Microsoft describes Microsoft Viva as " the first employee experience platform to bring tools for employee engagement, learning, wellbeing and knowledge discovery, directly into the flow of people’s work. Viva is designed to help employees learn, grow and thrive, with new experiences that integrate with the productivity and collaboration capabilities in Microsoft 365 and Microsoft Teams. "

Microsoft Viva builds on the power of Microsoft Teams and Microsoft 365 to unify the employee experience across four key areas — Engagement, Wellbeing, Learning and Knowledge — in an integrated experience that empowers people to be their best. 

How does Viva work with Microsoft Copilot?

Copilot in Microsoft Viva, along with the introduction of Microsoft Viva Glint was announed in March 2023, to help organizations create a more engaged and productive workforce.

Below are some examples of how this will work:

Copilot in Microsoft Viva   Goals   simplifies goal setting by guiding leaders through the process of creating objectives and key results (OKRs) as well as simplifying goal management across the organization.

Copilot in Microsoft Viva Engage  helps leaders create compelling and inspiring posts from simple prompts or trending topics within workplace communities and storyline conversations. Copilot offers suggestions to personalize messages with options to adjust tone and length and to suggest relevant images, all to help drive authenticity and engagement. 

With  Copilot in Microsoft Viva Topics , employees can use a conversational interface to learn more about important topics as well as see related topics and projects.  Copilot in Answers  helps users construct questions with the appropriate specificity and completeness as well as extracts the pertinent topics to help categorize the question.

Copilot in Microsoft Viva will begin rolling out to customers later in 2023.

Key Components of Microsoft Viva

Microsoft viva connections.

Viva Connections is a framework through which you can deliver your intranet within Microsoft Teams. Effectively this is the "Home App" in Teams.

Employees can access internal communications and company resources like policies and benefits and participate in communities like employee resource groups, all from a single customizable app within Microsoft Teams. The emphasis here is on "customizable" as it will obviously still require you to deliver and communicate content effectively through an experience that aligns with purpose, objectives and culture of your organisation.

The key is though that today more and more employees are using Microsoft Teams as their primary place to communicate and collaborate with colleagues. Viva Connections is a way of delivering content even if employees don't log into SharePoint daily.

How much does Viva Connections cost? Well, there is further good news here. Viva Connections is free! Viva Connections is available to all Microsoft 365 customers as part of any existing Microsoft 365 and SharePoint Online license. If a user has access to SharePoint Online, then Viva Connections will be accessible at no additional costs.

Why use Microsoft Viva Connections?

  • Get the most from your SharePoint intranet. If people are spending more time in Teams, it might mean they could miss important company news or updates. By bringing the content from your SharePoint intranet into Viva Connections, you create a rich, personalised employee experience.
  • Employee Engagement. By bringing company communications and news into Teams, Microsoft is aiming to address engagement challenges.
  • More mobile friendly. No matter what your role is in the company - a frontline worker or an information worker - Microsoft Viva Connections will offer a streamlined experience for tackling important tasks from your mobile.

What are some of the limitations of MS Viva Connections?

  • Only modern SharePoint sites and pages can be viewed in Teams. All other content will open in a browser.
  • Some functionality is not available yet for SharePoint pages viewed in Microsoft Teams.

Microsoft Viva Topics

Microsoft Viva Topics (formely known as Project Cortex ) helps people put knowledge to work, using AI to surface expertise in the apps they use every day. Viva Topics automatically organizes content across apps and teams with built-in security and compliance features.

Key features of Microsoft Viva Topics 

  • Automatically identify topics. Recognise common topics across content and conversations, organise information, and generate topic pages.
  • Find related topics. Discover and display complementary topics and expertise from across sources.
  • Automatically build topic pages . Create topic pages and topic cards using suggested definitions, related content, relevant conversations, and expertise.
  • Curate topics . Cultivate knowledge using your experts and AI to refine topic pages.
  • Topic highlights . Show topic highlights and display Topic Cards in any Microsoft 365 app.
  • Find topics anywhere . Give people the knowledge they need anytime, anywhere by using Search to discover topics.

Microsoft Viva Learning

Microsoft Viva Learning empowers people to better themselves with employee training—naturally and without disruption. it encourages a culture of growth that helps people reach their potential.

Microsoft Viva Learning is a personalised learning app within Microsoft Teams that can be fully integrated with an existing Learning Management Systems. A user will open Microsoft Viva Learning inside Teams and see a selection of courses curated (in other words, automatically selected and organised courses based on the user’s profile and learning history) for them from a range of different providers. Viva Learning can be compared to Spotify in that it is focused on self-discovery and recommendations based on the individual’s profile and learning history.

Microsoft has announced integration with a variety of training content providers and learning management system (LMS) companies. Content that will be immediately available comes from a variety of sources including:

  • Your company’s own learning resources
  • Microsoft Learning
  • LinkedIn Learning
  • Pluralsight

Encourage personal wellbeing and build organisational resilience with insights and actions in the apps people use every day.

Understand patterns that lead to burnout and stress like collaboration overload and too little focus time.

Microsoft Viva Goals is a goal-setting and management solution that aligns teams to your organization’s strategic priorities, driving results and a thriving business. Viva Goals enables individuals and companies to organize and track their goals through “Objectives and Key Results” (OKRs).

MS Viva Goals aligns teams to your organization’s strategic priorities and unites them around the mission and purpose. It helps provide clarity on employees’ work and how that work makes an impact on the business’s most important priorities. With that alignment in place, teams then can focus on doing the work, making sound decisions, and driving the desired results for the business.

In addition, Viva Goals brings business goals into the flow of everyday work, making it easier to stay up to date with connected data and automated reminders as well as to share OKRs and their progress across the organization with customized dashboards and quick links. Viva Goals integrates with Microsoft Teams, Azure DevOps, and other work management and data tools that customers are already using—as well as more integrations to come with Microsoft Viva, Microsoft Power BI, and other Microsoft 365 apps and services. With Viva Goals, OKRs no longer exist in a silo separate from the employee experience and where people work.

Viva Goals will be included with the current Microsoft Viva suite subscription when it becomes generally available later in Q3 Calendar Year (CY) 2022.

Microsoft positions Viva Engage as a social-community app with its roots in the Communities app for Teams.

Viva Engage can be viewed as the digital equivalent of passing conversations or water cooler moments. While you still have regular conversations with your closest colleagues, you are less likely talk frequently to people from other teams.

Viva Engage has all the features you would expect of a modern social media platform including news feeds, profiles, and the ability to post images and videos.  Users get a profile page, similar to something like Facebook, where you can post status updates, photos, videos, and essentially anything else you’d find on a social network.

Key to Viva Engage are storylines and stories that connect colleagues and socialize their thoughts, knowledge, and experiences through conversations, images, and videos. 

A month after Viva Engage became generally available, Microsoft released Leadership Corner. This is designed as a space for leaders to connect with employees where those people are already engaging and forming communities - on Viva Engage. In Leadership Corner employees get a personalized view of their leaders, their recent activity and communications. Leadership Corner offers new event formats (such as AMA - Ask Me Anything - events), surveys and other means for two-way dialogue, and dashboards for leaders to track employee sentiment and metrics in real time.

The first role-based Viva application, Viva Sales is designed specifically for sales teams to be a fully integrated seller experience platform that combines knowledge, learning, communications, goals and insights. It automatically gathers client information via its tagging features and feeds this into any CRM, including Salesforce CRM and Microsoft Dynamics 365. It can also access data from any Microsoft 365 application (Word, Excel, PowerPoint, etc) and offer AI-generated recommendations.

Viva Sales combines your CRM, Microsoft Teams and Microsoft 365 so sales people don't need to switch contexts or enter data in manually. Microsoft says Viva Sales frees up sales teams to focus on their core tasks and perform at their highest level, from any location. The ability to work from any locations boosts productivity, effectiveness and customer relationships.

Some of the elements in Viva Sales - all of which are designed to support continual improvement - are:

Artificial Intelligence

AI increases revenue by automating more manual parts of the sales process.  AI-driven call summaries, suggestions and reminders support salespeople in their work.

Routine dashboards

Salespeople can customize dashboards, putting all the necessary information about their customer relationships in one place.

Compatible with existing CRM

Viva Sales helps lessen the workload of data entry procedures, and allows people to stay on top of their customer interactions through unified data management.

Viva Amplify is a new app that helps elevate messages in a variety of ways. Firstly, the app centralizes communication processes. It also offers writing guidance to help messages resonate with employees. It allows communicators to publish to multiple channels simultaneously (Outlook, SharePoint, Viva, etc), manage comms campaigns centrally and study performance in order to plan future communications.

Viva Pulse is a really useful modules to look forward to.  Viva Pulse enables managers and team leaders to request regular, confidential feedback from their team in the flow of work in Teams. Managers have the support of a research-backed question library to help them ask the right questions, and sentiment analysis and trends give leaders key data from their team members. 

Viva Pulse helps leaders identify what's working well and where to focus, along with next steps, suggested actions and recommended learning based on the feedback assimilated.

Glint transitioned from LinkedIn to Microsoft to become Viva Glint, a core part of the Microsoft Viva employee experience platform in 2023. Viva Glint brings feedback and action-taking directly into the flow of work, making it easy for managers and teams to build habits that support people’s happiness, success, and well-being at work. 

With an ever-changing landscape, it is no longer enough to simply ask employees how they're feeling. To truly understand their sentiment, companies also need to consider how their people work. Viva Glint and Viva Insights have come together to help companies do just that by providing deeper insights that consider both behaviors and sentiment and enable a more holistic approach to improving the employee experience and business outcomes. 

Answers in Viva

This brings Viva Topics and social Q&A together to help people find the knowledge and insights they're looking for. Answers in Viva matches questions to answers from experts across the organization. Coupled with Viva Topics, Answers identifies subject matter experts in the company and prompts them to contribute their knowledge, helping grow the organization's collective knowledge.

Why is Microsoft investing in Microsoft Viva?

Workplace communication platforms have grown in importance throughout the pandemic and millions began using Microsoft Teams. Hybrid work has also made digital employee experience more important than ever.

Viva is Microsoft’s entry into the increasingly crowded category of employee experience technology, competing against companies including Qualtrics  and  Limeade .

It’s part of a larger effort by Microsoft to make Teams a central hub for work to give its communication and collaboration software an edge over rivals such as Zoom, Slack and Google, while expanding its productivity technologies further beyond the core Microsoft Office suite.

Microsoft also believes that businesses will need to make major investments in employee experience technology, whether they choose Microsoft Viva or not and are encouraging the development of an ecosystem built around the Viva platform. 

  • The new Viva Engage tab, which replaced the Communities section for all versions of Microsoft Teams, including web apps, desktop clients and mobile apps - late August 2022.
  • Viva Goals and Viva Topics - August 2022.
  • The Teams Viva Insights app and the full Viva Insights - November 2021.
  • Viva Learning - November 2021.
  • The Viva Connections Teams app was released in April 2021 for general availability worldwide. P ublic preview of the Microsoft Viva Connections mobile app was available from September 2021.

Microsoft Viva suite pricing: Depending on the location, the price is US$9 / £6.80 per user per month. More details on pricing and how to sign-up for a free trial is available on Microsoft's website . 

Microsoft Viva Connections: There's no additional cost for Viva Connections. However, Connections does require access to Microsoft Teams and SharePoint Online licenses.

Microsoft Viva Learning: Viva Learning is available as an app within Teams and organisations and their users can access its features either through a ‘seeded’ or ‘premium’ license. A ‘seeded’ license means you have access to a range of Viva Learning capabilities as part of your Microsoft 365/ Office 365 F1, F3, E4, A3 and E5 to A5 subscription.

The premium version provides access to additional features through license options of $4 or £3 per user/per month.  Find more information about pricing here.

Microsoft Viva Insights: There is a free option if you have Exchange Online. This includes the Viva Insight app which is similar to MyAnalytics. There is add-on tier for the organisational view but you will need a Workplace Analytics license. 

Microsoft Viva Goals is part of the Viva Suite pricing. 

Microsoft Viva Topics  is part of the Viva Suite pricing. 

To use Microsoft Viva Engage,  an organization must be licensed for Yammer. Viva Engage is therefore available at no additional cost to most Microsoft 365 customers.

How do I add Viva Insights to Microsoft Teams? Open Microsoft Teams and then go to Apps (the icon is on the bottom left hand side of Teams). Search for Insights (Microsoft Corporation) and then click on Add.

Deploying Viva Engage The Communities app for Teams will be rebranded as Viva Engage, deployable immediately into the Teams desktop, web, and mobile apps. For existing users of the Communities app for Teams, no change will be needed from admins. Current Yammer customers will be able to deploy and pin Viva Engage on the left rail of Teams through the Teams Admin Center. Also in late August, Storyline will open for public preview.

Microsoft Viva Connections is your gateway to a modern employee experience and is designed to keep everyone engaged and informed. Viva Connections is a customizable app in Microsoft Teams that gives different audiences in your organization a personalized destination to discover other Viva apps your organization is licensed for, relevant news, conversations, and the tools they need to succeed.

Updates to the Viva Connections mobile app are planned for Q2 2024.

Viva Connections is:

  • An employee experience app in Microsoft Teams that allows organizations to create unique experiences for different audiences like information workers and frontline workers.
  • A gateway to other Viva apps and services with the ability to curate specific content and tools by providing easy access to resources, tools, relevant news, announcements, and popular destinations.
  • Built on existing capabilities in Microsoft 365 like SharePoint, Teams, and Microsoft Entra (formerly Azure AD).

A home site is not a requirement for setting up Viva Connections, but some organizations may choose to use a home site in addition to Viva Connections to provide a secondary landing experience that’s more focused on organizational content. Components to Viva Connections

Viva Connections is composed of three primary components - the feed, the dashboard, and resources.

  • Components are expected to display slightly differently between desktop and mobile devices until Q2 of 2024.
  • The News spotlight currently only displays updates from the home site. A future update is planned to include updates from organizational news sites.

Viva Connections feed

The News spotlight sits at the top of the Viva Connections experience and promotes news published to existing SharePoint home sites from across your organization, providing a steady stream of information. Employees can select news stories as they cycle through or use the navigation controls to scroll through the banner. If no news is available to display from across the organization, this section will collapse.

Additional information can be accessed from the Feed tab. Here, employees can access their personalized feed with relevant information ranging from organizational and industry news, insights from colleagues in their network, upcoming and previous meetings, and updates on important collaborations. Content is curated based on the employee’s network of people they work and communicate with across Microsoft 365 apps.

The feed automatically balances fresh and engaging content with corporate communications to keep users interested, while also ensuring that they see the most important information related to their daily work life.

Viva Connections dashboard

The Viva Connections dashboard enables you to create a curated experience using dashboard cards that give your employees access to their most critical content and tools. These cards are designed to enable quick task completion either by interacting with a card directly or by opening a quick view in the dashboard. Think of the Viva Connections dashboard as a digital toolset for your employees.

The Viva Connections dashboard is available on desktop, mobile platforms (iOS, Android), and as a web part on SharePoint sites . This web part can be integrated into a SharePoint home site, which then is exposed as part of the Viva Connections for desktop experience in Teams.

Anatomy of a dashboard

A dashboard is made of medium-sized and large-sized cards which users can interact with to get information or complete a task.

Users can select cards or click the buttons on cards to do things like:

  • Displaying a quick view with more information or an input form
  • Navigating to a SharePoint page
  • Accessing a Teams app
  • Integrate with third party apps and services, including other Viva apps

Some cards can also reflect dynamic content that refreshes based on a user action or other event. For example, users can see new tasks assigned or required training courses when they open the dashboard. As the users mark the tasks as complete, the card updates to reflect their new number of tasks.

In this example, view the mobile experience for a dashboard card that enables a daily health check for on-site workers:

  • Components are expected to display slightly differently between desktop and mobile devices until Q2 2024.

The dashboard experience has been designed to be consistent across mobile platform and desktop, but there are some differences:

Dashboard authoring

The dashboard can be authored directly in the Viva Connections app in Teams desktop. If you're using a home site, the dashboard can also be authored from the SharePoint home site.

The layout of the dashboard, including the size of the cards (which can be individually set as medium or large) can be customized. The layout of the cards may look different depending on whether the dashboard is being viewed on mobile, desktop, or in the dashboard web part. Users with edit permissions can preview how the dashboard will appear to users viewing on a mobile device or desktop.

The Viva Connections dashboard comes with a set of built-in cards, but is also designed to enable Software as a Service (SaaS) providers, system integrators, and in-house development teams to create their own cards to meet their business needs.

Cards in the Viva Connections Dashboard are based on adaptive cards and the SharePoint Framework (SPFx) . They provide a low-code solution to bring your line-of-business apps into the Dashboard.

Discover more card options from third-party services

Viva Connections resources

Resources are the navigational links that are set up and customized from the Teams app, or in the SharePoint global navigation for organizations with a SharePoint home site . These resources are displayed on both the desktop and mobile instances of Viva Connections and include customized navigational links and dynamically generated links to frequent and followed SharePoint sites. Links can be further customized by applying audience targeting.

  • Links that are created via in-app editing via Viva Connections will not appear in mobile for targeted release customers at this time. Updates to mobile are planned for the end of Q2 2024.
  • Up to 48 resource links can be created in the new Resources section.

In the mobile app, users can view resources by selecting the Resources tab. This type of functioning provides users with a familiar navigation structure and allows them to open sites, pages, news, and more—right from their mobile devices.

Viva Connections mobile and desktop experiences

Both desktop and mobile experiences are centered around the three main components of the dashboard, feed, and resources sections. The desktop app features all three components at-a-glance, in addition to announcements, News spotlight, and Viva Suite footer. The mobile view features a more compact experience and uses tabs to make it easier to scroll through content.

  • The News spotlight will not display in the mobile experience at this time. A future update is planned to bring this feature to mobile.

Key capabilities of the desktop experience:

  • Access to the rest of the Viva suite: The desktop experience of the connections app offers easy discovery and navigation to all the Viva modules that the employee is licensed for, bringing together the connection, insight, growth, and purpose pillars of Microsoft Viva.
  • Navigation between other Viva experiences: Navigational elements located in the top-right and top-left corners, navigational elements help viewers easily get to-and-from other landing pages and other Viva experiences .
  • Announcements: Important time-sensitive notices targeted to employees within the organization appear at the top of the Viva Connections experience.
  • Company resources and way finding: The desktop experience provides employees the ability to navigate to important resources using links curated by your organization and the important sites your organization frequently engages with. This navigation panel appears when users select the branded app icon in Teams, and surfaces elements shared with the SharePoint global navigation .
  • Access specific tools based on roles: Throughout the Viva Connections experience, content can be targeted to specific audiences to ensure they have the right tools at the right time.
  • Stay updated on news personalized to the viewer: The News spotlight sits prominent at the top of the page and cycles through current happenings within your company. Users can stay up to date with news, conversations, and videos in a curated news stream based on the sites and communities that they follow. Additional content can be accessed from the feed tab.
  • Easily share content: Content consumed within Teams can be easily shared into chats or channels, making collaboration easier.

The Viva Connections mobile experience

The experience in the Viva Connections mobile app is anchored around three key concepts: the dashboard, the feed, and resources.

Curated and tailored experiences

Viva Connections gives you and your content creators the tools for both curated and tailored experiences. A curated experience is one in which the user sees content chosen by a site owner or author. For example, a site owner controls the content used on the site and whether the content is audience targeted. Audience targeting is accomplished using Microsoft Entra ID (formerly Azure AD) groups for card-level targeting in the dashboard and menu-item targeting in the global navigation.

A tailored experience is one in which content is automatically displayed according to what is most relevant to the users. This content includes content from the sites they follow, popular content, and more. An example of tailored content is the feed.

  • Home site (optional, curated) : A home site isn't required for Viva Connections, but can be used as a secondary landing destination for organizational content and news. A site owner controls the layout of the home site, the elements used on that site, and targeting content to specific audiences.
  • Feed (tailored) : The Viva Connections feed uses its own heuristics to tailor the feed for an employee by bringing in the most relevant content for that employee. It utilizes signals in the content created across the organization. Some of the signals used are sites where news is posted, highlights from colleagues, updated to documents you’re working on, and more. News that is posted across the organization will also be featured in the News spotlight at the top of the experience.
  • Dashboard (curated) : A dashboard author controls the curation of the dashboard and can target each card on the dashboard to specific audiences using existing Microsoft Entra ID groups. These provisions allow dashboard authors to create different experiences for each group. And because Viva Connection uses Microsoft Entra ID groups, authors benefit from dynamic group memberships to reduce administrative overhead. Authors can easily preview what the dashboard looks like across devices and audiences.
  • Resources (curated) : The list of sites on the resources experience in mobile includes the global navigation defined at the organization level. The global navigation supports Microsoft Entra ID groups for targeting so that employees in different groups see relevant navigation items.

Audience targeting for links in the new Resource section will be rolled out in Q2 2024. Audience targeting for global navigation will still be available.

Matching your organizational brand is integral to your employees’ connection with your company's values and goals. The branding you apply in Teams to the Viva Connections desktop app – including your logo and colors – is automatically applied to the mobile app. For information on how to apply your branding in an app, review how to customize apps in Microsoft Teams . The desktop app offers an opportunity for further branding by customizing the banner image and customizing the theme .

Company branding in the Viva Connections app is currently disabled for users on mobile and desktop who have enabled dark mode under their Microsoft Teams Appearance and Accessibility settings.

Localization

Viva Connections is available in most major languages used in Microsoft 365. Learn more about how to set up the Viva Connections mobile experience in a specific language and how to create a dashboard in more than one language .

  • Dashboard: Content can be set by dashboard authors to support multiple languages.
  • Feed: The content is available in the format in which it was authored, and SharePoint news posts display author-translated posts in the user’s preferred language.
  • Resources: Content will follow the tenant’s default language.

Extensibility

Many components to the Viva Connections experience can be customized. The SharePoint Framework (SPFx) is the recommended SharePoint customization and extensibility model for developers because of the tight integration between SharePoint Online, Microsoft Teams, and Microsoft Viva Connections. The SPFx is the only extensibility and customization option for Viva Connections. Learn more about Viva Connections extensibility .

How SharePoint home sites and Viva Connections work together

Viva Connections and home sites are two complementary methods to creating powerful employee experiences that can be viewed on the web and in Teams. A SharePoint home site is an employee experience that serves as a landing destination, news hub, and the main entry-point to your organization’s intranet. Both Viva Connections and home site experiences are designed to unite and empower your organization and automatically integrate with each other to form a cohesive and branded experience.

Use Viva Connections as the primary destination where employees access job-specific tools and news and home sites as a secondary source of organizational news and industry news, events, and resources. Viva Connections is where individuals get access to curated content based on their role, and the home site is where they can find more organizational-focused resources.

Shared functionality

Both share many common capabilities like news roll ups, navigation, and third-party extensibility to ensure these solutions work together. Both types of experiences share basic functionality, like the ability to use audience targeting, distribute organizational news, industry news, and share the same permissions model to make it easy for editors to access and manage.

Viva Connections automatically detects home sites

For organizations that already have a home site, or know they want one in the future, the home site is automatically detected by Viva Connections, and a prominent link will display at the top-right of the desktop experience. Users can easily navigate between both – so you don’t have to choose one over the other.

Viva Connections allows for multiple home sites across multiple experiences

Depending on the size of your organization and the information to communicate, you may decide to create a separate experience for each audience you wish to target. Organizations are able to set multiple home sites by using multiple Viva Connections experiences, thereby creating a targeted experience that is content specific for that group of employees (for example, a dashboard and resources with a frontline worker focus). This article provides some scenarios where you’d want to create more Viva Connections experiences .

  • SharePoint home sites are now set in the Microsoft admin center and can be setup when you create a Viva Connections experience that builds off an intranet portal.
  • You must have an Enterprise (E) or Frontline (F) license type to create a Viva Connections experience.
  • Users with a basic Microsoft 365 subscription (E license) are limited to creating one experience. Users are required to have a Microsoft Viva suite or Viva Communications and Communities license in order to create two or more experiences (up to 50). You can choose the default landing experience

Unless specified, Viva Connections is the default experience for the desktop app in Teams. When Viva Connections is the default, a link to the home site displays in the top-right corner to ensure easy navigation between the two experiences. We recognize that some organizations with a home site want the home site to be the default experience. When the home site is the default experience, a link to Viva Connections will display in the top-right corner. Learn more about choosing the default experience .
