College writing often involves integrating information from published sources into your own writing in order to add credibility and authority–this process is essential to research and the production of new knowledge.

However, when building on the work of others, you need to be careful not to plagiarize : “to steal and pass off (the ideas and words of another) as one’s own” or to “present as new and original an idea or product derived from an existing source.”1 The University of Wisconsin–Madison takes this act of “intellectual burglary” very seriously and considers it to be a breach of academic integrity . Penalties are severe.

These materials will help you avoid plagiarism by teaching you how to properly integrate information from published sources into your own writing.

How to avoid plagiarism

When using sources in your papers, you can avoid plagiarism by knowing what must be documented.

Specific words and phrases

If you use an author’s specific word or words, you must place those words within quotation marks and you must credit the source.

Information and Ideas

Even if you use your own words, if you obtained the information or ideas you are presenting from a source, you must document the source.

Information : If a piece of information isn’t common knowledge (see below), you need to provide a source.

Ideas : An author’s ideas may include not only points made and conclusions drawn, but, for instance, a specific method or theory, the arrangement of material, or a list of steps in a process or characteristics of a medical condition. If a source provided any of these, you need to acknowledge the source.

Common Knowledge?

You do not need to cite a source for material considered common knowledge:

General common knowledge is factual information considered to be in the public domain, such as birth and death dates of well-known figures, and generally accepted dates of military, political, literary, and other historical events. In general, factual information contained in multiple standard reference works can usually be considered to be in the public domain.

Field-specific common knowledge is “common” only within a particular field or specialty. It may include facts, theories, or methods that are familiar to readers within that discipline. For instance, you may not need to cite a reference to Piaget’s developmental stages in a paper for an education class or give a source for your description of a commonly used method in a biology report—but you must be sure that this information is so widely known within that field that it will be shared by your readers.

If in doubt, be cautious and cite the source. And in the case of both general and field-specific common knowledge, if you use the exact words of the reference source, you must use quotation marks and credit the source.

Paraphrasing vs. Quoting — Explanation

Should i paraphrase or quote.

In general, use direct quotations only if you have a good reason. Most of your paper should be in your own words. Also, it’s often conventional to quote more extensively from sources when you’re writing a humanities paper, and to summarize from sources when you’re writing in the social or natural sciences–but there are always exceptions.

In a literary analysis paper , for example, you”ll want to quote from the literary text rather than summarize, because part of your task in this kind of paper is to analyze the specific words and phrases an author uses.

In research papers , you should quote from a source

  • to show that an authority supports your point
  • to present a position or argument to critique or comment on
  • to include especially moving or historically significant language
  • to present a particularly well-stated passage whose meaning would be lost or changed if paraphrased or summarized

You should summarize or paraphrase when

  • what you want from the source is the idea expressed, and not the specific language used to express it
  • you can express in fewer words what the key point of a source is

How to paraphrase a source

General advice.

  • When reading a passage, try first to understand it as a whole, rather than pausing to write down specific ideas or phrases.
  • Be selective. Unless your assignment is to do a formal or “literal” paraphrase, you usually don?t need to paraphrase an entire passage; instead, choose and summarize the material that helps you make a point in your paper.
  • Think of what “your own words” would be if you were telling someone who’s unfamiliar with your subject (your mother, your brother, a friend) what the original source said.
  • Remember that you can use direct quotations of phrases from the original within your paraphrase, and that you don’t need to change or put quotation marks around shared language.

Methods of Paraphrasing

  • Look away from the source then write. Read the text you want to paraphrase several times until you feel that you understand it and can use your own words to restate it to someone else. Then, look away from the original and rewrite the text in your own words.
  • Take notes. Take abbreviated notes; set the notes aside; then paraphrase from the notes a day or so later, or when you draft.

If you find that you can’t do A or B, this may mean that you don’t understand the passage completely or that you need to use a more structured process until you have more experience in paraphrasing.

The method below is not only a way to create a paraphrase but also a way to understand a difficult text.

Paraphrasing difficult texts

Consider the following passage from Love and Toil (a book on motherhood in London from 1870 to 1918), in which the author, Ellen Ross, puts forth one of her major arguments:

  • Love and Toil maintains that family survival was the mother’s main charge among the large majority of London?s population who were poor or working class; the emotional and intellectual nurture of her child or children and even their actual comfort were forced into the background. To mother was to work for and organize household subsistence. (p. 9)
Children of the poor at the turn of the century received little if any emotional or intellectual nurturing from their mothers, whose main charge was family survival. Working for and organizing household subsistence were what defined mothering. Next to this, even the children’s basic comfort was forced into the background (Ross, 1995).
According to Ross (1993), poor children at the turn of the century received little mothering in our sense of the term. Mothering was defined by economic status, and among the poor, a mother’s foremost responsibility was not to stimulate her children’s minds or foster their emotional growth but to provide food and shelter to meet the basic requirements for physical survival. Given the magnitude of this task, children were deprived of even the “actual comfort” (p. 9) we expect mothers to provide today.

You may need to go through this process several times to create a satisfactory paraphrase.

Successful vs. unsuccessful paraphrases

Paraphrasing is often defined as putting a passage from an author into “your own words.” But what are your own words? How different must your paraphrase be from the original?

The paragraphs below provide an example by showing a passage as it appears in the source, two paraphrases that follow the source too closely, and a legitimate paraphrase.

The student’s intention was to incorporate the material in the original passage into a section of a paper on the concept of “experts” that compared the functions of experts and nonexperts in several professions.

The Passage as It Appears in the Source

Critical care nurses function in a hierarchy of roles. In this open heart surgery unit, the nurse manager hires and fires the nursing personnel. The nurse manager does not directly care for patients but follows the progress of unusual or long-term patients. On each shift a nurse assumes the role of resource nurse. This person oversees the hour-by-hour functioning of the unit as a whole, such as considering expected admissions and discharges of patients, ascertaining that beds are available for patients in the operating room, and covering sick calls. Resource nurses also take a patient assignment. They are the most experienced of all the staff nurses. The nurse clinician has a separate job description and provides for quality of care by orienting new staff, developing unit policies, and providing direct support where needed, such as assisting in emergency situations. The clinical nurse specialist in this unit is mostly involved with formal teaching in orienting new staff. The nurse manager, nurse clinician, and clinical nurse specialist are the designated experts. They do not take patient assignments. The resource nurse is seen as both a caregiver and a resource to other caregivers. . . . Staff nurses have a hierarchy of seniority. . . . Staff nurses are assigned to patients to provide all their nursing care. (Chase, 1995, p. 156)

Word-for-Word Plagiarism

Critical care nurses have a hierarchy of roles. The nurse manager hires and fires nurses. S/he does not directly care for patients but does follow unusual or long-term cases. On each shift a resource nurse attends to the functioning of the unit as a whole, such as making sure beds are available in the operating room , and also has a patient assignment . The nurse clinician orients new staff, develops policies, and provides support where needed . The clinical nurse specialist also orients new staff, mostly by formal teaching. The nurse manager, nurse clinician, and clinical nurse specialist , as the designated experts, do not take patient assignments . The resource nurse is not only a caregiver but a resource to the other caregivers . Within the staff nurses there is also a hierarchy of seniority . Their job is to give assigned patients all their nursing care .

Why this is plagiarism

Notice that the writer has not only “borrowed” Chase’s material (the results of her research) with no acknowledgment, but has also largely maintained the author’s method of expression and sentence structure. The phrases in red are directly copied from the source or changed only slightly in form.

Even if the student-writer had acknowledged Chase as the source of the content, the language of the passage would be considered plagiarized because no quotation marks indicate the phrases that come directly from Chase. And if quotation marks did appear around all these phrases, this paragraph would be so cluttered that it would be unreadable.

A Patchwork Paraphrase

Chase (1995) describes how nurses in a critical care unit function in a hierarchy that places designated experts at the top and the least senior staff nurses at the bottom. The experts — the nurse manager, nurse clinician, and clinical nurse specialist — are not involved directly in patient care. The staff nurses, in contrast, are assigned to patients and provide all their nursing care . Within the staff nurses is a hierarchy of seniority in which the most senior can become resource nurses: they are assigned a patient but also serve as a resource to other caregivers. The experts have administrative and teaching tasks such as selecting and orienting new staff, developing unit policies , and giving hands-on support where needed.

This paraphrase is a patchwork composed of pieces in the original author’s language (in red) and pieces in the student-writer’s words, all rearranged into a new pattern, but with none of the borrowed pieces in quotation marks. Thus, even though the writer acknowledges the source of the material, the underlined phrases are falsely presented as the student’s own.

A Legitimate Paraphrase

In her study of the roles of nurses in a critical care unit, Chase (1995) also found a hierarchy that distinguished the roles of experts and others. Just as the educational experts described above do not directly teach students, the experts in this unit do not directly attend to patients. That is the role of the staff nurses, who, like teachers, have their own “hierarchy of seniority” (p. 156). The roles of the experts include employing unit nurses and overseeing the care of special patients (nurse manager), teaching and otherwise integrating new personnel into the unit (clinical nurse specialist and nurse clinician), and policy-making (nurse clinician). In an intermediate position in the hierarchy is the resource nurse, a staff nurse with more experience than the others, who assumes direct care of patients as the other staff nurses do, but also takes on tasks to ensure the smooth operation of the entire facility.

Why this is a good paraphrase

The writer has documented Chase’s material and specific language (by direct reference to the author and by quotation marks around language taken directly from the source). Notice too that the writer has modified Chase’s language and structure and has added material to fit the new context and purpose — to present the distinctive functions of experts and nonexperts in several professions.

Shared Language

Perhaps you’ve noticed that a number of phrases from the original passage appear in the legitimate paraphrase: critical care, staff nurses, nurse manager, clinical nurse specialist, nurse clinician, resource nurse.

If all these phrases were in red, the paraphrase would look much like the “patchwork” example. The difference is that the phrases in the legitimate paraphrase are all precise, economical, and conventional designations that are part of the shared language within the nursing discipline (in the too-close paraphrases, they’re red only when used within a longer borrowed phrase).

In every discipline and in certain genres (such as the empirical research report), some phrases are so specialized or conventional that you can’t paraphrase them except by wordy and awkward circumlocutions that would be less familiar (and thus less readable) to the audience.

When you repeat such phrases, you’re not stealing the unique phrasing of an individual writer but using a common vocabulary shared by a community of scholars.

Some Examples of Shared Language You Don’t Need to Put in Quotation Marks

  • Conventional designations: e.g., physician’s assistant, chronic low-back pain
  • Preferred bias-free language: e.g., persons with disabilities
  • Technical terms and phrases of a discipline or genre : e.g., reduplication, cognitive domain, material culture, sexual harassment

How to Quote a Source

Introducing a quotation.

One of your jobs as a writer is to guide your reader through your text. Don’t simply drop quotations into your paper and leave it to the reader to make connections.

Integrating a quotation into your text usually involves two elements:

  • A signal that a quotation is coming–generally the author’s name and/or a reference to the work
  • An assertion that indicates the relationship of the quotation to your text

Often both the signal and the assertion appear in a single introductory statement, as in the example below. Notice how a transitional phrase also serves to connect the quotation smoothly to the introductory statement.

Ross (1993), in her study of poor and working-class mothers in London from 1870-1918 [signal], makes it clear that economic status to a large extent determined the meaning of motherhood [assertion]. Among this population [connection], “To mother was to work for and organize household subsistence” (p. 9).

The signal can also come after the assertion, again with a connecting word or phrase:

Illness was rarely a routine matter in the nineteenth century [assertion]. As [connection] Ross observes [signal], “Maternal thinking about children’s health revolved around the possibility of a child’s maiming or death” (p. 166).

Formatting Quotations

Short direct prose.

Incorporate short direct prose quotations into the text of your paper and enclose them in double quotation marks:

According to Jonathan Clarke, “Professional diplomats often say that trying to think diplomatically about foreign policy is a waste of time.”

Longer prose quotations

Begin longer quotations (for instance, in the APA system, 40 words or more) on a new line and indent the entire quotation (i.e., put in block form), with no quotation marks at beginning or end, as in the quoted passage from our Successful vs. Unsucessful Paraphrases page.

Rules about the minimum length of block quotations, how many spaces to indent, and whether to single- or double-space extended quotations vary with different documentation systems; check the guidelines for the system you’re using.

Quotation of Up to 3 Lines of Poetry

Quotations of up to 3 lines of poetry should be integrated into your sentence. For example:

In Julius Caesar, Antony begins his famous speech with “Friends, Romans, Countrymen, lend me your ears; / I come to bury Caesar, not to praise him” (III.ii.75-76).

Notice that a slash (/) with a space on either side is used to separate lines.

Quotation of More than 3 Lines of Poetry

More than 3 lines of poetry should be indented. As with any extended (indented) quotation, do not use quotation marks unless you need to indicate a quotation within your quotation.

Punctuating with Quotation Marks

Parenthetical citations.

With short quotations, place citations outside of closing quotation marks, followed by sentence punctuation (period, question mark, comma, semi-colon, colon):

Menand (2002) characterizes language as “a social weapon” (p. 115).

With block quotations, check the guidelines for the documentation system you are using.

Commas and periods

Place inside closing quotation marks when no parenthetical citation follows:

Hertzberg (2002) notes that “treating the Constitution as imperfect is not new,” but because of Dahl’s credentials, his “apostasy merits attention” (p. 85).

Semicolons and colons

Place outside of closing quotation marks (or after a parenthetical citation).

Question marks and exclamation points

Place inside closing quotation marks if the quotation is a question/exclamation:

Menand (2001) acknowledges that H. W. Fowler’s Modern English Usage is “a classic of the language,” but he asks, “Is it a dead classic?” (p. 114).

[Note that a period still follows the closing parenthesis.]

Place outside of closing quotation marks if the entire sentence containing the quotation is a question or exclamation:

How many students actually read the guide to find out what is meant by “academic misconduct”?

Quotation within a quotation

Use single quotation marks for the embedded quotation:

According to Hertzberg (2002), Dahl gives the U. S. Constitution “bad marks in ‘democratic fairness’ and ‘encouraging consensus'” (p. 90).

[The phrases “democratic fairness” and “encouraging consensus” are already in quotation marks in Dahl’s sentence.]

Indicating Changes in Quotations

Quoting only a portion of the whole.

Use ellipsis points (. . .) to indicate an omission within a quotation–but not at the beginning or end unless it’s not obvious that you’re quoting only a portion of the whole.

Adding Clarification, Comment, or Correction

Within quotations, use square brackets [ ] (not parentheses) to add your own clarification, comment, or correction.

Use [sic] (meaning “so” or “thus”) to indicate that a mistake is in the source you’re quoting and is not your own.

Direct quotations can support your arguments and back up your work, but you need to show who said them

You'll use direct quotes to support your arguments throughout your degree. Learn how to reference your sources properly and show who said what to save you time and stress later on.

Using direct quotes in your writing improves your work and shows evidence of research and ideas in your assessments. Here, we explore how to use different quotes in your assessments. 

What is the difference between direct quotes, paraphrasing, citing and referencing?

You'll need quoting, paraphrasing, citing and referencing to use work produced by other people in your assignments and support or challenge your arguments. You'll use a combination of these steps in your studies so it's important to understand the differences between them.

These phrases mean: 

  • Quoting : copying the exact words of the original text, using quotation marks and the author's name, for example, when taken from a book or an article on a reading list.
  • Paraphrasing : rephrasing and shortening the original text into your own words without using quotation marks, then writing the author’s surname, year of publication.
  • Citing : writing the author’s surname, year of publication and, for direct quotations, page number to show where you found your direct quotation or paraphrased information.
  • Referencing : refers to publications included in the list of references at the end.

When to use direct quotes

There are various reasons to use direct quotations in academic writing. You'll usually use them as an example of ideas in your assignment, but exactly how you use them varies depending on your discipline. History or Sociology students use quotes differently to Biology or Computing students, for example. You should consult your course handbook, speak to your tutors and learn from your previous assignment feedback to explore how direct quotations are used on your course. Reading around your subject will also help you understand how academics in your field write. 

Direct quotes are useful for defining or describing specific concepts, whereas paraphrasing or summarising information from other sources shows that you understand the content and general idea. Try to summarise sources in most of your work and use direct quotes when they'll have a strong impact. Make it clear to the reader that you understand the quote and its context, and why you've used a quote instead of paraphrasing.

Using quotes properly will support your points and improve your assignments. Use quotes that back up your argument rather than quotes that 'look good' or sound impressive. Make sure you understand what a quote is saying in its context and explain its meaning in your work. Using quotes out of context or misinterpreting them to support your point won't improve your marks. 

Plan your work, its structure and the key points and then choose which quotes to include. Choosing quotes beforehand means you're more likely to let your quotes shape your writing as you try to link one quote to another. Trying to link unrelated ideas because they sound good in isolation won't help you draw accurate conclusions, and could negatively impact your assessment. 

Using direct quotations

You'll often use direct quotes in the middle of a paragraph. Use double quotation marks at the beginning and end of the quote, use the exact words from the original text and show your source, or your work being could be considered as plagiarism. For example: 

According to Gross it is ( open direct quotation marks ) "not only the vocabulary of a language that determines how and what we think and perceive, but also the grammar."( close direct quotation marks ) (1996, p. 317).  

Quotes must sit logically in your writing and make sense. Your marker shouldn't feel like the quote stands out. Consider commenting on the quotation by discussing its meaning or adding more information to it if you need to. For example:  

But it is not only the vocabulary of a language that determines how and what we think and perceive, but also the grammar. In the Hopi language, no distinction is made between past, present and future; it is a ( open direct quotation marks ) "timeless language" ( close direct quotation marks ) (Gross, 1996, p. 324) , compared with English. In European languages, time is treated as an objective entity, as if it were a ruler with equal spaces or intervals marked off. There is a clear demarcation between past, present and future corresponding to three separate sections of a ruler.

Short quotes

Include short quotations of less than three lines in your main text. Use quotation marks to separate the quote from your own writing. This could look like: 

Furthermore, it is ( open direct quotation marks ) "not only the vocabulary of a language that determines how and what we think and perceive but also the grammar" ( close direct quotation marks ) (Gross, 1996, p. 317).

Longer quotations

Separate direct quotations that are more than three lines from your text by leaving a line space above and below the quote and indenting it. These quotes should be single line spaced (unlike the rest of your text, which is probably double or 1.5 line spaced). Indented quotes don't need quotation marks. This could look like:

Writing about Hopi, a native American language, Gross writes:

In the Hopi language, no distinction is made between the past, present and future; it is a timeless language’ compared with English, although it does recognise duration, i.e., how long an event lasts. In European languages, time is treated as an objective entity (Gross, 1996, p. 317).

The distinction drawn between the languages and their treatment of time is interesting and relevant to the argument because...

Omitting parts of a quotation

Use an ellipsis (three dots) to omit or remove parts of a quote and show where you've removed text. Don't change the meaning of the quote when you do this. For example:  

Gross (1996, p.137) points out that in the language it is ( open direct quotation marks ) "not only in the vocabulary…( dot dot dot ), but also the grammar" ( close direct quotation marks ) that influences how and what we understand.

Clarifying a quotation

You can add words to a quote in square brackets to make its meaning clearer. This is known as interpolation. For example: 

Gross emphasises the contrast: ( open the direct quotation marks ) "In the Hopi language, no distinction is made between past, present and future ( open square brackets ) [whereas] ( close square brackets ) in European languages …( dot dot dot ) there is a clear demarcation between ( open square brackets ) [them] ( close square brackets )."( close direct quotation marks ) (Gross, 1996, p. 317).

Now that you know what a quotation is and why such quotations are used, the next step toward quotation mastery is to recognise when and how to use the direct words of a source within your own writing.

When Should Quotations Be Used?

The first important rule to remember here is to never overuse quotations . Read other academic texts and you’ll notice that quotations, while used, are often used sparingly and are generally reserved for particular situations. The common rule is that no more than 10% of the source material you include as support for a piece of research or academic assignment should be quoted. Remember also that paraphrasing and summarising source information not only allows you to synthesise sources (which is a necessary skill in academic writing), but it demonstrates to your reader that you’ve sufficiently understood and integrated that source evidence.

Although quotations may be used at the writer’s discretion, the direct words of a source are particularly useful in three distinct occasions.

It’s quite likely that you’ll need to define a concept or subject-specific term in your academic writing to assist any reader that may not be as familiar with your subject as you are. Because it’s often difficult to paraphrase a definition without losing some aspect of the meaning , a quotation may instead work well here:

While support for a claim may be paraphrased and summarised more often than not, the occasional quotation may work well to substantiate an idea or argument in your writing. This is particularly true when the words being quoted are strong and poetic or simply poignant and well-written:

How Should Quotations Be Used?

There are two factors that must always be considered when using quotations , and these are the length of the quotation and how to cite that quotation.

1. Quotation Length

Because short and long quotations are added to text in different ways, a writer must always pay attention to the length of the quotation they wish to use. While the general rule is that short quotations are more acceptable than long quotations because they take up less of the overall word count , the occasional lengthy quotation can be useful too depending on the situation. The most important thing to remember here is that quotations of fewer than three lines of text are considered to be short and as such should be placed directly within the text and within single or double quotation marks :

Longer quotations, however, should be placed after a line break and therefore within their own paragraphs. Such quotations should also be written without quotation marks and be further indented from the text, with a citation on the following line:

2. Citations

Another important point to remember when using quotations is that you should also inform the reader of precisely which source this quote has been taken from. Never forget to include a citation for a quotation, especially during a final submission as you may very well be accused of plagiarism and general academic misconduct. This citation should be placed directly before or after the quotation to acknowledge the source author. Additionally, and because the direct words of a source are being used, it’s important that precise page numbers are included in the citation in addition to the date of publication. For digital sources, however, URLs should be included instead of page numbers.

How Should Quotations Be Punctuated?

There are fairly strict rules for how quotations are formatted in academic writing, particularly with regards to punctuation . The general rule here is that quotes (unless longer than three lines) should always be written within quotation marks . However, there are some differences in how such quotation marks are used between American and British English dialects .

While American English prefers double quotation marks and British English single, it’s important to remember also that both dialects may use either style of quotation mark if there’s a quote within a quote, such as in the following examples:

With regards to additional punctuation elements such as commas , full stops and  quotations marks , the general rule here is that such punctuation should be placed outside of the quotation marks unless it’s directly a part of that quote. And of course, if the quotation is followed by a citation , then the final full stop should be placed after that citation, such as in the below example:

Quotations (as well as paraphrases and summaries) play an essential role in academic writing, from literary analyses to scientific research papers; they are part of a writer’s ever-important evidence, or support, for his or her argument.

But oftentimes, writers aren’t sure how to incorporate quotes and thus shove them into paragraphs without much attention to logic or style.

For better quotations (and better writing), try these tips.

Identify Clearly Where the Borrowed Material Begins

The quotation should include a signal phrase, or introductory statement, which tells the reader whom or what you are citing. The phrase may indicate the author’s name or credentials, the title of the source, and/or helpful background information.

Two Signal Phrase Examples

  • According to scholar Mary Poovey, Shelley’s narrative structure, which allows the creature to speak from a first-person point of view, forces the reader “to identify with [the creature’s] anguish and frustration” (259).
  • In an introduction to Frankenstein in 1831, the author Mary Shelley describes even her own creative act with a sense of horror: “The idea so possessed my mind, that a thrill of fear ran through me, and I wished to exchange that ghastly image of my fancy for the realities around” (172).

Create Context for the Material

Don’t just plop in quotes and expect the reader to understand. Explain, expand, or refute the quote. Remember, quotations should be used to support your ideas and points.

Here’s one simple, useful pattern: Introduce quote, give quote, explain quote.

“Introduce, Give, Explain” Example 1

[Introduce] Dorianne Laux’s “Girl in the Doorway” uses many metaphors to evoke a sense of change between the mother and daughter: [Give] “I stand at the dryer, listening/through the thin wall between us, her voice/rising and falling as she describes her new life” (3-5). [Explain] The “thin wall” is literal but also references their communication barrier; “rising and falling” is the sound of the girl’s voice but also a reference to her tumultuous preteen emotions.

“Introduce, Give, Explain” Example 2 (longer block quotation)

[Introduce] After watching the cottagers with pleasure, Frankenstein’s creature has a startling moment of revelation and horror when he sees his own reflection for the first time:

[Give] I had admired the perfect forms of my cottagers — their grace, beauty, and delicate complexions: but how was I terrified, when I viewed myself in a transparent pool! At first I started back, unable to believe that it was indeed I who was reflected in the mirror; and when I became fully convinced that I was in reality the monster that I am, I was filled with the bitterest sensations of despondence and mortification. Alas! I did not yet entirely know the fatal effects of this miserable deformity. (76)

[Explain] This literal moment of reflection is key in the creature’s growing reflection of self: In comparing himself with humans, he sees himself not just as different but as “the monster that I am.”

Additional Advice

Pay attention to proper format and grammar (See VU Writing Studio handout Quotation Basics: Grammar, Punctuation, and Style ), and always, always credit your source in order to avoid plagiarism.

Citation styles (e.g. MLA, APA, or Chicago) vary by discipline. Ask your professor if you are uncertain, and then check style guides for formats. (The above examples use MLA format.)

Citing is identifying the sources you have used in the text of your assignment.  This may be done as;

In-text citations give brief details about the source that you refer to.

How to use quotes in your assignment.

When you use quotations they should be relevant.  Try not to use too many as they can break the flow of your text.  You will need to balance quotations with your own understanding of the sources used.

Don't forget - quotes are included in your word count!

A few tips:

Enclose any quotes in " quotation marks " - be consistent. Check out the further examples to see whether your chosen referencing style uses single or double quotation marks.

If using long quotes that are more than a few sentences, add these as a separate paragraph. This should be indented and there is no need to use quotation marks. ( Please note : The Department of Geography and Earth Sciences stipulate that long, indented quotations require quotation mark at the beginning and the end of the quotation).

Depending on the referencing style you are using, give the author, date and page number that the quote is from.

The full details of the source of the quote are then added into the reference list at the end of your assignment.

Paraphrasing involves expressing another author’s ideas or arguments in your own words, without direct quotation but with due acknowledgement.  It entails reformulating key points or information accurately, so that nothing important is lost but the means of communication is new. For instance:

Quotation     ‘It is impossible to step twice into the same river’ (Heraclitus) Paraphrase     Heraclitus argues that, just as a river is always in motion, the world is always changing so that nothing stays the same.

Paraphrasing can help with the flow or continuity of your written work and is a good way of demonstrating your understanding.

Read your source a few times to ensure you understand the meaning

Restate the key point(s) from the source in your own words, but without distorting the original meaning

Ensure you cite and reference the source.

Please note: When paraphrasing, you should NOT copy a passage from your source and then seek to change some of its wording. Use your own words and phrases from beginning to end when paraphrasing.

  • The quoted text is enclosed in quotation marks (usually single quotation marks in UK English, though double is acceptable as long as you’re consistent) or formatted as a block quote
  • The original author is correctly cited
  • The text is identical to the original

The exact format of a quote depends on its length and on which citation style you are using. Quoting and citing correctly is essential to avoid plagiarism , which is easy to detect with a good plagiarism checker .

Make sure you integrate quotes properly into your text by introducing them in your own words, showing the reader why you’re including the quote and providing any context necessary to understand it.  Don’t  present quotations as stand-alone sentences.

There are three main strategies you can use to introduce quotes in a grammatically correct way:

  • Add an introductory sentence
  • Use an introductory signal phrase
  • Integrate the quote into your own sentence

The following examples use APA Style citations, but these strategies can be used in all styles.

Introductory sentence

Introduce the quote with a full sentence ending in a colon . Don’t use a colon if the text before the quote isn’t a full sentence.

If you name the author in your sentence, you may use present-tense verbs, such as “states’, ‘argues’, ‘explains’, ‘writes’, or ‘reports’, to describe the content of the quote.

  • In Denmark, a recent poll shows that: ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).
  • In Denmark, a recent poll shows that support for the EU has grown since the Brexit vote: ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).
  • Levring (2018) reports that support for the EU has grown since the Brexit vote: ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (p. 3).

Introductory signal phrase

You can also use a signal phrase that mentions the author or source but doesn’t form a full sentence. In this case, you follow the phrase with a comma instead of a colon.

  • According to a recent poll, ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).
  • As Levring (2018) explains, ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (p. 3).

Integrated into your own sentence

To quote a phrase that doesn’t form a full sentence, you can also integrate it as part of your sentence, without any extra punctuation.

  • A recent poll suggests that EU membership ‘would be backed by 55 percent of Danish voters’ in a referendum (Levring, 2018, p. 3).
  • Levring (2018) reports that EU membership ‘would be backed by 55 percent of Danish voters’ in a referendum (p. 3).

When you quote text that itself contains another quote, this is called a nested quotation or a quote within a quote. It may occur, for example, when quoting dialogue from a novel.

To distinguish this quote from the surrounding quote, you enclose it in double (instead of single) quotation marks (even if this involves changing the punctuation from the original text). Make sure to close both sets of quotation marks at the appropriate moments.

Note that if you only quote the nested quotation itself, and not the surrounding text, you can just use single quotation marks.

  • Carraway introduces his narrative by quoting his father: ‘ ‘ Whenever you feel like criticizing anyone, ‘ he told me, ‘ just remember that all the people in this world haven’t had the advantages that you’ve had ‘ ‘ (Fitzgerald 1).
  • Carraway introduces his narrative by quoting his father: ‘”Whenever you feel like criticizing anyone,” he told me, “just remember that all the people in this world haven’t had the advantages that you’ve had “  (Fitzgerald 1).
  • Carraway introduces his narrative by quoting his father: ‘“Whenever you feel like criticizing anyone,” he told me, “just remember that all the people in this world haven’t had the advantages that you’ve had”’ (Fitzgerald 1).
  • Carraway begins by quoting his father’s invocation to ‘remember that all the people in this world haven’t had the advantages that you’ve had’ (Fitzgerald 1).

Note:  When the quoted text in the source comes from another source, it’s best to just find that original source in order to quote it directly. If you can’t find the original source, you can instead cite it indirectly .

Often, incorporating a quote smoothly into your text requires you to make some changes to the original text. It’s fine to do this, as long as you clearly mark the changes you’ve made to the quote.

Shortening a quote

If some parts of a passage are redundant or irrelevant, you can shorten the quote by removing words, phrases, or sentences and replacing them with an ellipsis (…). Put a space before and after the ellipsis.

Be careful that removing the words doesn’t change the meaning. The ellipsis indicates that some text has been removed, but the shortened quote should still accurately represent the author’s point.

Altering a quote

You can add or replace words in a quote when necessary. This might be because the original text doesn’t fit grammatically with your sentence (e.g., it’s in a different tense), or because extra information is needed to clarify the quote’s meaning.

Use brackets to distinguish words that you have added from words that were present in the original text.

The Latin term ‘ sic ‘ is used to indicate a (factual or grammatical) mistake in a quotation. It shows the reader that the mistake is from the quoted material, not a typo of your own.

In some cases, it can be useful to italicise part of a quotation to add emphasis, showing the reader that this is the key part to pay attention to. Use the phrase ’emphasis added’ to show that the italics were not part of the original text.

You usually don’t need to use brackets to indicate minor changes to punctuation or capitalisation made to ensure the quote fits the style of your text.

If you quote more than a few lines from a source, you must format it as a block quote . Instead of using quotation marks, you set the quote on a new line and indent it so that it forms a separate block of text.

Block quotes are cited just like regular quotes, except that if the quote ends with a full stop, the citation appears after the full stop.

To the end of his days Bilbo could never remember how he found himself outside, without a hat, a walking-stick or any money, or anything that he usually took when he went out; leaving his second breakfast half-finished and quite unwashed-up, pushing his keys into Gandalf’s hands, and running as fast as his furry feet could carry him down the lane, past the great Mill, across The Water, and then on for a mile or more. (16)

Avoid relying too heavily on quotes in academic writing . To integrate a source , it’s often best to paraphrase , which means putting the passage into your own words. This helps you integrate information smoothly and keeps your own voice dominant.

However, there are some situations in which quotes are more appropriate.

When focusing on language

If you want to comment on how the author uses language (for example, in literary analysis ), it’s necessary to quote so that the reader can see the exact passage you are referring to.

When giving evidence

To convince the reader of your argument, interpretation or position on a topic, it’s often helpful to include quotes that support your point. Quotes from primary sources (for example, interview transcripts or historical documents) are especially credible as evidence.

When presenting an author’s position or definition

When you’re referring to secondary sources such as scholarly books and journal articles, try to put others’ ideas in your own words when possible.

But if a passage does a great job at expressing, explaining, or defining something, and it would be very difficult to paraphrase without changing the meaning or losing the weakening the idea’s impact, it’s worth quoting directly.

A quote is an exact copy of someone else’s words, usually enclosed in quotation marks and credited to the original author or speaker.

To present information from other sources in academic writing , it’s best to paraphrase in most cases. This shows that you’ve understood the ideas you’re discussing and incorporates them into your text smoothly.

It’s appropriate to quote when:

  • Changing the phrasing would distort the meaning of the original text
  • You want to discuss the author’s language choices (e.g., in literary analysis )
  • You’re presenting a precise definition
  • You’re looking in depth at a specific claim

Every time you quote a source , you must include a correctly formatted in-text citation . This looks slightly different depending on the citation style .

For example, a direct quote in APA is cited like this: ‘This is a quote’ (Streefkerk, 2020, p. 5).

Every in-text citation should also correspond to a full reference at the end of your paper.

In scientific subjects, the information itself is more important than how it was expressed, so quoting should generally be kept to a minimum. In the arts and humanities, however, well-chosen quotes are often essential to a good paper.

In social sciences, it varies. If your research is mainly quantitative , you won’t include many quotes, but if it’s more qualitative , you may need to quote from the data you collected .

As a general guideline, quotes should take up no more than 5–10% of your paper. If in doubt, check with your instructor or supervisor how much quoting is appropriate in your field.

If you’re quoting from a text that paraphrases or summarises other sources and cites them in parentheses , APA  recommends retaining the citations as part of the quote:

  • Smith states that ‘the literature on this topic (Jones, 2015; Sill, 2019; Paulson, 2020) shows no clear consensus’ (Smith, 2019, p. 4).

Footnote or endnote numbers that appear within quoted text should be omitted.

If you want to cite an indirect source (one you’ve only seen quoted in another source), either locate the original source or use the phrase ‘as cited in’ in your citation.

A block quote is a long quote formatted as a separate ‘block’ of text. Instead of using quotation marks , you place the quote on a new line, and indent the entire quote to mark it apart from your own words.

APA uses block quotes for quotes that are 40 words or longer.

You can take a quote from different sources of information, such as books, magazines, websites or printed journals. Using quotes in an essay serves three goals:

  • Present additional evidence to support your point of view or oppose a claim or idea;
  • Help a reader better understand a topic under analysis;
  • Strengthen your argumentation on a topic using another writer’s eloquence.

Since quotes are mostly used in Humanities, you’ll have to follow MLA citation referencing guidelines. The Modern Language Association citation manual implies two types of quotes – short and long.

  • Short quote – Is less than 4 lines of typed text and can be embedded directly into a sentence;
  • Long quote – Is more than 4 lines of typed text and requires a separate content block in an essay without quotation marks.

Writing college essays, the recommendation is to use short quotes.

Parenthetical citation

Referring to the works of other authors in-text is done using a parenthetical citation . Such a method implies the author-page style of quoting. For example:

When it comes to writing, King suggests: “Write. Rewrite. When not writing or rewriting, read. I know of no shortcuts.” (5)

Given the MLA in-text citation already contains King’s last name, you shouldn’t mention it in the parenthesis. If the author’s name isn’t mentioned in-text, it has to be specified in a parenthetical citation.

When it comes to writing, there’s a quote I like the most: “Write. Rewrite. When not writing or rewriting, read. I know of no shortcuts.” (King 5)

According to MLA guidelines, at the end of the essay, there has to be the Works Cited page . It contains the full reference featuring author’s full name, the full title of the source, the volume, the issue number, the date of publishing, and the URL (if the source was found online). Here’s an example of the full referencing in the Works Cited:

How to start an essay with a quote?

Starting an essay with a quote is a matter of controversy. Experts in the pro camp suggest that a quote at the beginning of an essay helps make a powerful statement right from the start. Moreover, an interesting, captivating quote grabs the reader’s attention right from the start.

Experts from the against camp suggest that when you begin an essay with a quote, you miss on the opportunity to present your own take on the subject matter. In their opinion, when writing the introduction, you have to rely only on your words. Whereas quotes are most useful in the main body, serving as an additional argumentation. In conclusion, a quote can be placed, too.

How to use quotes in the middle of an essay?

Main Body is the place you’re meant to state a quote or two, depending on the length of a paper. A standard 5-paragraph essay will imply you to use 2-3 quotes in the main body. More quotes aren’t necessary for such a short assignment. Two quotes in the main body will do just fine.

In the main body paragraph, a quote is placed in the middle of the passage . First, you introduce a focal sentence of a paragraph highlighting your point of view regarding a topic. This is the case whether you use a direct quote , a paraphrase , or even just a direct or indirect mention . You need to include a  brief citation in the text at the place where you refer to the source, and a  full citation in your bibliography or reference list. The style of referencing you are using will dictate which details you include in your citations, how you signpost brief citations (in the body of the text or in footnotes, directly or by assigning a number which links to full details in a reference list), and what order you put information in. Check your course handbook to see what style your department prefers.

Direct quote with brief citation in Harvard style -

Below are some examples of ways to build short quotes into your writing. Citations are all in Harvard style - check the style your department prefers.

If your source has three or more authors, list the first followed by et al:

If you need to add a word or words to make the excerpted phrase make sense, put them in square brackets:

If you need to remove a word or words to shorten the excerpted phrase without changing the general sense, use an ellipsis:

Long quotes (more than three or four lines) are set out in your text in a 'block' - started on a new line and indented at left and sometimes right. They are not placed in quotation marks, and the brief citation is placed on a separate line, on the right-hand side.

Long quotes are often used in assignments which focus on analysing a particular text closely (for instance, a novel or poem, or an original document). In these cases, the analysis may need to refer to a large number of phrases within the text and some more than once. Long quotes should only be used if you are planning to analyse the text in some detail.

Putting your understanding of what you have read into your own words is known as paraphrasing. A common mistake is to try to paraphrase a single sentence, which is very difficult and often ends in an inelegant and sometimes meaningless phrase. It is better to read the whole paragraph in which the idea lies, then try to write a sentence on your understanding of the idea. You may not need to include a page number here, as the idea may be argued throughout the source rather than just in one specific place.

Original: Set yourself a target - perhaps of writing 500 words per session - and make this a minmum target, regardless of how long it takes you to do. This method has that inbuilt incentive for you to finish the work as soon as possible. If you finish the work quickly then the rest of the day/evening or weekend is your own to do what you like with it. From (Hoult, E. Your references have a job to do - to support or counter the statements and arguments you make in your discussion. Providing all of them are doing this job, it doesn't matter how many there are. Just make sure that they are doing this job, and are not just there for decoration!

An easy way to check this is to highlight all your citations, then check that each has been discussed. Look out for a balanced mix of statements, evidence (e.g. references) and analysis.

Note that opening or closing a paragraph or assignment with a quote is not good style in university-level writing.

If you are quoting someone word-for-word or using someone else's ideas or statistics in your writing, you will need to reference it within the body of your work. Work the author’s surname or organisation’s name, the year of publication and the page number into the paragraph you are writing. The purpose is to give basic details so your reader can get more information from the list at the end.

Example 1: 'In the food and beverage industry, it is estimated that 25 percent of employees steal regardless of the controls in place' (Walker 2011, p. 222). Example 2: Walker (2011, p. 222) states that 'in the food and beverage industry, it is estimated that 25 percent of employees steal regardless of the controls in place'. Example 3: In his 2011 text, Walker states that 'in the food and beverage industry, it is estimated that 25 percent of employees steal regardless of the controls in place' (p. 222). Note that page numbers are only necessary for in text citations when direct quotes or precise information is used. Direct quotations  

  •    should be used sparingly in an assignment
  •    can be used if you need to record exact words or phrases
  •    are useful if you find some writing which expresses exactly what you want to say very well
  •    can be a phrase, a short sentence, or longer

Small quotations  (less than 30 words)are included in your writing with the text in single quote marks: The pearl has been 'a particularly potent literary device' (Joyce & Addison 1992, p. 15) in many cultures from ancient times. If the quotation is longer than 30 words, set it out like this: The post-war years were not a time of great innovation.  As Ewing (2001, p. 167) states:    To get back to normal, which meant to order and stability, was the general longing and fashion voiced this conservative mood in a series of smooth, well-balanced lines, embodied in clothes of notable elegance, carefully designed, well-made and flattering. OR The post-war years were not a time of great innovation:      To get back to normal, which meant to order and stability, was the general longing and fashion voiced this conservative mood in a series of smooth, well-balanced lines, embodied in clothes of notable elegance, carefully designed, well-made and flattering.  (Ewing 2001, p. 167) Points to remember for longer quotes:  

  • place a colon (:) at the end of your writing before the quote
  • leave a space of one line before and after the quotation
  • do not use quotation marks around the quotation
  • use a smaller font for the quote, e.g. if your assignment is in 12, use 10 for the quotation
  • indent the quote
  • if your assignment is in double spacing, keep the quote in single spacing

Citing Someone Else's Quotation

Sometimes an author will cite another author and you may want to use this in your assignment.  Care needs to be taken with quotations and citations taken out of context.  It is a good idea to try to track down the original work.  If you are not able to find the original work, you may still use a quotation from or a reference to the cited work, making sure that you acknowledge both of the authors.

Original text:

'Although Barnes sees the mods as a male-dominated youth culture (Barnes, 1991: p.8), Garber and McRobbie argue that the mods were the first 'softer' working-class subculture, in which girls could participate more openly and directly (Garber & Mc Robbie, 1979: p.226).'

In-text citation:

Some writers disagree with the idea that the mods were a male dominated subculture (Garber & McRobbie 1979, p. 226 in Jenss 2005, p. 192).

Garber & McRobbie (1979 p. 226 in Jenss 2005, p. 192) claim that the mods were one of the first youth subcultures in which girls could participate more fully.

Reference list:

Jenss, H. 2005, 'Sixties dress only!', in A. Palmer & H. Clark (eds), Old clothes, new looks: second hand fashion, Berg Publishers, Oxford.

Personal Communications

References to personal communications such as letters, emails, interviews, or phone conversations can be included in assignments. The in-text citation should have the author's surname followed by their initials, then the abbreviation pers. comm. and the date. These citations should  not be included in the Reference List/Bibliography.

The patient valued the knowledge and experience of other cancer patients more than medical information ( Wilson, P. 2013, pers. comm., September 10).

When interviewed, Susan Jones said she halted her information seeking because of fearful and contradictory information (Jones, S. 2013, pers. comm., September 28).

Information From More Than One Source

If you include the authors in the sentence, they are listed in chronological order by year of publication in brackets.

If the author's names are not included in the sentence, they are enclosed together in one set of brackets and presented chronologically, starting with the first published. A semi-colon is inserted after each citation of the author and year of publication.

Morrow & Young (1996), Irish & Parsons (2016) and Elish-Piper (2017) all stress the importance of parent participation in children's literacy development. 

Previous research has found that parents play a key role in their children's literacy development and school success (Morrow & Young, 1996; Irish & Parsons, 2016; Elish-Piper, 2017).

Using Abbreviations

If you are referring numerous times to an organisation with a long title, you may use the relevant acronym or initialism. The first time you refer to the organisation, include both the full title and, in parentheses (round brackets), the acronym or initialism. Thereafter, the acronym or initialism will suffice. Both acronyms and initialisms are written without full stops .

Example in text :

The Royal Society for the Prevention of Cruelty to Animals (RSPCA) has a policy on removing injured animals. The RSPCA is permitted to enter a property at any time following a report of complaint (RSPCA 2006).

In the reference list, both the long title and the acronym or initialism must be included. For example:

Royal Society for the Prevention of Cruelty to Animals (RSPCA) 2006, Policy statement on removal of animals at risk , RSPCA, Brisbane.

How to Use Direct Quotations Correctly in Your Essays

What is a direct quotation.

A direct quotation is when you quote an academic source or reference word for word in your essay, using quotation marks and a reference (an in-text reference or footnote) to indicate that the words belong to another author and where you found them.

When Should I Use Them?

It is preferable to write essays in your own words. The vast majority of a Distinction or High Distinction essay would be written entirely in your own words, with many references to the sources you have used.

You should only quote directly from a source when it is absolutely necessary to do so; for example, if you needed to point out a particular author’s opinion, or if something an author was saying was particularly controversial.

Otherwise, it is preferable for you to demonstrate that you have read, understood and assimilated the source into your own knowledge of the subject. The best way to do that is to present the ideas in your own words with a reference.

So remember, it is important that you only use direct quotations where necessary . Using excessive direct quotations, or quotations that are too long, can lead the marker (or reader) to believe that you are using quotations to avoid having to explain difficult concepts in your own words.

Introducing Direct Quotations

When you do use direct quotations, it is very important that you introduce them correctly. This means they must be incorporated into a sentence of your own).

This is an incorrect way to use a quotation:

A numerate person can understand how mathematics is used as a method of communication (Cockcroft, 1982). ‘Mathematics is a universal language that is communicated through all cultures’ (SACE Board, 2010).

This is the correct way. You can see that the quotation has been integrated into the student’s own sentence and introduced properly:

A numerate person can understand how mathematics is used as a method of communication (Cockcroft, 1982). The SACE Board (2010) states that ‘mathematics is a universal language that is communicated through all cultures’.

Using direct quotations correctly and sparingly will help you to improve your research skills and strengthen your essays.

Depending on the conventions of your discipline, you may have to decide whether to summarize a source, paraphrase a source, or quote from a source.

When and how to summarize

When you summarize, you provide your readers with a condensed version of an author's key points. A summary can be as short as a few sentences or much longer, depending on the complexity of the text and the level of detail you wish to provide to your readers. You will need to summarize a source in your paper when you are going to refer to that source and you want your readers to understand the source's argument, main ideas, or plot (if the source is a novel, film, or play) before you lay out your own argument about it, analysis of it, or response to it.

Before you summarize a source in your paper, you should decide what your reader needs to know about that source in order to understand your argument. For example, if you are making an argument about a novel, you should avoid filling pages of your paper with details from the book that will distract or confuse your reader. Instead, you should add details sparingly, going only into the depth that is necessary for your reader to understand and appreciate your argument. Similarly, if you are writing a paper about a journal article, you will need to highlight the most relevant parts of the argument for your reader, but you should not include all of the background information and examples. When you have to decide how much summary to put in a paper, it's a good idea to consult your instructor about whether you are supposed to assume your reader's knowledge of the sources.

Guidelines for summarizing a source in your paper

  • Identify the author and the source.
  • Represent the original source accurately.
  • Present the source’s central claim clearly.
  • Don’t summarize each point in the same order as the original source; focus on giving your reader the most important parts of the source
  • Use your own words. Don’t provide a long quotation in the summary unless the actual language from the source is going to be important for your reader to see.

Stanley Milgram (1974) reports that ordinarily compassionate people will be cruel to each other if they are commanded to be by an authority figure. In his experiment, a group of participants were asked to administer electric shocks to people who made errors on a simple test. In spite of signs that those receiving shock were experiencing great physical pain, 25 of 40 subjects continued to administer electric shocks. These results held up for each group of people tested, no matter the demographic. The transcripts of conversations from the experiment reveal that although many of the participants felt increasingly uncomfortable, they continued to obey the experimenter, often showing great deference for the experimenter. Milgram suggests that when people feel responsible for carrying out the wishes of an authority figure, they do not feel responsible for the actual actions they are performing. He concludes that the increasing division of labor in society encourages people to focus on a small task and eschew responsibility for anything they do not directly control.

This summary of Stanley Milgram's 1974 essay, "The Perils of Obedience," provides a brief overview of Milgram's 12-page essay, along with an APA style parenthetical citation. You would write this type of summary if you were discussing Milgram's experiment in a paper in which you were not supposed to assume your reader's knowledge of the sources. Depending on your assignment, your summary might be even shorter.

When you include a summary of a paper in your essay, you must cite the source. If you were using APA style in your paper, you would include a parenthetical citation in the summary, and you would also include a full citation in your reference list at the end of your paper. For the essay by Stanley Milgram, your citation in your references list would include the following information:

When and how to paraphrase

When you paraphrase from a source, you restate the source's ideas in your own words. Whereas a summary provides your readers with a condensed overview of a source (or part of a source), a paraphrase of a source offers your readers the same level of detail provided in the original source. Therefore, while a summary will be shorter than the original source material, a paraphrase will generally be about the same length as the original source material.

When you use any part of a source in your paper—as background information, as evidence, as a counterargument to which you plan to respond, or in any other form—you will always need to decide whether to quote directly from the source or to paraphrase it. Unless you have a good reason to quote directly from the source , you should paraphrase the source. Any time you paraphrase an author's words and ideas in your paper, you should make it clear to your reader why you are presenting this particular material from a source at this point in your paper. You should also make sure you have represented the author accurately, that you have used your own words consistently, and that you have cited the source.

This paraphrase below restates one of Milgram's points in the author's own words. When you paraphrase, you should always cite the source. This paraphrase uses the APA in-text citation style. Every source you paraphrase should also be included in your list of references at the end of your paper. For citation format information go to the Citing Sources section of this guide.

Source material

The problem of obedience is not wholly psychological. The form and shape of society and the way it is developing have much to do with it. There was a time, perhaps, when people were able to give a fully human response to any situation because they were fully absorbed in it as human beings. But as soon as there was a division of labor things changed.

Milgram (1974) claims that people's willingness to obey authority figures cannot be explained by psychological factors alone. In an earlier era, people may have had the ability to invest in social situations to a greater extent. However, as society has become increasingly structured by a division of labor, people have become more alienated from situations over which they do not have control (p.737).

When and how much to quote

The basic rule in all disciplines is that you should only quote directly from a text when it's important for your reader to see the actual language used by the author of the source. While paraphrase and summary are effective ways to introduce your reader to someone's ideas, quoting directly from a text allows you to introduce your reader to the way those ideas are expressed by showing such details as language, syntax, and cadence.

So, for example, it may be important for a reader to see a passage of text quoted directly from Tim O'Brien's The Things They Carried if you plan to analyze the language of that passage in order to support your thesis about the book. On the other hand, if you're writing a paper in which you're making a claim about the reading habits of American elementary school students or reviewing the current research on Wilson's disease, the information you’re providing from sources will often be more important than the exact words. In those cases, you should paraphrase rather than quoting directly. Whether you quote from your source or paraphrase it, be sure to provide a citation for your source, using the correct format. (see Citing Sources section)

You should use quotations in the following situations:

  • When you plan to discuss the actual language of a text.
  • When you are discussing an author's position or theory, and you plan to discuss the wording of a core assertion or kernel of the argument in your paper.
  • When you risk losing the essence of the author's ideas in the translation from their words to your own.
  • When you want to appeal to the authority of the author and using their words will emphasize that authority.

Once you have decided to quote part of a text, you'll need to decide whether you are going to quote a long passage (a block quotation) or a short passage (a sentence or two within the text of your essay). Unless you are planning to do something substantive with a long quotation—to analyze the language in detail or otherwise break it down—you should not use block quotations in your essay. While long quotations will stretch your page limit, they don't add anything to your argument unless you also spend time discussing them in a way that illuminates a point you're making. Unless you are giving your readers something they need to appreciate your argument, you should use quotations sparingly.

When you quote from a source, you should make sure to cite the source either with an in-text citation or a note, depending on which citation style you are using.  The passage below, drawn from O’Brien’s  The Things They Carried , uses an MLA-style citation.

On the morning after Ted Lavender died, First Lieutenant Jimmy Cross crouched at the bottom of his foxhole and burned Martha's letters. Then he burned the two photographs. There was a steady rain falling, which made it difficult, but he used heat tabs and Sterno to build a small fire, screening it with his body holding the photographs over the tight blue flame with the tip of his fingers.

He realized it was only a gesture. Stupid, he thought. Sentimental, too, but mostly just stupid. (23)

Even as Jimmy Cross burns Martha's letters, he realizes that "it was only a gesture. Stupid, he thought. Sentimental too, but mostly just stupid" (23).

If you were writing a paper about O'Brien's The Things They Carried in which you analyzed Cross's decision to burn Martha's letters and stop thinking about her, you might want your reader to see the language O'Brien uses to illustrate Cross's inner conflict. If you were planning to analyze the passage in which O'Brien calls Cross's realization stupid, sentimental, and then stupid again, you would want your reader to see the original language.

Understanding Assignments

What this handout is about.

The first step in any successful college writing venture is reading the assignment. While this sounds like a simple task, it can be a tough one. This handout will help you unravel your assignment and begin to craft an effective response. Much of the following advice will involve translating typical assignment terms and practices into meaningful clues to the type of writing your instructor expects. See our short video for more tips.

Basic beginnings

Regardless of the assignment, department, or instructor, adopting these two habits will serve you well :

  • Read the assignment carefully as soon as you receive it. Do not put this task off—reading the assignment at the beginning will save you time, stress, and problems later. An assignment can look pretty straightforward at first, particularly if the instructor has provided lots of information. That does not mean it will not take time and effort to complete; you may even have to learn a new skill to complete the assignment.
  • Ask the instructor about anything you do not understand. Do not hesitate to approach your instructor. Instructors would prefer to set you straight before you hand the paper in. That’s also when you will find their feedback most useful.

Assignment formats

Many assignments follow a basic format. Assignments often begin with an overview of the topic, include a central verb or verbs that describe the task, and offer some additional suggestions, questions, or prompts to get you started.

An Overview of Some Kind

The instructor might set the stage with some general discussion of the subject of the assignment, introduce the topic, or remind you of something pertinent that you have discussed in class. For example:

“Throughout history, gerbils have played a key role in politics,” or “In the last few weeks of class, we have focused on the evening wear of the housefly …”

The Task of the Assignment

Pay attention; this part tells you what to do when you write the paper. Look for the key verb or verbs in the sentence. Words like analyze, summarize, or compare direct you to think about your topic in a certain way. Also pay attention to words such as how, what, when, where, and why; these words guide your attention toward specific information. (See the section in this handout titled “Key Terms” for more information.)

“Analyze the effect that gerbils had on the Russian Revolution”, or “Suggest an interpretation of housefly undergarments that differs from Darwin’s.”

Additional Material to Think about

Here you will find some questions to use as springboards as you begin to think about the topic. Instructors usually include these questions as suggestions rather than requirements. Do not feel compelled to answer every question unless the instructor asks you to do so. Pay attention to the order of the questions. Sometimes they suggest the thinking process your instructor imagines you will need to follow to begin thinking about the topic.

“You may wish to consider the differing views held by Communist gerbils vs. Monarchist gerbils, or Can there be such a thing as ‘the housefly garment industry’ or is it just a home-based craft?”

These are the instructor’s comments about writing expectations:

“Be concise”, “Write effectively”, or “Argue furiously.”

Technical Details

These instructions usually indicate format rules or guidelines.

“Your paper must be typed in Palatino font on gray paper and must not exceed 600 pages. It is due on the anniversary of Mao Tse-tung’s death.”

The assignment’s parts may not appear in exactly this order, and each part may be very long or really short. Nonetheless, being aware of this standard pattern can help you understand what your instructor wants you to do.

Interpreting the assignment

Ask yourself a few basic questions as you read and jot down the answers on the assignment sheet:

Why did your instructor ask you to do this particular task?

Who is your audience.

  • What kind of evidence do you need to support your ideas?

What kind of writing style is acceptable?

  • What are the absolute rules of the paper?

Try to look at the question from the point of view of the instructor. Recognize that your instructor has a reason for giving you this assignment and for giving it to you at a particular point in the semester. In every assignment, the instructor has a challenge for you. This challenge could be anything from demonstrating an ability to think clearly to demonstrating an ability to use the library. See the assignment not as a vague suggestion of what to do but as an opportunity to show that you can handle the course material as directed. Paper assignments give you more than a topic to discuss—they ask you to do something with the topic. Keep reminding yourself of that. Be careful to avoid the other extreme as well: do not read more into the assignment than what is there.

Of course, your instructor has given you an assignment so that he or she will be able to assess your understanding of the course material and give you an appropriate grade. But there is more to it than that. Your instructor has tried to design a learning experience of some kind. Your instructor wants you to think about something in a particular way for a particular reason. If you read the course description at the beginning of your syllabus, review the assigned readings, and consider the assignment itself, you may begin to see the plan, purpose, or approach to the subject matter that your instructor has created for you. If you still aren’t sure of the assignment’s goals, try asking the instructor. For help with this, see our handout on getting feedback .

Given your instructor’s efforts, it helps to answer the question: What is my purpose in completing this assignment? Is it to gather research from a variety of outside sources and present a coherent picture? Is it to take material I have been learning in class and apply it to a new situation? Is it to prove a point one way or another? Key words from the assignment can help you figure this out. Look for key terms in the form of active verbs that tell you what to do.

Key Terms: Finding Those Active Verbs

Here are some common key words and definitions to help you think about assignment terms:

Information words Ask you to demonstrate what you know about the subject, such as who, what, when, where, how, and why.

  • define —give the subject’s meaning (according to someone or something). Sometimes you have to give more than one view on the subject’s meaning
  • describe —provide details about the subject by answering question words (such as who, what, when, where, how, and why); you might also give details related to the five senses (what you see, hear, feel, taste, and smell)
  • explain —give reasons why or examples of how something happened
  • illustrate —give descriptive examples of the subject and show how each is connected with the subject
  • summarize —briefly list the important ideas you learned about the subject
  • trace —outline how something has changed or developed from an earlier time to its current form
  • research —gather material from outside sources about the subject, often with the implication or requirement that you will analyze what you have found

Relation words Ask you to demonstrate how things are connected.

  • compare —show how two or more things are similar (and, sometimes, different)
  • contrast —show how two or more things are dissimilar
  • apply—use details that you’ve been given to demonstrate how an idea, theory, or concept works in a particular situation
  • cause —show how one event or series of events made something else happen
  • relate —show or describe the connections between things

Interpretation words Ask you to defend ideas of your own about the subject. Do not see these words as requesting opinion alone (unless the assignment specifically says so), but as requiring opinion that is supported by concrete evidence. Remember examples, principles, definitions, or concepts from class or research and use them in your interpretation.

  • assess —summarize your opinion of the subject and measure it against something
  • prove, justify —give reasons or examples to demonstrate how or why something is the truth
  • evaluate, respond —state your opinion of the subject as good, bad, or some combination of the two, with examples and reasons
  • support —give reasons or evidence for something you believe (be sure to state clearly what it is that you believe)
  • synthesize —put two or more things together that have not been put together in class or in your readings before; do not just summarize one and then the other and say that they are similar or different—you must provide a reason for putting them together that runs all the way through the paper
  • analyze —determine how individual parts create or relate to the whole, figure out how something works, what it might mean, or why it is important
  • argue —take a side and defend it with evidence against the other side

More Clues to Your Purpose As you read the assignment, think about what the teacher does in class:

  • What kinds of textbooks or coursepack did your instructor choose for the course—ones that provide background information, explain theories or perspectives, or argue a point of view?
  • In lecture, does your instructor ask your opinion, try to prove her point of view, or use keywords that show up again in the assignment?
  • What kinds of assignments are typical in this discipline? Social science classes often expect more research. Humanities classes thrive on interpretation and analysis.
  • How do the assignments, readings, and lectures work together in the course? Instructors spend time designing courses, sometimes even arguing with their peers about the most effective course materials. Figuring out the overall design to the course will help you understand what each assignment is meant to achieve.

Now, what about your reader? Most undergraduates think of their audience as the instructor. True, your instructor is a good person to keep in mind as you write. But for the purposes of a good paper, think of your audience as someone like your roommate: smart enough to understand a clear, logical argument, but not someone who already knows exactly what is going on in your particular paper. Remember, even if the instructor knows everything there is to know about your paper topic, he or she still has to read your paper and assess your understanding. In other words, teach the material to your reader.

Aiming a paper at your audience happens in two ways: you make decisions about the tone and the level of information you want to convey.

  • Tone means the “voice” of your paper. Should you be chatty, formal, or objective? Usually you will find some happy medium—you do not want to alienate your reader by sounding condescending or superior, but you do not want to, um, like, totally wig on the man, you know? Eschew ostentatious erudition: some students think the way to sound academic is to use big words. Be careful—you can sound ridiculous, especially if you use the wrong big words.
  • The level of information you use depends on who you think your audience is. If you imagine your audience as your instructor and she already knows everything you have to say, you may find yourself leaving out key information that can cause your argument to be unconvincing and illogical. But you do not have to explain every single word or issue. If you are telling your roommate what happened on your favorite science fiction TV show last night, you do not say, “First a dark-haired white man of average height, wearing a suit and carrying a flashlight, walked into the room. Then a purple alien with fifteen arms and at least three eyes turned around. Then the man smiled slightly. In the background, you could hear a clock ticking. The room was fairly dark and had at least two windows that I saw.” You also do not say, “This guy found some aliens. The end.” Find some balance of useful details that support your main point.

The Grim Truth

With a few exceptions (including some lab and ethnography reports), you are probably being asked to make an argument. You must convince your audience. It is easy to forget this aim when you are researching and writing; as you become involved in your subject matter, you may become enmeshed in the details and focus on learning or simply telling the information you have found. You need to do more than just repeat what you have read. Your writing should have a point, and you should be able to say it in a sentence. Sometimes instructors call this sentence a “thesis” or a “claim.”

So, if your instructor tells you to write about some aspect of oral hygiene, you do not want to just list: “First, you brush your teeth with a soft brush and some peanut butter. Then, you floss with unwaxed, bologna-flavored string. Finally, gargle with bourbon.” Instead, you could say, “Of all the oral cleaning methods, sandblasting removes the most plaque. Therefore it should be recommended by the American Dental Association.” Or, “From an aesthetic perspective, moldy teeth can be quite charming. However, their joys are short-lived.”

Convincing the reader of your argument is the goal of academic writing. It doesn’t have to say “argument” anywhere in the assignment for you to need one. Look at the assignment and think about what kind of argument you could make about it instead of just seeing it as a checklist of information you have to present. What kind of evidence do you need?

There are many kinds of evidence, and what type of evidence will work for your assignment can depend on several factors–the discipline, the parameters of the assignment, and your instructor’s preference. Should you use statistics? Historical examples? Do you need to conduct your own experiment? Can you rely on personal experience? See our handout on evidence for suggestions on how to use evidence appropriately.

Make sure you are clear about this part of the assignment, because your use of evidence will be crucial in writing a successful paper. You are not just learning how to argue; you are learning how to argue with specific types of materials and ideas. Ask your instructor what counts as acceptable evidence. You can also ask a librarian for help. No matter what kind of evidence you use, be sure to cite it correctly—see the UNC Libraries citation tutorial .

You cannot always tell from the assignment just what sort of writing style your instructor expects. The instructor may be really laid back in class but still expect you to sound formal in writing. Or the instructor may be fairly formal in class and ask you to write a reflection paper where you need to use “I” and speak from your own experience.

Try to avoid false associations of a particular field with a style (“art historians like wacky creativity,” or “political scientists are boring and just give facts”) and look instead to the types of readings you have been given in class. No one expects you to write like Plato—just use the readings as a guide for what is standard or preferable to your instructor. When in doubt, ask your instructor about the level of formality she or he expects.

No matter what field you are writing for or what facts you are including, if you do not write so that your reader can understand your main idea, you have wasted your time. So make clarity your main goal. For specific help with style, see our handout on style .

Technical details about the assignment

The technical information you are given in an assignment always seems like the easy part. This section can actually give you lots of little hints about approaching the task. Find out if elements such as page length and citation format (see the UNC Libraries citation tutorial ) are negotiable. Some professors do not have strong preferences as long as you are consistent and fully answer the assignment. Some professors are very specific and will deduct big points for deviations.

Usually, the page length tells you something important: The instructor thinks the size of the paper is appropriate to the assignment’s parameters. In plain English, your instructor is telling you how many pages it should take for you to answer the question as fully as you are expected to. So if an assignment is two pages long, you cannot pad your paper with examples or reword your main idea several times. Hit your one point early, defend it with the clearest example, and finish quickly. If an assignment is ten pages long, you can be more complex in your main points and examples—and if you can only produce five pages for that assignment, you need to see someone for help—as soon as possible.

Tricks that don’t work

Your instructors are not fooled when you:

  • spend more time on the cover page than the essay —graphics, cool binders, and cute titles are no replacement for a well-written paper.
  • use huge fonts, wide margins, or extra spacing to pad the page length —these tricks are immediately obvious to the eye. Most instructors use the same word processor you do. They know what’s possible. Such tactics are especially damning when the instructor has a stack of 60 papers to grade and yours is the only one that low-flying airplane pilots could read.
  • use a paper from another class that covered “sort of similar” material . Again, the instructor has a particular task for you to fulfill in the assignment that usually relates to course material and lectures. Your other paper may not cover this material, and turning in the same paper for more than one course may constitute an Honor Code violation . Ask the instructor—it can’t hurt.
  • get all wacky and “creative” before you answer the question . Showing that you are able to think beyond the boundaries of a simple assignment can be good, but you must do what the assignment calls for first. Again, check with your instructor. A humorous tone can be refreshing for someone grading a stack of papers, but it will not get you a good grade if you have not fulfilled the task.

Critical reading of assignments leads to skills in other types of reading and writing. If you get good at figuring out what the real goals of assignments are, you are going to be better at understanding the goals of all of your classes and fields of study.

8 Ways to Create AI-Proof Writing Prompts

C reating 100 percent AI-proof writing prompts can often be impossible but that doesn’t mean there aren’t strategies that can limit the efficacy of AI work. These techniques can also help ensure more of the writing submitted in your classroom is human-generated. 

I started seeing a big uptick in AI-generated work submitted in my classes over the last year and that has continued. As a result, I’ve gotten much better at recognizing AI work , but I’ve also gotten better at creating writing prompts that are less AI-friendly. 

Essentially, I like to use the public health Swiss cheese analogy when thinking about AI prevention: All these strategies on their own have holes but when you layer the cheese together, you create a barrier that’s hard to get through. 

The eight strategies here may not prevent students from submitting AI work, but I find these can incentivize human writing and make sure that any work submitted via AI will not really meet the requirements of the assignment. 

1. Writing AI-Proof Prompts: Put Your Prompt Into Popular AI tools such as ChatGPT, Copilot, and Bard 

Putting your writing prompt into an AI tools will give you an immediate idea of how most AI tools will handle your prompt. If the various AI chatbots do a good, or at least adequate, job immediately, it might be wise to tweak the prompt. 

One of my classes asks students to write about a prized possession. When you put this prompt into an AI chatbot, it frequently returns an essay about a family member's finely crafted watch. Obviously, I now watch out for any essays about watches. 

2. Forbid Cliché Use

Probably the quickest and easiest way to cut back on some AI use is to come down hard on cliché use in writing assignments. AI tools are essentially cliché machines, so banning these can prevent a lot of AI use. 

Equally as important, this practice will help your students become better writers. As any good writer knows, clichés should be avoided like the plague. 

3. Incorporate Recent Events

The free version of ChatGPT only has access to events up to 2022. While there are plugins to allow it to search the internet and other internet-capable AI tools, some students won’t get further than ChatGPT. 

More importantly, in my experience, all AI tools struggle to incorporate recent events as effectively as historic ones. So connecting class material and assignments to events such as a recent State of Union speech or the Academy Awards will make any AI writing use less effective. 

4. Require Quotes

AI tools can incorporate direct quotations but most are not very good at doing so. The quotes used tend to be very short and not as well-placed within essays. 

Asking an AI tool for recent quotes also can be particularly problematic for today’s robot writers. For instance, I asked Microsoft's Copilot to summarize the recent Academy Awards using quotes, and specifically asked it to quote from Oppenheimer's director Christopher Nolan’s acceptance speech. It quoted something Nolan had previously said instead. Copilot also quoted from Wes Anderson’s acceptance speech, an obvious error since Anderson wasn’t at the awards .  

5. Make Assignments Personal

Having students reflect on material in their own lives can be a good way to prevent AI writing. In-person teachers can get to know their students well enough to know when these types of personal details are fabricated. 

I teach online but still find it easier to tell when a more personalized prompt was written by AI. For example, one student submitted a paper about how much she loved skateboarding that was so non-specific it screamed AI written. Another submitted a post about a pair of sneakers that was also clearly written by a "sole-less" AI (I could tell because of the clichés and other reasons). 

6. Make Primary or Scholarly Sources Mandatory

Requiring sources that are not easily accessible on the internet can stop AI writing in its tracks. I like to have students find historic newspapers for certain assignments. The AI tools I am familiar with can’t incorporate these. 

For instance, I asked Copilot to compare coverage of the first Academy Awards in the media to the most recent awards show and to include quotes from historic newspaper coverage. The comparison was not well done and there were no quotes from historical newspaper coverage. 

AI tools also struggle to incorporate journal articles. Encouraging your students to include these types of sources ensures the work they produce is deeper than something that can be revealed by a quick Google search, which not only makes it harder for AI to write but also can raise the overall quality.  

7. Require Interviews, Field Trips, Etc. 

Building on primary and scholarly sources, you can have your students conduct interviews or go on field trips to historic sites, museums, etc. 

AI is still, thankfully, incapable of engaging in these types of behavior. This requires too much work for every assignment but it is the most effective way to truly ensure your work is human- not computer-written. 

If you’re still worried about AI use, you can even go a step further by asking your students to include photos of them with their interview subjects or from the field trips. Yes, AI art generators are getting better as well, but remember the Swiss cheese analogy? Every layer of prevention can help. 

8. Have Students Write During Class

As I said to start, none of the methods discussed are foolproof. Many ways around these safeguards already exist and there will be more ways to bypass these in the future. So if you’re really, really worried about AI use you may want to choose what I call the “nuclear option.” If you teach in person you can require students to write essays in person. 

This approach definitely works for preventing AI and is okay for short pieces, but for longer pieces, it has a lot of downsides. I would have trouble writing a long piece in this setting and imagine many students will as well. Additionally, this requirement could create an accusatory class atmosphere that is more focused on preventing AI use than actually teaching. It’s also not practical for online teaching. 

That all being said, given how common AI writing has become in education, I understand why some teachers will turn to this method. Hopefully, suggestions 1-7 will work but if AI-generated papers are still out of hand in your classroom, this is a blunt-force method that can work temporarily.
