How To Write Job Application Letter Sample For Any Position

It has become increasingly necessary for job seekers to submit an application letter alongside their resume during the job application process . 

But why is this so important? 

First, attaching an application letter helps to set you apart from other applicants and research has shown that about half of recruiters reject job applications without application letters. 

So if you're currently job hunting and want to increase your chances of having your resume read and landing an interview, then you need to learn how to write the perfect job application letter. 

Now we understand that writing application letters every single time you're applying for a new post can be exhausting. Some of these job openings have a really short application window, leaving you with little to no time to craft out something good from scratch.  That is why we have created the perfect job application letter template for any position with a sample you can swipe in a minute. 

What Is An Application Letter?

An application letter is a document that can either be attached to your resume, sent in the body of an email or sent as a standalone document to a potential employer, with the sole purpose of expressing your interest in an open job position. 

A well-written application letter should give the reader a good reason why you should be called in for an interview and must also highlight key skills and qualifications that make you a great fit for the role being advertised.

Aside from showcasing your job-worthy qualifications, an application letter is a great way of showing your personality and familiarity with the company you're applying to. Feel free to mention your professional goals and aspirations and how they align with the company goals. 

What Is The Format Of A Job Application Letter?

When writing a job application letter, you are expected to follow a business letter format. There's also a slight difference when formatting depending on the medium through which it will be sent. 

Here are three easy steps on how to format a job application letter

Use a professional format- you must keep your application letter professional and precise. This means that your document must include single line spacing, one-inch margins and left alignment. Avoid using fancy fonts and stick to more traditional ones like Times New Roman, Arial or Calibri.  Your font size should be between 10 to 12 points and keep the letter one page long. 

Create the heading- use a formal business letter heading if you are submitting a hard copy application. This includes your name and contact information, the date, company name and address. Example of the header:

[Your name]

[Your City]

[Your phone number]

[ Your email address]

[Name of hiring manager]

[Title of hiring manager]

[Company name]

[Company address]

Including your contact information, makes it easy for the hiring manager to follow up with you regarding the job. 

The major difference between formatting a hardcopy application letter and an email is in the heading. For an email, you'll need to include a catchy subject line that clearly states your purpose for writing. This will determine if your email gets opened and is read. A simple email application subject line would be "Videographer - Michael Williams". And unlike in a hardcopy version where your contact information is written at the top of the letter, with email, you can place it below your signature.  

Address the letter to the hiring manager-  Find out the name of the person in charge and address the letter to this person using a common business greeting like Dear Mr/Mrs and their Last Name. If you don't know their gender and which pronouns to use, you can write your greeting as "Dear First and Last Name". And if you're unable to find their names, a simple "Dear Hiring manager will work just fine.

Best Tips For Writing An Application Letter

When writing an application letter, make sure to incorporate the following tips to increase the effectiveness of your letter.

1 . Always send an application letter 

You should always send an application letter with your resume for every job you're applying for unless the job ad specifically says not to send one. An application letter helps the employer to learn more about you than they would have from reading just your resume and it also sets you apart from other applicants.

2 . Use keywords

Most job postings will include skills and abilities that they expect candidates to possess. Review the job posting to find out these keywords and incorporate them into your application letter to show the employer that you're a good fit for the role.

3 . Emphasize your skills and abilities

While your resume contains information on your skills and qualifications, an application letter offers your more room to sell yourself as the best candidate for that position. Instead of just listing your skills and accomplishments, give specific examples of how you applied your skills and abilities to situations that benefited the organisation. 

For example  instead of saying "I managed website content for ABC for 2 years" you can say " I created a content calendar consisting of four SEO-optimized articles per week for ABC's website which saw a 50% increase in organic traffic within 3 months"

4. Keep it brief

While sharing your skills and accomplishments, don't forget to only mention the important stuff and keep it short. Your application letter should be a page long, so focus on mentioning only those things that relate to the position you're applying for.

5. Proofread the letter

Don't be in such a hurry to write and submit your application letter without proofreading and editing. Maintain your professional approach by making sure that your letter is error-free. Check for spelling mistakes, punctuations and proper spacing before you click the send button. 

What To Say In A Job Application Letter

If you find yourself struggling with what to say in your application letter, you're not alone. Here are the key things to mention in your application letter.

1 . Express your interest

In the first paragraph of your letter, you're expected to express your interest in the role being advertised. Make sure to convey your enthusiasm through your words. The hiring manager should be able to tell from the tone of the letter that you're excited about working with them and that this is not just another routine letter that you're sending to every other company.  

❌  "In response to your job ad for a Graphic designer, I would like to indicate my interest in the position" 

✔️ "As a lifelong enthusiast of ABC's marketing initiatives, I was thrilled to see your posting for the position of a Graphics designer in your marketing team".

2.  List your experience and qualifications

Right after you have shown interest in the job being advertised, mention your skills, experience and qualifications in a way that aligns with the company's mission and goals.  For example, if the role you're applying for is in the financial sector, you can emphasize how you have worked within the accounting department at your previous job.

3. Mention your best personality traits

While maintaining a professional approach,  don't forget to mention your best personality traits that show your potential employer that you're friendly and easy-going. If the job requires you to work with a team, you can explain how you value community spirit.

4. Express appreciation

Before your sign off your letter, remember to appreciate the hiring manager for taking out time to read what you have written. 

5. Close the letter

 Avoid focusing on how much you need the job and instead place emphasis on what you have to offer. Also, avoid repeating cliche phrases like " thanks for your time and consideration" instead close with a promise. A simple way to go about this is to tell the hiring manager that you're looking forward to an interview with them so you can discuss how your knowledge and experience can help them achieve the company's future goals. 

To sign off, instead of using "Sincerely" you can replace it with other synonyms like " Best regards", or "Respectfully yours".

6. Add a postscript

All of the above are must-haves in your application letter but this last one is optional. Adding a postscript is a special trick that some people use. The postscript P.S screams "important information that you cannot miss" it draws the reader's attention and leaves them wanting more, hence earning you at least a callback or an interview. You can use this to tell the hiring manager something impressive about your career and say that you'd like to share more details if they are interested. 

How To Send A Job Application Letter

There are three ways you can send your application letter, you either submit it through the company’s recruitment portal or via email or a hardcopy alongside your resume in an envelope to the physical address of the company.

Since most companies now digitize their application processes, sending a job application letter through email has become the most popular option. When sending via email, make sure to use a subject line that contains your name and the position you're applying for.

First Paragraph - mention where you saw the job posting, include the name of a mutual contact where applicable, and express your interest in the position

Middle Paragraph- this paragraph can be broken down into two, and for easy comprehension, you can use bullet points to state and explain your experiences and accomplishments.

Final Paragraph- thank the hiring manager for reviewing your letter and including follow-up information.

How to Write an Application Letter for a Teaching Job

Applying for teaching positions can be daunting because of all of the materials you need to submit. Your cover letter is an especially important part of the application since it highlights your best skills. Writing an excellent cover letter can set you apart from other applicants, so it’s important to take your time and write a targeted letter for every application. Start by researching the position and getting all of the necessary information before you start writing. Then, use the intro and body paragraphs to emphasize your qualifications for the job. Conclude your letter by emphasizing your interest in the position and requesting an interview, and don’t forget to revise and proofread before you send your letter to the prospective employer.

Gathering Information Before Writing

Step 1 Read the job posting carefully and underline or highlight key terms.

  • For example, if the position is for a Kindergarten teacher, then the position may indicate that you need to have undergone a preparatory teaching program.
  • If the job posting is online, you can transfer the text into a word processor and highlight using the highlight tool.

Step 2 Find out the name of the hiring manager.

  • Make sure to find out the person’s preferred prefix. For example, if the hiring manager is a woman named Nancy Cardigan, ask if she goes by Ms., Mrs., or something else.

Warning : Never write “To whom it may concern” to start a cover letter! This is too informal and it makes your letter seem generic from the start.

Step 3 Research the school, district, and position.

  • The school’s student population
  • Special challenges facing the school, such as budgetary issues or overcrowding
  • Extracurricular programs available to students

Step 4 Identify 3 experiences or skills that qualify you for the position.

  • For example, if you’re applying for a Spanish teacher position, you might want to mention your study abroad experience that enhanced your Spanish speaking skills, or your additional certification as a TESOL teacher.

Writing the Introduction and Body Paragraphs

Step 1 Include your address and the date followed by 3 spaces.

  • For example, you might list your address as “100 Main Street, Everytown, ND, 12345.”
  • Then, after adding a space, list today’s date in long form, such as August 8th, 2019.

Step 2 Provide the full name and address of the hiring manager.

  • For example, “Mrs. Sherri Mascarpone, Executive Director of Personnel, Sacramento School District, 1000 Johnson Lane, Sacramento, CA, 12345.”

Step 3 Greet the person with a formal salutation.

  • For example, you might start with “Dear Mr. Rodgers,” and then add a space and begin your introduction.

Step 4 Indicate the job you’re applying for and why you’d be a good fit.

  • For example, you might open with something like, “I’m writing to apply for the Math Teacher position that was advertised in this week’s paper.”
  • It’s also a good idea to give the employer some indication of who you are, such as by mentioning where you attended school and when you graduated or expect to graduate. For example, you might follow your first sentence with something like, “As a recent graduate of Universal University’s teacher education program, I am well-qualified for the position.” [6] X Research source

Step 5 End the first paragraph with 3 reasons you're qualified.

  • For example, you might write something like, “I’ve had a broad range of professional experiences that qualify me for the position, including working in the school district as a teacher’s aide while working on my college education, getting the opportunity to tutor at-risk youth in an after-school program run by a local charity, and completing my student teaching at this school.”

Step 6 Provide evidence of your experiences and skills.

  • For example, if you mention that you completed one of your student teaching rotations at the school you’re applying to work at, then you might expand on what you learned about the school and its teachers during that experience and how that knowledge would make you a good fit for this position.
  • If you mentioned that you hold a special certification, then you might expand on how that could enhance your ability to fulfill the needs of the position to which you’re applying.

Step 7 Emphasize what you’d contribute as a teacher at this school.

  • For example, you might include a line about your persistence and refusal to give up on students who struggle with course material, or you might mention that your professors or former employers have praised you for your ingenuity in designing engaging lessons.

Tip : Try to be as specific as possible whenever you talk about your qualifications. Point to professional experiences, certifications, training, and other evidence to support your claims.

Concluding Your Letter

Step 1 Reemphasize your qualifications and interest in the position.

  • For example, you might write something like, “Because of my professional experiences and special certifications, I’m very interested in the 7-12 French teacher position at Northwestern Central School.”

Step 2 Thank the employer for their time and consideration and look ahead.

  • Try saying something like, “Thank you for considering my application! I hope we can meet soon to discuss my qualifications further.” [14] X Research source
  • You may also indicate when you’re available or suggest a time and date for an even stronger option. For example, you could say something like, “I’m available to meet in person most weekday mornings and on Friday afternoons.” Or, you could say, “I’m available next Friday afternoon between 1:00 and 4:00 pm if you’d like to schedule an interview.”

Step 3 Provide an email address and phone number where you can be reached.

  • For example, you might write something like, “My cell phone number is (123) 555-1234 and my email is [email protected].”

Tip : You can skip this if you have included this information on your resume.

Step 4 End with a simple sign off and your name.

Revising and Proofreading Your Letter

Step 1 Check the content of your letter and revise as needed.

  • For example, if the job posting emphasizes that the ideal candidate should have evidence that their teaching strategies are successful, then you might want to add more detail on the positive feedback you’ve received during teaching observations.

Tip : If you’re a recent graduate or student applying for a teaching position, you might ask your advisor to review your cover letter for you and provide feedback. If they’re unavailable, visit your college’s career development center and ask one of the career counselors to review it for you.

Step 2 Ensure that your letter is brief and to the point.

  • Not making your letter more than 1 page long
  • Describing your skills using action verbs similar to the ones in the job posting
  • Avoiding long, intricate sentences that may be difficult to follow

Step 3 Read through the letter again to check for errors.

  • Try reading the letter out loud to help you spot any errors that you might miss while reading the letter silently.
  • Don’t rely on your word processing software to catch errors. These programs are not foolproof for spotting errors.

Step 4 Print the letter on high-quality bond paper and sign it.

  • If you need to submit the letter electronically, convert it to PDF format.

Format to Write Excellent Teaching Job Application Letter

The format to draft your own teaching job application letter is as follows:

Put down Your address with date of application

The first thing you should do when you want to write application letter for the post of a teacher is to put down your address.  This address should be at upper right-hand side of the application letter.

If you don’t want to punctuate the address, remove the punctuation on the address but at the end put full stop to end the address. So you’ll have something like this:

  The title of your application letter should contain the position you’re applying for. Examples of titles of teaching job application:

With the ideas of what you want to write in mind, better still, written down; you can then proceed to the actual writing.

They include;

Follow these steps;

Recruitment Guidelines for Secondary school teachers - 2023

GUIDELINES FOR RECRUITMENT OF TEACHERS ON PERMANENT & PENSIONABLE TERMS, POST PRIMARY INSTITUTIONS – 2022/2023 FINANCIAL YEAR

1.0 GENERAL INFORMATION

i) Following the advertisement for recruitment of teachers on permanent and pensionable terms, Boards of Management are required to conduct the selection exercise for the advertised vacancy(ies) in their institutions.

ii) Applicants will be required to submit their applications to the Secretary, Teachers Service Commission online through www.teachersonline.go.ke for the institution where a vacancy has been declared.

iii) The Selection Panel is required to exercise the highest degree of transparency and accountability, as stipulated in the Public Officer Ethics Act and TSC Code of Conduct and Ethics (CoCE, 2015).

iv) The TSC Regional Directors are required to induct TSC County Directors within their areas of jurisdiction, who in turn are expected to induct members of the Selection Panels involved in the recruitment process on the relevant Sections of the Act and the Code of Regulations for Teachers (CORT, 2015) before the commencement of the selection exercise.

v) The TSC County Director MUST ensure that the recruitment process is done in strict adherence to the laid down protocols by the Ministry of Health on containment of COVID-19 pandemic.

vi) TSC County Director MUST ensure that venues for interviews area accessible to applicants with disability.

vii) All applicants MUST be registered teachers as per Section 23(1) of the Teachers Service Commission Act, 2012. Applicants who are not duly registered shall not be considered for recruitment.

viii) TSC County Directors MUST ensure that Heads of Institutions confirm online registration statutes of the applicants at shortlisting stage to avoid engaging unregistered/deregistered teachers.

ix) Applicants whose names differ in the academic and professional certificates and/or identification cards MUST present an Affidavit, sworn under the Oaths and Statutory Declarations Act, Cap 15 of the Laws of Kenya to explain the variance in names.

x) Applicants who re-sat either KCPE or KCSE examinations (or their equivalents) MUST present certified copies of the certificate(s) of the national examination(s) in question for all the attempts. Copies of the certificates must be certified by the Sub-County Directors.

xi) System generated Applicant(s) Lists shall be used by the County Selection Panel to shortlist five (5) applicants for every post advertised. Details of the shortlisted applicants, interview dates and venues shall be published on the Teachers Service Commission website.

xii) Upon invitation for interview, applicants shall be required to present the originals and clear copies of the following documents:-

  • National Identification card;
  • Certificate of Registration as a teacher;
  • Authentic evidence of service as a teacher intern (where applicable);
  • Diploma/degree certificate and officials transcripts;
  • KCSE certificates or its equivalent (include certificates for attempts in one resat examinations);
  • KCPE certificate or its equivalent (include certificates for attempts if one resat examinations);
  • Primary  and Secondary School leaving certificates and other relevant testimonials;
  • National Council of Persons with Disabilities (NCPWD) Card (where applicable);
  • An affidavit sworn under the Oaths and Statutory Declarations Act, Cap 15 of the Laws of Kenya to explain the variance in names;
  • Letter of certification of results by KNEC (where applicable).

xii) Heads of Institutions shall interview the five (5) applicants in the published list for every advertised post. In cases where less than five (5) applicants are shortlisted, all of them shall be interviewed. The interviewed list of applicants shall make up a vacancy specific Merit List.

xiv) The details of the shortlisted candidate shall be posted in the TSC website at least seven (7) days before the date of the interview.

xv) All applicants, irrespective of gender, disability, ethnicity or Home County shall be given equal opportunities.

xvi) The Commission shall ensure that 5% of all the advertised slots are reserved for the recruitment of teachers with disabilities in accordance with the provisions of the Constitution and the Law.

xvii) The Commission shall allocate additional slots to schools in ASAL and Hard-to-Staff areas based on the recorded teacher shortage.

xviii) In the event of a tie, consideration for selection will be determined as per the order of priority shown hereunder.

  • Applicants’ disability status;
  • Participation in the TSC Teacher Internship Programme;
  • Length of Stay since graduation;
  • Strength of academic and professional certificates presented.

N/B: If applicants tie at aggregate grades, subject grades shall be considered.

xix) The names of interviewed applicants ranked in order of performance in the selection process for each vacancy ( Appendix iii) shall be submitted to the Commission by the TSC County Director together with Application for Employment forms.

xx) Preference shall be given to applicants who have never been employed by the Commission.

xxi) During the interview, the school selection panel shall develop a vacancy-specific Merit List . The Merit List shall be used in the subsequent recruitment processes involving a similar vacancy in the County within the financial year or as directed by the Commission from time to time.

xxii) The school selection panel shall submit the vacancy specific merit list to the Sub-County Director.

xxiii) The Sub-County Director will submit the merit list for compilation of subjects specific merit list to the County Director and Regional Director Nairobi to generate a databank for the County.

xxiv) The TSC County Director shall forward the subject specific merit list to the Regional Director who will compile the Regional subject specific merit lists. The Regional Director will forward the regional subject specific merit lists to the Director Staffing at the Headquarters. This data bank of interviewed candidates shall be used to replace those exiting service within the Financial Year.

xxv) Where candidates are exhausted from the subject specific County data bank, replacement shall be done using the Regional data bank. Where candidates are exhausted within a region, vacancies shall be filled using the Subject Specific National data bank.

N.B. The Subject specific data bank shall be used to fill vacancies arising from the County, Region and Nationally within the Financial Year.

xxvi) The County Selection Panel shall compile subject specific Merit Lists for the County. The Panel shall use Merit Lists to fill the subject specific vacancies in the subsequent recruitment processes within a financial year.

2.0 AUTHENTICATION OF ACADEMIC, PROFESSIONAL AND OTHER RELATED DOCUMENTS

i) Applicants must present original and legible photocopies of the following documents:-

  • National identification card;
  • Diploma/Degree certificate and accompanying transcripts;
  • KCSE certificates or its equivalent (include certificates for attempts if one resat examinations);
  • KCPE certificate or its equivalent (include certificates for attempts if one resat exams);
  • Letter of certificate of results by KNEC (where applicable);
  • Primary and Secondary School leaving certificates and other relevant testimonials;
  • N affidavit sworn under the Oaths and Statutory Declarations Act, Cap 15 of the Laws of Kenya to explain the variance in names.

NB: Provisional transcript(s) shall not be accepted.

ii) The selection panel shall verify that:_

  • The applicant meets the requirements stipulated in the TSC advertisement;
  • All submitted original academic and professional certificates, as well as official transcripts, are authentic.

iii) Any applicant(s) who present forged/fake academic, professional and other documents commit(s) an offence and shall be disqualified and/or deregistered.

vi) The TSC Sub-County Director shall certify photocopies of the certificates and confirm they are true copies of the applicant’s original academic and professional certificates prior to the interview.

v) Once the interview process is completed, a vacancy specific Merit List based on the interview results shall be compiled and communicated to all applicants at the end of interview exercise.

vi) It is the responsibility of the TSC County Director/Representative to ensure that the:

  • Exercise is fair and transparent;
  • Successful applicant(s) on the Merit List fill the application for Employment Form(s).

vi) The Secretary, Board of Management should ensure that Successful applicant9s) from the Merit List is/are issued with the Application for Employment Form(s) (TSC/APPT/1) which is correctly filled without erasing or defacing .

viii) The completed Application for Employment Form(s) together with other relevant documents shall ve submitted to the TSC County Director’s office by the TSC Sub-County Director. The TSC County Directors shall convene a County Selection Panel. The Panel shall conduct verification of the documents and ensure that all the requirements are met by the successful applicants and submit the recruitment documents (as per the approved checklist) to the TSC Heaquarters within the stipulated timelines.

3.0 SELECTION PANEL FOR INSTITUTIONS WITH BOMs

  • Chairperson, Board of Management – Chairperson
  • Head of the Institution – Secretary
  • Subject Specialist – Member
  • Parent Association (PA) Chairperson – Member
  • TSC County Director/Representative – Member

3.1 SELCETION PANEL FOR SCHOOLS WITHOUT BOMs

  • TSC County Director/Representative – Chairperson
  • PA Chairperson – Member
  • PA Member – Member

N/B: TSC Sub-County Director shall ensure that the Selection Panel is well-sensitized to conduct the interview within the COVID-19 containment measures as set by the Ministry of Health or any other pandemic as may be advised by the Ministry of Health from time to time.

4.0 SELECTION CRITERIA

i) The Secretary, Board of Management shall provide to the selection panel a list of all shortlisted applicants as received from the TSC Sub-County Director.

ii) The selection panel shall interview only those who meet the set criteria. The TSC Sub-County Director should not any inconsistency(ies), adhere to the guidelines and guide the applicants/selection panel and the Commission accordingly.

iii) Applicants shall appear in person before the selection panel. The selection panel shall score each applicant based on the selection score guide ( Appendices 1(a) or 1 (b))

NB: An applicant with disabilities related to hearing and/or speech shall be allowed the company of a sign language interpreter.

5.0 QUALIFICATIONS

5.1 Graduate Teachers

Applicants must have a minimum mean grade of C+ (plus) at KCSE and C+ (Plus) in each of the two teaching subjects or two (2) Principles and one (1) subsidiary pass at ‘A’ Level. In addition, they must have either:

  • A Bachelor of Education degree with two (2) teaching subjects or,
  • A Bachelor of Science or Arts Degree plus a Post Graduate Diploma in Education (PGDE) With two teaching subjects or,
  • Bachelor of Science with Education/Bachelor of Arts with Education with two teaching subjects or,
  • Bachelor of Science in Agricultural Education and Extension with two teaching subjects.

NB: Applicants with the following qualifications are also eligible;

i) Diploma in education Holders with Mean Grade of C (Plain) and C (Plain) in the two teaching subjects at KCSE and have undertaken a Bachelors of Education Degree.

ii) Those who obtained Mean Grade C (plain) at KCSE and C (Plain) in the subjects of study at A-Level and obtained at least 1 Principle and 2 subsidiaries for Sciences, 2 Principles and 1 Subsidiary for Ars prior to undertaking a Bachelor of Education Degree.

5.2 Diploma Teachers

Applicants must have a minimum Mean Grade of C+ (Plus) at KCSE or its equivalent with at least C+ (Plus) in the two teaching subjects.

NB: Hearing and visually impaired teachers who enrolled for training with Mean Grade of C (Plain) and C (Plain in the two teaching subjects are eligible.

5.3 Technical Teachers

Applicants must have a minimum Mean Grade of C+ (Plus) or its equivalent with at least C+ (plus) in the two teaching subjects or one (1) Principle and two (2) Subsidiaries at ‘A’-Level in the subjects studied. In addition, they must have either:

  • Bachelor of Education Technology (BeD TECH); or
  • Bachelor of Science (BSc) in any relevant technical subject(s)/Course; or Higher Diploma in a technical course; or
  • A Diploma in a technical Course
  • Further, applicants under category (ii) above MUST possess a Diploma in Technical Teacher Education from Kenya Technical Trainers College (KTTC), previously known as Kenya Technical Teachers College.

1) Applicants whose training is in subjects that are currently not in the Secondary School Curriculum do not qualify, irrespective of their having undertaken a Post Graduate Diploma in Education (PGDE) and/or enhancement. This category includes but is not limited to Bachelor of Science/Bachelor of Arts in:

  • Natural Resources
  • Meteorology
  • Anthropology
  • Animal husbandry
  • Theology/Divinity
  • Horticulture
  • Farm machinery
  • Biotechnology e.t.c

2) Applicants with Economics/Commerce/Accounting can apply for Business Studies

3) Diploma Teacher with English/other subjects qualify for employment as teachers of English/Literature on condition that they have adequate units in both Language and Literature.

4) All applicants must have studied the two teaching subjects at KCSE except for Agriculture, Business Studies, Home Science and Computer Studies. For those who did not study Business Studies and Computer Studies, one should have attained a minimum of C+ (Plus) in Mathematics at KCSE. For those who did not study Agriculture and Home Science, one should have attained a minimum of C+ in Biology at KCSE.

5) Graduate Teachers should have studied a minimum of eight (8) course units in each teaching subject. In addition, the teachers must have studied Special Methods in their two teaching subjects of choice together with a minimum of three (3) months of teaching practice.

6) Applicants presenting enhancement certificate(s)/official transcripts in teaching subject(s) from recognized Institution(s) qualify for employment if they scored at least a C+ (Plus) in the enhanced subject at KCSE. In addition, there MUST be proof of having taken units on teaching methods of the subject throughout the undergraduate course.

7) Applicants previously employed under contract and whose services were terminated due to inadequate units in teaching subjects and have since obtained enhancement certificates with adequate units are eligible to apply.

8) Kenya Sign Language (KSL) and Braille are considered as teaching subjects in Special Needs Education e.g. Biology/KSL and Geography/Braille.

6.0 VALIDATION OF DOCUMENTS BY THE TSC SUB-COUNTY DIRECTOR

The TSC Sub-County Directors should:-

  • Ensure that the Application for Employment Forms have all the attachments required as provided for in the approved checklist(s);
  • Vet the recruitment documents to verify that the applicant(s) recruited qualify for employment as per the provisions of the recruitment guidelines;
  • Ensure that all documents are duly signed as required; including the score sheets, Minutes of the Selection Panels and Section C of the Application for Employment form confirming that the candidate qualifies/merits to be employed;
  • Compile complaints received and submit appropriate action taken or recommendations to the Commission.

7.0 DOCUMENTS TO BE SUBMITTED TO THE TSC HEADQUARTERS

The TSC County Director is required to hand over the following documents to the TSC Headquarers:

i) Duly filled Application for Employment Form(s) together with

a) A copy of the acknowledgement of receipt of application for employment,

b) certified copies of:

  • National Identification Card;
  • Academic certificates;
  • Professional certificates and all official transcripts;
  • Letter of certification of results by KNEC (where applicable);
  • NCPWD Card (where applicable);
  • An affidavit sworn under the Oaths and Statutory Declarations Act, Cap. 15 of the Laws of Kenya to explain the variance in names (where applicable);
  • Bank plate/Card (front face);
  • KRA PIN Certificate;

c) Authentic evidence of service as an intern (where applicable) and;

d) Two (2) passport size colour photographs in respect of successful applicant(s);

e) Original Medical Examination report in form GP 69.

ii)  A list of all interviewed applicants in order of merit for the advertised vacancies in (Appendix (III) a );

iii) A copy of the system generated list of all applicants clearly showing those who failed to attend the interview; ( Appendix III b );

iv) List of applicants with disabilities; ( Appendix VI );

v) Duly signed Minutes of the School’s selection panel;

vi) A commitment letter duly signed by the applicant binding him/her to teach in the station for a minimum period of five ( 5 ) years, and three (3) years in the case of North Eastern Region;

vii) Completed selection score guide duly signed;

viii) Duly completed pay point particulars form.

8.0 COMPLAINTS

i) Any applicant who is dissatisfied with the process should submit to the TSC County Director a written complaint immediately and send an email to the TSC Headquarters through the email address: d i r s t a f f i n g @ t s c . g o .ke"> d i r s t a f f i n g @ t s c . g o .ke not later than seven (7) days after the selection process;

ii) The TSC County Director should within seven (7) days analyze and address all complaints raised after the selection process has been completed and promptly inform the Headquarters on the action taken;

iii) Where an applicant is dissatisfied with the decision of the TSC County Director in (ii) above, or where the complaint is made against the TSC County Director, the applicant shall appeal to the Appeals Committee on staffing functions at the TSC Headquarters. The Appeals Committee shall investigate the allegations and take appropriate action within fourteen (14) days.

9.0 IMPORTANT NOTES

i) Under no circumstances should the Application for Employment Form(s) be defaced or photocopied for use.

ii) Clarification and advice on issues of qualifications arising from these guidelines, should be sought from the TSC County Directors.

iii) Nothwithstanding the decentralization of the function of teacher recruitment pursuant to Section 20 of the TSC Act, the Commission is not precluded in carrying out recruitment directly from the TSC Headquarters.

iv) The TSC Regional Directors shall ensure guidelines are adhered to within their regions;

  • Coordinate the teacher recruitment process within their respective regions;
  • Sensitize County Directors and oversee the sensitization of other officers including members of the BoM involved in the process;
  • Ratify the Merit Lists for use during the recruitment;
  • Shall undertake measures to resolve complaints arising from the process within their regions.

NB: For purposes of scoring part C , year of completion of professional training (BED of PGDE) whose certificate is used to score part A of this score sheet determined the length of stay but not year of enhancement .

SELECTION SCORE GUIDE FOR TEACHER INTERNS WITH DISABILITIES – POST – PRIMARY INSTITUTIONS

NB: For purposes of scoring part C, the year an applicant satisfactorily qualified to be a teacher as per the Commission policies shall be the year used to determine the length of stay since graduation and not the certificate is used to score part A of this score sheet.

BOARD OF MANAGEMENT CHECK LIST

The successful applicant will be required to submit the following to the Secretary, Selection Panel:-

1. Original and clear copies of the following:-

i. National Identity Card (both sides):

ii. NCPWD Card (where applicable);

iii. 2 passport size-colour photographs;

iv. Certificates and testimonials; KCPE, KCSE, ‘A’ Level, Diploma, Degree etc;

v. Letter of certification of results by KNEC (where applicable);

vi. Official Academic transcripts;

TSC CHECK LIST

The Secretary, Selection Panel is required to submit to the TSC Sub-County Director the following:

1. Minutes of the selection panel duly signed and clearly showing how many applicants were shortlisted for interview from the system generated merit list and the selection criteria used;

2. Completed selection score guide duly signed;

3. Certified copies of the following:-

i. National Identity Card (both sides);

iii. 2 Passport size colour photographs;

iv. Certificates; KCPE, KCSE, ‘A’ Level Diploma, Degree, etc;

v. Letter of Certification of results from KNEC (where applicable);

viii. KRA PIN certificate;

ix. Bank plate/Card (front face);

2020/2021 Teachers' Training Colleges (TTCs) applications and admission letters.

Applications for TTC placement; Diploma teachers training colleges admissions

Diploma Teachers Training Colleges, TTCs, train professional teachers for secondary education. Their intakes occur yearly and placements of KCSE students is done by the Kenya Universities and Colleges Central Placement Service (KUCCPS).

Not all students are, though, placed by KUCCPS. If you did not apply via KUCCPS, you should not be worried as there is a second chance.

KCSE STUDENTS APPLYING DIRECTLY TO THE TTC OF CHOICE

If you were not placed by KUCCPS, you can still secure a chance at any of the TTCs. Just, scan and send your KCSE Results Slip or Certificate to the preferred TTC. Your results slip will be verified before you are instructed on how to get your admission letter. Applications for intakes are ongoing.

APPLICATION PROCEDURE VIA THE KUCCPS STUDENT PORTAL

This is the main procedure through which you can file your application.

Applications are made online at the Kenya Universities & Colleges Central Placement Service (KUCCPS)’s website: –  www.kuccps.net  on specified dates when the site is announced open for applications. However, students who miss this dates may apply directly to the College.

Applicants who sat for KCSE in 2011 and previous years and have not benefitted from any Government Sponsorship are also eligible to apply.

MINIMUM QUALIFICATIONS:

TTCs offer training for both Science (Diploma in Education Science) and Arts (Diploma in Education Arts) teachers. The diploma course lasts for 3 academic years. It is a pre-requisite from the Ministry of Education that aspiring secondary school teachers should have the below minimum KCSE qualifications for entry into DTE (Diploma in Teacher Education) course. Here are the latest general minimum requirements for students seeking to pursue teaching:

  • Mean grade: C+ (plus)
  • English: C (plain)
  • Mathematics: D+ (plus) for those taking education arts and C (plain) for those hoping to undertake training in education science.
  • Two specialization subjects (subjects you intend to teach at high school): C+

A number of subject combinations are available for prospective students to choose. You can take any two subjects that match your preferrence and qualifications. (Remember that you must have scored a minimum of a C+ in each of the 2 subjects at KCSE).
