Data Sharing

Plans for sharing - collaboration.

To support our collaborative activities we plan to:

To ensure data management, dissemination and clarity of roles exists within the project in the short, medium and long term, a formal agreement will be drawn up between project partner(s) / collaborators to include:

  • Agree and document research data ownership and dissemination actions
  • Agree data copyright and license requirements
  • Contact with RIS Legal Services to formalise negotiated positions and activity into a data sharing agreement
  • Confirm the research collaborative arrangements in the Ethical Review application including that a data sharing agreement exists

Plans for sharing - repository

Data from the project will be offered to the University of Leeds Research Data Repository or another appropriate data repository service in order to ensure the data can be shared, reused and cited beyond the end of the project.

At the beginning of the project, advice will be sought from the University’s Research Data team and a data management plan for the project will be developed. Research data will be deposited in the University of Leeds data repository, alongside metadata and documentation to aid discovery and reuse. The data repository is underpinned by a Janet(UK) approved long term data archiving service and data will be stored for a minimum of 10 years beyond the end of the project. Data will be made openly available after an appropriate embargo period [give justification, including information about patenting]. A unique digital object identifier (DOI) will be created for each deposited dataset.

The data generated and collected as part of this project will be stored in open formats wherever practicable and deposited in the University research data repository, where it will be preserved for the long term (10 years+). The data in the repository will also have a sufficient level of metadata associated with it to aid discovery and will be exposed using open protocols such as OAI-PMH as well as being discoverable by search engines such as Google.

I will maximise the impact of my research by ensuring data generated from my research is made as openly discoverable and accessible as possible via multiple dissemination routes. To achieve this ‘consent /permission/right to archive’ will be built into participant research information and consent processes. In addition consent forms and project information sheets and any agreements/contractual documentation will address data sharing/storage/archiving explicitly.

Restricted access data deposited with the University of Leeds data repository will be managed according to the University’s Research Data Access Governance and Escalation Model. Potential users will apply for access, stating their intended use. If successful, access will be subject to a data reuse agreement.

Consent: I agree for selected anonymised/pseudonymised research data collected to be stored/and or shared for future use.

Increasing the visibility of your research

Promoting your research and making it more accessible is becoming increasingly important. University departments and individual researchers are often measured by the citation performance of their papers. Making your research more visible can increase the chances of it being used and cited by your peers and the wider research community. This in turn can help to enhance the impact of your research and allows you to begin to build your reputation as a researcher.

You can increase the visibility of your research in a number of ways...

  • Make your research outputs Open Access
  • Share your research data
  • Sign up for an ORCID iD
  • Include University of Leeds in the author affiliation
  • Promote your research online
  • Present your research at conferences
  • Track when your research is being used and shared using bibliometrics and altmetrics
  • Carefully consider which journal to publish in

More information about each of these activities can be found on our 'Increasing the visibility of your research' webpage .

Open access

Open access publishing makes peer-reviewed scholarly works available online, free for anyone to find and read. The potential readership of open access articles is far greater than that for articles where the full-text is restricted to subscribers.

Open access requirements

The HEFCE policy for open access requires that, to be eligible for REF submission, journal articles and conference papers accepted from 1 April 2016 must have been deposited in an open access repository within three months of acceptance for publication. Find out more on our open access requirements webpages . Major research funders also require that research outputs produced as part of their funded projects be made open access.

The University also has a publications policy which requires staff and students to add details of ALL newly accepted outputs to the University Publications database (Symplectic) within 3 months of acceptance, and to upload the full text wherever possible.

How are publications made open access?

There are two ways to make research outputs open access:

  • by self-archiving in an open access repository, known as green open access. The peer-review process of publishing a paper with a subscription journal remains the same, but a version of the paper is available through a green open access route
  • by publishing in an open access journal, or with an open access monograph publisher, known as gold open access. You, your funder, or the University, usually pays for gold open access through article processing charges (APCs). Find out more about the funding available for APCs on our web pages

To find out more about how you can make your research open access, visit our Open Access webpages .

Making your thesis Open Access

The University requires you to deposit an electronic version of your PhD thesis in White Rose eTheses Online (WREO). Find out more about eTheses and how to upload your thesis to WREO on the E-theses webpages .

Research Data Management

Research data can take many forms; it is an important output, instrumental to your work and impact as a researcher. Research data management involves thinking about what will happen to your data during and after your research project. The University and many research funders expect data to be managed effectively and shared where possible. The Library-based Research Data Leeds team can help you create a data management plan and think about when, where and whether your data can be shared.

Write a data management plan

All research projects should have a data management plan; some research funders require you to submit one as part of your grant application. A plan helps ensure appropriate resources are in place to manage your data, including equipment, storage and staffing. You should consider short-term and long-term (post project) data management, and review and update your plan as a routine part of project management.

Information about data management plans is available on the research data website. Contact us for help and advice, including comments on draft data management plans.

Deposit and share data

Research Data Leeds is a research data repository, supported by the University and based in the Library. You can deposit data with this service, or with any other appropriate, trusted repository service. Most of the data in the Research Data Leeds repository is freely available for everyone to use. Where required, access to data can be embargoed or restricted.

Depositing with Research Data Leeds is straightforward. Library staff will work with you to prepare a description of your data (metadata) and provide you with a digital object identifier (DOI) so your data can be easily identified and cited.
