How to use Keynote Live to share your presentation online from your iPhone, iPad, and Mac

Learn how to use Keynote Live to effortlessly share your presentations online and engage your audience remotely.

This convenient feature lets you play your presentation over the web, so your viewers can watch it in their web browser or the Keynote app. We’ll show you how to use Keynote Live to share your slideshow from your iPhone, iPad, or Mac.

Important: Apple will soon remove the Keynote Live feature from the Keynote app. As an alternative, Apple recommends using FaceTime to share your screen . It works with both Apple and non-Apple users . So, make sure you learn how to do that. But in the meantime, here’s how to use Keynote Live – until it continues to work.

Before you get set up

Make sure that you have the most recent version of Keynote ( iOS | Mac ) on your device and you’re signed into iCloud . Apple also instructs:

You can invite up to 100 viewers anywhere or up to 35 on your local Wi-Fi network. To watch, viewers need a web browser or the latest version of the Keynote app. They don’t need iCloud accounts to watch presentations.

Use Keynote Live on iPhone or iPad

1) Open your presentation in the Keynote app, tap the More (three-dot icon) button at the top, and choose Use Keynote Live . After that, tap Continue .

2) Tap Invite Viewers and pick how you want to send the invitations. You can use Mail, Messages, AirDrop, or copy the link to share it yourself.

3) If you want to require a password for your participants, tap More Options > Add Password . Enter and verify the password you want to use and tap Done .

4) When you’re done, tap either Play Now or Play Later . If you choose Play Now , your presentation will start immediately.

If you tap Play Later , go back to your presentation when you’re ready, tap the Play button at the top, and select Play on Keynote Live . You’ll also be able to see the number of invitees that have joined and are waiting for the presentation to begin.

Control your presentation as you normally would, or use Keynote Remote to present your slideshow.

To stop the slideshow, tap the screen. If viewers are still watching, you’ll be asked to confirm, so tap Exit .

To turn off Keynote Live, tap More > Keynote Live Settings . Select Turn Off Keynote Live and tap Done .

Use Keynote Live on Mac

1) Open your presentation in Keynote and click File > Use Keynote Live > Continue .

2) Click the Invite Viewers button and choose how you want to send the invitations.

3) If you want to require a password for your participants, click More Options and check the Require password box. Enter and confirm the password you want to use and click Set Password .

4) When you’re done, click either Play Now or Play Later . If you choose Play Now , your presentation will start right up.

If you choose Play Later , head back to your presentation when you’re ready, click the green Play button, and pick Play on Keynote Live . You’ll also be able to see the number of invitees that have joined and are waiting next to the green Play button in the toolbar as well as when you click it.

Control your presentation as you would if you were all sitting in the same room. You can also use Keynote Remote to present your slideshow.

To stop the slideshow, hit the Escape key. If viewers are still watching, you’ll be asked to confirm, so click Exit Slideshow .

To turn off Keynote Live, click the Keynote Live button in your toolbar and select Turn Off Keynote Live .

Keep this in mind when using Keynote Live for your slideshows:

When you use Keynote Live to play a presentation, the slides are exported to iCloud as temporary files. To make sure your playback is smooth, all of the files stream to the viewers’ devices as soon as you start your presentation. Only viewers with the Keynote Live link (and password, if you’ve set one) can access the files.

Play a presentation over the internet in Keynote on Mac

You can use FaceTime, Webex, Zoom, or another video conferencing app to play your presentation over the internet so everyone you give access to can view it at the same time—on their own devices, wherever they are. As the presenter, you control when the presentation starts and stops.

At any point during a FaceTime, Webex, Zoom, or other video conferencing call, you can present your Keynote slideshow to the people on the call.

While on a video conferencing call, do one of the following:

In other video conferencing apps: Use the app controls to share the Keynote window. For more information, see the documentation that comes with the video conferencing app you’re using.

To advance through the presentation, do any of the following:

Go to the next slide or build: Press the Right Arrow key.

Go to the previous slide or build: Press the Left Arrow key.

To stop sharing your Keynote presentation, do one of the following:

You can also post your presentation on a website that supports embedded Keynote presentations (such as Medium or WordPress) so viewers can navigate through the presentation in a player on the website. How to Share Keynote Presentations Online

This wikiHow teaches you how to share your Keynote presentation with other people on the internet. If you want to present the presentation live, you can use Apple's Keynote Live feature. You can also share the presentation by embedding it into your website or blog post.

Using Keynote Live

• Keynote Live is limited in that it won't play audio or let you do live audio narration. If you want to narrate the presentation live, you'll want to use Keynote Live with an audio conferencing tool like Zoom, Microsoft Teams , or Google Meet .

• If you want to share the invitation link in your video conferencing software or a live chat, choose Copy Link to copy the link to your clipboard, and then paste it into the conversation.
• If you want to require a password for viewing the presentation, click More Options, select Require password , and follow the on-screen instructions.

• If you don't want to start the presentation just yet, you can choose Play Later instead. Then, when you're ready to share your presentation, click the green-and-white rectangle with a triangle in the toolbar and select Play on Keynote Live to start sharing. You can click the green-and-white rectangle and triangle icon to start sharing again.
• If you want to invite more people after starting the presentation, press the Esc key to stop playback, click the Keynote Live button in the toolbar (the computer monitor with two curved lines), select Invite Viewers , and choose your viewers.

• When you end the presentation, the link will stop working. If you want to present again, you'll need to create a new link.

Embedding on a Website

• If you protected your presentation with a password, remove the password before you continue.

• The link begins with "https://www.icloud.com/keynote" and ends with "#yourfilename" .

• Medium: No extra code is needed. To embed the link, simply paste it onto its own line and press Enter or Return . [2] X Research source Medium will display the embedded presentation once you publish your story.
• Wordpress: Using the Block Editor, create a new "Embed" block (the first embedding option), paste the Keynote link into the field, and click "Embed." If you're not using the Block Editor, you can embed the presentation by placing the URL on its own line. [3] X Research source
• Embed.ly: If you're using another type of website or site builder, check out Embed.ly , which will help you create embed codes for a variety of sites and services.

First introduced in 2003, Apple Keynote is part of the iWork suite that also includes Apple Pages and Apple Numbers . Steadily updated over the years, the presentation software takes a minimalist approach when it comes to design making, and that's one of the most significant differences between it and Microsoft's industry-leading app, PowerPoint. To date, Apple Keynote is available on Mac, iPad, iPhone, and through iCloud on the web. 

There are many reasons to consider Apple Keynote for your presentation needs — and a few others that might convince you it's best to look elsewhere for a solution. So let's take a look at this beautifully-designed app. 

Apple Keynote: Plans and pricing

In 2017, Apple began offering its iWork suite across its many platforms. Apple's iMovie and GarageBand also became free at the same time. The app comes preinstalled on Mac, and you download it from the App Store on iPhone and iPad. Previously, the company charged up to $20 each for Apple Keynote and other iWork apps. 

Apple Keynote: Features

Like the other apps in iWork, Apple Keynote is built around templates that make creating a digital presentation quick and easy. And yet, even when starting from scratch, it's relatively simple to create your next design masterpiece. 

Inevitably, any discussion about the iWork app circles back to how it compares to the Microsoft equivalent. However, when it comes to Apple Keynote vs. Microsoft PowerPoint, there's another component at play here. If you're new to presentation design, you'll find no more straightforward solution than Apple Keynote, and that could be reason enough to choose this solution if you're an Apple user. If, however, you're a long-term or even a casual PowerPoint user, you might feel underwhelmed by Apple's solution. The reason: the app offers far fewer advanced features than PowerPoint. 

Feature-wise, you're going to love the Apple Keynote templates . These are arranged by various categories, such as craft, portfolio, and editorial. It's also possible to create templates as starting points for future presentations. You can assess them on any device using iCloud . Among the pre-packaged templates are ones called Improv, Kyoto, Chalkboard, and many others. 

You can customize your Keynote presentation by selecting from over 700 Apple-designed shapes, galleries, math equations, and charts. For further customization, Apple makes it possible to take a photo or scan a document with your iPhone, then send it directly to Keynote on your Mac using the Continuity Camera option. The slick feature works with other Apple apps and comes highly recommended. 

Another feature worth considering is the option to add live video feeds to any slide. The feature is ideally suited when giving remote presentations or offering how-to videos and lectures. The live video works with the built-in camera on your Mac, iPhone, or iPad. For something different, consider creating the live feed from your mobile device and broadcasting it through Apple Keynote on Mac. It's a fresh way to show off apps or other content. 

Using videos in a Keynote presentation is further enhanced by playing videos across various slides without the need to restart or stop the video. You can also change the video's position, size, and rotation throughout the presentation. 

Another video-related benefit to using Apple Keynote is the option to play a slideshow in a separate window while also using other apps. You can also view your current and upcoming slides, presenter notes, and slide navigation in a separate window.

Do you need to create presentations with multiple speakers in different locations? Apple Keynote makes this possible, and, not surprisingly, those speakers can control a single deck from any supported device.

Finally, iPad users with an Apple Pencil can take advantage of a handwriting tool that's built into every iWork app. Scribble  automatically turns your handwritten numbers and data into typed text. Imagine using this tool with digital forms that end-users might be asked to fill out at a school or organization — no typing required. 

Microsoft PowerPoint bests Apple Keynote in certain areas despite all of these positives. For one, there's the question of compatibility. Native Keynote files can't be opened outside of Apple devices, which is a huge issue. Additionally, even though you can convert Keynote files into PowerPoint versions, the conversion process isn't always perfect. 

Finally, PowerPoint offers more tools than the ones available on Keynote. This might mean very little to new users, but it's a big deal for presentation experts. 

There's another area where Keynote bests PowerPoint: the price. While Microsoft charges a fee for its product, Apple does not. 

Apple Keynote: Interface and in use

Apple has gone out of its way to create a Keynote experience that's much less cumbersome than the one you will find with PowerPoint, which uses Microsoft's signature Ribbon. Minimalist in nature, the Keynote setup works very well because of its intuitiveness. Even first-time users know, for example, what's to be discovered under the toolbar's Table, Chart, and Media links. Apple Keynote: The competition

Microsoft PowerPoint is the king of presentation apps, but it's not the only game in town. A long list of free alternatives is available, including Google Slides, WPS Office Free, and Prezi. Each solution has its own advantages and disadvantages that often come down to compatibility.

Essential in presenting scientific research with one minor defect

I have recently started using Keynote for my presentations as a substitute for Latex and Powerpoint. While the output in Keynote looks much better compared to the previously mentioned softwares, I have been suffering from a defect which might be happening to other users too. Its regarding dragging objects around on a slide. Lets say I write an equation using Latexit or say copy and paste an image from my computer, it sometimes get “stuck” and won’t move around when selected and dragged around. It will eventually but I have no clue as to the origin of the problem. This is time consuming and annoying while editing presentations at the last minute or in general. I haven’t found a good solution to this problem online. The typical solution suggested is to use coordinates which works but sometimes and more often you would like to place the object according to your liking which is difficult to judge from the coordinates. Compared to Keynote, it is seamless in Powerpoint to drag and drog items. Barring this issue, Keynote is a wonderful software, easy to start with and highly useful in presenting your research anywhere.

Live Captions Are Needed

I've been using Keynote to build lecture presentations for university courses since shortly after it was originally releasted in 2003. My needs tend to be pretty simple, and I find that it suits me much better than PowerPoint does. The user interface works very well for me, I like the templates, and it integrates multimedia files like movies really well. In the last couple of years, however, I've focused more on making my presentations accessible to those with disabilities. Because Keynote doesn't create live captions, I've had to switch to PowerPoint for presenting in class (I still use Keynote to build the presentations). I'm hopeful that Apple's systemwide live captions feature (still in beta in Macos Ventura 13.1) will allow me to go back to presenting with Keynote, but the feature isn't functional in that way yet. When I start the presentation, the live captions don't show up on screen. I'm hopeful that Apple will implement something like what they're doing for the live captions in FaceTime (on a per-app basis), but it's just not there yet.
