Whether this is planned or unplanned, it’s important to fill out any necessary paperwork and include a letter explaining your leave request. It’s also possible you may need to create a leave request for a child. By filling out a leave application, crafting the content of your letter, and formatting your leave letter, you can ensure the leave request is approved promptly.

As such, the parents of any child who are absent from school without authorization for any length of time are likely to be considered as committing an offence under s444 of the Education Act 1996.”

Generally, students have to present a leave application to their class teacher or the Principal. If not, parents may also write a leave application on their child’s behalf. Sometimes the letter may be written after taking leave but it is always recommended to inform the school beforehand. Depending upon the reason for your absence, the content of your application may change. However, one should maintain a polite tone and write the letter in a formal format.

How to format the leave application

This is the first section for every kind of leave application. This contains information about who is sending the letter or writing the leave application and to whom it has been addressed.  Example,

 A formal greeting to the addressee

Always greet your teacher or principal at the beginning of the letter. Example,

“Respected Madam/Sir” or “Madam/Head Mistress”

 Mention the subject line

The subject line explains the reason for writing the application in a short sentence. It need not be a big complete sentence. Always make sure that you are mentioning the subject of the application in less than 8 words. Example,

“Leave letter for grandfather’s death” or “Leave letter for uncle’s wedding”

 A line for leave of absence

Firstly, introduce yourself by mentioning your name and grade. Then, in one or two sentences mention the reason why you are taking leave form school. Also, provide the dates clearly when you are taking leave. Example,

It is not mandatory to mention a lot of details but if you want to stress upon why taking leave is important for you, add a few sentences in extension to your reason regarding taking leave. Here, you may explain your situation in details. You can also mention here how you will manage with completing the school work. This will show that you are aware of your responsibilities towards your studies. Example,

“My brother’s wedding is a precious moment for the whole of our family, a great occasion for all of us to be together and I also want to be a part of it.” Or “We have tried to schedule the appointment to Saturday but the visa office is open only on weekdays.”

End the application by a formal request

In the end, request your teacher or principal to grant you leave for the stated period and thank them in advance for considering your request. This shows your courteous behavior and hence increases your chances of getting a leave. Example,

“I will be glad if you could allow me to take leave for 3 days so that I can attend this cultural event and rejoice with family.” Or “It is my humble request if you can allow Simon to take leave for a day as it is important for us to get the visa renewed.”

 Closing the letter

In end present your courtesies by thanking the addressee and once again mention your name and grade. Also, get your application signed by your parent. If you are a parent, mention your name and relation with the child. Example,

How to Write a Leave of Absence Letter

Although there is no single correct way to write a leave of absence letter, the letter must be professional, informative, and timely. It should include the current date, the request for leave, the beginning and end dates of the leave period, and any plans for preparation or coverage during the employee’s absence.

Employers or corporations can require the employee to provide a reason for the leave of absence. For instance, if the worker applies for the Family Medical Leave Act, they must include a statement determining their eligibility.

However, in general, the employee does not need to go into full detail about their situation. Instead, they can use discretion when writing the letter. In this case, statements such as “attending to family issues” or “having a medical procedure” provide sufficient reasoning.

Understanding the Family Medical Leave Act

The Family Medical Leave Act (FMLA) is a law created by the federal government to allow employees to take temporary, unpaid time off. It enables the worker to take temporary leave (up to twelve (12) months). The law’s primary purpose is to guarantee that the employee can resume their position in the company after they take time off. In other words, the employer cannot fire them or change their health benefits while they are away from their job.

An employee is eligible for FMLA if they:

  • Give birth or care for a newborn child; or
  • Adopt or receive a foster care child;
  • Care for an immediate family member (i.e., spouse, parent, child) with a serious health condition; or
  • Are unable to work due to a severe medical illness or condition; AND
  • Have worked for a covered employer for at least 12 months, with at least 1,250 hours of work before leaving.

An employer has coverage (and thereby can offer FMLA to its employees) if they:

  • Are in the private sector and employ 50 or more employees for 20 or more workweeks in the preceding calendar year; or
  • Are a public agency (i.e., local, state, or federal government), regardless of the number of employees; or
  • Are a public or private elementary or secondary school, regardless of the number of employees.

How to Request a Leave from Work

When requesting a leave of absence from work, refer to the company’s policy. Understand if the employer has FMLA coverage and/or the criteria that the employee needs to meet to take time off. If the company has a human resources department, discuss the leave with staff and ask relevant questions.

As soon as the employee takes the initial steps, they should submit a formal leave of absence. Once the worker sends the official document, the company accepts or rejects the request. Each letter remains on file with the employee, even if the employer does not approve the application. It serves as a record and, if accepted, provides guidelines and/or information about the agreement between both parties.

Employees should request leave as soon they can to notify the company properly. However, an individual cannot always predict significant life events. If sudden changes arise that require short- or long-term leave, the worker should give the employer as much notice as possible.
