When you build your PowerPoint presentation with the OpenType typefaces that ship with Microsoft Office, you rely on resources that both the Mac and the Windows editions of the software recognize and support. Older typefaces in PostScript Type 1 and TrueType formats present challenges because these font technologies organize their characters differently depending on the platform they support, and use file formats that install only under one operating system. If your presentations rely on special typefaces to comply with corporate identity systems or institutional use policies, verify that the Windows users with whom you share your files have access to the font software you use.

Problems With Images

To avoid missing and incompatible image files, follow cross-platform best practices when you use these assets in Mac PowerPoint presentations that you send to Windows users. Like the WMF format once popular under Windows, the Mac-specific PICT format can contain either vector or bitmapped resources. You may not see many PICT files on a Mac running a current version of OS X, and these graphics don't migrate successfully between operating systems. Embed artwork and audio resources directly in your presentations to ensure that they accompany your PowerPoint files when you send them to colleagues who use Windows PCs.

Multimedia Technicalities

Many PowerPoint presentations incorporate video footage and sound files to present tutorials or testimonials. Without special support for QuickTime file formats, Windows can't play videos that Macs support natively. To ensure cross-platform compatibility for presentations that incorporate video assets, stick with movie files in formats that both Macs and PCs can handle without the need to install special software. Convert your MOV files to AVI or MPEG formats to use them successfully under multiple operating systems. Likewise, use WAV or MP3 files for sound effects and audio, rather than Mac-native AIFF files.

Maintaining Compatibility

Microsoft PowerPoint offers you two opportunities to assess the cross-platform compatibility of your presentation files. Open the "View" menu and click "Compatibility Report" to check for problems that may interfere with file access in Windows versions of PowerPoint and in older editions of the software for Macs and PCs. PowerPoint triggers this same compatibility checker when you use the "Save As" command. The report lists any problems, explains them and offers you the choice of correcting or ignoring them. Use the XML-based PPTX file format when you save your files and avoid file names that contain punctuation other than hyphens and underscores.

There are subtle differences between PowerPoint PC vs Mac. You know that PowerPoint has always been synonymous with PC (Windows). The fact is that PowerPoint was initially for the Mac. PowerPoint was a presenter at the time, but in 1987 got the current PowerPoint name.

For example, Mac users can enjoy transparent images and hexagonal color codes before they finally appear for PC users.

With all that in mind, here are what we found to be the most significant differences between the latest* versions of PowerPoint PC and  Mac:

2. Developer’s Brain

If you want to know the difference between PowerPoint PC vs Mac  with a developer’s brain, here are some of the main things you need to know:

PowerPoint on Mac is not as powerful as the PC version of PowerPoint, i.e., it lacks essential features. A PowerPoint feature you can find on a PC, but it’s still on a Mac.

You can do many drawing pens on your touch screen in PowerPoint on PC. It might be beneficial to have the advantage in helping straight lines.

2. Keyboard Access to the Ribbon

You use the Alt key on a PC to open key commands and navigate the ribbon almost entirely without a mouse.

3. Photo Album

You can take hundreds of photos in one folder, then create a PowerPoint slideshow on Mac. 

A new feature lets you open two versions of a single PowerPoint file under the Review tab and identify the differences.

5. Picture Layouts

Macs have image layouts under SmartArt, but you still can’t select multiple photos and turn them into mechanical designs like our Windows friends.

6. Insert Screen Recording

This feature makes video tutorials from within PPT relatively easy on PC and makes animated GIFs quickly in this article.

7. Text to Speech

You press a button and have PowerPoint transcribe your voice. You can find this on Dell and HP brands laptops.

8. Reapply Master Notes

You can reapply these master notes by Right-clicking, so you reapply them on PC, but not on Mac.

9. Resize the Presenter View Window

On PC, you can easily resize Presenter View, which is very useful in this age of Zoom and remote presentations. Macs don’t support Zoom yet. But Windows already supports zoom.

10. Copy Paste Section

You can copy one section at a time, keeping the section names.

11. Black and White Display

Mac and PC have different color displays. That means the colors of slides created on a PC are different from those on a Mac. They will be lighter on Mac. There is a difference in screen color when opening Microsoft Office on Windows with Mac.

12. Import/Export QAT

You can’t place the Quick Access Toolbar under the ribbon on a Mac, and development can’t import or export customization files. On PC, you can import shapes from illustrators saved as emf. and ungroup them to create shapes that you can change their color.

13. Set Custom Font Theme

You can create templates for clients and set the font theme to something other than the default with Windows. PCs have a better ability to develop themes.

14. Edit Link

Macs can’t translate most objects that you embed in a PC PowerPoint presentation. Hyperlinks link them to the presentation file instead of embedding these files (Word, Excel, PDF, etc.). You can relink the Excel file you renamed and moved. The same goes for tables and spreadsheets. 

But, PowerPoint for Mac is great because you can insert PDF and EPS files directly.

15. Animation Timeline

You may find some functions that allow editing on one platform, but you can only view in slideshow mode from other platforms. Powerpoint PC has more control over animations by selecting a group and changing their state altogether (your Mac will have to do this one at a time). Mac doesn’t have the Animation Painter*, a time-saving tool that lets you apply animations to other objects in a presentation.

And Mac cannot enter appropriately formatted equations, video or animation triggers, and video trimming.

For example, the Motion Path animation in PowerPoint PC can be viewed on the Mac, but you can’t add or edit the motion path.

16. Compatibility Check

PowerPoint for Mac includes a compatibility report option and checks for issues– then tells you exactly what features need to be compromised and what won’t work.

PowerPoint PCs, especially 2013, have a similar compatibility checker that you can access from Files – but this option only looks at compatibility issues, no help for problems with the Mac version.

17. Keynote

The Mac has Keynote, which seems to be superior to Powerpoint in every way – and it’s cheap/free.

Keynote exploits multimedia features, resulting in better Mac slideshows with solid transitions and a more elegant UI.

18. Think folder

It would be best if you first did for both PowerPoint PC and Mac to create an empty folder for the presentation you make to hold all the media assets, including pictures, sound, and movie files. You must put it in this folder before inserting it as a link in PowerPoint. Before creating links to Word documents, Excel sheets, PDFs, or other documents, you must copy all these folders. You can share the entire folder and all its contents. For example, you are using dropbox.

19. Stay Current

It would be best to keep all your PowerPoint PC and Mac software up to date. You can check the latest service pack for Microsoft Office for Windows here: http://www.microsoft.com/powerpoint or for Mac here: http://www.microsoft.com/mac

The latest versions of PowerPoint (2013 for Windows and 2011 for Mac) have fewer compatibility issues than previous versions.

Use the font as default on PC (Windows) and Mac. For example, Arial, Times New Roman, Courier New, Verdana, Tahoma, Trebuchet MS, or Calibri.

Once upon a time, on desktops far, far away, there was PowerPoint for Windows and something very very different for Mac… If you remember PowerPoint:mac 2011, you might still have recurring nightmares about the amount of effort it took to create presentations. There were so many things missing in PowerPoint for Mac compared to the Windows version. These days things have improved, but there are still a few key differences between the two desktop platforms of the world’s favourite presentation design software.

Here at BrightCarbon we have a rather unique perspective on compatibility because we tend to look at PowerPoint with two brains. The first is the ‘user brain’: like many of you, we use PowerPoint every day to create presentations, videos, documents and more. The second is the ‘developer brain’: this is our add-ins development team! This team spend a lot of time thinking about how we can push PowerPoint far beyond its native capabilities. They are the brains behind our free PowerPoint design and productivity add-in BrightSlide and a lot more good stuff ! They have also spent a lot of time contemplating (and being frustrated by) what we can do with add-ins in Windows that we can’t on Mac.

The user brain

If you’re using PowerPoint regularly to create masterpieces, you need to know what features are, or are not, supported by each platform.

Generally, new features first appear in the Windows version of PowerPoint (at least until PowerPoint for the Web was conceived. But that’s another story!) However, some of these features never make it to the Mac at all. On the other hand, there are a few features that Mac users got their hands on ahead of PC users. For example, transparent pictures and hex colour codes were enjoyed by the Mac community long before they finally appeared for PC users – in 2018 and 2020 respectively.

However, as the saying goes, the only constant in life is change. And as Microsoft continue to invest in both desktop platforms, the differences appear to be getting smaller.

With all that said, this is what we’ve discovered to be the most significant differences between the latest versions* of PowerPoint for Windows and PowerPoint for Mac:

The developer brain

Making PowerPoint do things it doesn’t do out of the box is one of our passions. If you've ever run or written a macro for PowerPoint, Excel or Word on a Windows PC you'll probably be familiar with the Developer tab. Move over to the Mac and you'll be able to turn on the Mac Developer tab for both Excel and Word but it simply doesn't exist for PowerPoint. Until now!

PowerPoint for Mac is rubbish. There, I said it. Paid for a 365 for PP and half of the stuff doesn’t exist. Why the hell the feature set can’t be the same seems ridiculous to me. Trying to get a job as a PowerPoint designer when you’re on a Mac is pretty much impossible!

Microsoft PowerPoint presentations will run on both PCs and Macs regardless the platform on which they were created. However, PowerPoint presentations created without using media-file best practices may encounter compatibility issues. Any problems a Mac has running a PowerPoint presentation created on a PC stem from embedded file type incompatibilities, as opposed to problems with PowerPoint itself.

PowerPoint Files are OS-Agnostic

PowerPoint files, identified by the file extension ".pptx," are operating-system agnostic files. An operating-system agnostic or cross-platform file's compatibility is determined by the program that reads the file, as opposed to the operating system. For example, Microsoft Office can read and edit Word Document, PowerPoint Presentation and Excel Spreadsheet files within the Windows and Mac OS X platforms. Alternatively, Windows, Mac OS X and Linux users can access Microsoft Office files using the OpenOffice program.

The Media File Conundrum

Designing PowerPoint presentations with cross-platform best practices in mind can ensure that all elements of the presentation will work in Office for both Windows and Mac OS X. According to Microsoft, users should avoid WindowsMedia and QuickTime file formats for audio and video content because the two may not work on Mac OS X and Windows systems respectively without installing additional software. Additionally, Mac-based "PICT" graphics won't work on PCs within presentations; instead, use GIF, PNG or JPG.

Practical Tips for Using Keynote on Mac

To add a slide transition effect, select the slide from the slide navigator on the left, then click on the Animate tab in the window's top-right corner. Choose the Action option and click on the Add an Effect button. You can select from over a dozen effects and customize their duration, direction, and start time.

To animate individual objects on the slides, select the objects and go to Animate > Build In > Add an Effect. You can preview the effect and change its order, timing, and delivery. You can also use the Build Out option to animate how objects disappear from the slides.

To use Magic Move, duplicate a slide and change the position of the objects on both slides. Then select the first slide and choose Magic Move from the Add an Effect menu. Keynote will automatically create a smooth animation between the two slides. You can adjust the duration and other options as well.

To edit your slide layouts, go to View > Edit Slide Layouts. You can add, delete, or modify any slide layout to suit your needs. You can also change your presentation's theme, background, and color scheme.

To customize your toolbar, go to View > Customize Toolbar. You can drag and drop any tool you want to add or remove from the toolbar. You can also choose between icon-only, text-only, or icon-and-text modes.

To use action buttons for shapes in Keynote, select a shape and go to Format > Add Link > Slide. You can choose which slide to link to or use the Next Slide or Previous Slide options. This way, you can create interactive presentations that let you jump around different slides with a click.

To access a variety of chart styles, simply click the Chart button on the toolbar or navigate to Insert > Chart in the menu bar. You'll find a wide range of styles, including 2D, 3D, and Interactive options.

Handy PowerPoint keyboard shortcuts for Windows and Mac

Whether you’re creating a presentation or giving one, you can do it more efficiently with the help of keyboard shortcuts in the Microsoft PowerPoint desktop app for Windows or macOS.

Microsoft > PowerPoint [Office 365]

PowerPoint’s Ribbon interface is great for finding everything you might ever want to do in the presentation package — particularly things you don’t do frequently, like using the rehearse timing feature.

But if you’re looking to do common tasks fast, you’ll find keyboard shortcuts far more useful. Why bother to lift your hands from the keyboard if you want to open or close a presentation, apply formatting, or start a presentation?

There are keyboard shortcuts to accomplish a vast array of tasks in the PowerPoint desktop client, in both the Windows and Mac versions. (Fewer shortcuts are available for the Mac, but you can create your own custom keyboard shortcuts if you like.)

We’ve listed the shortcuts we’ve found the most useful below. Most work whether you’re using a subscription (Microsoft 365/Office 365) or non-subscription version of PowerPoint. For even more shortcuts, see Microsoft’s Office site, which lists shortcuts for creating and delivering a presentation.

Note: On Macs, the ⌘ key is the same as the Command or Cmd key.

Create, open, and name a presentation

Go to powerpoint.office.com .

Select New blank presentation , open a Recent file, select one of the themes , or start with a presentation template .

To name the presentation, select the title at the top and type a name.

If you need to rename the presentation, select the title and retype the name.

Add a slide

Select the slide you want your new slide to follow.

Select Home > New Slide .

Select Layout and the you type want from the drop-down.

When working in PowerPoint for the web, your work is saved every few seconds. You can select File > Save a Copy to create a duplicate copy in another location.

Or choose File > Download As to save a copy to your device.

When you're online, AutoSave is always on and saves your changes as you work. If at any time you lose your Internet connection or turn it off, any pending changes will sync as soon as you’re back online.

How to open Microsoft PowerPoint presentations in Apple Keynote on a Mac

If you use Microsoft PowerPoint on your Mac, you can save the presentations you create and open them in Keynote, Apple’s presentation app. It’s a handy feature to use in case you can’t access Microsoft’s apps.

Every Mac comes with Apple’s iWork apps: Pages (word processor), Numbers (spreadsheet), and Keynote (presentations). And these apps can import Office documents. Here’s how you can open Word documents in Pages, as well as export Pages documents for use in Word.

How to import Microsoft PowerPoint presentation into Apple Keynote

This procedure works with .pptx and .ppt file formats.

  • Launch Keynote (it’s in the Applications folder of your Mac).

  • A window may appear, explaining any changes that were made during the import process. The more complicate your PowerPoint presentation (formatting, fonts, images, etc.), the higher the possibility that a change had to be made. The simpler the document, the more your file will resemble what you created in PowerPoint.
  • That’s it. The PowerPoint file should open in Keynote.

Before you start working on your presentation, look it over carefully. Formatting may have changed and you may have to fix it. There’s always a chance that so much happened during the import that you can’t use your presentation.

How to export Apple Keynote presentations as Microsoft PowerPoint documents

If you’ve been working in Pages and will eventually return to Word, you can export your document as a Word file. Here’s how.

  • In Keynote, click on the File menu and move your cursor to “Export to”.

  • When you click Export, this will save the file.

Formatting Between Mac and PC for Powerpoint

I've created a pptx on my MAC but some of the slides don't appear properly to my recipients opening on their PCs....any idea what could be causing it? I've sent them all the fonts to install but that didn't resolve it. They are working with Powerpoint 2013 and I'm working with my Office 365 for Mac. Thanks in advance for any help!

However, "but some of the slides don't appear properly to my recipients opening on their PCs" doesn't really give us much to work with. What exactly is the problem?  What's changed from what you see on your Mac to what they see?

Are you by any chance using Adobe (ie, Type 1/PostScript) fonts rather than TrueType fonts?  If so, that might be the problem.  Office no longer supports PostScript fonts even if they're installed on the Windows PC.

PowerPoint: How to Add Audio to Powerpoint on Windows 10 and Mac

Known Issue (August 14, 2023): 

Some Windows 11 users are experiencing issues with PowerPoint exports when they are turned into .mp4 files. Visuals within the exported PowerPoint are appearing as flipped, or upside down. We are working with Microsoft to find a solution. 

As a workaround, please convert the file as a .WMV file option and save it in My Media.  The following are directions on how to convert a PowerPoint Presentation with audio to a .WMV file . For more support or to help troubleshoot issues, please reach out to the LTS Help Desk at [email protected]

Microsoft PowerPoint offers features to record audio narration and export it as a video. PowerPoint records audio slide-by-slide rather than in one continuous file, allowing creators to easily re-record a slide if they make a mistake or need to change something later. Exporting as a video and uploading to Kaltura or Canvas for streaming is advantageous since it standardizes file types, doesn't require a download to view, is in a format that can be captioned, and allows viewers to navigate more efficiently. 

A recent update has made the process comparable on a Mac, but the specifics vary. Windows 10 instructions follow; Mac users can click the link below to jump to the appropriate instructions.

Windows 10 Instructions:

The following instructions explain how to add audio to your PowerPoint presentation on Windows 10 and export that PowerPoint as an MP4. The text instructions cover the same information as the embedded video below.

NOTE: If you have an older version of PowerPoint, you may need to update it to access the features described below. If you do not have PowerPoint, you can download it and other Microsoft Office products for free by going to office365.uwec.edu. If you have questions about updating or installing PowerPoint, contact the LTS Help Desk at [email protected] or 715-836-5711. 

  • Design your PowerPoint TIP: Use images and limit text to better engage viewers/listeners.  

Click slideshow tab and record slideshow to record audio narration.

  • Click Record Slide Show NOTE:  Audio may start recording automatically if you have an older version of PowerPoint. It will still work, but this version offers reduced functionality.

  • Record narration and avoid reading text on the slide out loud to viewers. Click the blue Replay button to listen to the recorded audio and ensure it was recording.

  • Press [Escape] or the ‘X’ button located in the top right of the screen when the audio recordings are finished. You will see a speaker icon on slides that have audio.

Click File

  • Select Export  (steps 10-14 are shown in screenshot below).
  • Select Create a Video .  
  • Optional: Select Full HD (1080p) for the video quality; it is unlikely a higher quality is needed.  
  • Select Use Recorded Timings and Narrations.

  • Follow prompt/pop-up window to save the video in a memorable location.

  • How to upload and share with Kaltura (Instructors should use Kaltura. Students will need to use it if the file is over 500 MB, which a PowerPoint probably won't be and they can use Canvas.)

Elaboration on the Recording Features:

  • Timing Feature – there is a rolling time feature for the individual slide and the overall presentation. Allows the speaker/presenter to monitor how long they are talking.
  • Microphone Feature - Click on Settings  and select Microphone  and then the specific device to set up before recording.
  • Replay Feature - Use to check that the audio is recording properly before starting additional slides.
  • Clear Feature - Select Clear  to delete/re-record audio.
  • Don’t set the camera to record - Make sure this button has a diagonal slash through it to avoid the problem.

  • TIP: Use images and limit text to better engage viewers/listeners.  

To record your narration, select Slide Show tab and Record Slide Show

  • Click Record Slide  Show
  • TIP: Before you begin recording your full presentation, do a practice recording to verify your microphone and other settings are correct.

Recording button in PowerPoint on Mac

  • NOTE: Avoid reading the text written directly on the slide; use the slide to elaborate on the material being presented.
  •  Stop speaking for a second to prevent the audio from cutting out as slides change. Resume speaking when the time starts moving again under the Current slide timing feature to the left of the recording button.
  • Click Stop or Pause  at the top of the screen and then End Show  in the top left corner   when all the audio recordings have been finished.
  • Check the audio by clicking on Play from Start  under the Slide Show tab or the presenter mode icon at the bottom of the screen.

Click record slideshow, clear, and clear timing on current slide.

  • Edit the name of the file and where you would like to save the video following PowerPoint's prompts.

  • Click Export

  • Upload your mp4 video to Kaltura or Canvas to share it:
  • How to upload and share to My Media (Instructors should use My Media. Students will need to use it if the file is over 500 MB, which a PowerPoint probably won't be and they can use Canvas.)
