Creating conference posters: Structure, form and content

This article aims to provide an overview of the form, structure and content of conference posters for researchers who intend to submit an academic poster to a conference. It focuses in particular on the design and layout of academic conference posters, making some suggestions for possible poster layouts. It also provides information about factors influencing conference selection. Finally, it summarises some top tips to be considered when creating a conference poster such as font selection and use of images.

Introduction and aims

This article provides an overview of the process of designing and creating academic posters. It will discuss tools and resources that will be of use to researchers who intend to submit an academic poster to a conference.

Academic conference posters are a method of communicating academic research succinctly ( Gopal et al 2017 ). Posters give the opportunity to present the author’s work in an attractive way. They can be created for a number of reasons, including communicating the progress that a research project is making, to look for collaborators for future research projects, as an alternative to a traditional conference presentation, as an effective entry to the development of professional presentations ( Durkin 2011 ) or to further a career. Creating a poster provides the author with a pleasing visual record of their research, which can be displayed publicly after the conference. Academic posters are also created in order to increase a researcher’s impact in a particular field of research, which may open up future research and employment opportunities.

The audience for a conference poster will depend on the nature of the conference. Many organisations hold their own internal conferences that communicate the results of projects that have been undertaken within departments, or to promote best practice. The audience at an academic conference will be researchers, academics, students and professionals who want to keep up to date with the latest research or who are looking for potential research collaborators. Sometimes scientists will be asked to present their research to members of the public in a poster. The content and presentation of the poster will need to be adapted to suit the intended audience. This article focuses on the design of academic conference posters in order to meet these needs.

Conference selection

When selecting a conference at which to present a poster, there are several factors which should be considered by the author. For example, researchers should consider which conference has the most relevant subject coverage. This may be a conference which the author has previously attended, one that is promoted by a colleague, or one that is advertised in a journal or mailing list. Lang et al (2019) identified five factors that students and practitioners should consider when selecting a conference to attend. These factors are:

  • The conference is targeted towards specific areas of interest
  • There are opportunities for networking
  • There are well-known and respected plenary speakers
  • There is an opportunity to present
  • The conference has been recommended by others or has been attended by the author previously.

Another factor which will influence conference selection is cost. In order to obtain funding from an employer or external funding organisation, it may be necessary to demonstrate how presenting at a conference will benefit the author and their organisation ( Gray 2020 ).

Poster layout

The main purpose of creating an academic poster is the ability to communicate information in a concise and visually pleasing way ( Gundogan et al 2016 , Rowe & Ilic 2011 ). In order to present information as clearly as possible, a conference poster can have a similar structure to a research paper – but it will need to have a much smaller word count. This means initial planning to ensure the relevant information is conveyed within the poster using the words available.

Before beginning to design and create an academic poster, the requirements of the conference should be clearly understood by the author. These requirements include the orientation of the poster: is it landscape or portrait? Does the conference specify which fonts must be used and what size? How long can the title be? If submission guidelines are not followed, it may lead to a conference poster submission being rejected ( Berg & Hicks 2017 ).

Once the requirements have been read and understood, it is time to begin the design process. It is helpful to sketch a poster on paper first before creating it on a computer. The poster can be designed using boxes to represent the different sections, and the content can be added later. There should be a clear flow from section to section on a poster to make it as easy to read and follow as possible. Poster colour schemes should be carefully selected, keeping to only two or three colours. Red and green colour combinations should be avoided, as people with colour blindness will find this combination difficult to read. Colour can be used to emphasize the poster’s primary focus – for example red to associate a poster with heart disease ( Christenbery & Latham 2013 ).

In order to make a poster attractive and easy to comprehend, around 30 to 40% should be empty space, for example between each section of the poster. There should be 40 to 50% of the space taken up with graphics, and 20 to 25% should contain text ( Baker 2012 ). If a poster contains too much text and too many graphics, it makes it much harder to read.

For an alternative design idea, see resources that Morrison has created ( Morrison 2019 ). This alternative poster design was developed in order to make it much easier for a poster’s audience to understand the main finding that the author is communicating. In this design, all the important information is included but is not the main emphasis of the poster. It also incorporates the use of a QR code where the poster and supplementary material can be downloaded.

A key part of any academic poster is its title. The title of an academic poster is the part that is going to grab people’s attention and encourage them to read the poster. It is therefore vital that it clearly describes the topic of the poster and is short and catchy ( Siedlecki 2017 ). It should be the largest font size on a poster.

The author of an academic poster should be clearly displayed on the poster along with the author’s job title and contact details. This will allow anyone with questions to follow-up once the conference is over. In their study, Gopal et al (2017) found that only 41% of the posters they assessed included contact details either email or postal address. The author’s organisation and/or funder may also require that their logos be added to the poster.

The introduction is the opportunity to explain why the poster was created and set the context for the information presented in the poster. As in a research paper, the methods are used to explain how the research was conducted. If the poster is about a particular procedure or piece of equipment, a photograph can be used in place of words. The addition of photographs will make a poster more visually pleasing and will reduce the number of words required in the methods section.

Research results can be presented in several ways, such as graphs, charts or infographics. This again makes the poster more visually pleasing and aids the comprehension of the results. Data that are presented as graphs, charts or infographics ensure that the results of research can be understood much quicker than trying to read tables of data or large amounts of text.

The conclusions of the research can be presented as bullet points, the information can be listed in a concise way that the audience can easily find on the poster. This section may include what was learnt, the significance of the findings and opportunities for future research.

The main text of a poster should be readable from at least 1.5m away. Any labels on diagrams and references can be of a smaller size. Exact font sizes might be specified in the conference submission guidance, in which case these should be followed exactly. Any headings of the same importance should be of the same font size.

It is important that any other sources used during the creation of the poster are correctly referenced. It is usual to have around five references on a poster, all formatted correctly. Using a reference manager such as Endnote, Mendeley or Zotero can help to ensure that references are in the correct format. Endnote has a plugin which can be used with PowerPoint, for other reference managers, authors must create the references in Word and then copy and paste them to PowerPoint. As Gopal et al (2017) discovered in their study, even when pre-defined requirements are only size and orientation, 28% of posters did not meet both of these criteria.

Presentation of information

As Gundogan et al state (2016) an academic poster should be an aesthetically pleasing format – therefore an important element of any poster are the images that it contains. These could be photographs, diagrams, charts or graphs. If images are used they should be in PNG, GIF, JPEG or TIF formats as these are better for re-sizing without losing image clarity. If images from other sources are used, it is important that any copyright licences are complied with. If possible, an author should use their own images as they will own the copyright on those images. As Gopal et al (2017) illustrated in their study, only 29% of posters assessed had no copyright issues with the material they had included. Any images included in a poster should have a resolution of at least two hundred dots per inch or 80 dots per centimetre to avoid the image having a grainy or pixelated appearance when it is enlarged. Pixabay is a good source of royalty-free images with CC0 licenses ( Pixabay 2020 ). The use of infographics can make a poster more visually appealing. Infographics can be created in many applications, including Canva, Easelly or Piktochart.

When creating a poster, it is important to ensure that the poster has been completed ahead of any deadlines to ensure that there is enough time to print the poster, if required. The conference requirements may state that the posters will be printed by the organisers or the author may have to print it themselves.

Presenting a conference poster online

During the COVID-19 pandemic, many traditional face-to-face conferences have been moving online. There are three main formats that conferences have used to present posters in an online environment.

  • An online gallery – posters are hosted online. These online galleries are sometimes supplemented with an online discussion board to ask questions about the posters.
  • Asynchronous – this involves recording a video presentation of about 5min explaining the poster. There may then be a live session during the conference where attendees could question the posters author.
  • Synchronous – a poster is presented live during a scheduled session with the opportunity for questions.

Although the disadvantage of electronic posters is that they are harder to keep on permanent display, the advantage is that they can still be viewed after a conference is over, allowing discussions to continue ( Powell-Tuck et al 2002 ).

Conclusion and top tips

When creating an academic poster, the author needs to ensure that the submission guidelines are followed. The use of a non-serif font makes the content easier to read in smaller sizes. If any images that are not the author’s own are used, the author should have the correct permissions to use them. The author should try not to cram as much information as possible into the poster; there should be a clear flow and space between sections on the poster. In order to avoid any errors in spelling and grammar, a colleague can be asked to proofread the poster before it is submitted.

Once the conference is over, the poster can be displayed in an office or in the author’s department. This allows a wider audience to see the poster. The poster could be added to a repository online if it has not already been archived by the conference.

Design Principles

  • A typical conference poster has a horizontal layout and is often 48 x 36 inches but may vary depending on the conference requirements. To edit the dimensions of your poster in PowerPoint, click on the Design tab. 
  • It is recommended to keep your poster to 3 or 4 columns of content
  • Columns do not need to be the exact same size, yet they should look consistent and evenly spaced.   For example, you might have a larger width column in the middle of your poster, and the two side columns will be smaller but the same size. 
  • Well-designed posters are typically 20-25% text , 40-45% graphics (tables, figures, or images), and 30-40% white space .
  • Think of your poster as a visual abstract that illustrates the essential components of your EBP Project.
  • Do not underestimate the importance of graphics and white space. Too much text in a small font size can be very difficult for viewers when reading your poster. Brevity and synthesis are key when it comes to effective poster design.  
  • Title: 80 pt

  • Captions: 28 pt
  • You do not need to be a professional artist to create a stunning poster! 
  • Keep it simple, remember that brevity is key, and do not be overly wordy
  • Remember that your poster is a visual representation and a synthesis of the "greatest hits" of your EBP Project
  • Use high-resolution images and attribute them correctly (see the UToledo Images LibGuide ) 
  • Choose a consistent and complementary color palette (see the UToledo Brand Guide information on Palettes )
  • Type your text in MS Word first, then copy and paste into the PowerPoint template
  • Use a non-serif font (i.e. Arial, Helvetica) for title and headings
  • Use a serif font (i.e. Times New Roman, Palatino) for body text
  • Use high-resolution images
  • Consider copyright when using images
  • Cite and reference your sources in APA 7th Edition Style (if you cannot fit your reference list on your poster, you may include a supplementary handout or provide a QR Code  on your poster linking viewers to your references)
  • Share your poster with trusted peers or classmates for review and constructive criticism prior to having it printed

AACN invites deans, directors, chairs, faculty and academic administrators to submit an abstract for an upcoming conference. AACN requests submissions showcasing programs, courses, initiatives and/or evaluation strategies that characterize the conference theme and address the many changes and challenges faced in undergraduate and graduate nursing education.

General Information

Completed work or projects may be submitted for a poster or a podium presentation. Projects in progress may be submitted as poster presentations only.

Abstracts may highlight original research, quality improvement projects, evidence-based practice, or programmatic innovations. 

Abstracts may have been presented elsewhere or published within the past 12 months but shall be updated to relate specifically to this conference. 

Presenters are asked to identify any potential conflict of interest related to the content to be offered (e.g., commercial interest, affiliation with a vendor, and/or receipt of royalties) and affirm that their abstract presentations will not be used to sell a particular product or service. AACN exerts the right to rescind the acceptance of an abstract due to any conflict of interest discovered after the fact. 

Sub-committee members are not eligible to submit to their respective conference. 

The primary author will be the point of contact for all communication with AACN. 

Primary authors on all accepted abstracts must register for the conference and present the abstract. Co-authors cannot present in place of the primary author. Any co-authors wishing to present with their primary author are required to register for the conference as well.  

Presenters are responsible for their own expenses, including the conference registration fee, travel, accommodations, and other expenses.

Submission Guidelines

All abstracts must be submitted electronically through AACN’s submission website by creating an account to upload an abstract.  

Only a complete submission is eligible for review; ensure that a completed abstract is evident in your submission.  

A confirmation email will automatically be sent to the email provided for the primary author once the abstract has been fully submitted.  

Single Author Submission Instructions:

 List single author as primary author.

The primary author is allowed a maximum of two (2) abstract submissions per conference. If more than two abstracts are submitted per author, only the first two submissions will be reviewed and eligible for acceptance.

The primary author must submit the abstract.

The primary author is the corresponding author and is the point of contact for all communication with AACN.

The primary author must indicate their preferred type of presentation format (Podium Presentation or Poster Presentation).

Abstract submissions that are incomplete after the submission deadline will not be eligible for presentation nor will they be considered for review.

Submissions shall not exceed 300 words overall and must include Background/Introduction, Purpose, Methods, Results, Limitations, Conclusions/Implications for Practice.

Submissions should reflect conference title or abstract themes. Include summary recommendations for others who may be considering a similar approach.

Abstracts may highlight original research, quality improvement projects, evidence-based practice, or programmatic innovations. Formatting of the abstract should be consistent with the type of project being presented.  

Team of Authors Submission Instructions:

List the primary author first.

The primary author must indicate the teams preferred type of presentation format (Podium Presentation or Poster Presentation).

Podium and Poster Presentations will be offered in-person at the conference venue.

Podium Presentation Podium presentations will be in the form of 15-minute presentation with a scheduled time for live questions and answers. Presentations will be audio-recorded on-site and made available for on-demand after the event. Presenters are provided with a laptop computer and LCD projector.  

Poster Presentation Poster presentations are presented on double-sided poster boards holding one (1) poster per board. All posters should be oriented in landscape format and must not exceed 48" W x 36" H. In addition, posters will be featured in the Virtual Poster Showcase on the virtual conference platform with the option to provide a pre- recorded 2-minute video presentation.

Review Process

Each abstract is peer-reviewed by at least two reviewers.

Reviews are blind; hence, reviewers do not see names of submitters or school affiliations.

To increase the probability of an abstract being selected, please read the scoring rubric the reviewers follow.

Acceptance Notification

Email notification of abstract acceptance will be sent to the primary presenting author only. Only the primary presenting author is required to either accept (or deny) the presentation invitation form. 

The author’s failure to return the “intent to present” information will disqualify the abstract from presentation. 

Once the primary author has accepted, AACN will collect additional materials (e.g., brief biography, headshot, etc.), which will be distributed to all conference participants. (Detailed instructions will be provided).

Presenter Guidelines

Presenters: Please read the following Presenter Guidelines.

Presentation of Content

  • Present current, clinically relevant, and evidence-based information to meet your stated educational outcome.
  • Provide a balanced view of the topic area, be objective when reporting research, and disclose unlabeled use or potential of unlabeled use of drugs/products where applicable.
  • Use person-centered, recovery-based language. See General Principles for Reducing Bias   for more information.
  • Discuss the safety and adverse effects of any drugs/products presented.
  • Inform APNA if you anticipate new applications or changes to the FDA status of a presented product that may impact the planned content.
  • Include case studies where applicable.
  • Support assertions and clinical studies, theories, models, etc. with current evidence-based references. Presenters are responsible for the accuracy and completeness of references.
  • Obtain permission to reproduce any copyrighted materials. This includes any materials outside of the public domain: graphs, charts, logos (including hospital and university logos), photos, screenshots, cartoons, audio, movie clips, etc. Provide copies of correspondence granting permission. Images not supported with permissions will be removed from slides. For more detailed information about different materials, when you can use them, what needs to be provided to APNA, and what needs to be listed in slides / on posters, see our Copyright Summary Chart below.

For oral/podium presentations only:

  • Use ONLY the slide presentation reviewed and approved by APNA.
  • Develop content to fill the entire presentation timeslot.
  • Pre-conference sessions require 6 post-test questions, answers, & rationale.
  • Concurrent sessions require 3 post-test questions, answers, & rationale.
  • Mini concurrent sessions require 1 post-test question, answer, & rationale.

Powerpoint Guidelines:

  • State your disclosures (including any discussions of off-label uses of medications) on slides 1 or 2 of the PowerPoint (If you have none, write “The speaker has no conflicts of interest to disclose. Discussions of off-label use of medication will not take place in this presentation.”).
  • Include a slide stating your learning outcome. For help with writing effective educational learning outcomes, see Bloom’s Taxonomy Action Verbs .
  • Include current references and citations for all images (including clip art) and evidence-based content.
  • 45-minute Concurrent Sessions: 20 slides of content
  • 20-minute Mini Concurrent Sessions: 10 slides of content
  • Pre-Conference Sessions: Approximately 1 slide for every 2 minutes of content

Tips for Slides and Presenting

Tips for powerpoint.

  • Use a reasonable size font (size 20-24) and don’t cram too much information on each slide.
  • Avoid Death by Powerpoint – Do not read directly from your slides! The PowerPoint should be a bulleted guide, not complete sentences.
  • Follow the 6×6 or 7×7 rule (lines per slide and words per line)
  • Charts/tables/graphs in your slides should be readable for the audience – or, consider putting it on a separate handout for attendees to download & print before the session.
  • Use citations and provide any copyright permissions (see Disclosure / Presentation of Content Guidelines above)
  • Cite all images!
  • Use spell check & grammar check – be professional
  • Be mindful of plagiarism

May 23, 2023 Podium Presenter Information Call – 1pm Eastern / 12pm Central / 11am Mountain / 10am Pacific

May 24, 2023 Poster Presenter Information Call – 1pm Eastern / 12pm Central / 11am Mountain / 10am Pacific

June 2023 Presenters will receive instructions for the submission of program materials. Program materials include post-test questions, answers, the rationale for correct answers; educational design form; references; keywords/search terms; permissions for any logos, charts, diagrams, images, etc. within presentation materials; handouts, PowerPoint presentation (in ppt format). Poster program materials include pdf or poster; permissions for any logos; charts; diagrams; images used on the poster.

June 2023 Conference Registration Opens Primary presenters of conference presentations (both podium and poster) will receive an email with a discount code.

July 24, 2023 Program Materials Deadline for podium presentations. (This is required in order to present for all pre-conference sessions, concurrent sessions, and mini concurrent sessions. Program materials are submitted via the abstracts submission site (including permissions for logos/images).

July 31, 2023 Poster Program Materials Deadline Poster presenters must upload a pdf of their poster by this date in order to be reviewed for NCPD credit and included in the poster judging process. Submit permissions for all images used on the poster.

August 21, 2023 Early Bird Registration Deadline – Presenters Registration Deadline All presenters (primary presenters and co-presenters) for all presentations must be registered by this date. This includes both podium and poster presenters: pre-conference sessions, concurrent sessions, mini concurrent sessions, and poster presentations.

October 4-7, 2023 Travel to Lake Buena Vista, FL, and present at the in-person Annual Conference!

I am a junior currently pursuing a Bachelor of Science in Nursing degree at WSU Spokane. I have been a part of the Honors College at WSU and completed a Mindfulness-Based Emotional and Social Intelligence (MESI) certificate. I plan on completing my Honors Thesis in the Fall of 2024 on the relationship between Cohen’s perceived stress scale and self-reported food insecurity among NIH All of Us Data. This poster is a presentation of my research, and any feedback would be appreciated. I am interested in research regarding social determinants of health, planetary health, and integrative nursing.

Deadline: Friday, May 17, 2024 (no later than 11:59 p.m. EST)

Local Sigma leaders invite EMCON members to submit abstracts for the 2024 Nursing Research Symposium on Oct. 19, 2024. All abstracts are welcomed, including written, visual, and performing arts* consistent with the theme: "Respect, Reflection and Response: Nurses Championing Health and Equity." Non-Sigma members and students are also encouraged to submit abstracts (work completed or in process). Deadline to submit: May 17, 2024.

This nursing Continuing Professional Development activity will be submitted to the Northeast Multistate Division Education Unit, an accredited approver by the American Nurses Credentialing Center’s Commission on Accreditation.

Submission Requirements

1. Cover letter with: 

  • Name of all presenters with credentials
  • Professional title and affiliation
  • Address, daytime phone #, and email address for primary presenter
  • Preferred presentation format: podium (15 minutes plus 5 minutes Q & A), rapid rounds (5 minutes), poster, or PechaKucha*
  • Title of presentation
  • One intended learning outcome (“The learner will be able to…”) 

*PechaKucha is a presentation which includes 20, image-based slides, each displayed for 20 seconds. Learn more here .

2. Abstract Format: 500 words maximum, 1-page limit; 12-point font. See format below:

Note: Exclude references or tables and any identifying information from the abstract, such as authors’ names or institutions.

UNC School of Nursing students advocate for nursing profession at AACN conference

The University of North Carolina School of Nursing is proud to announce the participation of its students in the recent American Association of Colleges of Nursing (AACN) Student Policy Summit (SPS) held in Washington, DC. The two-day conference, open to baccalaureate and graduate nursing students, offered an immersive experience in the federal policy process and nursing’s crucial role in professional advocacy.

Candace Beddard, a DNP student, described the Summit as a highlight of her academic journey, stating, “Attending the AACN Student Policy Summit was a highlight of my DNP journey. The opportunity to advocate on Capitol Hill was amazing and has ignited a passion for continued advocacy work!”

The AACN SPS provided attendees with didactic program sessions aimed at enhancing their understanding of policy advocacy and its impact on the nursing profession. Participants had the opportunity to engage directly with policymakers on Capitol Hill, advocating for issues vital to nursing education and practice.

Joshua Barrett, a PhD student, highlighted the significance of engaging with policymakers, saying, “At the AACN Student Nursing Policy Summit, I had a great experience learning about policy advocacy and exploring the robust nursing advocacy platform. Meeting with staffers on Capitol Hill to discuss nursing issues was particularly insightful.”

Avery Berg, a BSN student, emphasized the importance of representing the UNC School of Nursing and the nursing profession as a whole, stating, “This weekend, I learned so much about policy and how to be an advocate for not only myself and my story but also for the nursing profession as a whole. I was also very proud to represent the Carolina Community and to share our experiences with the members of Capitol Hill.”
