Employment: Common Questions And Answers

Thinking about teaching in a boarding school? Got some questions? In this fictional conversation, a job seeker and I chat about looking for employment in a private school.

Credentials

Q. Do I need a teaching certificate to teach in a private school?

A. Not necessarily. It depends on the school. Some schools will employ you without a teaching certificate with the understanding that you become certified within a stated time frame, typically a year. Job advertisements are usually clear about requirements.

Q. Do I need an education degree to teach in a private school?

A. Most private schools value degrees in a subject more than an education degree. For example, if you are presenting yourself as an English teacher, the school will look for a bachelor's degree with a major in American or English Language and Literature. The teaching skills and methodology that you could learn if you did an education degree will be useful; however, most private schools will require you to teach in their own proprietary way. After all, that's why parents are sending their children to boarding school. They value the curriculum and how it's taught.

Q. Do I need to have a master's degree or a doctorate?

A. Your resume will stand out from the competition when you offer a master's or terminal degree. Once again, schools understand that a highly-credentialed faculty is a powerful asset when it comes to marketing what they do. If you have started work on your master's or doctorate, be sure to indicate that on your resume. Discuss your further education plans at the interview. Bring it up even if the interviewer does not raise the subject.

Q. Will schools ask for a curriculum vitae?

A. Some will. Some won't. Typically, most schools will ask for a cover letter and a resume when you apply. It pays to keep a detailed curriculum vitae up to date. You can offer it when the school interviews you. A CV is invaluable for documenting your activities and affiliations. It develops a more complete overview of you as a person.

Q. Do I have to have teaching experience?

A. It will depend on the school. For example, if you are an alumnus of the school to which you are applying, you will probably find a warm welcome, all things being equal. The school will most likely ask you to take some teaching courses and seminars as soon as convenient in order to formalize your credentials. They will assume that you know how things are taught at their school. In any case, they will guide and mentor you as you develop and refine your teaching skills.

Q. Do I have to coach a sports team?

A. Most boarding school teaching positions include coaching a sport as part of their duties. That's because the entire school participates in sports. Most schools offer a wide variety of athletic activities, not just major sports such as football and basketball. If you played badminton, tennis, or golf, for example, you will fit right in.

Finding jobs

Q. How do I find available boarding school positions?

A. Assuming that you are looking for something in your local area, explore the websites of private schools in your locality. If a school has an opening, it will be easy to find the link to it on its website. If you are interested in finding a job further afield, Google "private school teaching jobs your desired location " That will start your search. The regional private school associations' websites also list jobs.

Q. Is there a specific time of the year when I should start looking?

A. Since most teachers have year-to-year contracts, the school will notify them whether their contracts will be renewed or not. This renewal or non-renewal process usually occurs at the end of a calendar year. I recommend beginning your job openings research in December.

Applying for jobs

Q. How do I apply for a private school job?

A. The job posting on the school's website will be very clear about how to apply. Follow those instructions to the letter. If you omit a required document or submit your application in a format that is different from what the school is asking for, your application might not even make the first cut.

Q. I don't have a printer. Can I handwrite my application ?

A. Absolutely not! First impressions are everything in a job application. You want to make sure your application goes on the "interview" pile. A business services store such as The UPS store or Staples will be able to print your application materials for you.

Q. The school wants me to mail my application materials. Can I use a #10 envelope to send my application and supporting documents?

A. Absolutely not! Use a 9" x 12" manilla envelope. Include a letter-size piece of cardboard with your unfolded application materials. That way, everything will arrive in pristine condition. Impressions count. A professional presentation of your application and supporting documents indicates that you care about details.

Q. I have a standard cover letter that I have been sending out with every job application. Is this ok?

A. No. Always customize your cover letter to the job for which you are applying. For example, if the position being advertised states "English teacher with AP exam reading experience," the first sentence of your cover letter should state that you are applying for that position.

Q. My standard cover letter is three pages long. Is that ok?

A. No. A cover letter should be no more than one page long. Your resume and curriculum vitae will include all the details you need to share with your future employer.

The interview

Q. How should I dress for the interview?

A. Conservative business formal attire is always appropriate. That can include a dark suit or a blazer with dark pants. Don't wear sneakers or stiletto heels. Don't wear cologne or perfume.

Q. My religion requires me to wear a head covering. Is that ok?

A. Yes, it is.

Q. I have not interviewed in years. How should I prepare for my interview ?

A. Do a couple of practice interviews with a trusted advisor. Dress as you would for the interview when you do your practice sessions. Record those sessions so that you can review any weak answers or visual faults. Don't be afraid to ask questions about the job or your responsibilities.

This video offers help with answering common interview questions.

Q. How early should I be for my interview?

A. Plan to arrive 10-15 minutes before the time appointed. That will give you a moment or two to relax and compose yourself for that all important first meeting with your future employer.

Before You Write Your Cover Letter

How to write a cover letter for a school job, what to include in the letter, sample cover letter for an education position, sending an email cover letter.

Your cover letter will be the first—and most important—impression you give to the hiring manager.  Don’t presume your resume will speak for itself, especially if you are applying for a competitive job in education.

The goal of your cover letter is to make you stand out from the rest of the applicants, and there are several ways to draft a letter that will do just that.

There is some preparation work you should do before you write your letter.

Research the school or organization that is hiring. The more you know about the organization, the easier it will be to make the best impression.

Personalize Your Letter

You can use information gathered from the research you did on the employer to personalize your letter. This will show that you wrote the cover letter specifically for the position they are looking to fill, and that you are interested enough in the job to learn about the educational institution ahead of time.

Try to Find a Contact Person

Try to find out who will be reviewing your resume. Often, it will be the head of human resources or a hiring manager, or it could be the principal of the school. Sometimes this information can be found online within the job listing. You may be able to contact the school using the phone number or email address provided in the posting.

If you can't find a contact person, it's fine to use "To Whom It May Concern" or to simply start your letter with the first paragraph.

Use a writing style that is less formal than your resume when writing your cover letter; try to show your personality. The mission of your cover letter is to highlight you, your skills, and your accomplishments and to show your sincere interest in filling the position.

Your cover letter should include the following elements:

Salutation: If you can find a contact person, address the person by name in the greeting of your letter.

First Paragraph: Following the salutation, the first paragraph should thank this person for taking the time to review your resume. Also, it should explain why you are hoping to land the position. Be sure to specifically name the job title for which you are applying.

Second Paragraph: Explain why you're a good fit. Think of one or two notable reasons you feel you would be a good fit for the position. Do not be bashful.Be honest; you want to come across as confident and earnest. In the second paragraph, talk about your education and previous experiences that make you the ideal candidate for the position they are trying to fill.

Third Paragraph: Finally, the third paragraph should includea few closing statements. Express your enthusiasm for the job and how you feel you are the ideal fit for the role. It is also okay to be assertive and say something like, “I look forward to being contacted for an interview.”

Closing and Signature: End your letter with a formal closing, followed by your signature. If you are sending a hard copy cover letter with your resume, don’t forget to sign it.

How to Write a Cover Letter

Applying for a job at a private school is a little different from posting your resume on Monster.com , which is what you would do if you were seeking a position in the business world. In the K-12 private school employment market, you present your application materials in the format and manner set forth on each individual school's website. In other words, you customize every application you submit. One size does not fit all. Each application requires an original cover letter, not one which you have used on another application. In case you think that this detail doesn't matter, remember that dozens of other applicants, i.e., your competitors for the position, will have followed specific application instructions to the letter. And that is as it should be. Don't question a school's application instructions. Do as it asks. Of course, when you have questions, do not hesitate to call the school and ask for clarification. Most of the time schools will be happy to help.

This video shows you how to write a four-sentence cover letter.

Let's take a look behind the scenes. I screened applications and interviewed candidates for almost two decades. My company did not specify a format for applying. It used Monster.com to find candidates who seemed to have the qualifications and experience which we were seeking. But I was always amazed, and sometimes shocked, by the resumes and the occasional cover letters which we received. Can you imagine submitting a cover letter or completing an application online with typos and spelling mistakes? I saw hundreds of those. I understand that business correspondence such as resumes and cover letters is not taught in high school anymore, or, at least, doesn't seem to be taught. That's too bad because sooner or later job-seekers begin to realize that there has to be a reason why they are not even getting a call back when they submit a job application. There are many reasons why they don't receive a callback, but one of the main reasons is that the person who is screening applications both online and in hard copy scans for keywords and appearance. The applications which meet the standard for a callback go in one folder; the applications which don't make it go in another folder. You must make absolutely certain that your job application ends up in the callback folder.

This video offers another take on writing a cover letter.

Examples of Employment Opportunities

The following are examples of the approaches to applying for a job that several private schools use.

From The Hill School, Pottstown, PA : "All resumes and cover letters must be submitted via the School’s online application system. Interested applicants may apply for jobs and read detailed job descriptions here. A representative of The Hill School will follow up with you if there is an interest in learning more about your skills and experience. Thank you for your interest in employment at The Hill School."

From Rowland Hall, Salt Lake City, UT :

"Rowland Hall Middle School is seeking a Three-Dimensional Studio Art Ensemble Teacher to lead instruction and direct the Middle School 3-D Studio Art Ensemble course. Students will design, sculpt, assemble, and configure different materials in processes brought to life by a practicing artist. Bachelor’s or master’s degree in education and/or studio art recommended. Review the complete job description. Please email a cover letter, resume, and references to Andrea Beckman, Middle School Administrative Assistant, at [email protected]" From Saint Paul's Episcopal School, Kansas City, MO

"Employment Opportunities/Current Positions

Toddler Associate Teacher (position begins in August) Part-time, 7:45 a.m. - 1:15 p.m. Mon-Fri. Benefits-eligible. Experience with young children required. A degree in Early Childhood preferred. Please send cover letter and resume to Sheila Abio, [email protected]"

Preparing the Cover Letter The cover letter or letter of interest is always one page in length. It must be crafted carefully and free of typos. Follow these guidelines if you are asked to submit your application by snail mail:

  • Use plain white paper, not fancy vellum or parchment type of paper.
  • Center your letter perfectly on the page.
  • Use Microsoft Word or a similar program to create your letter.
  • Use a plain font such as Arial.
  • The font size should be 12 points.
  • Print the final copy using a laser printer as laserjet ink smudges.
  • Sign your cover letter using black ink.
  • Use the address indicated on the school's employment page.
  • Create a customized cover letter for each position for which you are applying.
  • Put the cover letter and the required documentation in a large envelope so that you do not have to fold the materials.

Here's an example of a snail-mailed cover letter:

Most schools will ask you to email them a cover letter. Use the following format:

Tip: There is no need for a formal salutation or greeting such as "Dear Dr. Smith" in business emails. Nor is it necessary to use a formal close such as "Yours truly." Greetings and closes suit the more formal printed and snail-mailed business letter format. Email is crisp and business-like when you allow it to be.

This video offers another example of a cover letter.

Whether you use snail-mail or email formats for cover letters which the schools request, remember that these cover letters are not pitches. This type of cover letter simply explains what materials you are submitting and the position for which you are submitting them, as well as expressing your interest in the position which the school is advertising. Keep your message short and to the point.

Application Process

Ready. set. apply.

Understanding the boarding school application process is important, no matter what school you decide to attend.

The Application Process

The Application Process has a lot of moving parts. There’s a lot to take in, process and organize, especially if you’re applying to more than one boarding school. Below is an outline of steps to help you complete all parts of the process thoroughly and on time.

Build Your Application Foundation

Start by gathering all of the deadlines for each school you wish to apply to. Most school websites list all deadline information. If not, the school will have their own application checklist included with the school catalog and application materials. This checklist will include all deadlines. Generally, schools encourage students to complete the entire admissions process by the first of February, but many schools have their own timetable. Be sure to double check each school’s admission timeline in their published materials.

Many schools have rolling admission, meaning that students can apply throughout the year and the admission office will inform you of the decision shortly after you submit your complete application.

A few boarding schools now offer early admission. Applying through an early admission program often requires your completed application by about the end of November and a commitment to attend the school if accepted. Make sure that you know the terms and guidelines if you apply under early admission terms.

Request Information

Contact the admissions office of each school on your list to request the admissions/application packet. There are several ways to do this. School contact information is on every school profile page on our website and on the admissions page of each school’s website. You can also call or email the school’s admissions office directly.

The admissions packet often includes a printed school catalog, a student application, a writing sample form, teacher recommendation forms, and an academic transcript release form.

TIP:  If you are ready to apply, make sure you request the complete packet, not just the school catalog.

Most schools require an online application. Some schools use the SAO – Standard Application Online, while others require the Gateway to Prep Application. Check with each school to see which application they accept.

To complete the Standard Application Online (SAO),  start here . To complete the Gateway to Prep Application,  start here .

There are often educational tests required by the school prior to admission. In addition to SSAT, ISEE, and TOEFL, schools may also want to see any standardized achievement tests used by your current school. For more on testing and test prep, check out the Testing Process page.

Schedule an Interview

An on-campus interview is one of the most important parts of the application process. While local or regional information gatherings are helpful, most schools place a great deal of importance on the quality of the interview. Schedule an interview and school visit for each school on your list the same way you requested an Admission/Application Packet.

TIP #1:  Most boarding schools require an on-campus admissions interview, but if you live a great distance from a school, many schools will help arrange an interview with a local or regional admissions representative, often an alum of the school.

Tip #2:  Don’t schedule multiple interviews in a single day. We advise students to schedule only one interview a day. Take your time. Enjoy your visit. See all there is to see. It is important.

For more information on how to ace your interview, check out our  7 Tips for a Better Boarding School Interview .

Submit Your Applications

Use the application checklist from each school to make sure you have submitted all parts of your applications. Most schools will include an application checklist with their application materials. Check, and then double check everything is complete and submitted.

Ongoing Communication & Notifications

Find out who is handling your application in case you have any follow up questions. Usually there is one admissions officer in a school admissions office who will evaluate the student’s candidacy. It is appropriate to send a “Thank You Note” to your interviewer but do not badger the admissions office. It will not help your application.

Gather the admission notification dates for each school on your list. Unless you have applied for rolling or early admission, most schools will notify you on or around April 10. Students who have been offered admission are generally given 30 days before a decision and a deposit is required. Once again, be sure to consult each school for variation in the notification Process.

In general, admissions committees will render one of four decisions on the application:

Admit:  You are accepted!

Defer:  The school is still interested in admitting you, but probably has some concerns about grades. They may want to see another set of grades before they make their final decision. Call the school to clarify status.

Waitlist:  They really want to admit you, but don’t have a room just yet. Most schools create a waitlist of qualified candidates in case a student who was enrolled decides not to attend at the last minute. In this event, the students at the top of the waitlist are offered admission. Call the school to clarify your status and get an understanding of their timeline.

Denied:  The school has decided not to admit you. It’s the not decision you hoped for, but if you don’t get admitted to a particular school, there are likely other opportunities that will work out well.

Further things to consider when writing application letters to schools

Application Letters

Application letters are letters that you write to formally request for something from authority, apply for a job, or join an institution. Effective application letters will give a detailed explanation for your interest in the specific item, company, or institution. They showcase your abilities and strengths and illustrate your experience. In most cases, people write application letters to express their interest in receiving a position, attending an institution, or when applying for a visa, for instance. In all scenarios, application letters must be accompanied by the relevant documents. Application letters are the perfect tool to demonstrate something of your personality. Therefore, you should write in a professional tone setting a clear outline that allows the reader to scan the primary data quickly. Introduce yourself and briefly explain your intent and reason for the application. Address the letter with a title or name of the recipient. If your application is for a job or to join an institution, for example, you need to highlight your experience and qualification; if you are applying for a travel visa, make sure to state a clear intention for your travel. End with a positive tone and invite the recipient to contact you.

Letters to Schools

Letters to schools are letters written to institutions designed to provide learning environment and spaces to pupils and students. There are many times when you may feel the need to write to a school administration. Maybe you want to recommend a student or employee or want to apply for an academic program. Perhaps your child has a disability, and you want to make sure that he/she is receiving special education services. Whatever the issue, putting your thoughts in writing avoids confusion since it provides you and the recipient with a record of your request. It is, therefore, crucial to keep a copy of any letter you send. All letters to schools must use the standard business letter style. Start your letter with the proper address and salutation. Introduce yourself and explain the reason for your letter clearly and concisely. Depending on the content of your letter, provide any documentation that gives the recipient reference to the case or clarifies your concerns. Keep the tone polite, respectful, and professional. Close by thanking the recipient for his/her time and with a note of anticipation of positive feedback. Sign off and proofread the final draft before sending it.

For instance, you might have volunteered for extra shifts, completed training courses or worked overtime to ensure the children in your care were well taken care of.
