What is self-management?

Self-management is your ability to regulate your behaviors, thoughts, and emotions in a productive way. This means excelling in both personal and professional responsibilities for the benefit of yourself and your team.

Effective self-management leads to better emotional intelligence by supporting your self-awareness and well being. This means staying on top of social cues and respecting your own personal needs.

Self-management is an important leadership quality that doesn’t always come naturally, but with the right tools and practice, you can develop. Let’s dive into the top seven self-management skills to develop. 

What are the 7 self-management skills?

Developing self-management skills requires a certain level of self-awareness—you need to know yourself before you can regulate yourself. Start slow and embrace the process, remembering that these skills are ongoing.

Skill 1. Time management

Time management is when you control how you use your time. This means prioritizing your most important tasks first and managing your daily to-do list . A leader who has good time management skills can manage their time effectively without the need for external help.

Having good time management skills can help you stay engaged and avoid procrastination . As a leader, time management allows you enough time to both stay on top of your own work and empower others to do the same.  

Skill 2. Self motivation

Self motivation is your ability to get motivated and proactively accomplish daily tasks. It takes a certain level of personal responsibility, but practicing self motivation can help you become more self-aware and prioritize what's important to you.

This is similar to intrinsic motivation , which is motivation that comes from within. Like self motivation, intrinsic motivation stems from a variety of personal factors. For example, your internal motivator for volunteering could be that it makes you feel fulfilled. External motivators, on the other hand, are influenced by factors outside yourself. For example, working faster because you’re scared of the repercussions if you work slower.

Enjoying the work you do is an important part of staying motivated and engaged throughout your workday. Plus, liking the work you do can help you inspire your team to do their very best. To practice internal motivation, work towards goals that excite you and fuel your sense of purpose.

Skill 3. Stress management

Leaders often deal with stress, but to be good at self-management you need to embody healthy stress management. Without stress management, you can suffer from overwork and, eventually, burnout .

Leaders with good stress management skills approach work in a focused manner by connecting their initiatives to larger goals. When you know which task is most important and how project deliverables are tied to team goals, you can better prioritize work and will likely feel more fulfilled doing it. Engaging with your work in this way is a form of self-care, and it can help reduce your stress levels and keep you level headed.

Skill 4. Adaptability

Being adaptable means you have the confidence and ability to pivot when changes arise. This is especially important for leaders who work in a fast-paced environment where project changes occur often. 

For example, imagine a new project comes up that’s a higher priority than the one you’ve been working on for the last couple of weeks. Instead of becoming stressed or frustrated, you can adapt to this change and move forward with openness and curiosity. This is an important skill to have to maintain flexibility.

While being adaptable may be uncomfortable at times, it can make you a great leader as you have the ability to tackle anything that comes your way.  It also empowers your team to do the same.

Skill 5. Decision making

To be effective, it’s essential for leaders to develop decision-making skills that reduce confusion and increase team empowerment. Problem solving and addressing issues can help you grow your decision-making skills. 

Like all the skills we’ve looked at so far, decision making is something you can learn. Start by sharpening your critical thinking skills and learning how to analyze key information when problems arise. And use data-driven decision making to ensure your actions come from data rather than guesswork, so fewer issues will arise down the road.

Skill 6. Goal alignment

Setting goals means you prioritize the most important projects that have the highest impact on your business. 

This means being able to see the bigger picture and knowing what’s best for your team members and organization. In the long run, this will generate better results and boost team morale .  

Goal alignment consists of three main skills:

Goal setting. When goal setting, be sure to identify current pain points, forecast growth objectives, and analyze your current resource allocation plans —all of which can help you set informed goals. Use the SMART goals framework to make sure your goal is specific, measurable, achievable, realistic, and time-bound.

Goal communication. Not only does this involve managing your team’s goals, but it always involves aligning them to your organization’s overall goals. That way,  your team members understand how their work ladders up to larger objectives. This requires transparent communication and aligned teamwork .  

Goal tracking. Not only is it important to set and communicate goals, but it’s also important to track them. This is critical for connecting daily work to larger goals and seeing how your team is progressing over time. 

Skill 7. Personal development

Personal development is key for all team members, but especially for leaders. In order to build your team’s knowledge, you first need to build your own.  This means taking the time to attend workshops, take courses, and connect with industry experts to develop your management skills.

By continuing to develop your skills, you can empower your team to do the same. Not only does this mean individual career development, but it also means growth for the good of the company. 

Examples of self-management

Analyzing examples of self-management in the workplace can help you understand the skills you need to develop and embody healthy self-management. 

These examples involve refining the way you see yourself in order to develop strong self-esteem. Here are some examples of self-management to better understand how you can empower yourself to be a better leader in the workplace:

Example 1: Setting goals and aligning them to the larger picture.  

Team lead Daniela Vargas wants to increase returning customers by 10% this year in order to meet her organization’s growth goals. To start, she writes up a business case and schedules a meeting with the head of operations and product development. During that meeting, Daniela walks the department heads through her plan to rebrand an existing product line that hasn’t performed well in the past. The leaders agree to the plan and Daniela gets to work to develop a detailed work breakdown structure . 

Example 2: Stress management and time allocation.

Ray Brooks starts his day by going through his daily to-do list. He notices he has a few tasks that need to be completed and an overdue task that he didn’t get to yesterday. He also gets a meeting invite for a new project that is flagged as a top priority. Instead of becoming overwhelmed and frustrated with the tasks on his plate, Ray goes to work to reorganize his schedule. Critically, Ray realizes that he can’t get everything done that day. To get his best work done, he prioritizes the new project meeting, since it’s a top priority. He then spends the rest of his day tackling his high priority tasks while maintaining the quality of his work. Instead of working all night, which Ray knows will stress him out and take away from his family time, he decides that his least important tasks will need to wait until the next day. 

In both of these situations, the leader made rational decisions based on what was best for themselves and their teams. They were quick to make intelligent decisions while considering their own well-being in order to get good results. ​

What are the benefits of better self-management?

What are the most important skills for self-management, tools and tips to improve your self-management skills.

Self-management is one of those “must have” skills for today. Maybe you’ve heard it thrown around as something everyone should work on. So the good news is, you can develop better  self-management skills. But what is it? 

I might define self-management as the notion that you can regulate your emotions, thoughts, and behaviors in a way that’s appropriate to the situation. That’s a good starting definition of self-management. 

You may be familiar with the terms self-control, or self-regulation, which are similar. They all encompass the concept that you can and should control yourself in a way that is good for you and those around you. However, self-management is a bit different in that there’s a greater sense of proactive choices, planning, and a time element, too. 

Self-control tends to speak to us in the choices of the moment--for example saying no to the piece of cake or second drink. Self-regulation brings to mind modulating emotional reactions in the moment--for example, not screaming your frustration at a co-worker. In contrast, self-management has an actual goal or output that you are moving toward through your control. Self-management is about choices that have impact now and in the future. 

In the context of work, self-management is controlling yourself to make choices, absent someone telling you what to do, that are good for you and for your work, work environment, and company. This becomes even more important as companies seek to become more agile and adopt flatter structures . In this article, we’ll consider the benefits and dive into self-management skills definitions and examples.

6 Ways Self-management Can Help You

  • Better productivity. The practices of self-management also improve your overall time management. Positivity, focus, and prioritization will help put your work hours to more effective use.
  • Better relationships with coworkers. When you show up every day as a reliable colleague who manages his/her time, attention, and energy to collaborate with others and help deliver results, your coworkers will value you. Everyone can appreciate these qualities.
  •   Better mental health. While procrastinating an unpleasant task may offer temporary relief, the stress and anxiety caused by outstanding work is depleting. Staying on top of work and getting rid of anxiety-inducing projects leads to a better frame of mind .
  • Better physical health. Better control of your calendar can create time for exercise (AND SLEEP!), leading to better health. Reducing stress can build up your immune system, leaving you less susceptible to the next round of colds or flu.
  • Be seen as promotable. You manage your time? You work well with your team? You are the go-to guy/gal for solid solutions?  Who wouldn’t want to promote you?  Practicing self-management helps you shine for your supervisor—and those above!
  • More time for enjoyment. It is easier to maintain boundaries between work and non-work, and get on to the other parts of your life, when you keep a well-planned agenda for your days and deal with work conflicts as they arise. You’ll also have better energy and a positive attitude to your passion projects.

If you look at self-management as a concrete set of skills, you can practice them to develop mastery . These seven self-management skills apply to work and to life. See how many you already do, and where you can still grow.

6 Skills for Managing Yourself

  • Acknowledge emotion without being ruled by it.   Managing yourself doesn’t mean to ignore your emotions.  Anger, frustration, even jealousy are real and natural responses. The problem arises when anger leads to an outburst, or jealousy sours a relationship with a friend or colleague.  Keep emotions from clouding your day by recognizing and naming what you are feeling and why. Take a few deep breaths and acknowledge the validity, then choose not to follow it. 
  • Know your strengths AND weaknesses. Everyone loves a team member who shows up with a “can do” attitude.  But, what if you can’t do?  Take on tasks that play to your strengths—project management, for example.  But if your PowerPoint skills are rudimentary, you’re not doing your team any favors by volunteering to create an important presentation.  Of course you want to grow, but not at the expense of others.
  • Listen and appreciate divergent views. Workplaces small and large are recognizing the importance of diverse perspectives and backgrounds as a source for growth and innovation. As you strengthen your self-management skills, make sure it’s not at the expense of taking the time to listen and consider input from people who think differently than you do.
  • Practice good sleep habits. Sleep is a skill? Yes. The research on sleep is indisputable: when you don’t get enough you are not at your best. It’s more difficult to control emotions, to think quickly and logically, to regulate your food intake, and on and on, without enough sleep. And for most, “enough” is 7-9 hours.  Get. Your. Sleep.
  • Manage your nutrition and activity. Your body cannot function properly without the right fuel and without keeping all the parts in good working order. The skills here aren’t new, but you might not have considered their relationship to self-management.  Consuming protein, carbohydrates, good fats and all of those nutrients can help with proper brain function, mood regulation, and energy levels.  And keeping your body moving is a crucial component in good mental health.
  • Take time away from work. It’s ironic that we longingly talk of going on vacation, yet many of us resist taking time away from the job.  The benefits of doing so include better mood, better health, and even a more efficient workflow. Self-management means that we take steps to show up as our best self—at work and at home. Disconnecting from the workplace is key for recharging the energy needed to be that best self.

Some self-management skills are more specific to the workplace. Here are six that will show your maturity, reliability, and value to the company:

6 critical skills for self-management in work  

  • Prioritization. The right task at the right time. Rarely do we focus on only one project at a time. We’re always juggling deadlines and deliverables. Are you choosing the ones most important to your team, your boss, your company? Are you devoting the most effort to the aspects where you can add the most value? 
  • Solution-orientation. Inevitably you will encounter a hitch and have to make your manager aware of the problem. This is a great opportunity to practice, and show off, your self-management skills. Think through a solution (or two), and present that along with the problem. You’re flexing your problem-solving muscles and possibly taking work off your supervisor’s plate.
  • Resolution over escalation. Whether it’s an operational or logistical glitch, or perhaps an interpersonal disagreement, before sending it up the chain, think through the problem and, if appropriate, take steps to alleviate it before escalating. That doesn’t mean you shouldn’t consult with others, and do escalate issues where the consequences of failure are irrecoverable. Being thoughtfully proactive shows your professional maturity.
  • Reflection. Are you part of a process in need of improvement or a project that had a bumpy journey? These are opportunities to reflect and seek perspective. Imagine yourself looking down on the situation from a third-story window--this level of abstraction can reveal new options.  
  • Ownership. Acknowledge your role in “the messes” as well as the achievements.  When a project hasn’t gone well, when a deal falls through, when a client is unhappy—these are times when you can show your maturity and willingness to invest yourself.  Own it, fix it, and learn from it.
  • Agility.   You’ve crafted a fabulous way to package a deal for your new client. Your team chooses someone else’s approach. Can you let go of your idea and embrace the team’s direction with all of your energy and support? That’s a self-management skill that will get you noticed in the best way.

The tools and techniques below are fairly universal. Start with the ones that best address your particular weak spots.  Take it as a challenge to strengthen those muscles and grow!

  • Meditation apps. There are lots of meditation apps out there ( Insight Timer is my favorite) with hundreds of guided meditations. Taking 5-10 minutes each morning to calm your mind, reset your mood, and prepare for the day’s challenges can be a remarkably effective way to prime your self-management capacity.
  • A Planner.  Let’s go “old school” for a minute. There’s nothing like using a paper-and-pencil planner for getting—and staying—organized.  The physical act of prioritizing, plotting time, and writing things down can be incredibly helpful to ensure that you’re using your work time as efficiently and effectively as possible. 
  • Control over email/instant messaging.  Is your email set up so that you get a *ping* and a visual alert every time you get a message?  Do you work with instant messaging turned on all the time?  You need to stop that right now.  Those constant interruptions KILL your ability to concentrate, and research shows that we lose minutes to recover to each one.  Multiply those minutes over the hundreds of messages you get each day, and you can see why time is getting away from you.  Turn off notifications in email settings and schedule times when you turn off Instant Messaging, as well. 
  • Your Calendar.  You’ve got one, but are you in charge of it, or vice versa?  Here are two ways you can use your calendar to help with self-management:
  • Color code appointments to get a better sense of how you’re spending your time. Too many blue meetings, where you’re just a passive listener? Not enough peach time for you to work one-on-one?  Time to adjust.
  • Block time to actually work. For many of us, much of our workday is consumed by meetings, leaving little time to think or tackle projects. Make chunks of time unavailable on your calendar, and then protect them . The first few times you decline a meeting may feel awkward, but you’ll get better at it. 
  • Project management software. Managing yourself well as part of the larger group is important. Tools like Trello or Asana can help you work effectively with others by communicating deadlines, creating shared accountability, and reducing confusion around ownership of project components. 
  • Morning and evening review. At the end of the day, it’s tempting to flip off the computer and dash away from your workspace. Similarly, at the beginning of the day, you may want to scoot in at the last minute and hop right on a meeting. Neither habit serves your self-management. Instead, spend 5-10 minutes on your planner and calendar.  Go over what went well, what needs to be moved to the next day, and what stands out as highest priority. 

Use these tips, practice your skills, and you’ll be more likely to spend time on projects that matter, to honor deadlines and commitments, and to be better in control of your workday. Isn’t that what self-management is all about?

When you give a presentation, it is important to remember the whole package, and that means how you present yourself as well as how you present the material.

It is not good to spend hours and hours preparing a wonderful presentation and neglect the effect of your own appearance.

Whether you like it or not, people make judgements about you based on your appearance.

These judgements may be conscious or subconscious, but they all affect how, and whether, your audience is prepared to take on board your message as presenter.

The Importance of Expectations

When you stand up to give a presentation, the audience already has certain expectations about how you will behave, and what you will say.

These expectations may be based on the event, the marketing, their knowledge of you, or their previous experience more generally.

Expectations may also be based on societal norms, such as business people are expected to wear suits.

You don’t have to match people’s expectations, of course, but you do need to be aware that, if you don’t, they are going to have to spend time processing that difference. This mismatch will take some of their concentration away from your message.

You also need to be aware that people can only take so much discomfort.

A mismatch between expectations and reality can even lead to a situation called cognitive dissonance , where individuals come into contact with something — whether idea, person, or belief — that causes them to question their own internal beliefs and values.

This can be very uncomfortable, and the normal reaction is to try to avoid it. In a presentation situation, that's going to mean either leaving or just not listening, neither of which is ideal.

This is particularly important if you want to say something that your audience will find difficult to hear.

Aspects of Personal Presentation

Your personal presentation includes:

  • Accessories, which in this context means anything that you’re carrying or wearing, including your notes, although it also includes luggage, bags, phones, jewellery, watches, and scarves;
  • Body language; and

Your clothes are probably the most obvious aspect of personal presentation.

In deciding what to wear, there are several things to consider:

What does the audience expect?

It’s not actually as simple as ‘wear a business suit’, because this may not always be appropriate.

It does depend what your audience is expecting. On some occasions, or in some industries, smart casual may be much more appropriate. If you’re not sure, ask the organisers about the dress code. You can also ask someone who has been to the event before, or have a look online.

If it’s a regular event, there will almost certainly be photographs of previous occasions and you can see what other people have worn.

Within the audience’s expectations, what will make you feel comfortable?

You will present best if you are fairly relaxed, so you need to find a balance between the audience’s expectations, and feeling comfortable.

For example, you may have a particular suit that you think makes you look good. For women, it’s also worth thinking about shoes: you’re going to have to stand for the duration of the session, so make sure that you can do that.

If you’re not used to heels, don’t wear them.

Your accessories should be consistent with your clothes.

That doesn’t mean that your bag needs to be the same colour as your jacket.  However, if you’re wearing a suit, your notes should be in a briefcase or smart bag, and you’re not carrying a backpack or plastic carrier bag. Again, it’s about not distracting your audience from your message.

Likewise, your notes should be part of your thinking. Producing a dog-eared sheaf of paper is not going to help you project a good image. Papers tend to flap about, whereas cue cards can be held on your hand, which is why it is worth considering using cue cards, or even memorising most of what you’re going to say and using your visual aids as cues.

The Importance of Self-Presentation

In 2005, the Conservative Party in the UK faced a leadership election as leader Michael Howard announced that he would step down. The actual election was held between October and December that year. In October, at the Conservative Party Conference, each of the announced candidates was given an opportunity to make a 20-minute speech.

Before the speeches, David Davis was very much the front-runner in the competition. However, his conference speech was considered poor. He spoke from notes, and never really came alive. David Cameron, a more junior member of the party and considered by many an outside chance as leader, made a speech that set the hall alight. He spoke without notes, and with passion, presenting himself as the young, upcoming potential leader who could take the party in a new direction.

By the following morning, the bookies had David Cameron as the front-runner and he went on to win the leadership election.

Self-Presentation also Includes Body Language and Voice.

While there are many important elements of body language, perhaps the most important is to project self-confidence .

You need to demonstrate that you believe in what you’re saying. Otherwise, why would anyone else believe it?

Reducing Risk Factors • Identify what your risk factors for disease are. • Learn about your family history • Minimize your risk factors by working on the things you can control. • Physical activity • Nutrition • Drug Use • Medical check-up

Choosing a Good Activity • Choose activities: • You enjoy • You can do with a friend • Appropriate for your fitness level • Help you reach your fitness goals • That are easy to get started in

Setting Goals • SMART-C goals for each fitness component. • Specific, Measurable, Attainable, Realistic, Time-frame, and Challenging • Write your goals down. • Self-assess periodically and revise goals. • Reward yourself for meeting goals. • Focus on small improvements or maintenance.

Building Positive Attitudes • Make a list of your positive or negative attitudes. • Identify why they exist • Find activities that focus on your positive attitudes and minimize your negative attitudes • Change activities to reduce your negative attitudes • Discuss your attitudes with friends or family

Learning to Self-Monitor • Keep written or online logs. • Record information as soon as possible • People who track what they eat and how much they exercise lose more weight. • Use your logs to set or adjust your goals. • Use pedometers, heart rate monitors, or other activity monitors to track your activity.

Finding Social Support Assess your current level of social support. Find friends who share similar interests. Join a team, club, league, etc. Encourage your family to be involved.

Building Performance Skills Get lessons or help from experts. Start with small expectations of performance and build from there. Practice, Practice, Practice. Avoid competition when learning new skills. Compare your performance against yourself and not others. Choose activities that match your natural abilities.

Preventing Relapse Place your goals where you can see them. Keep a written or online log of your activity. Let others know about your goals. Make your physical activity time a routine. Don’t let a setback ruin your goals. Consider a variety of activities and keep it fresh.

Managing Time • Track your activity and non-activity times. • Analyze your results and make realistic changes. • Ensure you have enough time for all the things (not just physical activity) you want to accomplish • Create a schedule.

Improving Physical Self-Perceptions Engage in daily physical activity. Ensure your goals are realistic. Think about the things you ARE good at. Understand that everyone has weaknesses. Find a positive role model.

Saying “No” Practice saying “No.” Create a list before shopping. Avoid situations that offer temptation. Eat healthy foods at school. Pass on second helpings or “supersizing.” Eat slowly and enjoy your meal.

Learning to Think Critically Identify the problem. Collect information. Develop a plan. Implement plan. Evaluate effectiveness of your plan.

Controlling Competitive Stress Learn how to identify signs of stress. Avoid competitive environments. Get experience in performing. Practice and prepare. Use muscle relaxation techniques, breathe control, mental imagery, and routines.

Overcoming Barriers List your barriers and find solutions with help from others. Find ways to exercise at home. Create alternative activity plans. Become active in your community.
