A research paper can be made stronger through the use of quotations. You may use quotes when you need to cite a key piece of primary source material, strengthen your argument through another writer's work, or highlight a term of art. It is important to both use quotations effectively and cite them properly to write an effective paper and avoid plagiarizing.

Using Different Types of Quotes

Step 1 Understand how to use dropped quotes.

  • Use a complete sentence to incorporate a dropped quote. Ex: As Rembrandt’s skill developed, he began painting landscapes that are “romantic and visionary” (Wallace 96).
  • Use a short phrase to incorporate a dropped quote: Rembrandt’s landscapes are “romantic and visionary” (Wallace 96).

Step 2 Understand how to use full sentence quotes.

  • Use a complete sentence to introduce a full sentence quote. Ex: Over the course of time Rembrandt’s work began to change and focus on different themes, but as Wallace points out: "Rembrandt’s great gift as an etcher lay in preserving a sense of spontaneity while scrupulously attending to close detail” (142).
  • Use a signal phrase to introduce your full sentence quote. Ex: As Wallace states, “Rembrandt’s great gift as an etcher lay in preserving a sense of spontaneity while scrupulously attending to close detail” (142).

Step 3 Understand how to use block quotes.

  • Introduce your block quote with a colon. Ex: According to Wallace: (add a line break here, and then indent the entire quote).
  • Block quotes do not use quotation marks. You have already stated who the author is/what is being referred to in the introduction sentence. Add the in-text parenthetical citation after the period at the end of the quote, though.
  • If your block quote is inside a paragraph, you don’t have to start a new paragraph at the end of it. Simply add another line break and begin writing along the left margin (with no indent). Step 4 Understand how to use indirect quotes.

  • Change the structure of the sentence by moving clauses around. Aim to change at least half of the sentence into a new structure, but also make sure that the grammar is correct and the meaning of the sentence is still clear. You can use a thesaurus to exchange words with synonyms.
  • Paraphrasing should only be done if you are certain that you understand the content you are copying. If you are unclear as to the meaning of the quote, you won’t be able to put it adequately into your own words.
  • When you write your paraphrase, don’t look at the quote. Keep the meaning in your head and create a new sentence to match. [7] X Research source

Formatting Your Quotes

Step 1 Know where to place commas and periods.

  • To use a comma, you might structure the quote with in sentence like this: “Yogurt provides beneficial bacteria to your gut,” so it is good to include 1 serving per day in your diet.
  • To use a period, you might structure the quote like this: “Carrots are a valuable source of vitamin A.”

Step 2 Know where to place exclamation points and question marks.

  • Example of a quotation that comes with a question mark: Alice said “but where will I go?” (24).
  • Example of asking a question about a quotation: With so much contention, will literary scholars ever agree on “the dream-like quality of Alice’s adventure” (39)?
  • Example of a question about a quoted question: At this point in the story, readers communally ask “but where will I go?” (24).

Step 3 Use ellipses correctly.

  • Ellipses can be used in the center of a quote to leave out words that you feel add unnecessary length to the statement without adding value. For example: As the man stated, “reading the book was...enlightening and life-changing.” This is done rather than: As the man stated, “reading the book over the last few weeks was not only incredibly enjoyable, but also enlightening and life-changing.”
  • Ellipses should be used only before or after a quote, not both. If you are only use a part of a quote from the center of a selection, it is just a partial or dropped quote. However, keep in mind that ellipses rarely come at the beginning of a quotation. [11] X Research source

Step 4 Use brackets correctly.

  • For example: As scholars have noted, “Rembrandt’s portrait of her [Henrickje, his mistress] was both accurate and emotion-filled” (Wallace 49).

Step 5 Use colons and semicolons correctly.

  • Ex: As Dormer has noted, “his work is much more valuable now then [sic] it was at the time of its creation.”

  • Ex: We can therefore ascertain that “Rembrandt’s decline in popularity may have been his dedication to Biblical painting” (Wallace 112).

  • Don't be a sloppy note-taker. Unfortunately, accidental plagiarism is all too common, and it has serious consequences. You may not have meant to plagiarize, but if you write someone else's words down without indicating that you are using a direct quotation, you are plagiarizing whether it was intentional or not (after all, merely relying on lecture notes and not on your own research is lazy and not acknowledging direct quotes as you take notes from texts reflects poor organization). Quoting and integrating sources into your paper

In any study of a subject, people engage in a “conversation” of sorts, where they read or listen to others’ ideas, consider them with their own viewpoints, and then develop their own stance. It is important in this “conversation” to acknowledge when we use someone else’s words or ideas. If we didn’t come up with it ourselves, we need to tell our readers who did come up with it.

It is important to draw on the work of experts to formulate your own ideas. Quoting and paraphrasing the work of authors engaged in writing about your topic adds expert support to your argument and thesis statement. You are contributing to a scholarly conversation with scholars who are experts on your topic with your writing. This is the difference between a scholarly research paper and any other paper: you must include your own voice in your analysis and ideas alongside scholars or experts.

All your sources must relate to your thesis, or central argument, whether they are in agreement or not. It is a good idea to address all sides of the argument or thesis to make your stance stronger. There are two main ways to incorporate sources into your research paper.

Quoting is when you use the exact words from a source. You will need to put quotation marks around the words that are not your own and cite where they came from. For example:

“It wasn’t really a tune, but from the first note the beast’s eyes began to droop . . . Slowly the dog’s growls ceased – it tottered on its paws and fell to its knees, then it slumped to the ground, fast asleep” (Rowling 275).

Follow these guidelines when opting to cite a passage:

  • Choose to quote passages that seem especially well phrased or are unique to the author or subject matter.
  • Be selective in your quotations. Avoid over-quoting. You also don’t have to quote an entire passage. Use ellipses (. . .) to indicate omitted words. Check with your professor for their ideal length of quotations – some professors place word limits on how much of a sentence or paragraph you should quote.
  • Before or after quoting a passage, include an explanation in which you interpret the significance of the quote for the reader. Avoid “hanging quotes” that have no context or introduction. It is better to err on the side of your reader not understanding your point until you spell it out for them, rather than assume readers will follow your thought process exactly.
  • If you are having trouble paraphrasing (putting something into your own words), that may be a sign that you should quote it.
  • Shorter quotes are generally incorporated into the flow of a sentence while longer quotes may be set off in “blocks.” Check your citation handbook for quoting guidelines.

Paraphrasing is when you state the ideas from another source in your own words . Even when you use your own words, if the ideas or facts came from another source, you need to cite where they came from. Quotation marks are not used. For example:

With the simple music of the flute, Harry lulled the dog to sleep (Rowling 275).

Follow these guidelines when opting to paraphrase a passage:

  • Don’t take a passage and change a word here or there. You must write out the idea in your own words. Simply changing a few words from the original source or restating the information exactly using different words is considered plagiarism .
  • Read the passage, reflect upon it, and restate it in a way that is meaningful to you within the context of your paper . You are using this to back up a point you are making, so your paraphrased content should be tailored to that point specifically.
  • After reading the passage that you want to paraphrase, look away from it, and imagine explaining the main point to another person.
  • After paraphrasing the passage, go back and compare it to the original. Are there any phrases that have come directly from the original source? If so, you should rephrase it or put the original in quotation marks. If you cannot state an idea in your own words, you should use the direct quotation.

A summary is similar to paraphrasing, but used in cases where you are trying to give an overview of many ideas. As in paraphrasing, quotation marks are not used, but a citation is still necessary. For example:

Through a combination of skill and their invisibility cloak, Harry, Ron, and Hermione slipped through Hogwarts to the dog’s room and down through the trapdoor within (Rowling 271-77).

Important guidelines

When integrating a source into your paper, remember to use these three important components:

  • Introductory phrase to the source material : mention the author, date, or any other relevant information when introducing a quote or paraphrase.
  • Source material : a direct quote, paraphrase, or summary with proper citation.
  • Analysis of source material : your response, interpretations, or arguments regarding the source material should introduce or follow it. When incorporating source material into your paper, relate your source and analysis back to your original thesis.

Ideally, papers will contain a good balance of direct quotations, paraphrasing and your own thoughts. Too much reliance on quotations and paraphrasing can make it seem like you are only using the work of others and have no original thoughts on the topic.

Quoting is when you use someone else’s exact words in your paper. It requires that quotation marks go around that author’s words, and the quotation is followed by an in-text citation.

  • Find a portion of a book, journal, or website that you would like to use in your paper. Copy the words you plan to use.
  • Put quotation marks at the beginning and end of the copied text.
  • Add an in-text citation at the end of the quoted text (outside the quotation mark).
  • Write (in your own words) to give context or introduce the quoted text.
  • Add the sentence with your own words, the quote, and the in-text citation to your paper.
  • Add the full citation to your reference list at the end of your paper.

In an APA Style paper, every page has a page header. For student papers, the page header usually consists of just a page number in the page’s top-right corner. For professional papers intended for publication, it also includes a running head .

A running head is simply the paper’s title in all capital letters. It is left-aligned and can be up to 50 characters in length. Longer titles are abbreviated .

APA headings have five possible levels. Heading level 1 is used for main sections such as “ Methods ” or “ Results ”. Heading levels 2 to 5 are used for subheadings. Each heading level is formatted differently.

APA headings (7th edition)

The title page is the first page of an APA Style paper. There are different guidelines for student and professional papers.

Both versions include the paper title and author’s name and affiliation. The student version includes the course number and name, instructor name, and due date of the assignment. The professional version includes an author note and running head .

APA title page - student version (7th edition)

The abstract is a 150–250 word summary of your paper. An abstract is usually required in professional papers, but it’s rare to include one in student papers (except for longer texts like theses and dissertations).

The abstract is placed on a separate page after the title page . At the top of the page, write the section label “Abstract” (bold and centered). The contents of the abstract appear directly under the label. Unlike regular paragraphs, the first line is not indented. Abstracts are usually written as a single paragraph without headings or blank lines.

Directly below the abstract, you may list three to five relevant keywords . On a new line, write the label “Keywords:” (italicized and indented), followed by the keywords in lowercase letters, separated by commas.

APA abstract (7th edition)

APA Style does not provide guidelines for formatting the table of contents . It’s also not a required paper element in either professional or student papers. If your instructor wants you to include a table of contents, it’s best to follow the general guidelines.

Place the table of contents on a separate page between the abstract and introduction. Write the section label “Contents” at the top (bold and centered), press “Enter” once, and list the important headings with corresponding page numbers.

The APA reference page is placed after the main body of your paper but before any appendices . Here you list all sources that you’ve cited in your paper (through APA in-text citations ). APA provides guidelines for formatting the references as well as the page itself.

Formatting the reference page

Write the section label “References” at the top of a new page (bold and centered). Place the reference entries directly under the label in alphabetical order.

Finally, apply a hanging indent , meaning the first line of each reference is left-aligned, and all subsequent lines are indented 0.5 inches.

Tables and figures are presented in a similar format. They’re preceded by a number and title and followed by explanatory notes (if necessary).

Use bold styling for the word “Table” or “Figure” and the number, and place the title on a separate line directly below it (in italics and title case). Try to keep tables clean; don’t use any vertical lines, use as few horizontal lines as possible, and keep row and column labels concise.

Keep the design of figures as simple as possible. Include labels and a legend if needed, and only use color when necessary (not to make it look more appealing).

When quoting, you enclose the words and sentences that are not initially yours with  quotation marks . There are several ways to integrate quotes in your academic work depending on how they are introduced, if it is a quote within a quote, or if it should be a block quote .

The President ordered, “All learning institutions to be closed due to COVID” in his speech.

In this example, “All learning institutions to be closed due to COVID” represents the quote that is included in the sentence. It illustrates the exact words that the President has used in his speech.

What is the purpose of quoting?

Quoting is used to emphasize language, present evidence , and express, define and explain your ideas .

Emphasis on language with quoting

Quoting is used very commonly to emphasize language.

In this case, quoting is relevant, as users of a certain language may give the strongest representation of that language:

Peter explains that “Schadenfreude” is a word that can’t be translated into English.

Presenting evidence with quoting

Quoting is often used when presenting evidence in order to support a claim . This may be relevant when you intend to convince your readers.

Firstly, account for your claim :

Julia Winter’s (2004) writings express that she believes there is no objective reality; instead, a person creates his or her own reality.

Quoting in different citation styles

Citation styles are a s et of protocols for citing sources when writing an academic paper, and also function as tools to avoid plagiarism. There are a number of citation styles, which are useful in academic writing :

  • Parenthetical citations or narrative citations like APA style and MLA style
  • Footnotes in Chicago style

Let’s take a more in-depth look at these citation styles in relation to quoting below.

Quoting in APA style

When quoting in APA in-text citation style, the author’s last name, the year of publication, and page numbers must be included. If the quote is located on only one page, the abbreviation “p.” is used. If the quote reaches more than one page, the abbreviation “pp.” is used.

In APA in-text citation style, one may distinguish between a parenthetical citation and a narrative citation:

Regarding punctuation, it is essential to set commas , periods, exclamation points, question marks …etc. after the quotation marks.

Quoting in MLA style

When quoting in MLA in-text citation style, only the author’s last name and page numbers must be included. In the case of two authors, both names must be stated. If there are more than two authors, only name the first one and add “et al.” to refer to the rest. The information of the sources is not separated by commas, nor are page indicators used in MLA.

  • One author: (Cenzo 23)
  • Two Authors: (Cenzo and Melly 40-42)
  • Three plus authors: (Cenzo et al. 43)

In MLA in-text citation style, one may distinguish between a parenthetical citation and a narrative citation:

Quoting in Chicago style

Footnotes are notes written at the bottom of the page in a paper. They are indicated by letters or symbols written in the form of a superscript and placed right after a quote. Citing a quote in Chicago style must include the author, title, and page numbers.

Cenzo stated that “APA style is one of the most commonly used citation styles in academic writing.” (Cenzo, Citation Styles, 234.)

How to introduce quotes correctly

When quoting in your paper, consider the following Dos and Don’ts :

  • Make sure to present your quotes in your own words
  • Convey the purpose of your quotes to the readers
  • Use quotes that support your arguments and provide an additional understanding of the context
  • Avoid redundancy and do not include unnecessary quotes
  • Don’t look for a quote and then find the technique, start with the technique and incorporate a suiting quote
  • Don’t write quotes as a sentence by itself

1. Introductory sentences

Introductory sentences present the quote. They serve to open paragraphs and precede the idea sentence. The common tense used is present simple. They require a comma mostly after an introductory clause, prepositional phrase, verbal phrase, or distinct pause. If the introductory sentence is a full sentence, a colon must be placed at the end of it.

Unlike APA and MLA parenthetical citations, punctuations like period, comma, question mark, and exclamation point are placed inside the quotation marks in Chicago.

Introductory signal phrases

Using signal phrases when quoting can be done in various ways. If the signal phrase does not shape a full sentence, it should be ended with a comma. In the case of a full sentence, the signal phrase should be ended with a colon.

  • According to a recent study, “Children from higher-income families, perform better in school” (Brown, 2019, p. 21).
  • As Brown (2019) reports, “Children from higher-income families, perform better in school” (p. 21).

Quoting in own sentences

Quoting in your own sentences is relevant when the quote is not a full sentence. In most cases, additional punctuation is not needed.

  • A recent study shows that children from higher-income families “perform better in school” (Brown, 2019, p. 21).
  • Brown (2019) suggests that children from higher-income families “perform better in school” (p. 21).

Quoting within a quote

A nested quotation is understood as a quoted text within another quote. To avoid confusion, the internal quote can be distinguished by single quotation marks (‘…’) . Keep in mind that this is only necessary when both quotes are present in your paper.

Quoting – Shortening and changing

To smoothly incorporate quotes into your text, you may need to make changes to the original text. For this, it is vital to underline the alterations, so they are clear to the readers.

There are two ways of changing quotes:

How to shorten quotes

When shortening a quote to remove redundant information, you may omit words or parts of a sentence and insert ellipses (…) instead. These provide a clear indication that the quote has been shortened. However, before removing anything, make sure that shortening the quote won’t affect the meaning.

Meyer (2012) argues, “he has to run errands…to get home before midnight” (p. 12).

How to change quotes

In some cases, it is relevant to add or replace words in a quote. Integrating a quote in your own sentence may be challenging, as the grammatical structure or tense may not align with each other. In other cases, some quotes need more explanations in order to express the right context. When altering quotes, it is vital to highlight the changes made. This may be done in various ways:

When adding a word , use brackets around the word to indicate that you have added this word:

Jones (1993) states that “those [plants] with the highest stems are usually darker in color” (p. 201).

If you detect mistakes in an original quote, you may underline this in your paper . For this, the Latin term “sic” is used to indicate that this mistake has not been made by you:

Smith (2003) suggests, “some informations [sic] has been withheld from the government” (p. 60).

If you want to emphasize a certain word or phrase in italics , you must mark this with “emphasis added” so the reader knows to pay attention to this:

“Children from higher-income [emphasis added] families, perform better in school” (Brown, 2019, p. 21).

If you make small changes regarding punctuation or capitalization, it is generally not necessary to clarify this in a bracket.

Block quoting

If the quote is longer than a few lines, the quote must be formatted as a block. For this, you do not use quotation marks, but the quote must be placed in a new line and be indented, so it takes the shape of a separate block of text in your paper. In this style, the in-text citation must be placed after the period if the quote ends with a period.

A Harvard in-text citation appears in brackets beside any quotation or paraphrase of a source. It gives the last name of the author(s) and the year of publication, as well as a page number or range locating the passage referenced, if applicable:

Note that ‘p.’ is used for a single page, ‘pp.’ for multiple pages (e.g. ‘pp. 1–5’).

When a source doesn’t have a clear publication date – for example, a constantly updated reference source like Wikipedia or an obscure historical document which can’t be accurately dated – you can replace it with the words ‘no date’:

Note that when you do this with an online source, you should still include an access date, as in the example.

When a source lacks a clearly identified author, there’s often an appropriate corporate source – the organisation responsible for the source – whom you can credit as author instead, as in the Google and Wikipedia examples above.

When that’s not the case, you can just replace it with the title of the source in both the in-text citation and the reference list:

Harvard referencing uses an author–date system. Sources are cited by the author’s last name and the publication year in brackets. Each Harvard in-text citation corresponds to an entry in the alphabetised reference list at the end of the paper.

Vancouver referencing uses a numerical system. Sources are cited by a number in parentheses or superscript. Each number corresponds to a full reference at the end of the paper.

A Harvard in-text citation should appear in brackets every time you quote, paraphrase, or refer to information from a source.

The citation can appear immediately after the quotation or paraphrase, or at the end of the sentence. If you’re quoting, place the citation outside of the quotation marks but before any other punctuation like a comma or full stop.

In Harvard referencing, up to three author names are included in an in-text citation or reference list entry. When there are four or more authors, include only the first, followed by ‘ et al. ’

Though the terms are sometimes used interchangeably, there is a difference in meaning:

  • A reference list only includes sources cited in the text – every entry corresponds to an in-text citation .
  • A bibliography also includes other sources which were consulted during the research but not cited.

Citing Sources: What are citations and why should I use them?

What is a citation.

Citations are a way of giving credit when certain material in your work came from another source. It also gives your readers the information necessary to find that source again-- it provides an important roadmap to your research process. Whenever you use sources such as books, journals or websites in your research, you must give credit to the original author by citing the source. 

Why do researchers cite?

Scholarship is a conversation  and scholars use citations not only to  give credit  to original creators and thinkers, but also to  add strength and authority  to their own work.  By citing their sources, scholars are  placing their work in a specific context  to show where they “fit” within the larger conversation.  Citations are also a great way to  leave a trail  intended to help others who may want to explore the conversation or use the sources in their own work.

In short, citations

(1) give credit

(2) add strength and authority to your work

(3) place your work in a specific context

(4) leave a trail for other scholars

What does a citation look like?

Different subject disciplines call for citation information to be written in very specific order, capitalization, and punctuation. There are therefore many different style formats. Three popular citation formats are MLA Style (for humanities articles) and APA or Chicago (for social sciences articles).

MLA style (print journal article):

APA style (print journal article):

No matter which style you use, all citations require the same basic information:

  • Author or Creator
  • Container (e.g., Journal or magazine, website, edited book)
  • Date of creation or publication
  • Publisher 

You are most likely to have easy access to all of your citation information when you find it in the first place. Take note of this information up front, and it will be much easier to cite it effectively later.

If you’ve ever had a professor ask you to “use quotes” or quote other texts in your writing before, you know that it’s no easy task. It can feel awkward sometimes to determine what parts of the text are worth quoting, as well as how to directly quote in your writing without sounding too formulaic or repetitive. Keep reading for some strategies on effectively using direct quotations in your next writing project!

Why do I need to know how to directly quote?

If you’ve seen our blog post on “Quoting Directly,” you know that using direct quotations (or “quotes”) in our writing can be useful for a variety of reasons. By quoting other credible, relevant sources in our own writing projects, we can provide more convincing evidence and reasoning for our own ideas. Direct quotations are a type of support we can provide for our own arguments and claims, as it demonstrates to our readers that other writers agree with what we have to say.

What are different ways to directly quote in my writing so that I don’t sound repetitive?

A common way to integrate “quotes” in our writing is with the use of a signal phrase , which is a short phrase that indicates to readers that the writer is about to introduce another source. For example, we often use the phrase “According to” as a common signal phrase for introducing quotations. However, if we were to use “According to” for every single quotation in our essays, our writing would start to sound awfully repetitive and potentially boring or uninteresting.

So, here are some different approaches you can take for integrating direct quotations to have more variety and style in your writing!

1. Use a signal phrase to introduce the quotation

The two most commonly used signal phrases only require a couple of words, primarily a verb and the author’s name:

  • The introductory phrase: “According to (author’s name and/or title of source),”. e.g., “According to Ahmed,” or “According to Ulmer in Internet Invention ,”.

After a signal phrase, you can quote from the text directly. Here are some important reminders to keep in mind whenever you directly quote another source in your own writing:

  •  Use quotation marks “ “ and copy the passage exactly as it appears in the original text. If there is a grammatical or spelling error in the original source, you can use [sic] to cue to your reader that you did not make the mistake and are intentionally quoting the source material (for more on using [sic] in direct quotations, see our post on Quoting Directly ).
  • Long Quotations in MLA format
  • Long Quotations in APA format

Note: You can also use a signal phrase after the direct quotation for more variety in your sentence structure and style. You’d follow the same rules, except the quotation would come first, followed by your ‘says’ verb and the author.

It is usually better to lead with the author’s name and a ‘says’ verb because this introduces where the quotation is coming from (ensuring your reader is not confused) and is written in active voice, which is more direct and concise.

Example According to Melissa Dahl, “[Cringe is] the intense visceral reaction produced by an awkward moment, an unpleasant kind of self-recognition where you suddenly see yourself through someone else’s eyes. It’s a forced moment of self-awareness, and it usually makes you cognizant of the disappointing fact that you aren’t measuring up to your own self-concept” (Wynn).

While this is a direct quotation attributed to author Melissa Dahl, the in-text citation is credited to (Wynn) because the writer found this quotation in an original source published by Natalie Wynn. If you directly quote an author or writer whose work is quoted by another source, you cite the source that “houses” the passage. In other words, you cite the author who introduced you to the work. You can still credit the original author by introducing them in your signal phrase, as shown in the example above, but make sure your in-text citation credits the source you found the passage in.

2. Summarize the main ideas of the quotation to create a framework for the quotation, then use a colon to present the quotation.

For this method, you would provide a concise overview of the main ideas from the passage you wish to quote as a way of contextualizing what the source is about. This provides a helpful framework for the reader to understand the purpose and meaning of your quote better.

Example In Rebecca Solnit’s Wanderlust: A History of Walking, she raises several theoretical and philosophical viewpoints concerning both the act of walking, or flânerie, and the walker, or flâneur. On escapism, Solnit posits: “In the city, one is alone because the world is made up of strangers, and to be a stranger surrounded by strangers, to walk along silently bearing one’s secrets and imagining those of the people one passes, is among the starkest of luxuries” (23).

3. Blend a shorter quotation into your own sentence structure

This is the best method to use if you have only a short passage, some key words, or a specific phrase you want to quote in your writing. For this method, you want to build your own original sentence that leads up to the key ideas in your short quotation to blend it together as one cohesive sentence.

Example Within a participatory culture, individuals are often gathered together as a community due to shared interest networks, like video games, in which “members believe that their contributions matter” and there is “some type of informal mentorship whereby what is known by the most experienced is passed along to novices” (Jenkins 7).
