Administrative Assistant Resume Writing Guide

Administrative Assistant? Congrats – you’re a total office hero.

A recent survey of more than 600 managers in the U.S. and Canada revealed that administrative assistants save their managers eight hours of work time each week.

With this kind of impact, it’s no wonder that 75 percent of managers told that same survey the responsibilities of administrative assistants have increased in the past five years.

The beauty of these roles is how they give you a chance to work with almost every part of a business and build relationships with colleagues across teams and departments.

In many senses, they act as a career stepping stone within that company and beyond.

Sounds great right, but what exactly do administrative assistants do?

  • Doing administrative and clerical tasks (such as scanning or printing)
  • Preparing and editing letters, reports, memos, and emails
  • Running errands to the post office or supply store
  • Arranging meetings, appointments, and executive travel
  • Answering phone calls and taking messages
  • Maintaining folders on servers
  • Recording meeting minutes
  • Liaising with teams and units
  • Tracking petty cash
  • Covering reception

You can use the list above to help you brainstorm duties and tasks for the Work Experiences section of your resume (more on that – and our tip to reframe tasks as achievements – soon).

A great Administrative Assistant is a little like a Swiss Army Knife; able to solve a range of problems with the right tool at the right moment.

Does that sound like you?

If you need to create a modern and professional resume to showcase your skills for a role like this, this guide will take you through:

  • How to present your contact information
  • How to write a strong resume summary
  • The 23 hard and soft skills hiring managers want
  • Highlighting administrative assistant achievements

Let’s delve into why Jeremy’s resume works so well and how you can use the same features to make your own resume shine too.

Looking for a resume example for a different position? Check out this list:

  • Office Assistant Resume
  • Executive Assistant Resume
  • Consultant Resume
  • Accountant Resume
  • Bookkeeper Resume
  • Business Analyst Resume
  • Financial Analyst Resume
  • Bank Teller Resume
  • Banking Resume
  • Career Change Resume

1. How to present your contact information

Let's get this out of the way quickly, because you know your own contact information better than we do.

Include your email address, phone number, and location in the header of your resume.

Drop the street address and city info, though. If you have a professional website, blog, or well-maintained LinkedIn profile, add them to showcase your skills and experience.

2. How to Write a Strong Administrative Assistant Resume Summary

Let’s start with a really important part of all resumes – the summary.

Your summary is where you highlight your skills and how they can bring value to the employer.

Let’s look at Jeremy’s resume.

See how he describes himself as ‘technologically savvy’ and ‘goal-oriented?

This lets employers know he will be able to get up to speed quickly on any special technology they use and that he’s committed to getting tasks finished.

Jeremy also writes that he’s ‘driven’, ‘motivated’ and ‘skilled in prioritizing tasks independently’.

It’s great that he’s highlighted his ability to complete tasks without supervision, because administrative assistants are regularly delegated tasks by supervisors and managers across different teams.

Above all, Jeremy’s summary is specific.

If you compare the specific and vague summaries below, you can see immediately which one is more appealing.

Emotionally intelligent and computer-savvy Administrative Assistant with an Associate’s degree in Business Administration. Strong interpersonal skills and a lifelong focus on supporting others and helping them shine.

Administrative Assistant seeking to use her skills and experience to benefit an organization that is making the world a better place.

Check out our writing a resume summary guide , if you want more help with this part.

3. The 23 Hard and Soft Skills That Hiring Managers Want

What about your skills?

Our editor has three different Skills sections to choose from: Skills, Hard (Technical) Skills, and Soft Skills.

skills section for administrative assistant resume

Note: By clicking on Layout in the top menu, you can choose the “ Custom Layout ” and have a drag & drop feature to adjust the sections as you need.

It’s best to include a general Skills section and then choose between Hard or Soft Skills based on the needs of the job.

Administrative assistants need a lot of soft skills to shine in these roles. Here’s some that you may want to highlight on your own resume.

  • Microsoft Word, Excel, Outlook, Powerpoint, SharePoint
  • Database management
  • Calendar management
  • Quickbooks and Xero
  • Proficiency with photocopiers, scanners, and projectors
  • Accurate data entry
  • Inventory and supply management
  • Editing and Proofreading
  • Billing and record-keeping
  • Business Knowledge
  • Communication (written and verbal)
  • Prioritization and problem-solving
  • Organization and planning
  • Research and analysis
  • Attention to detail
  • Customer service
  • Phone Etiquette
  • Emotional Intelligence
  • Responsibility
  • Teamwork and delegation
  • Management and training
  • Flexibility and efficiency

4. Highlighting Administrative Assistant Achievements

When you're customizing your resume to best fit a company and its job advertisement, it can become easy to slip into using the listed tasks and responsibilities to summarise your own past duties. Avoid this – because it’s a missed opportunity.

Think of your work experience section as less of a list of ‘things you did’ for a past employer and more like a summary of your biggest achievements and contributions while at that employer.

Look at how Jeremy does this.

He highlights how he managed a senior HR director’s schedule, planned company events, and even designed surveys while he was working at Melmark.

Note: If you are looking for inspiration or need help, you can click on “ Tips ” in the left menu of our editor.

Here’s some better (and bad) examples to help you craft your own:

  • Developed policies that saved the company 500 hours a year.
  • Trained two interns in office tasks which later became full-time employees.
  • Maintained appointment calendar for 12 conference rooms.
  • Unlocked the office each morning.
  • Made travel arrangements.
  • Wrote letters and emails.

Administrative Assistant Resume Overview: What To Know To Write A Resume That Wins More Job Offers

What do companies look for when they're hiring an Administrative Assistant?

When hiring an administrative assistant, companies seek candidates who possess a range of skills and qualities. Firstly, organizational skills are essential, as administrative assistants need to manage multiple tasks and prioritize their workload effectively. Attention to detail is also important to ensure that all tasks are completed accurately and on time. Strong communication skills, both in writing and verbally, are necessary to interact with colleagues, clients, and customers. Proficiency in using computers and various software programs is a must for administrative assistants.

Administrative Assistants also need to be able to manage their time effectively, handle competing demands, and adapt to changing situations in a fast-paced work environment. Additionally, they should be friendly, approachable, and professional while maintaining confidentiality and discretion when handling sensitive information. In summary, administrative assistants must work independently, be self-motivated, and able to handle a variety of tasks efficiently and accurately.

Your resume should show the company that your personality and your experience encompasses all of these things.

Additionally, there are a few best practices you want to follow to write a job-winning Administrative Assistant resume:

  • Tailor your resume to the job description: Match your skills and experience to the requirements listed in the job ad.
  • Use keywords: Include industry-specific keywords and terms related to account management to make your resume more searchable.
  • Showcase your soft skills: Soft skills such as communication, problem-solving, and adaptability are essential for administrative assistants. Highlight these skills in your resume.
  • Use specific language: Use action verbs and specific language to describe your experience and achievements. For example, instead of saying “managed calendars,” say “coordinated and managed calendars for a team of executives.”
  • Highlight your technical skills: Administrative assistants need to have proficiency in various software programs and tools, such as Microsoft Office and scheduling software. Highlight your proficiency in these areas.
  • Use specific metrics to quantify your accomplishments: Whenever possible, include quantifiable achievements, such as “increased efficiency by 30% through the implementation of a new filing system.”
  • Keep it concise: Limit your resume to one or two pages and use bullet points to make it easy to read.
  • Proofread your resume: Check for spelling and grammar errors, as well as consistency in formatting (I recommend Hemingway App ).

Let's dive deeper into each of these so you have the exact blueprint you need to see success.

The Best Administrative Assistant Skills To Include On Your Resume

Keywords are one of the most important factors in your resume. They show employers that your skills align with the role and they also help format your resume for Applicant Tracking Systems (ATS).

If you're not familiar with ATS systems, they are pieces of software used by employers to manage job applications. They scan resumes for keywords and qualifications and make it easier for the employers to filter and search for candidates whose qualifications match the role.

If you want to win more interviews and job offers, you need to have a keyword-optimized resume. There are two ways to find the right keywords:

1. Leverage The 20 Best Administrative Assistant Keywords

The first is to leverage our list of the best keywords and skills for an Administrative Assistant resume.

These keywords were selected from an analysis of real Administrative Assistant job descriptions sourced from actual job boards. Here they are:

  • Communication
  • Organization
  • Correspondence
  • Presentations
  • Time Management
  • Ability to prioritize
  • Problem Solving
  • Meet Deadlines

2. Use ResyMatch.io To Find The Best Keywords That Are Specific To Your Resume And Target Role

The second method is the one I recommend because it's personalized to your specific resume and target job.

This process lets you find the exact keywords that your resume is missing when compared to the individual role you're applying for.

Administrative Assistant Keywords

Here's how it works:

  • Open a copy of your updated administrative assistant resume
  • Open a copy of your target administrative assistant job description
  • Head over to ResyMatch.io
  • Copy and paste your administrative assistant resume on the left and then do the same for the job description on the right
  • Hit scan and review the results

ResyMatch is going to scan your resume and compare it to the target job description. It's going to show you the exact keywords and skills you're missing as well as share other feedback you can use to improve your resume.

Here's a video walking through this whole process:

Employers spend an average of six seconds reading your resume.

If you want to win more interviews and offers, you need to make that time count. That starts with hitting the reader with the exact information they're looking for right at the top of your resume.

Unfortunately, traditional resume advice like Summaries and Objectives don't accomplish that goal. If you want to win in today's market, you need a modern approach. I like to use something I can a “Highlight Reel,” here's how it works.

Highlight Reels: A Proven Way To Start Your Resume And Win More Jobs

The Highlight Reel is exactly what it sounds like.

It's a section at the top of your resume that allows you to pick and choose the best and most relevant experience to feature right at the top of your resume.

It's essentially a highlight reel of your career as it relates to this specific role! I like to think about it as the SportsCenter Top 10 of your resume.

The Highlight Reel resume summary consists of 4 parts:

  • A relevant section title that ties your experience to the role
  • An introductory bullet that summarizes your experience and high level value
  • A few supporting “Case Study” bullets that illustrate specific results, projects, and relevant experience
  • A closing “Extracurricular” bullet to round out your candidacy

For example, if we were writing a Highlight Reel for an administrative assistant role, it might look like this:

Administrative Assistant Resume Summary Example

You can see how the first bullet includes the administrative assistant job title, the years of experience this candidate has, and it wraps up with a value-driven pitch for how they've helped companies in the past.

The next two bullets are “Case Studies” of specific results they drove at their company. Finally, their last bullet focuses on a volunteering stretch project that led to some amazing results.

This candidate has provided all of the info any employer would want to see right at the very top of their resume! The best part is, they can customize this section for each and every role they apply for to maximize the relevance of their experience.

Here's one more example of an administrative assistant Highlight Reel:

Administrative Assistant Resume Summary Example #2

While the content in this example is related to the legal industry, you can see how the bullet points related to an administrative assistant role, and it has all the elements of a great Highlight Reel (especially the emphasis on measurable outcomes and results!).

If you want more details on writing a killer Highlight Reel, check out my full guide on Highlight Reels here.

Bullets make up the majority of the content in your resume. If you want to win, you need to know how to write bullets that are compelling and value-driven.

Unfortunately, way too many job seekers aren't good at this. They use fluffy, buzzword-fill language and they only talk about the actions that they took rather than the results and outcomes those actions created.

The Anatomy Of A Highly Effective Resume Bullet

If you apply this framework to each of the bullets on your resume, you're going to make them more compelling and your value is going to be crystal clear to the reader. For example, take a look at these resume bullets:

❌ Responsible for managing office supplies for all staff.

✅  Managed office supplies, reducing costs by 10% through effective budgeting and vendor negotiation.

The second bullet makes the candidate's value  so much more clear, and it's a lot more fun to read! That's what we're going for here.

That said, it's one thing to look at the graphic above and try to apply the abstract concept of “35% hard skills” to your bullet. We wanted to make things easy, so we created a tool called ResyBullet.io that will actually give your resume bullet a score and show you how to improve it.

Using ResyBullet To Write Crazy Effective, Job-Winning Resume Bullets

ResyBullet takes our proprietary “resume bullet formula” and layers it into a tool that's super simple to use. Here's how it works:

  • Head over to ResyBullet.io
  • Copy a bullet from your administrative assistant resume and paste it into the tool, then hit “Analyze”
  • ResyBullet will score your administrative assistant resume bullet and show you exactly what you need to improve
  • You edit your bullet with the recommended changes and scan it again
  • Rinse and repeat until you get a score of 60+
  • Move on to the next bullet in your administrative assistant resume

Let's take a look at how this works for the two resume bullet examples I shared above:

First, we had, “Responsible for managing office supplies for all staff.”

ResyBullet gave that a score of 10/100.  It is a little short, and it's missing relevant details, compelling language and measurable outcomes:

Bad Administrative Assistant Resume Bullet Example

Now, let's take a look at our second bullet,  “Managed office supplies, reducing costs by 10% through effective budgeting and vendor negotiation.”

ResyBullet gave that a 71 / 100. Much better! This bullet had more content focused on the specific criteria the hiring team is looking for. We can see that they reduced costs by 10%, and we see what methods they implemented to generate those results:

Good Administrative Assistant Resume Bullet Example

Now all you have to do is run each of your bullets through ResyBullet, make the suggested updates, and your resume is going to be jam packed with eye-popping, value-driven content!

administrative assistant resume format

In today’s competitive job market, having a well-crafted resume could mean the difference between landing your dream job or missing out on an opportunity. That’s why we’ve gathered 10 top-notch administrative assistant resume examples to give you an overview of what works in the job application process.

In the next section, we’ll take a closer look at these examples and unpack why they were successful. Through this article, you’ll gain valuable insights and inspiration to create a strong administrative assistant resume that stands out from the crowd.

So, let’s dive in!

What is an Administrative Assistant Resume?

Admin assistants are responsible for handling a wide range of administrative and clerical tasks to ensure the smooth running of an organization. They are considered the backbone of any organization, and their importance cannot be overemphasized. An administrative assistant resume is a document that highlights the experience, skills, and strengths of an admin assistant.

Definition of an administrative assistant resume

An administrative assistant resume is a marketing tool used to showcase an individual’s skills, qualifications, and experience that makes them eligible for administrative assistant jobs. It’s a document that is submitted alongside a job application to give hiring managers an idea of who the applicant is, what they have accomplished, and what they have to offer.

Components of a strong administrative assistant resume

Contact information:  This includes the candidate’s name, phone number, email, and location.

administrative assistant resume format

Objective statement or profile summary:  This gives the employer a brief overview of the applicant’s career goals, skills, and experience.

Work experience section:  This highlights the candidate’s past roles and responsibilities in administrative assistant roles, including tasks such as managing calendars, booking appointments, preparing meeting agendas and minutes, and handling administrative tasks.

Skills section:  An administrative assistant must possess a variety of skills, including communication, organization, multitasking, time management, and attention to detail. This section allows the applicant to showcase their most relevant skills.

Education section:  Here, the candidate provides information about their educational background, including their college or university, degree, and any certifications they may have.

Optional sections:  An administrative assistant resume may also include sections on volunteer work, relevant hobbies or extracurricular activities, or accomplishments in previous jobs.

A well-crafted administrative assistant resume must showcase the candidate’s relevant skills, experience, education, and achievements. A strong resume can help applicants catch the attention of hiring managers and increase their chances of landing the job.

Administrative Assistant Resume Example #1: Entry-Level

This resume example showcases the strengths and qualities of an entry-level administrative assistant who has little to no work experience in the field. Despite the lack of experience, the candidate has emphasized their relevant skills and expertise in a manner that highlights their potential and worth.

Key Components and Strengths

Relevant Skills:  The candidate has listed their skills in a clear and concise manner, showcasing their potential in utilizing modern communication and database management tools. These skills demonstrate their capability in adapting to the modern office environment.

Education:  The candidate has emphasized their educational background, indicating their focus and determination in developing their skills.

Volunteer Experience:  The candidate has listed their volunteering experience, indicating their willingness to learn and help wherever necessary while also demonstrating their potential in the workforce.

Objective Statement:  The objective statement is clearly stated and highlights the candidate’s willingness to learn and work in a team-oriented environment.

Explanation of How it Landed a Job

Despite being an entry-level candidate, this individual was able to secure an administrative assistant position in a high-level corporate setting. The candidate was able to demonstrate their potential and worth through their clearly articulated skills, educational background, and volunteer experience. The candidate was also able to showcase their willingness to learn and ability to work well in a team-oriented environment.

administrative assistant resume format

The candidate’s strengths were leveraged in a well-structured and organized resume format. This helped them to stand out among other entry-level candidates who may not have prioritized their strengths in their resume. Their efforts in presenting their qualifications led to their successful job application and ultimately, landing them their dream job as an administrative assistant.

Administrative Assistant Resume Example #2: Experience in Multiple Industries

Must-Have Information for a Administrative Assistant Resume:

Here are the essential sections that should exist in an administrative assistant resume:

  • Contact Information
  • Resume Headline
  • Resume Summary or Objective
  • Work Experience & Achievements
  • Skills & Competencies

Additionally, if you're eager to make an impression and gain an edge over other administrative assistant candidates, you may want to consider adding in these sections:

  • Certifications/Training

Let's start with resume headlines.

Why Resume Headlines & Titles are Important for Administrative Assistants:

Administrative assistant resume headline examples:, strong headlines.

Proactive Administrative Assistant with 4+ years of Experience

Results-Driven Administrative Assistant with 4+ Years of Expertise

These resume headlines showcase the candidate's experience and demonstrate their abilities as an Administrative Assistant.

Additionally, they highlight the candidate’s proactive attitude and results-driven mindset, with the use of action verbs like “proactive” and “results-driven”.

Weak Headlines

  • Unqualified Administrative Assistant
  • Administrative Assistant; 4 years of Experience
  • These resume headlines either seem unprofessional and lack clarity, or do not do an effective job of showcasing the candidate’s experience. The headline “Unqualified Administrative Assistant” suggests that the candidate is not in fact qualified for the role, which is off-putting, and the headline “Administrative Assistant; 4 Years of Experience” does not prove the candidate’s qualities or demonstrate that they would be an asset to the company.
  • Both headlines fail to demonstrate anything unique or valuable about them as an admin assistant.

Writing an Exceptional Administrative Assistant Resume Summary:

A resume summary is a crucial section for showcasing your administrative abilities, experiences, and accomplishments as an Administrative Assistant. It provides a brief but impactful overview of your skills and qualifications, which is essential in capturing the attention of hiring managers and demonstrating your suitability for the role.

For Administrative Assistants, your resume summary should highlight your administrative skills, experience in managing office operations, and expertise in scheduling and communication. A well-crafted summary will showcase your organizational ability and demonstrate your value as an Administrative Assistant.

Here are a few tips to make effective use of your summary:

  • Tailor it to the specific job that you are applying for – emphasizing the most relevant skills and experiences
  • Highlight your quantifiable achievements, such as reducing office expenses or improving workflow, to demonstrate your value as an Administrative Assistant
  • Use keywords related to the Administrative Assistant role and the administrative support industry to optimize your resume for both people and applicant tracking systems (ATS)
  • Keep the summary concise, aim for no more than 3-4 sentences
  • Avoid cliches and generic statements, and focus on highlighting your unique abilities and experiences.

Administrative Assistant Resume Summary Examples:

Strong summaries.

  • Experienced Administrative Assistant with 4+ years of professional experience in office management, customer relations, clerical duties, and data entry. Adept at multitasking and maintaining a high level of organization and efficiency. Proven track record of providing excellent customer service with a positive attitude.
  • Results-driven Administrative Assistant with 4+ years of experience providing comprehensive administrative and operational support. Highly organized and detail-oriented, with excellent communication and customer service skills. Skilled in streamlining office processes to maximize efficiency and productivity.

Why these are strong:

  • What makes the great summaries great is that they provide specific examples of the Administrative Assistant's skills and experience, such as office management, customer relations, clerical duties, and data entry. They also both emphasize the fact that the Administrative Assistant is organized, efficient, and brings positive energy to the team.

Weak Summaries

  • 4 years' experience as an Administrative Assistant. Knowledgeable in customer relations, data entry, and office management. Efficient and organized.
  • Administrative Assistant with 4 years of experience. I'm great with people and have lots of customer service experience. I'm an organized person and can handle a lot of tasks at once.

Why these are weak:

  • In summary, both examples do not provide any unique value proposition or showcase any noteworthy accomplishments or skills that would make the candidate stand out from other candidates. A strong resume summary for an Administrative Assistant should be specific, highlight the candidate's achievements, and provide evidence to support any claims made.

Resume Objective Examples for Administrative Assistants:

Strong objectives.

Recent college graduate seeking role as an Administrative Assistant to utilize excellent organizational skills and detail-orientation to direct office operations efficiently and productively.

Self-motivated and organized Administrative Assistant, determined to use strong technical and communication skills to promote efficient, effective office operations.

  • What makes objectives strong is that they are customized to the particular position of Administrative Assistant and show a clear indication of the experience and skills that the applicant can bring to the role. The objectives focus on the employer's needs and list what makes the applicant a strong candidate for the job.

Weak Objectives

An Administrative Assistant role to grow my career and advance professionally.

Highly experienced Administrative Assistant eager to apply my skills and utilize my knowledge of all office tasks to contribute to the workplace.

  • These resume objectives are weak because they don't demonstrate any understanding of the role and what the employer is looking for. They simply indicate that the applicant is looking for a job, rather than conveying the value and experience they can bring to the position.

What Matters Most: Your Skills & Experience Sections

Your resume skills and work experience

It’s time for your balancing act! A good mixture of soft and hard skills is essential to snag your first administrative assistant role: You’ll need to communicate with people while maintaining flawless records and appointment calendars.

List all your skills with a technical and profession-specific edge—instead of saying “documentation,” angle things in your favor with “financial reporting.” Whenever possible, include skills that demonstrate your fit with the job environment: Will you be assisting with budget documentation or social service phone calls?

The skills themselves should be specific, too! If you use a certain type of software, list an example by name.

9 best entry-level administrative assistant skills

  • MS PowerPoint
  • Google Sheets
  • Calendar Organization
  • Phone Support
  • Data Analysis
  • Statistical Reporting
  • Time Management

Sample entry-level administrative assistant work experience bullet points

Now that you’ve shown that you have a good toolkit in your hands, it’s time to tell recruiters how you’ve successfully helped prevent mishaps with your attention to detail. Or maybe you helped dramatically increase event attendance with seamless scheduling and follow-up calls!

Wherever you’ve created positive outcomes using skills that overlap with administrative roles, like record keeping or time management, there’s an opportunity for a good experience point. Since you’re starting out, you can reference college or internship experiences that apply.

To make each point more credible, back it with quantifiable data! You want metrics for the positive impact you left while assisting others with their itineraries or schedules.

Here’s what we mean:

  • Gathered investment data to track student portfolio performance with a 93% accuracy rate
  • Planned, optimized, and maintained work systems and procedures, reducing manual work hours by 7 per week
  • Converted 1,263 customers to sign up for a new loyalty program, exceeding targets of 800 sign-ups
  • Systematized corporate records, including the drafting and processing of 16 resolutions and contributing to a team productivity increase of 14%
  • Organized bi-weekly meetings with local financial investment leaders as guest speakers, elevating program engagement by 17%

Top 5 Tips for Your Entry-Level Administrative Assistant Resume

  • Read over those examples again and consider how experiences from school or an unrelated job role might reinforce your qualifications as an entry-level administrative assistant. How did your presentation materials increase engagement? Did your organized nature prevent scheduling conflicts?
  • Administrative assistants mesh with all kinds of work environments—medical, financial, event planning, and more. After all, most professions need help with calendars and paperwork organization! Just remember to tailor your examples to the field you’re applying in.
  • It’s easy to get swept away with color on your resume template , but you want it to look as tidy and professional as your voice sounds when you answer the phone! Stick with minimal, understated color usage and maintain high contrast.
  • One of the most desirable traits in an administrative assistant role is efficiency, so show that you can convey information quickly and smoothly by keeping your bullet points brief.
  • If you’re looking for more qualifications to flesh out your entry-level resume, you can always include additional courses alongside your Business Administration degree, such as Financial Accounting or Principles of Management. Bonus points if you gained some certificates at the end!

Look for universally-beneficial skills like communication, organization, and customer service. Then pin down the metrics for how those skills positively impacted your past role.

Remember that notable student club you chaired? How about that social media outreach project you volunteered for? Both involved organization, scheduling, and data entry—so give them a spot to shine!

Just a page! Any longer, and recruiters won’t be nearly as interested. Besides, you don’t want to water down your resume with filler points. Keep it efficient just as you would on the job.
