdown menu to the add-in’s footer. In that menu, you can choose whether you want to see live data or a snapshot. So now it is much easier to find where to switch between live data and a static image.

Second, for snapshots, you now have two options:

  • Public snapshot: Anyone who can view the presentation can view the image.
  • Snapshot: Only those who have permission to view the report in Power BI will be able to see the snapshot.

Third, we’ve disabled the default snapshot, so that the slide thumbnail doesn’t show the image by default (this also applies when you copy & paste the slide into an email for example), but only after the add-in is loaded and the required permissions have been checked.

And lastly, we honor this setting also when you open the presentation in PowerPoint for the web. You still cannot change a live view into a snapshot in PowerPoint for the web, but if you or someone else has changed the view to snapshot in the PowerPoint desktop app, this will be respected, and you will see the snapshot also in PowerPoint for the web.

PowerPoint allows you to continuously playback a presentation. This is especially useful when you want to present information in public displays without any human interaction.

If a presentation that is running continuously has slides that include the Power BI add-in, the data in the add-in might become outdated, since the add-in gets the data from Power BI when the slide is loaded, or when the user manually refreshes the data being presented.

With the new automatic refresh in slide show feature, you can set the add-in to automatically pull fresh data from Power BI while the presentation is in slide show mode, ensuring that the presentation will always show the most recent data.

Note that auto refresh only happens in slide show mode and not while you’re editing the presentation.

When you add the Power BI add-in to an empty slide that doesn’t have a title yet, the Power BI add-in is here to help. It offers you suggestions for the slide title based on the content of you add-in. The title can be the report name, the page/visual name, or both. Just select the desired option and hit Add title .

Introducing the Fabric metadata scanning sample app

We’re delighted to announce the availability of the new Fabric metadata scanning app. This sample application builds upon the metadata scanning capabilities of Fabric’s set of Admin REST APIs collectively known as the scanner APIs. This new app can be used as a reference for admins interested in utilizing the Scanner API to catalog and report on all the metadata of their organization’s Fabric items.

The Fabric metadata scanning sample app handles all the steps for calling the scanner API including authentication, parallelism, throttling, and incremental scanning. In addition, it provides a central configuration file which can be easily modified to suit the specific needs of the caller. Currently authentication is supported both by using a service principal and a delegated token.

The app is available as a Microsoft open-source project, and is open for suggestions and improvements here:

Dynamic Subscriptions for Power BI and paginated reports

We’re pleased to announce that you can now send dynamic per recipient subscriptions to up to 1000 recipients instead of the earlier limit of 50 recipients from the data in the Power BI semantic model. For existing subscriptions, we will automatically send subscriptions up to 1000 recipients if your Power BI semantic model contains that many rows of data. You need to edit the subscription if you don’t want to automatically send subscriptions. Learn more about creating dynamic per recipient subscriptions for Power BI Reports and paginated reports .

This feature will be available in some regions as soon as today, however depending on the geography in which your Power BI tenant is located, it may take up to two weeks to appear.

The Power BI Mobile apps support folders in workspace. So, you can access items that are organized in folders inside of your workspace directly from the mobile app.

Workspace and folders are Fabric entities, which means that you can add items that are not necessarily Power BI items to a workspace. But the Power BI Mobile apps only support a subset of Power BI items. Therefore, only the Power BI item will be accessible when you are browsing the folder content from the app. If a folder contains only non-Power BI items, it will appear empty in the mobile app.

When a field in your model is marked as a barcode, you can use your mobile device camera to scan the barcodes of real objects to filter reports that are built on this model. This feature is extremely useful for retail, where you can scan the barcode on a piece of merchandise to get a report showing data about the item directly in your mobile app (for example, inventory information, product selling data, etc.).

To make it easier and more intuitive to use barcodes and based on feedback we’ve gotten from our users in stores, we’ve added a new button to the report footer that makes it a one-click action to clear any previously scanned barcode from the report’s filter.

We continue to simplify the experience of using the Power BI Mobile apps, always keeping in mind the frontline workers who need quick access to their content. In this monthly update we’ve made it possible to open Power BI items on full screen, so users can view their data at its max.

Opening an item on full screen is supported both for launch items and when using a universal link.

A launch item is a Power BI item (report, page, app, etc.) that the user has selected to automatically open when they open the app. Now, you can also tell the Power BI Mobile app to open this item in full screen mode.

To set a launch item to open in full screen mode, go to Settings > Launch item and enable the Open in full screen toggle.

Using an MDM tool that supports an AppConfig file, mobile device administrators can also configure a launch item to be opened in full screen mode for their users.

You can also add the query parameter? fullscreen =1 to a Power BI item’s link. When you use a link with this parameter on your mobile device, the mobile app will open the item in full screen mode.

Making financial statements with a proper layout has just become easier with the latest version of the Financial Reporting Matrix.

Users are now able to specify which rows should be classified as cost-rows, which will make it easier to get the conditional formatting of variances correctly:

Selecting a row, and ticking “is cost” will tag the row as cost. This can be used in conditional formatting to make sure that positive variances on expenses are a bad for the result, while a positive variance on an income row is good for the result.

The new version also includes more flexibility in measuring placement and column subtotals.

Measures can be placed either:

  • Default (below column headers)
  • Above column headers

If you have multiple fields showing on your column headers, you can now decide which of these fields you want a column subtotal for.

This is in addition to the already existing features of the Financial Reporting Matrix:

New visual: Multi-pane Card can be used to group and show data in multiple collapsible panes in Power BI reports. It is an alternative to multi-row card visual, but it can combine columns into a few groups and put each group’s data in each pane. It is suitable to show data in detail with a reduced number of report pages.

Data can be sorted by a specified column and numbers can be converted to a human readable string. You can also set up how many rows that you want to show on the card. Using these features, it will be very easy to show “Top 10 best performing stores” or “Top 10 worst performing stores” for retail businesses.

Introducing Copilot pane in Power BI Desktop 

Earlier this year, we announced preview of Copilot for all customers with Premium/Fabric capacity in Power BI web . We’re thrilled to share that the same Copilot experience for report creation is now available for preview in Power BI Desktop. With our current preview, users can create reports faster and easier in the Power BI Desktop experience. You can now open the Copilot pane in report view and ask Copilot to:

  • Create a report page – Copilot will create an entire report page for you by identifying the tables, fields, measures, and charts that would help you get started.
  • Summarize a semantic model – Copilot will help you understand your Power BI semantic model by summarizing the data in your model.
  • Suggest a topic – Copilot will suggest topics for your report pages.
